A User-friendly Way To Link Tables In A Split Database
Feb 25, 2008
Hi, all.
I have a "client/server" split Access 2003 database with an Interface file containing all the code/forms/queries and some system tables and also a Data Backend file, with all the data tables and table structure.
This is being deployed to multiple sites, each getting their own version of the backend, so sites will not be using the same backend between them all, rather multiple users in each site will all share that site's backend file.
Since users will deploy in different network locations, etc. they will have to re-link all tables. Is there a meaningful/user-friendly way of doing that without relying on user's knowledge of "Linked Table manager", etc.?
Thanks!

I would like a way to auto-generate a pdf when a user clicks a link based on available tables within my database.
Basically i have developed a pricelist database and our reps need a printable pdf version of that available items and there attributes.
I have done some research and it appears that visual studio and crystal reports may be what I am looking for. This is an access web database that is accessed housed in sharepoint.

ok can someone please explain this to me..
i linked the booking to the driver using the ids through the bookingdrivertable.
the italic fields are the ones i have included in my Query called "bookingdriverquery"
bookingtable
booking id (autonumber)
date (date/time)
time (date/time)
drivertable
driver id (autonumber)
name (text)
bookingdrivertable
booking id (number)
driver id (number)
after doing this i created a form using the wizard, choosing all the fields from the "bookingdriverquery"
when i opened my form, i hid the booking id and driver id (as they are autonumbers anyway)
i then added a date.. a time.. and a driver name.. pressed save..
the booking table had 1 record, the driver table had one record.. and the bookingdrivertable had 1 record (both the ids)
this is the outcome i wanted..
i would however like to use the booking id and link it to another table in the same way.. a customer table for example (using booking id and customer id)
i had trouble however doing this.. because to duplicate this above method means that my user will have to re-enter the same booking details on another form.. and then the customer details..
how can i link all this together.. if someone wishes ask me a question and i will try to explain.. someone help me please.

Please Exuse the question I am about to ask. I am a bit rusty with Access and cant remember how to do the following. I have tried and tried to work it out and tried various help searches but cant get the answer I'm looking for.
What I need to do is create a data entry form, very simple! However I want the user to be prompted to enter a project name and number in order to find the project that i want the new data to be entered under. Then it will need to create a new record in that project ready for new data to be entered from the data entry form.
I hope it is clear what I need to do

Hi,
Im coming to the final stages of designing my database - its a Uni project. For extra marks it needs to be pretty user friendly.
One of the things I would like to do to my forms - I will use the following screenshot as an example - is remove the 'X' (Close) tab from the top right but I am unsure of how to do this exactly.
I would also like to remove the grey area around the form including the record navigation at the bottom.
Could someone point me in the right direction?

I have a table field where Null is not allowed, how do I use a user freindly message to tell the user to add data to this field. When a user tries to leave the field Null (ie by tabbing out), they get a message, "tried to assign NUl value to vaiarble which is not variant datatype.
What I want to appear is more like "Please enter a name" or some other custom message.
Any ideas - I have tried before anfd aftyer update events and vaidation rule on the form field of Not Null, but the underlying message always appears first.

I searched google for sample databases and most forms are rather primitive... Currently there are some features to make more user-friendly forms that I have yet to find in excess:
1. Stop updating record automatically :
For some strange reason access auto-update the records the user change in a form. What I want is to only update records when the user press the "SAVE" button. This could allows better validation without forcing the user to remain trapped in an entry.
2. Better error messages
Instead of annoying pop-up telling the user that he made an error, I want something like an ErrorProvider Component that tells what error the user made with a small symbol (!) which provides the explanation of the error when you over the mouse on it.
3. Using different formats for different columns in a datasheet form
For some reason it is not possible to assign a special backcolor for some field that are locked to indicate they are locked if you use a datasheet form. This needlessly confuses users who hammer their keyboard trying to enter info in locked fields and have no feedback ( except maybe an incredibly annoying pop-up window ) to tell them not to enter data there.
4. Better excel-style features for datasheet forms :
Good way to annoy users : prevent a way to cut and paste multiple rows/columns of information in datasheet. If you try to paste more than one column at the same time it just doesn't work.
Also why is it impossible to make the title of field to take more than 1 row ? I mean it sure looks dumb to have
Number of tax report
1
2
3
4
Instead of
Number of
tax report
1
2
3
4

Ok, I am a noob at reports and did a search on this. My searching DID NOT HELP ME! I thought I would make that clear :D Maybe someone can tell me what to look at for this issue.
I need to take one report, allow the users to easily use a dropdown or listbox on a form to Sort and Group many fields of data. To recap: The user will click on name in the list and it will sort report by name. Also I need them to be able to select up to three sort criterias.
EX: Sort by Name then LastName then Company
Please guide me to the answer. Thanks.

I don't have the database finished so I can't really comment on the structure. However, I know the database will be used by multiple people, very likely at the same time. I've heard it's a good idea to split the mdb into a frontend and a backend so I've already started that process. I have no idea how this would fit into a security scheme though. Do I have to set up user-level security on both ends? Without actually implementing it I kind of think it would be secure if the backend had a master password and the frontend had user-level access. What do you all think?

Ladies and Gentlemen...
I have had this in another Access forum ... without a resolution. I am pulling out what little hair I have left, so hopefully someone can help me.
I have created a program using MS Access that a small business will use to enter service contracts and invoices. The program was created in Access 2000, but converted nicely to Access 2007 which resides on the 3 brand new Dell computers that the business bought.
I did some research and determined that since 3 people would possibly be using the database at once, I needed to split the database. I did so using the wizard contained in Access. One of the computers acts as the "server" and houses the back-end of the database (in a "Public" folder that is shared to anyone on the network ... with all rights). All three computers have the front-end (forms, queries, reports, etc.) The front-ends all point to the shared "Public" folder on the "server" computer.
In each of the computers, the program will open and work properly. The problem comes when trying to access any of the input forms (that get data from the back-end). Only 2 (and sometimes 1) of the computers will open the form at the same time. If 2 are currently open and I try to open the third, it will sit and crank away as if it cannot find the file. It will not open. If I close one of the other forms, the third will open immediately with no hesitation.
At first I thought it could be a network bandwidth problem, but all are running at 50 - 100 Mbs and shouldn't have a problem opening a simple database file. I can't find anywhere that says Access would limit the number of users to 2; everywhere I look says that a split database should allow up to 10 users at once.
Again, the program works fine ... I just can't get it to open by 3 concurrent users.
Thanks again for any help you can give me.
Mike

I have a 2007 back-end db on a network share and around 15 regular users who access it through their own front-end db/interface. One user on Windows 7 is able to launch and use his front-end copy fine except when he goes to launch one form for data entry.
This form clocks and freezes the entire application. I sat with him and was able to determine that the issue is that the form_load code is never running. He clicks on the button to launch the form (done in vba) and the code never runs. If he opens the form in design view first then changes to form view, the code runs fine and there are no issues. This is his present work-around, but I had to give him an unlocked FE copy to pull it off (not ideal!).
I tried this with him on different PCs, with different front-end copies, and even in the back-end copy. Same result each time. None of the other users have this issue, and he can replicate this issue on different PCs. I'm at a loss for what might be causing this since it really seems so user-specific.

I am splitting a database and have created the Back end already. When I create the front end and link to the tables on the back end... The front end does not link to all the tables in the back end. The list that comes up when creating the linkings does not show all the tables in the back end. What would cause this?

Im trying to add 2 new tables to a split and linked database... but no matter which side i add the table to (BE or FE), it wont show up in the linked table manager.. so my question is 1.) is there some trick to getting it to show up in the link manager? or 2.) is there some way to re-merge the database, add the new tables.. and then split it again?

I have split the database I have created via the splitter-wizard and found that all tables with auto-numbers have re-set back to 1.
How do I get around this problem - I have tried running an append query but it flags up an error message. For certain functions to work in the database I need to set autonumbers at different amounts .

I have a split database. I have just created anew table in the back end and created a relationship to an existing table. All done in the backend.
I have opened up my front end and imported the back end end. But when I check the relationships in front end neither the table or link is there.

My db is split into front-end and back-end. In the f-e's Relationships schematic, I can see the relationships as they were defined at the time when the db was split, complete with the one-to-many symbology.
I can add a new table to the b-e and set its relationship as one-to-many, enforcing referential integrity and cascading as I wish - and the schematic (in the b-e) reflects that.
In the f-e, I can then use the <Get External Data - Access Database> function to link to the new table, and I can add the new table to the relationships diagram in the f-e. I can also drag and drop to link primary and foreign keys (within the f-e), but cannot select one-to-many. I'm OK with that, as I understand that the relationship is within the b-e, and this is just a diagrammatic representation.
But I can see the one-to-many relationships between the tables which existed when the db was split, and I would like to be able to see the new table's relationships in a consistent fashion. Updating the linked tables via the Linked Table Manager does not do the trick.
Surely I don't have to split the database again in order to achieve a consistent diagram - do I ?

Hi.
I'm about to move to a back end / front end system, from a single database file. Before I do so, I want to make sure I have all bases covered so to speak.
My back end file will reside on a server. I am aware that path names are sometimes changed by network administrators without warning.
From tests, I notice that, if the path to the back end can't be found, one cannot open the front end database file at all (Access 2003).
My question is: if my back end file gets moved, or the path changed, how can I get into my front end file to update the linked tables.
Many thanks in advance.
Mat.

I simply want to link a table from one database to another but am getting an Error -1002 with the error description: "'|' is not a valid name. Make sure that it does not include invalid characters or punctuation and that it is not too long."
I have tried just creating a basic table with one field and linking it to another database and still getting the error. It happens when I compact and repair on close.

I have a multi user database in Access 2000 that is on a server. The individual users have shortcuts pointing towards the server instance. One user and one user only when opening the shortcut gets the error "you do not have exclusive rights to the database" .
All other users can enter the database with no error box. I have checked the advanced setting under options and they are correct. Ironically if you go to start and open access then navigate to the database shortcut. It opens with no error.

I have created an Access 2000 Db, and have gone through the motions of splitting the Db via the Splitting Tool. Since I have done this split, I have added forms, queries, and reports to the Front End. I have left the Back end table structures alone.
This is where my problem comes into play. To enter data into the Db, I use the forms. After splitting the Db, I assumed that the data would be stored in the tables in the BE. An issue had just presented itself and I went into the BE table structure to add a field to a couple of the tables, and when I opened the BE table in the datasheet view, I noticed that there were no records. I then became curious because when I run my reports and queries, the information is present. So I opened the FE tables and what do you know, all the data I have input since the split is housed in the FE tables.
I already attempted to Update the Table Links, but that did not solve the problem, and the data is still in the FE.
Can someone, anyone please help or offer some suggestions on how to resolve this dilemna.
Thank you in advance,
DtF
