I have staff table which is a lookup field on the phone call table.when the phonecall form opens I want the employee field to auto fill in the employees name from the lookup field according to there security level.so something like this

On Open
Select Case Forms!frmLogin!cboUser.Column(4)
Case X = 4'the employees security level'
Case X = Insert Table_tblPhoneCalls!EmployeeID"4" into Form_frmPhoneCalls!Employee.
End Select

of course this is a syntax error as I do not know the correct code words.

Tables :: Auto-populate By Matching Data To Another Table And Selecting Corresponding Field

I have with my database. It's holds cost data including purchase made in foreign currencies which need to be converted to GBP using the correct exchange rate so a variety of reporting & stats can be performed.I have a table called Costs within which there are 2 fields

Purchase Currency
Exchange Rate

I also have another table called Exchange Rates 13/14 within which there are 2 fields

Currency
Exchange Rate

When a value is entered in the Purchase Currency field on the Costs table (this is a look up field linked to Exchange Rates 13/14 so it shows the listed currency in drop down) I need the database to automatically populate the Exchange Rate column in Costs i.e. match the value in the Purchase Currency field to the Currency field in Exchange Rate 13/14 and populate with corresponding Exchange Rate from Exchange Rate 13/14.I have tried the following and none work:

I know it is possible to have a drop down for Purchase Currency which shows 2 columns (both Currency and Exchange Rate) you can then use the exchange rate figure for a calculated field. The problem I have is that I am importing data into the costs table from excel. In Excel I can only have 1 value in the Purchase Currency column on the upload template. If I just have Euro in this column the database does not match it to the Euro in the Purchase Currency drop down and also store the correct exchange rate.

Or is the alternative to put this into the calculation of GBP Unit Cost where this somehow matches the Purchase Currency in the Costs table to the Currency field in Exchange Rates 13/14 tables and uses the appropriate exchange rate from Exchange Rates 13/14 to calculate GBP Unit Cost in Costs table.

Auto-filling Fields Based On Another Field

hi all...

i am the biggest of all newbies when it comes to access and understand only the graphical parts of the process (no SQL knowledge etc.).

how would i go about auto filling a certain field based on what's in another field? for example, i have a field called TimeZone that i want filled with either West, East, Central, or Mountain based on another field for State. can i build a query to automatically take care of any empty fields for TimeZone that haven't already been filled out by me manually?

if i need to use SQL, that's fine too as long as the directions are clear and precise as i have no prior knowledge.

I have a form "Admin" used to create new records in a table "RCJ"

I have a table called "Projects" that contains detailed information for projects.

I have a table called "Waterfall" that contains basic information and schedule information for each particular project.

I have a combo box "Contract" that selects information based on a query "Core" that gathers certain information I want to use of form "Admin"

I understand it's generally not a good idea to duplicate data in tables, but for specific reasons I am here. My combo button "Contract" has an event "On Click" that gathers information I want copied from table "Waterfall" via query "Core" is:

Now, the items listed above are sometimes just a text box and sometimes a combo box (because there are times, when items get entered that don't fit the original combo box.

Now, here's the rub. When I select the pull down on the combo box it lists all available projects. You find the one you want and select it. At that point, only Columns 1 (text box) and 6 (combo box) auto fill. The other information does not fill in .. BUT, if I more to the prior record and back, all information shows up OR if I click on any of the particular fields, the information shows up in that field. In theory, everything should show up right away.

I thought it might be because it doesn't like to autofill a combo box, but one of the combo boxes fills fine. And all of the information is acutally going to the various boxes, it just doesn't show up right away.

During filling a form, I generate a code which should include the ID of this record.

But the ID is not available before update of the form.

If I save the record before all fields mandatory are filled, i get an error of course.

How can I manage this and get the ID "earlier"?

i'm using Access 2010 and i created a main form , from which i want to let users to open new table with fixed fileds and rows, also the name of the table will be as per user choice. so if a user want to open new table from the main menu, he will have the choice to press on a command button and a dialoge box will ask to name the table. the new table will then be open with the same fileds and rows names( name only) . the new table will be edited using a form.

I inherited a defective Access 2010 and am now attempting to import a RECORD consisting of fields of xls data.

I am attempting to import from an existing Form Datasheet so that it overwrites (or appends the new data to the datasheet) from another identical Form Datasheet because it contains an additional 1000 contacts in it.

I have resulted to Using an .mdb file from over a year ago because the current .mdb keeps hitting "The Microsoft Access database engine could not find the object (Error 3011)"

My initial opinion is that the more recent .mdb it is corrupt.

I am relearning Access and having a little difficulty. I am creating a Access database that links tables from an I series system which I have done trouble free. In the database I have pulled up for example a patient demographic file (hospital). I have form frmSearch that prompts the user to enter the medical record number OR they can search by name. I have a query that takes that information then loads a 2nd form to display the query results in a list box. I would like to be able to click on one of the results from the 2nd form to then load another form that will display all of the patient information that was selected.How do you set this up so that with the results shown, I can click on one of them and it will load that patient into another form pulling the rest of his or her information from the table file?

Is there an easy way in Data access pages to do like you do in forms as far as using a dropdown list and when you choose a name/acct#/rec# or whatever, that the rest of the fields are automatically updated to match? Just curious.

If you need an example, I can provide one.... basically, I'm trying to get a data-acess-page to act like a form so someone without access can do a simple search.

In my UpdateForm I have 3 fields. PartNumber, Description and SerialNumber. I use 2 tables for these. My MainTable and PartsList Table.

In my PartsList table I have the list of PartNumber in Column (0) and Description in column (1).

In my MainTable I have 4 fields: TransactionID (autoNumber), PartNumber(text), Description(text) and SerialNumber (text).

Now, In my UpdateForm I want the user to just select the PartNumber with a combo box (that also show the "Description" (I created this using the combo box wizard)). But I want to auto populate the field in my "Description" text box every time the user will enter new record and will also update my MainTable with all the values they entered in my UpdateForm.

I tried this codes in the after update of PartNumber combo box (properties):

Description = Partnumber.Column(1)

I tried also:

me.Description.value=me.PartNumber.column(1)

both codes unsuccessful.

I have a simple data entry form where I can key the "row", "COLUMN", SPACE "a" and space "B" onto an access 2010 table. Is there a way that if I key the same four fields, e.g., A5AB that I get a message back before updating telling me that combination already exists?

I do generate a calculated data field, which in this case would be "a5ab" and which is displayed on report screens. Could the value of this calculated field be stored on the Table and be used to prevent the same value from again be entered on the Table?

I have a form with two tables referenced. I am using the form only to update one of the tables. I am using the other table to pull a reference field. When I add my second table using the query builder, it makes it to where I can't edit/add in my form. I assume its because of the SQL insert statement, but I don't see this statement and can't find where it is to edit it. How to have the form only update one of the tables, while just using the second table as a reference for a field?

My situation is this. I have 3 tables that I have imported from my mainframe system, between these 3 tables I have the data of product code, description,supplier code, supplier name, order method, and ABC code.

I am trying to create another table that I can capture daily Out Of Stock data for products.

Automatically Filling Linking Fields For New Rows In Related Table?

OK, so I have a database with four tables (Well, more than that, but these are the relevant ones). It's to be used for recording the results of site inspections.

"Tbl_Typicals" is a list of products. We'll call its key "Typical_ID".
"Tbl_Actions" is a list of tests performed on each product. A given product may have many tests, but each test applies to only one product. Its key is "Action_ID". Each row contains a Typical_ID to link on.
"Tbl_PlantComponents" records which products are installed on which site. Its key is "Component_ID". Each row contains a Typical_ID to link on.

The fourth table ("Tbl_Results") contains the results of each test. As a result of the relationships above, each row is specific to a single Action which applies to a particular PlantComponent, which is to say, each row has both a Component_ID and an Action_ID to link on.

So, what I need is a query that pulls all of these together, such that I can use these details as the line items of a subform.

The main form displays the details of the PlantComponent, which is a simple query to relate line items in Tbl_PlantComponents with the data about that particular product in Tbl_Typicals. So far, so easy.

The subform shows the details of each test applicable to that product. It then has toggle buttons and a comment field to indicate the results of the test, the results of which should be stored as a line item in Tbl_Results.

The "easy" way is to use an append query to generate Tbl_Results in advance. This works, but it raises a variety of new issues.

The nice way would be to use a normal SELECT query and have Access fill in the necessary linking fields (the Action_ID and Component_ID) on each row automatically. Now for trivial examples, this is very easy - my main form query manages just that: I created a link between Tbl_PlantComponents and Tbl_Comments (which stores general comments about each PlantComponent which aren't related to a specific test) based on the Component_ID and that works fine - when I edit the Comments field, the row is automatically created and the linked ID field filled in for me.

However, when I need to do it with 2 links, it all falls apart. I've tried everything I can think of, including generating a single-column unique ID to use for the link, but Access just won't autofill for me. It just makes those fields on the form (or in the datasheet view of the query) non-editable because there's no associated row in Tbl_Results. If I create a matching row in Tbl_Results the query works fine, but that's not the point.

Implementation of the query is non-trivial because it requires two outer joins involving 3 tables - All from Tbl_Actions to matching in Tbl_Results, and All from Tbl_PlantComponents to matching in Tbl_Actions. This necessiates splitting the query into two - the first relates Tbl_PlantComponents, Tbl_Typicals and Tbl_Actions (returning one row for each Action for every Component), and the second performs a single outer join (using an AND) between the first query and Tbl_Results.

Shortcut To Auto Correct Options Access 2010

I have reinstalled Access 2010 due to a computer malfunction. I had customized my Dictionary with about 2000 abbreviations for medical specific words: gast for Gastroenterology for instance. Saves tons of typing. I have never been able to save my dictionary just in case something like this happens. And, It's happened before. I may have saved(unsure) once, but it was years ago on Access XP-2003, somewhere in that time frame and was never able to find it if I did. So I am reentering all these words again. It would sure be nice to be able to add them by Anything! but going File/Options/ Proofing/ Auto Correct Options and then entering my shortcuts. that's 4 steps each time. It would seem to me that if you can add the Auto-Correct icon in Word to the Word ribbon, Access should be able to do this. There is no icon i can find in Customize Ribbons/ All Commands. My Word Dictionary does not -never has- synced with Access' Dictionary.

I understand right off the bat if you're reaction is "don't duplicate data!!" -- mine would be too (don't fret, I know my normalization).

I've linked a table in my db to my Global Address Book in Outlook 2007 and, upon entering an employee number as a new record, would like to verify that the number entered is listed in the GAL and then pull in the associated name and location info.

The key is that I don't want this info to rely on the GAL going forward. For example, if an employee leaves or is no longer listed in the GAL, I don't want to lose the employee info (past data is needed for audit purposes). Note: I will be creating a report later to show if there are discrepancies between the GAL and my table, but that's another story...

So, what would be the best auto-fill options in Access 2007?

Filling In A Column Using Data From Another Table

I have a list of 4300 clients. The clients' personal information and ID numbers are listed in the table BasicInformation. Another table, DiseasesAndValues lists 17 diseases and a "scheduled value" (long story short - an amount of money) for each disease. Each client has one of these 17 diseases. I would like to have a column in the BasicInformation table which shows the scheduled value for the disease that a particular client has by going back to the DiseaseAndValues table and checking to see what the scheduled value of their disease is. Alternatively, I could use a query that could enter in these values with a click of a button.

I have a database to track temporary decertification's. I have the expiration and max dates calculated out from the original dates at the top of each box. The temp expiration date is calculated by adding 267 days from the first date . When we enter an extension, the new expiration date is 30 days from the extension date. My question is, how can I make the expiration date update when a new extension is put in.

For ex.

how can I make the expiration date update to go 30 days from what is in the extens field 1, 2, and 3 (respectively) instead of 267 days from the original date?

Access 2010 - Auto Populate Correct Persons Email Address

I currently have a database set up with three basic forms:

Form 1 = Main menu with options to go to Form 2 and Form 3

Form 2 = Employee information form which includes email address

Form 3 = Employee document upload form

My goal is once the Employee is registered in Form 2 they can then upload a document in Form 3. When they upload this document and fill out other parameters Including their bosses name (which is captured as a record in Form 2) they click "Submit Form." I would like for this submit form button to populate an email that is updated to send to the selected "Bosses name"
