Access Data Loss Problem

Hi,

I'm a network manager at a school running 5 windows server 2003 servers (3 of which are DCs) and 350 windows XP clients. Network speed and traffic is excellent and most of the time the only software used is microsoft office. Most computers run office 2003 but some have office xp.

Here are a few scenarios of the problems:

Scenario 1
A teacher looks back at some work of a student who left a year or so ago to find all work as expected however all access databases are empty (no tables, forms etc. Just blank database files)

Scenario 2
A student says they were working on an access file only moments ago and everything vanished (resulting in a blank database file). They claim the file has been there for weeks, and has had data in it for weeks. They have been working on it a number of times a week. When I look through the backups, the database file exists but is empty on every occasion.

This problem occurs over 4 ICT suites (120 computers) at random and is always a different user. There seem to be no patterns. We get the Scenario 2 problem about once or twice a month, although sometimes a lot more and sometimes a lot less.

Any ideas or comments?! (I need some response even if it's not very helpful!)

General :: Data Loss During Network Interruption

I have a A2007 database that is split to a shared server that is experiencing unidentified network problems. While working in the front-end users receive the following message periodically:

Quote:Your network access was interrupted. To continue close the database and then open it again.If the users are working in a form including queried data, the data is lost and the file crashes. This happens even though the front-end is on the user's computer and no tables are currently being queried. My question is why must the network be stable even though the database is split and queries are not occurring? The form's record source is a table though. But even with this the record source connection is not needed until the form is closed.

Convert Text To Number In Multivalue Table Field Without Data Loss

I have a multivalue text field called "Groups" that is generated through a relationship with another table called "Comments". When I set this up I left the field as a text field when it should have been a number field, and now I can't use the database with sharepoint, because the field needs to be a number field.

My Question is there a way to convert it without loosing all my data, as there are over 5000 records?

My Table with the multivalue field is called "Contacts", the field is called "Groups".

I tried update and append queries but I must be doing something wrong....

Recording Weight Loss

My wife is slimming, I would like to record weekly results.

How do I make a new entry compare with her ideal weight and flag up her progress.

e.g. ideal weight =10 entry 1 13 entry 2 12.9 etc

Can I get the cell holding the new entry to refer to the ideal weight and flag up the difference each time I update the weight for the new week?

Loss of Primary Key when importing csv file

Hi All,

We are submitting an Access db table with ID as primary key to an outside company for processing. We export it as csv file and that's how it comes back.

After importing it back, we noticed that our IDs, which previously had 'gaps' as a result of deleted records, had been changed in to a new continuous sequence (Autonumbered). This, of course, completely destroys our database since related tables depend on IDs being unchangeable.

We ***suspect*** that the IDs are being destroyed during the process of re-importing the csv file. We are using the Access import wizzard.

Access msg: "Access recommends that you define a Primary Key for your new table". We then are given the following options:

1Let Access ADD primary key
2Choose my own primary key
3No primary key

During Option 1, the ID column is displayed and high-lighted. But we do NOT want that option since it offers to ADD a primary key, whereas we already have one (ID). At most, we want to 'declare' or 'define' a primary key, but we do not want Access to ADD one.

So we try Option 2, hoping that this will give us the chance to CHOOSE ID as our primary key. But the moment we select that option, the ID column disappears. We are not given the chance to select ID as our primary key.

So we try Option 3, hoping to re-instate ID as primary key as soon as we have an Access table again. But the moment we select this option, the ID column disappears.

If we GO THROUGH with Option 1, we notice that Access has renumbered our ID, the IDs of all our 'deleted' records have been re-assigned. Or so it appears.

If we GO THROUGH with Option 3, the resulting table does not contain an ID column at all.


Of course, the damage may have been done by the outside company which processed our file, but if so, we have to prove it, and we have to take measures to avoid it.

Any comments and advice?

Forms :: When Navigating Tabs - Preventing The Loss Of First Tab

First thing: I have a navigation form that leads through 5 subforms on my database. One is a data entry form, the rest are various informative forms with explanations, images and other text mainly. In this scenario, a user enters data on the first tab but doesn't finish it. The user clicks over to check up on some guidelines on the other tabs and then comes back to the first tab for find that all of the fields he entered reset and he lost everything.

Is there a way of preventing this from happening? Plan A would be for me to allow the user to switch around tabs without losing the data he or she entered into textboxes or dropdowns. Plan B would be for me to have a popup that appears when he tries to switch tabs that warns him of data loss and that he should save before moving tabs.

PS: One other thing: I have the standard Access wizard search button on my first tab that allows the user to search records. This works well, but I'd like for the search box to close immediately after a search turns up a matching record. This seems odd, but the users requested it because manually closing the search box after every search can add up to a lot of wasted time.

I'm trying to make a graph of Monthly profit and loss

I've got 2 tables: Invoices and Purchases.

Invoices contains the fields:

InvoiceTotal and InvoiceDate

Purchases contains the fields:

PurchaseTotal and PurchaseDate

I know I need to take one from the other to create my profit figure but what I can't figure out is how to incorporate the dates.

InvoiceDate and PurchaseDate might be different but both occurred in the same month, so I would like to sum my PurchaseTotal and InvoiceTotal during this month.

so the query I'm looking for would look like:

| Month | SumofPurchaseTotal | SumofInvoiceTotal | Profit |

I would then graph month and profit so my company could compare it's monthly performance ...

I am using Excel/VBA as a frontend and Access backend. The sheet2 stores the queue name and Queue number. We have to update the sheet1 from column L to column O by looking for the values from the Access table for the date selected from the comboboxes. Now In sheet 2 , it says Queue number and in actual in access table it is the combination of Type & Type1 & Type2. So we have to look for Type & Type1 & Type2 in the table and find out total Batches ,Total Envelopes,Total documents and total pages and then store the values in the ExcelSheet1 from column L to column O.

The following formulas will be used in the select statment:

Total Batches = count(BatchNo) for date selected
Total Envelopes=sum(Envelopes) for date selected
Total Documents=sum(Cases) for date selected
Total Pages=sum(Pages) for date selected

Can't Use Data Access Pages To Enter Data

I am trying to set up some data access pages as data entry into a table with access 2000. I can see the records in both the data access forms and the HTML forms, but cannot create new records into the table. I have tried to change the property to DataEntry etc... but nothing seems to work.

Tables :: Data Lost In Access 2000 Tables With Access 2010

We have an Access 2000 backend database resides in a network server drive while users connect to the backend tables with a mde file on their computers. All users have Access 2010 and the mde file was converted from the 2000 frontend with Access 2010.

The database have been running for a few weeks but recently users have been complaining about record lost on the backend table.We have also experienced one incident of data corruption where the main table could not be opened. After Compact & Repair, the table could be opened but a few records were showing xxxxx on all the fields and we have to delete and re-enter these records.Would they relate to using 2010 mde converted from 2000 frontend when the backend is still in 2000? I am a little nervous about converting both the frontend and backend to 2010 since I have heard various issues on the new version.

Help With Data Access

Pretty new to access so hope these aren't daft questions!

I've got a table of documents, linked to 2 different tables which relate whether the document is a trial document (yes/no) and what cancer site it refers to (a list of 10 options). I need to be able to give users via a form the initial option of choosing to list a set of documents based on whether they are in a trial or not and also filtered by cancer site.

I've got stuck with trying to do this. I've been able to provide a form with a subtable that shows a list of documents by cancer type (by using a combo box), but I don't know how to further filter the list so that users can also filter by trial status.

Also another silly question - Within my table design for the documents, i use the old trick of setting up cancerid field to show the actual cancer name, not the number. However when I try this for trialid, which is a tickbox, it displays -1 or 0 not a yes/no option.

When I try to create a data access page using Wizard, I am getting the following message.

'The wizard is unable to create your data access page'

When I click on Database and select Refresh, I get the other msg

"Microsoft office access is unable to connect to the data source specified in the connection string of this page"..

I am very badly stuck here..Please help.

SSL And Data Access Pages

I'm setting up data access pages that will be accessed over the internet. Because of this I want to make sure that everything is secure. I am using IIS 5.0 (Windows XP) as the web server. I used the three-tier authentication approach discussed in the microsoft article here (http://msdn.microsoft.com/library/default.asp?url=/library/en-us/dnacc2k2/html/deploydap.asp) So I'm pretty sure that the authentication is secure. But what about the communication between the browser and MSDE during databinding? Is that secure?

Wanting to make sure I set up a SSL certificate which secures the page and set the Remote Server in the connection settings in the data access pages to "https://domain.com". Does this secure the comminication between browser and the server?

OLE In Data Access Page

I have a photo (jpg format) which store OLE field in a table. But, I would like to display it in a Data Access Page. But, I have being prompt the following error: "You tried to drop an OLE or long binary column onto your data access page. There is no HTML control which binds correctly to this column type."

Data Taken From Access To Excel

I have a database that works as a sales system. From a table in the database I run a query that calculates the totals for that day.
i.e.

Date……….Dept 1…..Dep2
07/11/05…...£10………£10

What I need is:
1.You click a button
2.It copies the date and finds it in the excel spreadsheet as the sheet will already have a field called date.
3.It will then copy the Dept 1 figure and Dept 2 figure into the spreadsheet where the date matches (in a certain column)

Can this be done?

Access Thinks Data Is On C But It Is Actually On D

Hi,

after some effort i now have 2 databases set up that i use all the time to mail merge data into word documents. it is a much better system than i used previously and works great.

only annoyance i have is this. either because i have recently re-installed windows, or because i copy the documents and databases back and forward between my laptop and desktop computer, which use different drive letters for the main drives (i'm not sure which of these actions caused the problem), i now find that when i open any of my mail merge documents in word they open a dialogue box and are looking for the database on

C:userDocumentsFilesdatabase

when they should be looking on

D:userDocumentsFilesdatabase

how can i tell access to search on a different hard drive. i've searched and searched through the options but i cant find it. i had a similar problem once with word looking for all my docs on the wrong drive letter and i fixed that, but i can't fix it in access.

any help much appreciated.

Data Access Web PAge

Hi,

Can anyone tell me how I can get my data input web page to load with a new fresh input page. At present, each time a user opens the form, it displays the last record that was input previously.

When using a form, the record properties can be changed so that when the form is opened, it displays a new blank record to fill in. I cannot find any properties in the web page design view that allow it to be set to startup with a new blank page rather than the last record that was entered.

Any suggestion?
