Access Report - Any Way To Hide Data Prior To Creating PDF
Aug 29, 2013
I am posting a report to the web, in a pdf format. the issue is I have data that is hidden under conditional formating in which if it meet the criteria the font is white and background white. This is great since it shows up blank on pdf. However if a slick person takes the pdf highlights the page and transfers it to a word document, he can highlight that area change the font to black and see the data. Is there a way to hide the data prior to creating a pdf.
I want a Text Box Query on my form to display the Status, Workshop, Time, Enrolled and Limit. The problem is these values come from two different tables and the Enrolled value comes from a single field that contains the different workshops.
What I mean is: In Table[Attendees] a row contains a customer's Number, First Name, Last Name, Workshop and Phone Number. The workshops vary for each customer so one row on the table could have John Doe attending Cover Letter Writing and the next row could have John Smith attending Resume Writing. What I want is to be able to count the different workshops within the Field[Workshop] and total them and then display the total in a Text Box Query. I have a Text Box Query set up displaying Status, Workshop, Time and Limit as these values all come from Table[Workshops].
So basically I need to Query to also display a result that is the Total for each workshop from Table[Attendees] and display the total for each workshop in a Query with data from Table[Workshops].
Here is a link to an Example Database [URL] ....
I'm trying to avoid putting things on different reports and the like because the people using this are basically computer illiterate and if they have to click a button (no matter how well labeled) they won't do it and the information might as well not exist.
And if there's a better way to do it, I'm all ears. The only thing is, I have to update these workshops month by month. Since they are dynamic, I want to avoid creating separate tables for each workshop.
I have users who use a form to enter data. One of the fields is "DateRange". The users tend to enter records in groups. The group of 10 records will all have the same "DateRange" As they start a new record is there a way that the "DateRange" field can copy from the prior record? Any help would be great!
Hi I am building a forecasting database that will have known amounts entered for various projects. If a project has no known future amount (lets say for next March), I want my query to calculate a projected number by taking the most recent equivilent month (for this last March, which may be a number or even zero) and applying a growth factor.
I thought to use Dlookup in this way, but it is not working:
I have created "placeholders" for the non-existant months in a prior query (i.e. this formula should replace null cells w/ projected values only if there is no actual value)
I would appreciate any suggestions very much! thanks
I have a main form "FrmTimesheetEdit" that I open in edit mode to review data in a query that uses two tables TblEmployee and TblTimeSheet. The TblEmployee has two fields called EmployeeID, and Employee. The Tbltimesheet table has a field "Weekendingdate" and "EmployeeID".Prior to loading the mainform I launch a form "frmEmployeeReportRange" that allows me to specify via combo box the Employee I am interested in and also the time periods I am interested in being "Beginningdate" and "EndingDate" These in turn are criteria for my query that supplies data to the main form "FrmTimesheetEdit" Everything seems to work ok.
However the first time I open the main form It open a form/window saying "Enter parameter Value" for EmployeeId, BeginningDate and Ending date respectively. Then the subform loads "frmEmployeeReportRange" which allows me to specify Employee plus beginning and ending dates. I select Employee from the combo box say "Emp1" and specify Beginning and Ending dates of 1-Jun-2013 and 30-Jun-2013. I then make the form invisible and the mainform opens up.I do this but get no records. If I close the main form "FrmTimesheetEdit" and reopen it the subform pops up as expected. It is preloaded with the data I entered the first time i.e. Emp1 plus 1-Jun-2013 and 30-Jun-13...If I leave the dates the same but select the next employee "Emp2" and them make the form invisible the mainform opens in edit mode as expected but with the records and dates specified for Emp1.
Bottom line it would appear that although the filter data is specified for the query that feeds the main form it is not requerying prior to opening the form. I have tried having the "frmEmployeeReportRange" launched as a VBA event on each of 'On Open' , 'On Load' and 'On Current' but no matter where I put it the results are the same in that the mainform is not requerying the data prior to opening.
I have a form that allows users to input data into a field called "Checked out". I was wondering how I can create a report that shows the forms (I have about a couple thousand) only with the "checked out" field filled in.
I've done some basic work with arrays.. writing array data to form list objects.. How to use an array as a data source for a report?
Would i need to create a recordset and populate it with the array, then bind the report to it ?
The reason I am asking is the previous developer here built every app using arrays and UDT's... the apps are completely disconnected from the data. Everything is loaded in to arrays..
I am working in Access 2010, trying to create a report with a pie chart. The pie chart is based on a query (called Count Pie) that calculates three values:
% IS % NetInf % IS + NetInf
I go into Create, Report Design and get a blank report in Design View. I select Chart from the Controls tab and follow the Wizard to specify the data source.
I get a pie chart with the right title (Count Pie). I double-click on the chart to open the report Datasheet and insert the correct value names. My pie chart in Design View looks correct. It has the right title and legend, and shows three slices of the pie corresponding to the three values.
I save the report, and go to Print Preview, where I get a pie chart that looks like a single circle; it has no legend, and doesn't show the three values.
Do I need to have the Access 2010 application re-installed?
I have a need to convert the export of an Access report to an ASCII file.
The export needs to have a specific format - described below:
Field Position | Field Length | Field Name | Field format
1-6 | 6 | Member # | text - right justified 7-12 | 6 | Trans Date | YYMMDD 13-15 | 3 | Pay code | Alpha/ NUM - Left 16-26 | 11 | Amount | -9999999.99 (*) 64-71 | 8 | Check # | Right
general comments and questions:
This report needs to interface with some sort of transaction accounting system - No Idea what it is, but this format of the report will interface.
The field positions go from 1 to 73. I need only supply the data above, so the check # is way out of sequence. Do I need to have the space inbetween "Amount" and Check Number in the report? Will a simple text file work with all the fieds together? or will I need the space in there? Is there a way to design a report in an ASCII format in access?
Specific Questions
I think I need to change the format of the amount and date fields. I am currently using the short date format 8/30/04, but need to return the date as YYMMDD - 040830. How can I change this format to reflect the ASCII format. The form is also set with the default "=Date()" so the user doesn't have to enter the date everytime - it can also be edited for older data. I would like the date to appear the way it is on the form 08/30/04 but get entered to the table as 040830. Is there a way to do that?
The amount field is odd - I'll include the exact criteria that is desired:
"All Amount Fields must be right justified and space filled. If the amount is a credit, show the "-" sign at the beginning of the number. Payment should be entered as positive amounts. If zero, assign the fied as 0.00 (space filled)"
Is this just a mask that needs to be added? Currently, The field shows $7.00 when 7 is entered to add cent, you must type in 7.50, tab will put in the "$". I need to get rid of the $ and space fill the field?
I am trying to create a columnar report that relies on information that are expressions in various queries. Unfortunately, I can't seem to create them in one query because the criteria is mutually exclusive. I used the report wizard to start the report based on the single expression in the first query. Now I want to start adding the other data but I can't seem to get it to work. All I really want to do is include fields that have the have the value, which is already summed, from the other query. When I try that I get error messages like "you tried to execute a query that does not include the specified expression 'expressionName' as part of an aggregate function' and it just goes further downhill from there. What is the easiest way to get this simple values into the report? Is there a way I can create a field in the report that uses a SQL statement for just that field so I don't have to have the report linking to 50 different queries?
I am trying to make a DAP for data input into a table.
I used the wizard and it has the fields I want, I can scroll through them and view the entries, but they are not editable.
I read about changing the Page DataEntry property to True, but I still cannot select any of the editboxes on the DAP and now the DAP just shows blank non-selectable editboxes.
I decided to create a dummy table to work with to test creating a DAP, my dummy table looks like this:
Group Name Number Text 1 Bill 3 pink 1 Adam 5 green 2 Charlie 7 blue
I ran the wizard on the above table and again I can scroll through but not select any of the fields, and with DataEntry set to True I still cannot select/edit the textboxes.
Is there something else I need to do to be able to make an input form?
Once I get that sorted out I have a followup question: The dummy table above is where the input data goes, but on the input form I would like if possible to get the Group and Name from a different table using drop-lists. The real table has over 5000 names split into groups of about 30-50 so picking a group first would help find a name in the list which will eventually be input to the table above.
Hope that all makes sense, and thanks in advance for any help!

I am a newbie at Access. I have uploaded an Access 2013 file and an Excel 2013 file to show what I am trying to do.
(I also incorrectly uploaded this question under QUERIES - since marked there as 'Solved")
The Access tables that I have created are meant to mirror the individual fields on the Excel spreadsheet.
On the Excel spreadsheet, I would enter data in the rows as the data becomes available.
The Access file contains the excel fields as tables. Some of the table fields consist of only one field and others have many fields.
I have created Primary Keys in all the tables. But I don't understand the process well at this point in time.
I need to know how to create proper relationships, and then, to create a query or a form to enter new data as it becomes available so that I can keep adding rows of data (query to enter and update data) and subsequently run queries to analyze the data
Need to create the correct relationships and a query that lets me update all the data for new cases, as an individual row (like on an excel spreadsheet) .
How do you prevent access from adding a new record when u input data in the current record or tab to the next field? My database is set up to open with a form where the user picks his name and then a week ending date once that is complete u open a new form where the name and date auto populate along with other fields to fill out such as job charge, charge type , times charged for each day of the week. But I don't want access to create a new record everytime the person inputs or tabs..... .
I have create a report which contains a check box. What I want to do is to hide the box if it null. I have attached an example database to show what I'm trying to do. I have tried using:
Private Sub Detail_Format(Cancel As Integer, FormatCount As Integer) If IsNull(Me.[Written Work Seen1]) Then Me.[Written Work Seen1].Visible = False If IsNull(Me.[Written Work Seen2]) Then Me.[Written Work Seen2].Visible = True End Sub
in the OnFormat event of the Details section of the report.
i am trying to make a small database for my uncle, but i am stuck in the report. can someone help me out and tell me how to hide the title, the value and a label only when the field is empty...
i have attached the file here plz look at it and help me out... see the report i have made.. i want the whole line to be hidden when the value (1,2,....,10) is null.
A report with multiple lines with name. I have chosen the 'Hide Duplicate' option on the name text box and when the report is printed all is well. However in the display prior to printing when the print option popup is present no name are shown. Some simple setting?
I have a form that has a drop down box with all of my project numbers in it. when I choose a project number, I can then choose from several report buttons on that same page that opens a report just showing that projects info (easy enough). I then have different report buttons that open those same reports, but showing every project (no filter).
The reports have a cover page that has the field, 'project number' in the front, so when a particular project is chosen from the drop down, that project number will show on the cover page (still pretty easy).
My question is, when I open the full report(no filter), is there a way to tell the report not to show the 'project number' field? since the full reports show every project, the 'project number' field will show the first project number, which is not what I want to do.
How can i do that ? If i shall write a code, in which event ?? Or can i use in Query Build option ?
I searched on internet and found some answers but they are not useful
(i found this code and updated for my report but still did not work)
Private Sub Detail_Format(Cancel As Integer, FormatCount As Integer) (<- what is that ??) If Me.Skyliner = 0 Then Me.SkylinerCover.Visible = True Else Me.SkylinerCover.Visible = False End If
I have a report in which I'm trying to hide some elements from view in case a specific value is Null. Access seems to do this automatically if the report is in print-preview-mode, but not in normal view-report-mode.
I've tried something like this, but it's not really working:
Code: private sub report_load() if nz(txtfield, 0) = 0 then txtfield.visible = false end if end sub
