Add New Record To An Empty Table - First Record Must Be Set?

Jun 26, 2006

I am trying to create a form in Access 2003, to view / create entries into a table - but the "new record" button appears to be greyed out when the table is completely empty. When I create an identical form that queries an identical table (except that it has several records already setup) I can add new records as much as I like. Is this normal? Any way of getting round this?

The problem is that I'm trying to add records to a table that is regularly polled by a DTS. Every 15 mins, this reads then deletes any entries - hence the table is generally empty. Apologies if this is a basic question, I'm very new to Access :)

Modules & VBA :: Display Last Record Next To Empty Space On Current Record

May 6, 2015

I'm trying to make a form that shows what the last record was next to the empty space where you enter a new record.

This is so the user knows that what they are entering is roughly in line with what has come before.

So for example if I was recording temperature every May, I would like a form that has a field called temperature and next to that field I would like to see last year's temperature.

Records:

Date | Temp
2014 | 20.5
2013 | 18.5
2012 | 19.0
2011 | 22.7
2010 | 15.2

So when I enter the record for 2015 I have a box that says: Temp and next to that box is "Last year was 20.5" or something like that.

Weird Empty Record...?!?!

Aug 18, 2005

Not sure when this happened, but when I open my form, it opens to a empty record (all fields and subforms, etc. are there). There is no Record ID and when I attempt to delete it, I get a message "The search key was not found in any record."

When I use the record selector to advance, it goes to the first alphabetized name record. The find and search works fine, I can add or delete other records, perform filters, etc.

Everythings seems normal, all records, tables, forms, reports, are fine.

Any thoughts? Weird, eh?

Do Not Show An Empty Record

Jun 27, 2006

Hello,

I have a "problem" in my database.
I have a form, as you can see in the attachment.
On that form I can choose different installations to which a spare part belongs to, but in that same list of installations it always shows a name of the first installation in the dropdown list. (a default record)
This can cause some confussion, because you see the name in the list, although it doesn't belong there.

How can I fix this?

PS : If I'm not clear about my problem, pls say so, my English is not may native language.

Empty Record Appear First - Continuous Form

In a continuous form, I know you can groupby in descending order. If you do this on a date field, then the newest record appears at the top. How do I make the blank record for entering new records appear at the top of the form instead of the bottom. Thank you.

Help! I Need My Form To Always Open To An Empty Record.

Jul 27, 2006

I am currently creating a database using MS Access and I am having trouble linking the forms in the way I require. I have created the two forms and have linked them successfully. The first form is a menu which then accesses the second form which will be used to store records. The problem that I have is that each time I access the second form it always goes to the first record which has already been used. This means people have to scroll through until they find the next blank record. How do I create the link so that it always goes to an unused record:confused: .

Disable Showing New(empty) Record In A Form??

Apr 29, 2005

Hi,

I am currently working on a database and I'm using a form to view the records. A standard Access behavior is to show an empty record (new record) as the last one. is there a way to disable this "feature". I would like my form to display only the records, which are really filled with data and not show the blank one at the end??

Thanx in advance
Luke

Reports :: Empty Fields In Record - Not Shrinking

Sep 3, 2014

I have a report that has the addresses from the client and auditor on the same level. The address of the auditor is on the left side and the client on the right side. They have both the same layout:

Auditor - client
Attn auditor - attn client
etc.

When the Attn for the auditor is empty, it will show and empty space between auditor name and auditor address.
All the fields have the can shrink to yes, but if they are on the same level in the report, the one have text in it, forces the empty space.

Is there a workaround for this?

Forms :: Record Source Query Is Empty?

Oct 18, 2014

I have a main form with two unbound text boxes that filter a subform with a select query in the record source. The problem is that it only works sometimes.when I copy and paste the SQL into a query instead of the form it works all the time. for example when I open the query and the form side by side with the same SQL the form does not show results but the Query does, and yes I have "requeried" both of them after entering criteria into the unbound text boxes.

Here is the SQL:

SELECT [Quote_ID] & "-" & [Version] AS QuoteIDv, tblQuoteID.Quote_Type,
tblQuoteID.Quoted_By, tblQuoteID.Agency, DLookUp("[Contact]",
"tblContacts","[QuoteID] = '" & [Quote_ID] & "' And [Version] = '" & [Version] & "'") AS contact,
tblQuoteID.Quote_Date, tblQuoteID.FileName, tblQuoteID.FileLocation, tblQuoteID.Amount,
tblQuoteID.Active, tblQuoteID.Quote_ID, tblQuoteID.Version, tblQuoteID.Selected

[Code] .....

"You Cannot Add Or Change A Record Because A Related Record Is Required In Table....

Aug 1, 2006

Hi! Please help!!!

I'm currently building a bookings database and have encountered an alert message that I cant seem to rectify -

"You cannot add or change a record because a related record is required in the table 'Booking Details'"

Basically - I have a 'Customer Database' form that is linked (via command button) to a 'Booking Details' form. Within 'Booking Details' I have 2 sub forms - 'Booking Quote' and 'Booking Payments'. Both subforms are linked to the 'Booking Details' form by the 'booking ref' field with RI.

I have no problem updating information in the 'Booking Quote' subform, but when I try to add information to 'Booking Payments' it states the above message.

Can anyone please advise as to how I can prevent this happening? I'm slowly losing my mind....!!!

Many thanks,

Stacey

Tables :: Cannot Add Or Change A Record Because A Related Record Is Required In Table

Oct 22, 2012

Currently I keep getting this error: "You cannot add or change a record because a related record is required in table"..My current tables are this:

Primary Table with persons info:

Primary Key - Auto number generated
Name
Address
Email
Phone

I have 4 other tables with use check boxes.

ex:

Table 1 - Geographic locations visited

ID - Auto generated
USA
CANADA
ASIA
ECT...

Table 2 - Languages Spoken
ID - Auto generated
Spanish
Chinese
English

Table 3 - Skills
ID - Auto generated
Hunting
Dance
Singing
Weaving

Is this not a genuine one-to-one relationship table? I mean No two people would have had visited the same places and speak the same language no? I tried to create a one to one relationship with the primary key to the auto generated ID of the child tables but I'm sure that is not how you do it. Also when I try to save the check boxes in my form and I close it and come back it doesnt save and is blank again. Is it because my form gets its information from a query that takes all the information from all the tables.

how I can get this to work properly? Am i to make use of a foreign key? I've read a lot about it online and watched youtube videos but I dont see why I need it here in this case. Is there a way to set the IDs in the child tables to be the ones from the primary table? Or do I have to use a foreign key and manually input the primary ID into them?

Or would it be better to have all these child tables in the primary table and have one large table instead? I just didnt do that because one of them has like 20 checkboxes with cities and locations

Cannot Add Record To A Table Because Related Record Is Not Recognized

Feb 13, 2008

Hi everyone,
I am using Access 2007 and I have a database with 2 tables. The original table has a primary key field designated. I have a relationship between that table and a second table and that relationship has "enforce referential integrity" checked.

In the secondary table the field that the relationship is bound to is not a primary key but has the same field properties.

I created a new record in the original table and created the primary key of "T-124". When I attempted to add the same data to the field in the second table, I recieved the following error message: "You cannot add or change a record because a related record is required" in the other table.

I did create the record in the other table:eek:

Can anybody help????:(

Tables :: Copy Table Record To Another Record?

Mar 18, 2014

I have a database for staff to request checks to be cut. I have one table with a group of regularly used payees & addresses. A second table stores data for each individual check request. I need to be able to copy a record from the addresses to the check request. I do not want to add all addresses to the address table, as it is only for commonly used payees. So from the check request table, I am able to lookup a payee, which opens the address form to display the address. I need to be able to copy the displayed address to the open check request form.

General :: Update Record ID To Another Record ID In Same Table And Update Related Records

Aug 22, 2013

I have a table called tblCompanies. When a company acquires another company, I need a method by which the acquired company's CompanyID (PK) can be updated to the new company's CompanyID (PK). I also need to be able to update all related CompanyIDs (FKs) to the new value in related tables.

In cases in which the new company does not have an existing record, there is no problem: the company name simply gets changed to the new company and the existing CompanyID is maintained. I then use an audit table and Track Changes function to keep track of the company name data and a union query to keep the old names in the selection lists.

The problem is when both companies already have existing records in the table.

So, let's say I have records for Company A and Company B. Company A merges with Company B and Company B is now the main record. What is the best, simplest and easiest way to update the CompanyID (PK) from A to B and change the CompanyID (FK) to the new value in all related tables?

I am envisioning a pop-up form that directs the user to select the new company and then an update query happens behind the scenes... but exactly how does the criteria for the update query get selected and how do all the related tables get updated? My vba skills are pretty basic, will I need extensive coding to do something like this?

Forms :: Double Click Event - Form Showing 1st Record Instead Of Selected Record

May 8, 2014

I am new to access and I recently encountered a double click issue

My form loads perfectly on double click event but it shows the first record instead of selected record.

My search is based on a PersonID but each PersonID has different WorkID that I wish to display on double click but it always shows the first WorkID instead of my selected record

I have tried changing the filters in the form properties but it still doesn't work for me.

Here's my code:

Private Sub SearchResults_DblClick(Cancel As Integer)
DoCmd.OpenForm "WorkForm", , , "[PersonID]=" & Me.[Searchresults], , acNormal
End Sub

[Searchresults] draws information from my Query

Query information:

PersonID... WorkID... Type......Location
1234..........1............Paint .....Address A
1234..........2............Electric...Address B
1234..........3............Floor..... Address C
