Append Query Linked To A Form Problem?
Apr 14, 2005
Please can you help me find the issue to my problem that is probably hitting me in the face.
I have an unbound form to which i use an append query to post the data from the fields on the form to a table.
The table is set up very simple and has a primary key which i will never duplicate as you would expect.
Once i have inputted one lot of data into the form the command button runs the query and the data is posted to the table fine. The problem i am having is that the second lot of information i go to append the query refuses to add.
I get the validation rule violations error and it won't post the data.
If i close out of the form, open it again and input the same information the query adds it fine and again the second lot you get the error message.
i had this problem before but for the love of me cannot remember how i resolved it. I have had to keep closing the form after each entry to post the information.
Any help much appreciated.

I have attached an image of the 2 tables concerning my question.
The main "transaction" table is the tblAssessments and a linked table tblRisks drives a subform - showing multiple Risks per assessment.
The field "OccupantID" identifies the facility where Assessments are done (there are other tables, of course).
I am using an OccupantID "00000" to store templates - pre-filled assessments with most common options selected.
I am trying to develop code and/or query or SQL that would do this:
copy all templates (records from OccupantID 00000) and corresponding sub-records from tblRisks into the same tables, but under a different (selected by user) OccupantID.
I have no problem just using an Append Query (actually a SQL statement in VBA with variable parameters), but that only lets me copy into 1 table - so I can copy just the tblAssessments records.
but how do I then copy the tblRisks related records and make sure I attach them to the correct AssessmentID?

Dear All, I have a problem which I need to solve and am in need of a clue!
I have a table which contains lots of line items relating to quotes. Each quote usually contains three line items and is prefixed in all cases with a number which relates to number of users. For example
5 5 User Software Details Price Cost Note
in the table there are up to 100 users and each has line 3 items. I automate quote generation by using a form. In the form a quote reference is generated and a text box for the number of users. I have a command button which then, based on the value of users text box, selects from the line items table and sends the records to my TblQuotes.
My Tbl quotes is exactly the same structure as my line items table except it also has a field for the quote reference which is in the form.
Where I am stuck is I cant seem to get Access to send the quote reference into the TblQuotes as part of the append query.
Please help!

i am trying to create an append query that gets 2 values from one table and a 3rd value from a form.
It gets the values from the table fine but always gives me a popup asking for the value from the form.
I have used the criteria build... and selected the loaded form and the field value that I am looking for. I have also made sure that there is a value in the field on the form.
is there a reason why the query will not grab the number in the forms field? or am I jsut not doing this right.
I have done this many times on a combo box and it works fine. It is jsut not working for a field that is typed in
Can anyone help me?

I understand that I can use an append query to add data to a table from a form and then have it run by using a command button. I want to do this because when I link the form directly to the table I do not want the form to create a new record every time it is invoked. (it does this automatically because I have visual basic code move to acNewRec and fill in some of the fields on load and lock them off, this is neccessary) I also do not want it to create the record immediately because the user might then decide to cancel their actions and leave the form - then I have half a record's worth of data in my tables! :D
I could just use VB and recordsets to do it but SQL is more elegant. The problem is, when I use the append query it appends an extra record to the table for every single record that already exists within it. So a table with 1500 records will have 1500 new entries containing duplicate data!
This is all a mess, so what would be a better approach? The user does not need to navigate through the records on this form or make edits, it's strictly for additions. There is a subform linked to a table that is in a one-to-many relationship with the table that the parent form must update to, but I'm quite happy to leave that one linked directly.
Any suggestions appreciated ;) I've probably done something thick..

I am creating a database for users that no nothing about access nor do they want to learn. So the database needs to be as simple as possible.
This being the case I would like to avoid users from creating/editing querys.
I would like to have a form that would run the append query. The query would have a date column and a status column that the query would filter.
The query would have a criteria for status that would equal to "BACKED OUT" and the date would need to link to the two text fields on the form. My problem is writing the VBA code to make the query append in the background.
For sake of argument:
Query = qryappend
Form = frmappend
Table = tblappend

hi Guys,
I have been looking at different post and checking Microsoft help files as well, but still can't seem to fix this problem.
I am having 2 tables. The first table is connected to a form for viewing and entering data, and in the second table i am just copying 3-4 fields from the first table.
I am trying to use the insert statement to insert records in the second table, and everytime i click on the "Add" button to add the records i get the following error "MS access can't append all the records in the append query ... blah blah blah"
However if i close the form and reopen it, and goto the record (as it is saved in the first database) and now click on the add button to add the fields to the second table/database, it works.
What am i doing wrong???
Any inputs will be greatly appreciated.

So, I've been searching through this forum and can't seem to find the answer to this one. I would like to capture a value from a main form and have it used as a value in an append query, in order to populate a subform based on the main form, like so:
INSERT INTO tblTakenSurveys ( VisitID, SurveyQuestionID, ResponseCodeID) SELECT Forms![frmMyFormName]!VisitID, tblSurveyQuestions.SurveyQuestionID, 66
FROM SurveyQuestions WHERE SurveyID = 3;
Might help to explain some of the terms in this statement:
tblTakenSurveys is where I need the new data to be entered via the subform.
Forms![frmMyFormName]!VisitID is a textbox control bound to a PK in another table that has a one-to-many relationship with tblTakenSurveys.
tblTakenSurveys.ResponseCodeID is a foreign key that represents respondents actual answers to questions.
66 is a value for a ResponseCodeID that stands for a dummy value meaning "data not yet entered"
As per advice I received from others on this forum, I have set a query like the above to run from a command button to populate the subform (in theory). But I'm sure I've done something wrong within the query because it will not return a value from the form "VisitID" control and therefore will not append the rows. Without the appended rows, my subform will not populate. And this has me running in circles...
I pasted the link to another thread below, where I originally received a lot of input as far as the table structure. I did not start this one, but my posts are the most recent (as of now anyway). Pat Hartman had given me a lot of the guidance here.

Hello,
I am a relative newby to Access, Can someone please offer a solution to my problem.
I have a DB which lists current order references, I also have a linked spreadsheet from a customer which references their Ref number to our S/order no & Item no.
I have set up the relationships for the common data between both tables.
if I create a Query from either table individually the data can be edited but when a query is created from both sources the data cannot be edited.
this also happens if the spreadsheet is imported to its own DB.
I would really like to create a form which displays both sets of data for editing, marking progress etc.
Can data from linked tables be edited in a form ?
Regards
Andy

I've been looking around and have found some posts that pointed me in the right direction, I just can't get it to work. What I have is 37 excel files of competitor cross references. There are 2 columns in each excel file, our number and their number. I have inserted them as a linked table in the db. What I want to do is create a form that has a field for every part number and make all of those fields a search field. That way they can type in any number and get all numbers back. I have created a query but once I get past 4 linked excel sheets then I get errors about a type mismatch in expression. Also I can't get the form fields referencing the query to show up when I open it. If I leave the query at 2 or 3 fields and use [Forms]![CrossRef]![txtItemNumber] in the criteria of our number in the query, it works. I get a window that pops up when I just open the query asking for a number, I type it in and the query returns the number and competitor numbers. Am I doing this the hard way?? Thanks for any ideas...

I am making a booking system where a user enters
StartDate, EndDate (Form Header)
House , Room , UserID (Form Footer)
The Header and footer are not linked. The Footer simply displays all the existing bookings for said ouse/Room/Date combination. (Date being all dates between the StartDate and EndDate) BUT (surprise, surprise)users don't look at this to check if a booking already exists.
Also - It seems pointless to have the users enter the same data (House, Room, UserID) in 6 times (one for each day that they want to book the room.
So I am trying to automate the process.
Therefore, I append each 'new' record (that the users adds in this session) into a temporary table. (House / Room / UserID / StartDate)....note, no end date because I need a separate record for each day.
I have a query that is supposed to check the EXISTING bookings with the temp table.
My code (paraphrased here for simplicty) says
do while StartDate < EndDate
- if Qry_CheckForClash returns 0 records then '(uses a dlookup)
- append from TEMP to BOOKINGS.
- - else
- compile an alert message to the user (appending the Room No and Date each iteration)
- In Qry_CheckForClash, increase the StartDate by +1
- end if
loop
My problem is that after the last step (increase StartDate by +1) the call to Qry_CheckForClash still returns the initial StartDate. But when I check the TEMP table, the StartDate has changed.
So how do I REFRESH or REQUERY a query that is not associated to a form or report?

I am rebuilding an application for a client and I have an Access table that I am using as a temporary table. Once the user is done entering information into the temporary table through a form, the user presses an update button that appends the records using an Append Query in Access to an SQL Server Table.
The following error message occurs:
"ODBC -- insert on a linked table 'linked tblname' failed.
[Microsoft][ODBC SQL Server Driver][SQL Server] Explicit value must be specified for identity column in table 'linked tblname' when IDENTITY INSERT is set to ON. (#545)
I am using a form, subform combination to record a bill with many details. The bill summary is posted into a tbl_TransactionsMain table in SQL Server using the ADO AddNew method. The PK for the tbl_TransactionsMain is then entered into the temporary table in Access. When the temporary table records are appended into tbl_TransactionDetail the error message occurs.
What is also interesting is while typing out this post I thought to test the error by manually trying to run the query. The query worked like a charm! When the orginal error occurred off of the form I tried to run the query manually and it failed. I am guessing that this might have something to do with the ODBC timeout.
I think SQL Server/ODBC connection is not liking how I have a set of records in an Access table with foreign key numbers assigned when I am attempting to append the records. I am new to SQL Server and any ideas are most appreciated! :)

I have two tables, submit and imgdest. Submit is edited by front-end users to load pictures for back-end users who then delete the images when they're done with them. Submit is edited by a form, in the form I've placed a button (Command37) that has code:
Code:
Private Sub Command37_Click()
Call InsertData
MsgBox "Completed", "0", "Completed Backup"
Exit Sub
End Sub
Private Sub InsertData()
[code]....
This code was working for a short while, now anytime it's run I get error 3027 - Cannot update. Database or object is read-only. However, I can open the linked table and manually change information in it with no problems.

I have a query linked to some combo/txt boxes on a form so the user defines which categories he/she is looking for then presses button and query comes up with relevant results. This works fine if the user inputs information that is actually there, but if they leave it blank it goes all wrong.
The statements I have in the query are as follows:
[Forms]![frmStockControlSigned]![comboSupplier]
[Forms]![frmStockControlSigned]![txtPurchaseOrder]
etc.
I thought the solution may be along the lines of this but it does not work:
=if([Forms]![frmStockControlSigned]![txtDate]=Null,[Forms]![frmStockControlSigned]![txtDate],"*")
basically i want to make it so the user does not have to enter criteria into evey box, thus if every search box is left blank it would show all records "*"

Right what im after sounds complicated but its quite simple.
I have a client database, in this database each client has 3 skill fields, i also have a form with a listbox and an unbound textboxes that are linked to the query so when the textbox is typed in the listbox updates.
Now ive sorted out the problem of not all fields showing it some of them are blank now the problem is.
When input text into one of the boxes the listupdates, now if theres text in two boxes. and theres data in one of each that matches it will show neither, because the query is looking for data that matches in both fields, now i need partial matches so it will give results of data in both fields.
not understanding fully what i mean?
i have zipped my db, if you open the db then open the form 'MainListRecTrades2nd' and fill in data in both primary and secondary trades that matches from the list you will see.
http://awilderbeast.com/CWSystem.zip
The solution i was thinking of would to have 1 textbox that searches all the fields and displays data from any of the fields in the list
Thanks for any help

I am trying to build a Form that will show an estimate (then eventually will be moved to a project if customer and employee aggree to price and project) in a Form F_Estimates is a M_Customers(Customer_ID) (Based on a Table) and thier info in a Subform. Also is the "projected costs" from parts out of the Parts(Part_ID) (Based on another Table) in a second Subform as a list that I need to calculate $$$ in
(Dang that still sounds evil and definately NOT understandable even after edit... so)
Here's some basic info
Tables
EstimatesandParts - Table
EstimatesandParts_ID : Autonumber
Estimate_ID : Number
Part_ID : Number
Parts - Table
Part_ID : Autonumber
PartNumber : Text (not a number due to some part#s have letters in them)
PartName : Text
Unit Price : Currency
Description : Text
Estimates - Table
Estimate_ID : Autonumber
InvoiceNumber : Text (again can have letters in it)
EstimateDate : Date/Time
EstimateTime : Date/Time
Employee_ID : Number
Customer_ID : Number
ProblemDescription : Memo
Customers - Table
Customer_ID : Autonumber
FirstName : Text
LastName : Text
CompanyName : Text
Address : Text
City : Text
Province_State : Text
Postal_ZIPCode : Text (CDN Postal codes are letter num letter...)
you can see the link table in the EstimatesandParts Table
Now I want to use that link to populate a subform in the F_Estimates form
Forms
SF_Customers - SubForm
(all boxes atm are text boxes on this form till I figure out the Parts section then will use same base for this so I can pick any customer in the database to be the customer for this estimate. Also will have ctrl button for making new customer with customer form and a refresh on Focus Gain bit of code)
FirstName
LastName
CompanyName
Address
City
Province_State
Postal_ZIPCode
SF_Parts - SubForm
Default View -Continuous Forms
(want it to be a list of parts that I can grab prices and descriptions from then in a bit of code to calculate a cost of parts)
Part_ID : Combo Box
Control Source - Part_ID
Row Source Type - Table/Query
Row Source - SELECT Parts.Part_ID, Parts.PartNumber, Parts.PartName, Parts.UnitPrice, Parts.Description FROM Parts ORDER BY Parts.Description;
(Pulls info from the table Parts for input into a list of parts to be used on that project)
PartName : Text Box
UnitPrice : Text Box
(here's where I run into problems due to the fact that the form is not based on the parts table but rather the link table EstimatesandParts so I can't propogate the info to the 2 other text boxes, ps I dont care if they cant be text boxes and have to be linked or some other type I'm not "set" just need to find out how to make it work )
(have tried a couple things to complete this task)
Me.txtPartName = Me.Part_ID.Column(2)
Me.txtUnitPrice = Me.Part_ID.Column(3)
(works AWSOME ... for ONE ROW then propogates the second selection to the first and second and third selection to first second and third and so on ...)
(tried to make control source for the txtPartName to)
=Forms!Parts!Partname
(Doesnt exist .. akkk, cant use ActiveForm either as it doesn't focus on the SubForm but the MainForm ... cry)
F_Estimates - Form
Estimate_ID
InvioceNumber
EstimateDate
EstimateTime
ProblemDescription
(all basic Text Boxes)
Employee_ID
Customer_ID
(Combo Boxes Select Customer and Employee from list of present ones of each)
SF_Customers
SF_Parts
(Both SubForms on the main form)
Now this is an Exerp from my entire Database I like to work on one small problem at a time and I have made this its own little database till I figure out the problem then I will bring the info I learn back into the rest of the database and go from there ...
Hope you can help I have a feeling I will need to make a recordset and go from there but I'm just not able to wrap my head around that for some reason
Thanks in advance for ANY and ALL help that I get from here

In some cases I create pass-through queries and use these in an Append or Make-table query to bring data locally.
All is well and fine until source data changes and the pass-through query runs too long and times out.
If needed, I can extend the timeout value in the Parameters of the pass-through query no problem, but when I try to open the Append or Make-table query in Design view to do the same, the pass-through query is first triggered and then throws the timeout, and I cannot access the Design view of the Append or Make-table
Is there a way to open an Append or Make-table query in Design view without invoking the source query?

Ok, this is what I want to do :
I want to 'append' individual records from 2 tables and place in an archive table or within another database, whichever is the best option.
I then want to be able to 'delete' the relevant records from one table.
The tables are tproperty and trents. This property paid rents but has since been sold. Therefore it no longer belongs in the database, however client wishes to keep details of the property/person/and rents paid in past, for any future ref. These tables are linked in relationships to tlessee and tbilling.
I've read books/notes/looked on here for inspiration and the right direction! If I choose 'append' which seems pretty straight forward then a 'delete' query, how do I choose only one record? Is a make-table onto a different database a better option? It would appear that the whole table is copied over? Can't understand the issue about auto-numbers being copied over? Do I have to use an append/delete query for each individual property that's ever removed?
I'm at a loss! :) Thanks
