Auto-filling A Field Based On Entry In A Separate Field

I am creating a database tracking physicians and their contracts. I currently have two tables: PhysicianT and ContractsT, with corresponding forms to enter information in them. I have an issue with the Contracts form; I want to be able to select a physician from a dropdown list (looked up from PhysicianT) and have Access autofill their Physician ID #.
PhysiciansT looks like this:
physicianID (AutoNum) name (Calculated)
1 Barker, Bob
2 Burgundy, Ron
3 Stark, Tony
Upon selecting Barker, Bob from my dropdown list, I want "1" to appear in the Physician ID # field in my Contracts form.

I've just returned to work after kids and started managing a large Access database related to health, back-tracking over many years.
Currently in filling a form we physically enter:
Apples 2.2
red apple 2.4
red apple cut 2.45
Oranges 5.6
Cucumbers 8.5
Is it possible to get field 2 to automatically fill with a number code due to the text typed in field 1?
FWIW, I'm confident at more basic Access e.g making follow on default value = Dlast("field""table") type stuff but the more complex stuff I haven't touched since Uni over a decade ago and you will need to be gentle while I blow away the cobwebs

hi all...
i am the biggest of all newbies when it comes to access and understand only the graphical parts of the process (no SQL knowledge etc.).
how would i go about auto filling a certain field based on what's in another field? for example, i have a field called TimeZone that i want filled with either West, East, Central, or Mountain based on another field for State. can i build a query to automatically take care of any empty fields for TimeZone that haven't already been filled out by me manually?
if i need to use SQL, that's fine too as long as the directions are clear and precise as i have no prior knowledge.

My situation is this. I have 3 tables that I have imported from my mainframe system, between these 3 tables I have the data of product code, description,supplier code, supplier name, order method, and ABC code.
I am trying to create another table that I can capture daily Out Of Stock data for products.
What I would like to do is to enter the product number in the first field of my new table, and then the remaining fields will auto populate with the correct details based on the product data stored in the parent tables that I have imported.
How can this be done?

The database I am building is for Student & Alumni administration at a non-profit culinary school. In the various forms for entering student information and for defining tests and recording test scores, I would like to not have to re-select things like Class Number or Test number.
I was able to use the Test Number field as Link Master, Child in a Test Results sub-form where Test Parameters is the Master form. But I am not able to link with the Class Number, getting the error message: "The setting you entered isn't valid for this property" even though it is one of the Suggested Link Fields. The form record source is a query linking the Class Table, Test Parameters, Test Results and Students.
I noticed that I can eliminate both Class Number and Test Number from the sub-form. In the underlying query, both these fields are updated. However, the underlying Test Results table does have the Test Number but not the Class Number. While there is still a "queryable" link from the student to the Class Number, I would very much want the Class Number to be stored in the Test Results table.
Is there a way to accomplish this through the sub-form Link Master/Child property or any other/better way to inherit both the Class Number and Test Number in each Test Results record entered?

Within my table if Field 1 has an answer of Self (from drop down), then, I would like Fields 6-12 to auto populate; however, if Field 1 does not have an answer of Self, then leave Fields 6-12 blank.
I am not quite sure how to lay this out. I am using Access 2010.

I'm creating a database that keeps a track of questions and scores.
The questions in the database need to be dynamic and are changed frequently.
I have a scorecard table which keeps a record of scores and the applicable question at the time the record was saved. I need to do this because in 6 months time we may want to provide feedback. As the question may have changed we need to be able to refer back to what the question was.
I want the question field in my scorecard table to populate with the value in my question table.
I have tried a number of things including setting the question field in the scorecard table to a lookup based on the following query:
SELECT tblQ1.Q1
FROM tblQ1;
This works however only as a list or combo box. I don't want the user to have to select the question. I want it to auto populate, is this possible?

I (will have) a form which a user fills in to enter new data.
I have two fields,
"Branch" and "Branch ID" (Branch ID will not be on the form, just in the table)
Branch will be fed by a combo box with seven choices. I would like it so that when "Branch" is populated it autopopulates Branch ID with a code which relates to the branch, so for example
BRANCH BRANCH ID
Braintree BRA
Colchester COL

I have created a basic Volunteer Events and Hours Volunteered tracking database.
I created a form Volunteer Hours to allow an end user to use that form to record the volunteer and hours volunteered on a specific Event. There are two tables needed in the form Volunteer Hours to be used for the end users to record the Event, Volunteer, Date and Hours. The form has drill down fields from two tables:
Table A - Volunteer Events (event name, date, descr, owner, co-owner, loc, status)
Table B - Volunteers (name, co, div, emp#,title)
I want to be able to select the Volunteer Event and have the event date automatically populate in the Volunteer Hours form date field when the Event is selected to eliminate the end user from having to enter the date in.
Also; I would like to be able to add more than one volunteer at a time to an event on the form, this would also decrease the data entry time.
Are one or both of these things possible?

I am an amature with databases and a bit rusty too. Can anyone help me with this problem?
basically I want to automatically enter a unique asset code for one table that is based on product and manuafacturer's codes from other tables
e.g. for audio visual eqipment
The first table would be a manufacturers table with the manufacturers code as the primary key e.g. JVC, HTC (hitachi), SHP (sharp) etc
The second table would be a product table with the product code as the primary key e.g. AMP, DVD, LCD (lcd tv) etc.
( i would also have a customer table and an asset repair table)
In my asset table I would like to enter an asset code as the primary key of the type JVC-DVD-001, JVC-DVD-002, HTC-LCD-001 etc by looking up codes from the other tables and then adding the last number.
(Ideally once the manufacturer's code has been selected only the product codes for products made by that manufacturer would be displayed).
(Also it would be ideal if referential integrity could be set up so that the asset code components can only contain valid manufacturer and product keys.)
The asset code cannot be a compound key as I want to have a repair records table in which the asset code is entered as a single field with referential integrity to the asset field in the asset table.
When entering repairs I would like the lookup field to display only the assets belonging to a particular customer.

I have two tables which contain the following fields (simplified);
Table 1:
ID
Startdate
Enddate
Table 2:
ID
Unitdate
Treatment
The tables are related (one-to-many) through the ID field.
In operation, the user first enters the Startdate and an Enddate for a patients' hospital stay in Table 1. Following this, the user enters the Startdate again in the Unitdate field in Table 2 and selects a Treatment from a drop-down list. After this, the user enters the following in the Unitdate field and selects a treatment. This is repeated in consecutive order until the Enddate is reached.
The end result looks like this;
Table 1:
ID Startdate Enddate
123456 01/01/2005 04/01/2005
Table 2:
ID Unitdate Treatment
123456 01/01/2005 Ventilation
123456 02/01/2005 Ventilation

Does anyone know if there is any way to restrict the Unitdate field in Table 2 to only allow dates to be entered that are between the Startdate and Enddate fields in Table 1? Ideally, I would like the Unitdate to populate automatically with the dates, starting with the Startdate value and ending with the Enddate value and filling in all the intermediate dates. Also I would like to make sure that there is no way of having duplicate dates in the Unitdate field.
If anyone can help, I would be extremely grateful.

I am building an Access database for a client. It is an employee staffing database. With that being said they would like the ability to automatically populate the "T2PPCD" date field based on what is entered into the "Report Date" field. (Same table)
The date is the Monday after 180 days from the report date.
I already know how to get it to auto fill 180 days from the "Report Date" but I'm not sure how to tell it to give me the Monday after 180 days.

i have set up a database to help track the vehicles my company owns. However on the form i have created when i type in the license plate number want the work area that is responsible for the vehicle to pop up so i can inspect it.the form also has the different things i would look at but i don't want to continue to change the work area that has the possession of the vehicle or have to look it up every time i have an inspection come due. Any help would be appreciated

I have two tables, one called 'Company' and one called 'Person'. Both tables have several fields, but they both have the same primary key, i.e. 'Naam'.
When I type in a name in the 'Person' table, I'd like the 'Company' table to automatically display the name too. So for example if I type in 'John Doe' in the person table, I want to be able to switch to the 'Company' table and have the same name displayed there, automatically.

Hi,
I have a table that is used for project progress. One of the fields is named "Completed". I would like to know if it's possible to auto fill the data in the "completed" field based on three other fields within the same table.
ex: If field 1 = Yes, and field 2 = Yes, and filed 3 = Yes, then field "completed" = Yes
I'm open for any ideas, I'm new to access and am not sure how to get this started.

I have inherited an Access DB that is supposed to be kept "alive" but not made much better. On a weekly basis I get an Excel CSV that I'm supposed to import into one massive table; that works just fine.
However, there is another query that takes values from a table named "New Users From Import Table" and appends them to the current "User" table.
But before running that query I have to manually update a field called "Display Name ID" with the next highest number from the User table but only the highest value that isn't in the 9000 number range.
For example, my next highest "Display Name ID" is 1144, which of course does not include the records that range between 9000 - 9008.
I had to manually enter 89 "Display Name ID" values yesterday and I know there has to be a way to update that field when I pull the data over from the temp table without having to do it all manually.
Here's the query that pulls the data into the "User" table (after I've manually entered the incremented values).
INSERT INTO Users ( [Display Name ID], [User Type], Organization, [Display Name], [Alias Name] )
SELECT [New Users From Import Table].[Display Name ID], [New Users From Import Table].[User Type], [New Users From Import Table].Organization, [New Users From Import Table].[Display Name], [New Users From Import Table].[Alias Name]

My database has four fields: ItemName, ItemNumber, Description, and RelatedItems. I would like to create a query that will search every Description in the database and return that data in the RelatedItems field. The query should fill the RelatedItems field with a list of every ItemName and ItemNumber that contains the ItemNumber of the current record.

how to auto increment one field based on the value in another field. What I have is a table with six fields. There is a foreign key assigned to each record and linked to another table. Four fields in this table are number fields indicating accordingly a number for a category, a number for a subcategory, a number for a subject for a subcategory and a number for an instruction for each subject of subcategory. The last field is the text field for each instruction. Numbers are required to be included in the report. Also, number of categories, subcategories, subjects and instructions vary by each record in the the table which this table is linked to. What I'm trying to accomplish is to have numbers in the subcategory to auto increment starting with "1" for each number in the category field, numbers for each subject field would auto increment starting with "1" for each number in the subcategory field, and numbers in the instructions field to auto increment for each number in the subject field starting, again, with "1". I also need these numbers to restart with "1" for each new record in another table.
Basically, the table would look like this:

Someone once posted an database on how to do this but I was not able to see how they were able to automatically input the data into a text field.
I know how to do a combo box to query and input those results into a combo box but I am confused how they got the information from the combo box selection to automatically put the other variables into the testbox. They did this without using the dlookup command. In fact it was done without any code.
They showed how to do this automatically without code and with two other methods (one being dlookup). Can someone please help me if it is clearcut as I don't have too much time to search the forums for empty answers (believe me I have already wasted too much time) Thank You

I'm making up a stock system for the independent jewellers I work for. Each stock pattern needs an individual code which can quickly be recognised read as tickets are often taken off the jewellery and can be mixed up easily. To this end we categorise based on two criteria:
1. Material
2. Type
At the moment these are as follows:

Access 2010. The first table is called Clients.The Primary Key field for the Clients table is an AutoNumber field called ClientID.The other two relevant fields in this table are ClientFirstName and ClientLastName. The second table is called Contacts.In the Contacts table is a foreign key field, bound to the ClientID field from the Clients table, and also named ClientID.
On the Contacts table, the ClientID field properties are set on the Lookup tab as follows:
Display Control: Combo Box
Row Source Type: Table/Query
Row Source: SELECT clients.ClientID, clients.ClientFirstName, clients.ClientLastName
Bound Column: 1
Further, in the Row Source's Query Builder, ClientFirstName and Client LastName both have Ascending selected as Sort criteria.
Everything works as intended: When entering data into the the Contacts table (actually, the data is entered via a form built from the Contacts table) the data entry person can click the drop-down on the combo box for the ClientID field, scroll through ClientID records, and see unique ID numbers sorted by first and last names. And the actual data for the field is stored properly as the unique ClientID number.
When entering ClientID data into the Contacts table (or form), is it possible to enable autofill based on ClientFirstName and ClientLastName, rather than ClientID? For instance, let's say we have a few clients named Joe Smith. It would be great to just start typing "Joe Smith," and have the field autofill the ClientID number for the first client named Joe Smith. The intention is to make data entry a bit quicker.

I Have a table with 15000 entries. This table lists components we use. This table is used to generate queries/forms. I have been asked to add a hyperlink to this table to link to a drawing of the component. All the drawings are in PDF and in the same folder. I am looking for a way to automatically update the hyperlink fields all at once. The Hyperlink will be in the format of servershareddrawings12345.pdfwhere 12345 is the component name from the table.
But there are a few small problems with the component names.
1. If the component begins with a B- . The drawing name will be all the characters except when there is a second dash in the component. So if the component is B-12345-678 the drawing name will only be B-12345.
2. If The component begins with AB, The drawing will be the first 5 characters regardless of what follows, e.g. AB123.
3. Finally for all other components the full component name will be the drawing name.
Putting the naming to one side, how to go about auto generating the hyperlink. I have posted this in the table section, but maybe this should be in another section like queries or VBA.

I have two forms - Main and StudentAdvisor (filtered by student ID#) SAdvisor.jpg
The main form originally had a combo box field to display advisor, the problem is that some students had multiple advisors during the course of their program. This problem was fixed by the creation of a StudentAdvisor (table/form) for recording ALL advisors. I set the form to display by newest term so the current advisor (or initial if no change) is the displayed record.
On the main form I then added "add" to open the StudentAdvisor form for entering information, and an unbound txtfield to display their current advisor (or initial advisor if no change).
The problem is I can not get the txtfield to display the information. I have managed to get the error ( #Name?)
Advisor Type 1=Initial, 2=Current, 3=Previous
Changed 1=Yes, 2=N/A
so a record would record as:
Initial and N/A
Current and Yes
Previous and Yes
I tried writing DLookup but could not get that to look up the combinations (above) and display either initial or current.
also tried pulling form SA = Advisor to form Main = txtAdvisor
For report purposes I need to know not only current advisor but how many were assigned during the program and also how many students each advisor was assigned during certain time frames.
