Blank Or Duplicate Return From Query?
Apr 21, 2006
I have searched for an answer and spent some hours but still not getting it.
I have played about with the query joins and still nothing?
I have never had this problem with my database in 5 years (well not that i have noticed).
Some records are fine others are triplicated and quite a lot are blank?
This is the SQL for the query.
SELECT Employee.EmployeeID, Employee.FirstName, Employee.Surname, Employee.Address, Employee.[Town/City], Employee.Region, Employee.DateofBirth, Employee.Nationality, Employee.MaritalStatus, Employee.PassportNo, Employee.ExpiryDate, Employee.Nextofkin, Employee.Relationship, Employee.NOKAddress, Employee.ContactNo, Certificate.CertName, EmployeeCert.Level, Trade.TradeName
FROM Certificate INNER JOIN (Trade INNER JOIN ((Employee INNER JOIN EmployeeCert ON Employee.EmployeeID = EmployeeCert.EmployeeID) INNER JOIN EmpTrade ON Employee.EmployeeID = EmpTrade.EmployeeID) ON Trade.TradeID = EmpTrade.TradeID) ON Certificate.CertID = EmployeeCert.CertID
WHERE (((Employee.EmployeeID)=[Forms]![Employee]![EmployeeID]) AND ((Certificate.CertName)="IRATA"));
Basically i have to solve this problem.
I have a report that is based on this query and if the employee is not displayed correctly instead of the employees Name and Surname i am getting "#Error" ?
Many thanks in advance

Hi all,
I am having a problem getting my query to work properly. I have read through this query section but it just got me more confused. I know some have used IIF function but it didn't work for me.
here's my code:
SELECT tblEmployee.UserName, tblODF.ODFNumber, tblQueue.Queue, tblStatus.Status, tblODF.ODFScanDate
FROM tblStatus INNER JOIN (tblQueue INNER JOIN (tblEmployee INNER JOIN tblODF ON tblEmployee.EmployeeID = tblODF.EmployeeID) ON tblQueue.QueueID = tblODF.QueueID) ON tblStatus.StatusID = tblODF.StatusID
ORDER BY tblEmployee.UserName, tblStatus.Status, tblODF.ODFScanDate;
I want everything to show even if one of the fields is blank.
Thank you

I have a single table with customer information, one of the fields is a date field "LastContacted".
I'm creating a search form with 2 date fields (txtDate1 & txtDate2) to search a date range of the LastContacted field, and I need to write this into the query that the search form uses.
I have written this using Nz so that it can still return results if the search boxes are left blank:
Between Nz([Forms]![frm_AdvancedSearch]![txtDate1],#01/01/1989#) And Nz([Forms]![frm_AdvancedSearch]![txtDate2],#01/01/2999#)
This seems to work and it returns lines from the table where there is a date entered. However some of the fields in the table have no entry in the LastContacted field. How to code this query so that it also returns lines where the LastContacted field is blank in the table?
I have tried:
like "*" & (Between Nz([Forms]![frm_AdvancedSearch]![txtDate1],#01/01/1989#) And Nz([Forms]![frm_AdvancedSearch]![txtDate2],#01/01/2999#)) & "*"
but this returns errors when I try to run it.
I'm using Access 2010.

I have a table with Zip CODE field. I uploaded my information to this table form an excel file. There were over 120K rows of data so no way i could do this in excel.
So I found that some of the ZIP codes are either blank or have less than 5 digits.
Can I build a a query with the ZIP code field that will return all zip code records with less than 5 characters or blank. I'd like to repair these zip codes and a update query will be my next step.
I repeat excel is not an option because when I try to sort by the Zip Code column my computer explodes (okay not literally) ....

I have a table with duplicate records (which is ok) and I want to return distinct data for each client.
It works fine when there is only two fields returned however, when I add a third field to the query it no longer returns only the Distinct records - I am getting Duplicates returned.
I.E
SELECT DISTINCT tblClient.ClientNo, tblClient.Name
FROM tblClient
Works fine with only the Distinct records for each client returned
However
SELECT DISTINCT tblClient.ClientNo, tblClient.Name, tblClient.Address, tblClient.OrderValue
FROM tblClient
Now returns Duplicates!
Is there a limit to the number of fields to be returned using DISTINCT or what else could be the problem? Should I be doing this some other way?

I'm working on a form with almost a hundred various fields (it's what my employer needs). He wants to be able to create new records with much of the same information as the old ones by clicking on a button that will copy the information to a new record, then clear certain specific fields (or some process that will safely create the same result). I don't need specifics on how to write the same line of code for each and every field I wish to clear.
Say I have a form with 5 fields: part_number, part_owner, procedure, file_name, and date.
How could I copy the record to keep the fields part_owner and procedure the same, but clear part_number, file_name, and date?
All of the fields are from the same table (no, it's not normalized...).

I have a simple UDF that takes a string and returns a variant, which is an array of strings Example Input "Brick Wall" Return value would be a variant array with first element "Brick" and and second element "Wall" Now I have a table with a field of strings, and I want to make a query that returns all the results from the function, one per line.
So if my input table looks like this
[strField]
"kick the ball"
"return the pass"
my query result should looks like this
[Orig] [new]
"kick the ball" "kick"
"kick the ball" "the"
"kick the ball" "ball"
"return the pass" "return"
"return the pass" "the"
"return the pass" "pass"
Last time I had to do something like this I used VBA exclusively, with ADO objects, but I thought a query based solution would be easier.
With my current data the largest return array size my function returns is 27 elements but I wouldn't want to rely on that number being fixed.

OK, I have been searching around on the fourm for over an hour now...I give up. If this is some where else, I am sorry.
I have a database of maintenance data. There are several columns that are usually filled in, some records have some columns blank. They are formated text because they hold letters and numbers (see pic).
I am using a form to query the table...no problem. The form has text boxes the user filter down the data
The problem comes are with the results of the query. Any record that has a blank column is not retuned. I am using "Like" so that the user can enter in partial codes. I know "like" won't return "null" records.... Help!
Things I have tried:
1)IIF(form field is blank, return table field, else use like command to filter) - returns nothing!
2)Like "*" & [Forms]![Fleetwide_data_Request]![MAL_CD] & "*" returns all records without blanks (i.e. missing data)
what else can I do?
Thanks

I have a couple different reference files that get updated each week. Sometimes there are missing data elements, so I'd like to structure a select query to show me those records that have blank elements but I'd like the similar records to be pulled in as well, so I can make a determination as to how to populate the blank records..
See attached example: I have a client ID reference table that gets populated with forecast owner names (individuals responsible for the customer) from a couple of different sources. Sometimes there are names attached and sometimes the field is blank.
How can I structure a query to show me just those Client ID's that have multiple entries with blank AND non-blank forecast owners? I'd also like to exclude single/multiple records where there are only blank records...

I am trying to help someone with a complex problem (so it seems to me) but I will first ask about what should be a simple thing....
First goal: to COUNT the number of times a TYPE of visit is made.
There are several different TYPEs but only interested in tracking 2 of them.
When a crosstab query is created - if one of the 2 parameters are not "met", a blank is returned. I have been reading posts about using NZ and IIf IsNull, etc to get past that - but none of them make any sense to me and the Access help suggestions do not work. Hope someone can make it clear with this information: (can't give more specifics to keep privacy intact)
The SQL was written by Access not by me. :)
Here is an example of the Crosstab SQL (which is using a previous query):
TRANSFORM Count([qryTest2.TYPE]) AS CountOfTYPE
SELECT qryTest2.CID
FROM qryTest2
GROUP BY qryTest2.CID
PIVOT qryTest2.TYPE;
-----------
qryTest2 SQL: (Grouping by to remove dups)
SELECT DISTINCTROW tblM.CID, tblM.[M#], tblM.LNAME, tblM.FNAME, tblM.YMDBIRTH, tblC.ClDOS, tblC.TYPE
FROM tblM LEFT JOIN tblC ON tblM.[M#] = tblC.[M#]
GROUP BY tblM.CID, tblM.[M#], tblM.LNAME, tblM.FNAME, tblM.YMDBIRTH, tblC.ClDOS, tblC.TYPE
HAVING (((tblC.TYPE)="Out" Or (tblC.TYPE)="In"))
ORDER BY tblM.CID, tblM.LNAME, tblM.FNAME;
Thanks for you time! :)

I have a query with three sub queries, all returning a number from different tables. But when any one of the sub queries returns a blank, the entire main query is blank.
How do I stop this from happening? I have tried NZ() on the sub queries and on the main query, but the blank still happens.

Each record in my table has six possible sale dates as a result of cancellations. My problem results when a record is sold twice during the queried time frame (SaleDate1 and SaleDate2). Currently my query uses an if statement and if they are in the same time period, it will only return SaleDate1. I would like to see the record returned twice (once for SaleDate1 and once for SaleDate2). Any suggestions?

For instance if a record has a time of anywhere between 700 or 2299 I would like it to be in the AM catagory, then I would like to total up the number of AM records. Any help would be great. Thanks.
AM=700-1399 PM=1400-2299 NIGHT=2300-699

Hello all,
Is there a SQL function in Access that will allow it to return (as a field value) the name of the table where a particular record was found?
The reason that I want to do this is because I have a single table (Table A) with building address records counted and broken down by state and by month - but some of the records belong to smaller groups (e.g. Zone 1, Zone 2, etc.) that aren't states, but that I want to count in the crosstab as if they were. There are building addresses on Table A that belong to each of these four groups, so I need to somehow match the records on Table A with the appropriate Zone, and place the name of that Zone in the "State" column of the query results instead of the actual state so that I can then count the results in the same crosstab.
I had the intention of resolving this by creating three tables (with the listings of address information for each Zone #), then matching records in Table A to each Zone table in a query by the address field to get each record's appropriate Zone no.(if available), then using the results of this query in my crosstab - but I can't figure out how to get Access to create a calculated field that lists from which table a resulting query record came from, so I can't continue.
Any suggestions, if able, would be appreciated!

I have a query which is a max sum of sales for several sales reps. (If that makes sense?)
Sales Rep, Total Sales
1, 100
2, 200
3, 500
4, 50
5, 150
I need to create a report which delivers the sales rep with the most sales and only that sales rep
e.g.
3,500

We are working on an Access (2007) database that is on a SharePoint Site (2007).
Currently the form is operational, but there is one last thing that would be nice to have.
The table is "Updated Headcount" which contains "EMP_ID" which are unique numbers stored as text.
In the event a new employee is entered in the system by another user on this site we would like to prevent any duplicate "EMPID"s from being entered and saved on the SharePoint, we would also like to alert the user and prevent the data from being saved.
All data is currently bound, so once the user makes a change it is made, no submit button is required.
We are running into some difficulties in doing a dlookup from the value entered and comparing to a column in the table.
TABLE - UPDATED HEADCOUNT
COLUMN in UPDATED HEADCOUNT - EMPID
FORM CELL user will input an EMPID - newEMPID
FORM CELL used for a dlookup to compare what user has entered to what is already in the table - duplicateEMPID
So below is what we are trying to do, we are sure there are a few commands missing....
=IIF(newEMPID=dlookup([UPDATED HEADCOUNT]![EMPID]), newEMPID, "Error, EMPID already exists")

I enter values into a table with 2 decimal places.
I have a query that applies percents to the values - I have set the results to have 2 decimal places.
I have another query that summarises data from the previous query, however the results I get are not right, the decimals differ from the actual result, if I make a sum of the values by hand.
It seems as if the query I have made to apply percents only DISPLAYS data with 2 decimals instead of actually rounding it, so that the other query summarises data with more than 2 decimals, and thats where the difference int the end result comes from. I don't know how to fix this however.
Can someone please help.
Thanks!

Hi all,
May I know some to construct any functions or query string that can track the no. of records that mean certain criteria in the run time.
Basically I want to track the records in a subform (in datasheet view). Should the no. of records is 0, then I can disallow user from saving it onto the table for better record keeping.
Thanks !!

I created a database that contains 2 tables. I then created a query that simply groups the data and calculates a row total. And it works as expected. However, when I try to create a report, using the query, I get, "The wizard was unable to generate fields from the record source you chose. Perhaps you chose a query that doesn't return any fields."
What am I doing wrong?
Screencaps attached.
Thanks.
