Continuously Collect Data From Received Emails And Store In A Database?

May 7, 2013

My department handles all two-way email communication with our customers. We have 8 different email addresses that we use depending on the customer service issue. I'm looking for a way to continuously collect 3 pieces of data from every email that is received: 1) Date Received, 2) Time Received, and 3) To Field (which of the 8 email addresses it was sent to).

As you can imagine the collection of this data to look for trends to assist with staffing needs, as well as analyze build reports for the company to review. I've been working with my IT department on this but they are not sure where to start. My guess is that I need to have them collect the data as it is coming into the email server, right? I'm good with VB and I've built some VBA scripts recently that collect Outlook information, but these only work if the computer I'm using stays on all the time which is not always practical. We'd like to have this database stored on one of our shared drives which collects this data indefinitely from our email server.

General :: Import Error Using Collect Data Emails

Sep 10, 2014

I created a form for adding new data to an existing database and it worked just fine.

Today the form has decided to add time to the date field and this clashes with the table it import to.

Why/how it's changed the date format and how to change it back?

Modules & VBA :: Update Subject Of Emails In Outlook That Have Already Been Received

Jul 22, 2014

I'm trying to automate some processes. My company uses Outlook 2010 and every day we need to go into our "Sent" folder and rename the Subject line of all of our sent emails. We change the subject to a standardized format depending on the content of the email and who the email was sent to. These are then used as part of an equation to tally our Transactions Per Hour. (TPH)

I've already designed a small Access 2010 utility to track the TPH, but I would like to add the functionality to parse some data from the subject lines of my "Sent" folder, and automatically make changes to save some time.

Here is my thought process:

- Click "Process Sent Emails" button from TPH utility.
- Access runs through each email in the "Sent" folder (or perhaps only selected emails) and changes the Subject line per simple Select Case criteria (I can figure that part out).

Newspapers Received Database

Oct 12, 2005

I'm a novice Access 2003 user who doesn't know any VBA. I've been trying to devise a database for a college library to record which newspapers are delivered each day. I have 2 tables at the moment: Newspapers and Deliveries.
Newspapers consists of Name (primary key), Price, and a Yes/No field for each day of the week. Deliveries consists of Name and Date.
My problem is in constructing a form to deal with selecting which papers have been delivered each day. The Yes/No field for each newspaper should be used to choose which ones to show on the form (i.e. some newspapers are delivered weekly on certain days and I don't want these showing on the other days).

Any help appreciated.

Import Received Data

Aug 16, 2007

I need some advice on what is the best way to import data. I have a access 2003 database that tracks converter boxes that my company sends out for repair. Currently they have a excel file that is imported into the tables which establishes the converters that are out being fixed. When they come back from service they enter the date manually from the packing slip by searching for the converter in the forms search. We now are able to get the received converters on a excel spreadsheet. Is there a way to import the date from the excel file to the access table. Any advice would be great.

Tables :: Collect Data Via Email

Feb 13, 2015

I have a database which is populated, but users have to review and amend the data. I was going to ask users to sign in to do this, however my boss wants the data collected via email.

I have looked at using the email wizard, but it produces a rather messy looking email form regardless of if I choose HTML or InfoPath. Is there any way to adapt the email to make it better, or maybe another way of emailing users (through VBA)?

Collect Data Via Email Form

Jun 1, 2011

I am using and modifying (very little) the template "Issues and Tasks" to have my team of 35 people submit any feedback that they may have on a particular campaign.

No one has Access except for me....I would like to use the "Data Collect | Create Email" Feature so that whenever they have any issues they can just fill that out (Save the email in a special folder to be used multiple times). The problem I am encountering is that the "Create Email" button is greyed out and I am not sure why....also, I would like to know if this is the most efficient way of doing this.

How To Collect Data From Outlook In Access 2013

Feb 21, 2013

In Access 2007 and 2010 there was a "Collect Data" group under "External Data" where I could click "Create E-mail" that would build an email form for an outbound email in Outlook based on a table. I would then send the email out, then collect the data back into the table from Outlook when the recipient of the email responded with a filled out form. I don't see how to do that with Access 2013. I do see the "Email" button, but that's for something else. I see no 'Collect Data' in Access 2013 like the picture below shows from Access 2007.

Modules & VBA :: Looping Through Records To Collect Data And Write To New Table

Jun 27, 2013

I am the first to admit I struggle with looping through records.

I am trying to loop through a table and collect external income data and write it to a new table.

My issue may be the way the table is laid out. ???

The attached pictures show the tables. The tblExtInc is where the data are. I am trying to create a table that looks like tblExtIncYr that shows each year and separate entries by item.

How would I loop through tblExtInc and grab ex:$2000 every year for upto 100 years but only get the $1000 for year 6,7,8 only?

General :: Storing Emails In Database

Mar 7, 2013

I have a need to store client emails in a database. In an ideal world the user would drag and drop the email over the attachment field and it would be attached. I've not been able to find any drag and drop features in Access 2013 so i am guessing this may not be possible?

It is possible to simply attach the email using the attachment field but i find this method slow as the user has to save the email to the drive and then attach it to the attachment field using the dialogue box.

Store ODBC Connection With Database

Mar 9, 2007

Really don't know the answer to this question and I thought I'd come to the experts. I have created an Access database that I use to push & pull data from an SQL database through linked tables. I created an ODBC connection on my PC and set it so the links keep the username and password for the ODBC connection. All that works great...Now my question - Is it possible to somehow "store" the ODBC connection within the Access database so that I don't have to go to every PC that is going to be running this database and create an ODBC connection? The Access database and the SQL database both exist on our network and all those that will be using it have access to both. If someone has the answer I would really appreciate it.

Thanks

General :: Simple Store Keeping Inventory Database

Sep 9, 2013

I am trying to create a simple store keeping In and Out inventory database using Access, I thought I had made it but looks like I am missing something here.

The store works on SRV (Store Receiving Voucher) and SIV (Store Issue Voucher). Products will be added based on SRV and will be issued out based on SIV. So far I have created the tables as you can see in the figure. One thing I am not understanding is where to keep the record of the Current Quantity of each product, lets say an Item has been added or issue out, it should be added or deducted accordingly from that specific products overall quantity. Right now I have a sample field within products table as you can see with the name QtyOnHand but that doesn't seem to be logical.

Modules & VBA :: Auto Create Emails In Outlook Based On Data In Access?

Apr 20, 2015

I have a table called Contacts in Access:

ID Email
001 email1
002 email2
003 email3
004 email4
008 email5
010 email6

And I have a table called Data in Access:

ID Date Person Title Yes/No Action
001 20/4 Mr A Consultant
001 20/4 Mr B Supervisor
001 20/4 Mr C Consultant
004 20/4 Mr D Consultant
010 20/4 Mr E Consultant
010 20/4 Mr F Supervisor

What I'm looking for is coding that would start with the first ID number in CONTACTS and see if there is the corresponding ID in DATA. If there is, then I want it to create an Outlook email and have:

1.To field populated with the email address in the CONTACTS table

2.From and CC fields to be my email address

3.The subject line needs to read [ID] "Request" and then today's date backward (e.g. 20150420).

4.The body I need to put some generic wording and then a table with the records from the DATA table (first 5 fields plus the headings).

5. The format of the table etc isn't important as long as it is a table format

If it's created the email I want it to go back to the DATA table and put "Email Created" in the Action column for those IDs.

I don't want the email to automatically send; I only want it to create a draft (as this data needs to be manually confirmed before sending).

If for example it gets to checking in DATA table for ID 002 (and as seen there's none there), I want it to skip creating the email and move on to the next ID.

In the end I would expect to see 3 draft emails open in Outlook ready to be sent, looking something like the below (just 001 below)?

From... my email
To... Email1
CC... my email
Subject: 001 Request 20150420

action the below:

ID Date Person Title Yes/No
001 20/4 Mr A Consultant
001 20/4 Mr B Supervisor
001 20/4 Mr C Consultant

And the DATA table look like this (if only 001 email was created):

ID Date Person Title Yes/No Action
001 20/4 Mr A Consultant Email created
001 20/4 Mr B Supervisor Email created
001 20/4 Mr C Consultant Email created
004 20/4 Mr D Consultant
010 20/4 Mr E Consultant
010 20/4 Mr F Supervisor

I will need to add more data to the CONTACTS table over time, also the DATA table will be different each day so I need the coding to accomodate for both of these possibilities.

Best Ways To Store Data

Apr 12, 2006

Hi
I am creating a contact management database.

I have set it up and now need to create an invoice section. An invoice needs to be issued every month and is worked out on a percentage of works complete. For example in one job there may be 10 items of work and for 8 of these iems 25% of the work is complete and the other 2 no work has started.
Therefore my invoice needs to be able to calculate 25% of the value of the 8 items and work out a total price to be invoiced. Each time an invoice is created I need to be able to store the invoice value and the percent value of each item complete.
Does any one have any ideas as to a good way of doing this. That is if you can undersatnd what I am asking for. Thanks for any help.

Where To Store Misc. Data?

Jun 30, 2005

I have a handful of misc. data that is unique an really doesn't fit anywhere... I need it to be easily updateable, as it will and needs to change from time to time, What should I do with it?

Some of the data is a "Common Footer" that prints on ALL reports and DOES change periodically. I decided to create a common footer table with a single value and can access it from all of my reports... it works great!

However, I now have a bunch of other misc. data that I need to store, like the "Working Year" (I am going to use the field to dictate which year of info to pull the data from) "Common Header", etc. Additionally, I am considering storing formatting data such as font size (still considering this).

So with all this explained, to sum it all up, what is the best method for handling all of this misc. data? I didn't think creating a separate table for each piece was the best idea.

Thanks for your suggestions!
