Creating A Form And Linking To The Table

Jul 11, 2007

Hi Team,

I want to create a form which will act as an outage tracker. I will be having 2 kinds of tables.

1. Type of leave
2. Headcount with employee schedules
3. Goals for outage

Please find the scenarios

1. In the front end as soon as the Team Manager selects his or her name the next combo box should show the names of his agents.

2. Once the user selects the date of leave, if the leave is being marked 48hrs in prior and the total outage is less than the goal then it should show the planned leaves options as per the leaves saved in the "Type of leaves" table or else a message box should pop-up stating the reason for not showing planned leaves options.

3. Also the form should show the %outage marked on the tool for the week.

Need your help as I am pretty new with access.

Regards,
Malay

Linking To Similar Records From Same Table When Creating New Record - Call Log

Apr 21, 2014

I have been looking around for a while now to learn how to show in a subform similar records from the same table, and a way to link them together.

I work for a mental health organization and we have a call log database that we create a new record every time a person calls us - this allows us to track the outcome of these calls. Over the last 3 years we have about 10% repeat callers. I am trying to find a way, when creating a new entry, to see if this person has called before, and if they have, link their past contact (record) to the new contact (new record).

For example.

Caller: John Smith (555) 555-5555 (this is the new record)

in the subform, a list would populate all the 'john smith' records with an option to link or attach them to the new record.

Linking Form To Table

Sep 15, 2005

I am creating a Risk Management Database at work. I have created a tab with options to choose, as to log the risk relevant.

i.e. I have a catagory, subcatagory and then Risk boxes

When saving the record it will save the risk but it will not save the catagory, and the subcatagory options choosen? I have a seperate table for this information to appear, Does anyone know how I can make this happen without stopping it from shortening the catagories down.

I hope this make sense. I am sorry I am a little rusty in Access 2003.

Thanks,

Linking Forms (and Automatically Creating New Record)

Apr 26, 2006

Please forgive me if I don't explain everything properly, I am relatively new to Access.

I have two tables with the following information:

VOLUNTEER
PK: volunteer_ID (autonumber)
name, address, school, etc

SCHOLARSHIP
PK: scholarship_ID (autonumber)
description (text)
amount (currency)
FK: volunteer_ID (number)

One scholarship can be awarded to only one volunteer.
I have a form to enter all the volunteer information. At the bottom of the form, I would like to place a button to open a new form to award a scholarship to this volunteer. I believe I need to link the forms in the following manner:

VOLUNTEER.volunteer_ID = SCHOLARSHIP.volunteer_ID

The problem is this: The forms are not linked properly because in order to assign a volunteer to a scholarship, the scholarship must already exist. So when I click the button to open the scholarship form, the scholarship form is empty and the volunteer_ID defaults to "0".

I think this could be fixed by somehow making my button create a new scholarship_ID in the scholarship form and THEN linking the volunteer_ID fields.

Does this seem like a solution? If so, how would I implement it? I have a screenshot to help. Thank you in advance for your help.

Linking Form Fields To Table Data

Jun 14, 2005

Hi Guys,
Haven't done anything with Access since I finished uni and I can't remember much. I'm trying to set up a simple database with customer recording and order taking functionality. Just in the very early stages trying to get basic things working.

I have a form where you enter customer details..at the bottom there is a command button named "Place Order", which will be clicked to go to the order form for that customer. Attachement shows very simplified version of the order form. I need to enter a Product ID, and have the Product Name automatically extracted from the Products table.

How can I do this? I would have done a search...but not even sure what this process is called in Access.
Thanks for any help.

Forms :: Linking Existing Form To New Table

May 1, 2015

Each month I receive a new excel spreadsheet (alpha Roster), Last month I created a form so that I can track certain things off of the Table (spreadsheet), I just received the new Spreadsheet for this month and was wondering if I can use the existing form and how hard it is to link it to the new spreadsheet? Is that even possible? I don't want to have to re create the form every month, I would like to just bring the new alpha roster in and be ready to work.

Forms :: Creating Form To Update Table

Apr 23, 2015

I've got two tables - one that works like a cypher and one with all my records.

I have 2 queries. One that is a simple query that extracts data that is not so user-friendly and puts it into a user-friendly format. The Other query is for any records that the first query excludes because the new combination of data (lets just call it a code) is not in the cypher table, but needs to be added.

How do a create a form that will show the records in the 'excluded records' query and allow me to select from a drop-down list a specific set of categories to update the cypher table ?

Example :

Record Table: Cypher Table:

Ford Focus = Sedan
Ford F-150 = Truck
Ford Freestyle = Wagon
Ford Escape = SUV

Now a new model comes in, a Ford Edge which is an SUV but is not in my cypher table.

I have the query to pull in the excluded Ford Edge, but I want a form to show "Ford Edge" in the first column and be able to select from a drop-down list "SUV", and either automatically update my cypher table or require me to press a button to update the table (whichever is easier).

Creating A Resource Allocation Table / Form

May 29, 2014

I'm working on creating a resource allocation table for my small company. Basically, we want to be able to designate a certain number of "man-months" per functional group per month per project. Additionally, this database will hold the billing milestones that are associated with the project and we will track some health indicators to each of them.

For instance, we may have a project that is going to be running from May 15th 2014 to June 5th 2015. Based on an access project template I found, I have created some pretty good quality forms/tables that are working well for project inputs and milestone tracking.

Project Table
Lists the Project Name, Project Manager, Priority, Status, Start Date, End Date, and some baseline budget info.

Resource Groups
Lists the functional groups (Electrical Engineer (EE), Mechanical Engineer (ME), etc.) There are 9

Milestone Table
Project, Title, Priority, Status, Client Billing Amount, Schedule Risk, Technical Risk, Owner, Start Date, Due Date, and some budget lines and descriptions

Alright, So I can't for the life of me figure out how to structure the monthly allocations in a usable table/form. This is what I would like it to look like, similar to the excel document we used to track it in.

How can I create a table that will store all of the data (Project, Resource Group, Month/Year, and Man-months) with inputs from a form that will automatically show the relevant months (between project Start Date and End Date)...

Creating A Form To Append A Table With Values From Other Tables

Oct 12, 2006

Hi,

I have built an Access DB containing 3 tables: dimensions, time, companies. The tables are not linked and are to be used to look up values for the new form. The goal is to create an Access form that would allow the user to select distinct values from all 3 tables, enter some own data and then execute an append query to add the record to the main table.

Something like this:

Initially I have 3 tables:

Prepopulated Dimensions table with fields:
dimension
....

Prepopulated Time table with fields:
Date
Day
Month
Year

Prepopulated Companies table with fields:
Company
....

My form is to be able to select distinct values (combobox) from all three fields:
Company
Dimension
Day
Month
Year
Value (data entered by user)

The record then is appended to the Main table containing:
Company
Dimension
Day
Month
Year
Value (data entered by user)

Thanks a lot for your time and help!

Queries :: Form Filtering And Creating Query - Move Top X To New Table

Jan 24, 2015

Tried to find things but being a mix of a couple of different actions havn't been able to actually find it

So basically I found a awesome form somewhere that builds the SQL query based on all the users selections.

When you hit the create button it will save the query and update the sub data sheet below with your query results.

From here the part I'm lost on is getting the TOP x number of records and moving them to a new table, I wanted it to work on the 2 drop down boxes that are on the form. select your values and hit the button.

I'd imagine it would be a sub query that I'd use for the top x like I have in the past but I just can't seem to get it to work

Quick steps

1. create your query
2. check your data in the sub datasheet
3. decide the number of records to move to the new table
4. select the name
5. hit the button

This would copy the ban, xcv & dfs fields from the importeddata table to the moverecordshere table & also update persname in the moverecordshere table with the name selected in the form.

Sample db attached ....

General :: Creating A Form For Data Entry Into Main Table

Oct 21, 2014

I am creating a form for data entry into my main table. It shows all the fields including a name, date, id number etc.

I am trying to put a subform on the form containing a query. The query has two filter parameters fed from two unbound boxes on the main form (date and name). Their purpose is to filter records on the query to just show those for one person on one day. It also calculates a duration based on a start and end time. The query results are ok.

I can't get the query to display properly in the subform.

Subform Properties/data/source object is set to the query name. I'm told i have to link the master fields and child fields but when I try I get the error 'can't build a link between unbound forms'. I thought all that was necessary to bind forms was for there to be a common field between the form and query? Both contain fields from the main table including date, name, start time and end time etc.

Selecting From Table In Form Creating New Entries As Opposed To Using Existing

Sep 18, 2012

I have setup a simple access database consisting of 3 tables

Volunteer
Id (PK)
Name

Job
Id (PK)
JobName

Link
Id (PK)
VolunteerId (FK)
JobId (FK)

There is a one to many relationship between Volunteer and Link and a many to one between Link and Job

I want to create a form from which I'll select a Volunteer Name and then choose a JobName from a list box of options and have it create an entry in link with the id of the volunteer selected and the id of the job selected

So let's say there are 5 entries currently in the Job Table.. let's call the JobNames A,B,C,D and E.

In my form I select my name from the list (sourced from volunteer.Name) and then select B from the dropdown. My desired result would be a single entry gets created in Link with VolunteerId = 1 (representing me) and JobId = 2 representing the selection of B. Problem that I am having is that after I select B in the dropdown it creates a new record for B in Job and the Link table gets updated with that JobId as opposed to simply using the one that was already in the table.

Modules & VBA :: Creating A Search Form With Ability To Add Found Record To Table?

creating a VBA that will allow me to search for a record in Table A, and once the record is found, allow me the option to add that record to Table B. Is this possible to do if Table A and Table B are not formatted the same (i.e. one has more fields than the other)? In summary, creating a VBA that will allow me to search in one table and once the correct record is found, allow me the ability to add it to another table.

Creating A Search Button That Will Retrieve Data From Table And Populate Form

Jan 24, 2015

I've been able to navigate a lot on my own, but there is one issue I cannot seem to resolve. I have 1 form and 1 table. I have the form set up so that you can enter data, and then press a button, and it will "save" and refresh the form for a new entry. However, I want to be able to pull that entry back up in the form, and fill out additional fields later on.The form is set to data entry = yes because I do want the form to open up as brand new each time.

To sum up my question. I want a text box and search button at the top of my form. When you type an ID number in the text box, and then press search, I want access to populate my form with the information in my data table associated with that ID number.

If I type in the number 1234 and hit search. I want my form to autopopulate with the data in the row for ID number 1234 (all the fields I have already populated). So by searching 1234, the name, phone, background info, etc that is populated in the row will appear.

Creating New Table From Form Data Fields/clreaing Datat Fields.

Apr 13, 2008

I created a form in Access that retrieves data from a table. Inside the form, I am able to access/populate data fields with data from the table. I also have data fields, inside the form, that requires key-in data. I have some how lost the ability send all data field information to a second table and clear existing data fields for new entry.

Questions: What settings, code or buttons can I use to send/store data field information to a new table? What settings, code or buttons can I use to automatically clear all data fields from my form once data has been sent to the new table?

Table Linking

May 19, 2005

Ok...I have an issue that I don't know how to resolve.
I have a table called 'orders' in the orders table there is a place for " quantity', 'colours' and per unit. The cost per unit is based on quantity and colours.
For example: 12-35 shirts 1 colour are $2.85 per unit. 12-35 2 colour are $3.50 and so on.
I would like to be able to put in the quantity and # of colours and the Unit price fills in a field.
I don't know how I can accomplish this.

Linking Just One Table

Sep 4, 2006

I have created an Access database application that is stand alone for each account manager/client at our business except for one table that I want shared as a source of data across all separate databases that are created.

I've investigated automatic Database Splitting and this works, except I only want the one table to be split and the others remain unique to each database.

I tried exporting the table in question to another Access database and then linking the table into each other database, this seems to work except that referential integrity can't be set up as it was. Is there any way to keep the integrity between the external database and the databases it links to?

Thanks in advance for any advice.

Linking A Table

Jan 20, 2005

Hoi,

I'm using 2 databases. The first is my working database (LiTiMA.mdb) the second database (LiTiPA.mdb) is just for the password table.
There is no link between the 2 databases. But when I open a form for editing the password in LiTiMA, a connection need to be created between the 2 databases.
If the form is closed the connection need to be removed.

Does someone know how to do this?

Table Linking Query

Apr 1, 2008

Hi there,

The aim of this (as part of a bigger solution) is to create an entry system where users can enter jobs in, assign a resource to the job and give the resource a cost. The conditions are that resources can be on more than 1 job, more than 1 resource can be on a job.

Obviously entering in resources manually is not a good solutioon (eg having 20 resource fields) as it is now. I want to create a relation between tables to achieve something better.

Let's say I had (for illustration sake) 2 tables, one which is a list of people and one which is a list of jobs. I want to be able to assign a person to a job for x amount of time (defined by a start date and end date in the job table) at cost y.

So we could have a field for the people table which would relate to the job id and a field for rate in the job db. However, people can be on more than 1 job (eg after doing one they do another) and there can be multiple people on a job (having one field for rate rendering it useless)

How can this be done in the most efficient way so that any job could be looked at historically and have the relevant rates etc? Would I have to create another table with rates relating to the job ID and person ID? This would allow for multiple resources per job and to have a rate assigned for each resource.

eg if person ID = 1 and job id = 1 then fetch rate etc and display in a list, and to calculate total cost simply sum all rates where job id = 1?

Thanks

I also run from the tables linked to the subforms just fine. however, when I try to run a query for a report that takes data from the main form and joins with data from the tables linked to the subforms all the data cells are blank. I have a linking table which is also blank. All the forms are linked by the same program ID number. Any ideas on how to resolve this? Thanks
