Creating A Resource Allocation Table / Form

I'm working on creating a resource allocation table for my small company. Basically, we want to be able to designate a certain number of "man-months" per functional group per month per project. Additionally, this database will hold the billing milestones that are associated with the project and we will track some health indicators to each of them.

For instance, we may have a project that is going to be running from May 15th 2014 to June 5th 2015. Based on an access project template I found, I have created some pretty good quality forms/tables that are working well for project inputs and milestone tracking.

Project Table
Lists the Project Name, Project Manager, Priority, Status, Start Date, End Date, and some baseline budget info.

Resource Groups
Lists the functional groups (Electrical Engineer (EE), Mechanical Engineer (ME), etc.) There are 9

Milestone Table
Project, Title, Priority, Status, Client Billing Amount, Schedule Risk, Technical Risk, Owner, Start Date, Due Date, and some budget lines and descriptions

Alright, So I can't for the life of me figure out how to structure the monthly allocations in a usable table/form. This is what I would like it to look like, similar to the excel document we used to track it in.

How can I create a table that will store all of the data (Project, Resource Group, Month/Year, and Man-months) with inputs from a form that will automatically show the relevant months (between project Start Date and End Date)...

General :: How To Get Single Table Entry View For % Allocation Of Items

How could I create a single table (matrix) type input view to allocate bank transactions to categories, noting one transaction can be allocated multiple categories with an associated percentage? What approach should I use in Access to get this? So say I have the following tables:

* Transactions
* Business Category
* Transaction-Business-Allocation (which includes)
- Transaction ID
- Business Category ID
- Percent Allocation

But in terms of the means of reviewing bank account items and allocating I really want a view like this (see attached image)The specific business category could be either selected specifically, or all included.

Forms :: Access Form For Hardware Allocation - Duplicate Entry Restriction

I have a Form created for Hardware Allocation.

I have following Fields. Allocation ID(PK), HW ID, User ID, HW Status, Assigned Date.

Values of HW Status = Active, Inactive, Decom, In Stock etc.

What I want is explaind below example

HW XXX is allocated to User ABC and the Status is Active.

Now When I want to reallocate the same HW XXX to Another User XYZ then Make the current status as Active. But before doing that the form should force me to change the Status of previous allocated to user ABC to anything other than active. Because One Device can be active to only one user at a time.

i,e Combination of HW ID & HW Status(Active Only) should not be duplicated.

Resource Use Database

I need to create a database that tracks the usage of a resource on a monthly basis. I have the tables built that will track the contracts, clients, etc. In the contracts table I have a start date and an end date that are tied back to an inventory item.

My question is how can I shows these on a datasheet like this, so that is shows the inventory items and who has what that month.

Item Jan Feb Mar ....
INV#1 Joe Joe Barb

I set up the tables for the data I need to store, maybe the start/end date won't work.

PC Inventory And Allocation Database

Im creating a db to keep records of computers that have been assigned to persons in their various departments and also unassigned computers and spare parts.


problem:


For the machine specifications table should i put in the following fields as columns

Hard Drive 1
Hard Drive 2
Hard Drive 3
Optical Drive 1
Drive 2
Drive 3

or should i just create a field called Component and another field called type/size e.g. component would be hard drive or opticqal drive and Type/Size would be 60GB or DVD+RW

or should i just create individual tables to store the Hard drive info separate from the optical disk and separate from the memory.


The database is going to get really big which is why i wana structure it properly you r help would be really appreciated.

Forms :: Timer Event Causing System Resource Exceeded

I have Access 2010 and have made a small system that creates a table as a result of an query based on linked tables. The result is approximately 40 records that are grouped in 4 different priorities where each record has a status of green, yellow or red.

By using the timer event I want to loop through 6 different forms starting with the overall view and herafter priority 1 form, priority 2 form and so on. When the last form has been displayed start over again. Loop for ever until stop button has been pushed on the first form.

The timer is set to 15000 on each form, when I open a form the first thing that happens is that I close the previous open form.

After the system has looped 4 times it gets "SYSTEM RESOURCE EXCEEDED".

I have used 3 days on the internet to try to get a solution on my problem with no luck. I have got so far that it must be something with the timer function. Since if I run it manually (open form, close previously, open next form etc) then no issues.

I have the latest service pack for access 2010.

Query To Return Computers Without Allocation

I have 2 tables tblComputers & tblComputerAllocations
tblcomputers has 85 records & tblComputerAllocations has 71.

I would like a query that returns the 14 computers that have no allocations.

I tried a union query on field ComputerID but i must misunderstand its use!!

Dynamic Allocation Of A Date Range

Is there a way to dynamically allocate a certain range of days if I know a start day?
I have a form where I have a date called startofproject and I want to allocate all work week days from that start date + 90 days.
I’m assuming it should be some sort of make table query that will delete all data in it and create a whole new range of dates when I run the query again.
Is there a way to do that?

Creating A Form And Linking To The Table

Hi Team,

I want to create a form which will act as an outage tracker. I will be having 2 kinds of tables.

1. Type of leave
2. Headcount with employee schedules
3. Goals for outage

Please find the scenarios

1. In the front end as soon as the Team Manager selects his or her name the next combo box should show the names of his agents.

2. Once the user selects the date of leave, if the leave is being marked 48hrs in prior and the total outage is less than the goal then it should show the planned leaves options as per the leaves saved in the "Type of leaves" table or else a message box should pop-up stating the reason for not showing planned leaves options.

3. Also the form should show the %outage marked on the tool for the week.

Need your help as I am pretty new with access.

Forms :: Creating Form To Update Table

I've got two tables - one that works like a cypher and one with all my records.

I have 2 queries. One that is a simple query that extracts data that is not so user-friendly and puts it into a user-friendly format. The Other query is for any records that the first query excludes because the new combination of data (lets just call it a code) is not in the cypher table, but needs to be added.

How do a create a form that will show the records in the 'excluded records' query and allow me to select from a drop-down list a specific set of categories to update the cypher table ?

Example :

Record Table: Cypher Table:

Ford Focus = Sedan
Ford F-150 = Truck
Ford Freestyle = Wagon
Ford Escape = SUV

Now a new model comes in, a Ford Edge which is an SUV but is not in my cypher table.

I have the query to pull in the excluded Ford Edge, but I want a form to show "Ford Edge" in the first column and be able to select from a drop-down list "SUV", and either automatically update my cypher table or require me to press a button to update the table (whichever is easier).

Big Problem! Newbie Need Help ASAP Stock Control And Allocation System

:confused: Guys I need some help!

I am new to this database stuff and my work want me to produce a database which will not only keep stock on printers, scanners, monitors and base units we have in stock but want an allocation system as well.

Basically, a member of staff from a department will make a request for some items. These could be a monitor, 2 base units and a scanner for their location. I need a system which tells the user that the items or qty they want is in stock or not. I know I need to use an unbound box for this but dont know how.

Then I need a form which a IT techie can allocate a job too themseleves and take the item to them once this has been done they sign off the job.

I have a rough idea on what I want in each table but I am really losing time and i need some help or if anyone can do a quick one for me with forms etc I will be ever so grateful!

The tables look as follows:

Dept - DeptID, Name of Dept
Staff - StaffID, Name, Postion at college
Request - RequestID, Date, StaffID
Stock - StockID, Item (monitor), make (CTX), Model (17" TFT), QTY, Status (dead, working, faulty)
Request deatils - ? - Basically this is where the staff member will make their request for what they want.
Allocation - This part needs to be given to a member of staff and they needs allocating out
Techie - TechieID, Name, Postion
Location - LocationID, Location (where the item is going to)

Creating A Form To Append A Table With Values From Other Tables

Hi,

I have built an Access DB containing 3 tables: dimensions, time, companies. The tables are not linked and are to be used to look up values for the new form. The goal is to create an Access form that would allow the user to select distinct values from all 3 tables, enter some own data and then execute an append query to add the record to the main table.

Something like this:

Initially I have 3 tables:

Prepopulated Dimensions table with fields:
dimension
....

Prepopulated Time table with fields:
Date
Day
Month
Year

Prepopulated Companies table with fields:
Company
....


My form is to be able to select distinct values (combobox) from all three fields:
Company
Dimension
Day
Month
Year
Value (data entered by user)

The record then is appended to the Main table containing:
Company
Dimension
Day
Month
Year
Value (data entered by user)

Queries :: Form Filtering And Creating Query - Move Top X To New Table

Tried to find things but being a mix of a couple of different actions havn't been able to actually find it

So basically I found a awesome form somewhere that builds the SQL query based on all the users selections.

When you hit the create button it will save the query and update the sub data sheet below with your query results.

From here the part I'm lost on is getting the TOP x number of records and moving them to a new table, I wanted it to work on the 2 drop down boxes that are on the form. select your values and hit the button.

I'd imagine it would be a sub query that I'd use for the top x like I have in the past but I just can't seem to get it to work

Quick steps

1. create your query
2. check your data in the sub datasheet
3. decide the number of records to move to the new table
4. select the name
5. hit the button

This would copy the ban, xcv & dfs fields from the importeddata table to the moverecordshere table & also update persname in the moverecordshere table with the name selected in the form.

General :: Creating A Form For Data Entry Into Main Table

I am creating a form for data entry into my main table. It shows all the fields including a name, date, id number etc.

I am trying to put a subform on the form containing a query. The query has two filter parameters fed from two unbound boxes on the main form (date and name). Their purpose is to filter records on the query to just show those for one person on one day. It also calculates a duration based on a start and end time. The query results are ok.

I can't get the query to display properly in the subform.

Subform Properties/data/source object is set to the query name. I'm told i have to link the master fields and child fields but when I try I get the error 'can't build a link between unbound forms'. I thought all that was necessary to bind forms was for there to be a common field between the form and query? Both contain fields from the main table including date, name, start time and end time etc.

Selecting From Table In Form Creating New Entries As Opposed To Using Existing

I have setup a simple access database consisting of 3 tables

Volunteer
Id (PK)
Name

Job
Id (PK)
JobName

Link
Id (PK)
VolunteerId (FK)
JobId (FK)

There is a one to many relationship between Volunteer and Link and a many to one between Link and Job

I want to create a form from which I'll select a Volunteer Name and then choose a JobName from a list box of options and have it create an entry in link with the id of the volunteer selected and the id of the job selected

So let's say there are 5 entries currently in the Job Table.. let's call the JobNames A,B,C,D and E.

In my form I select my name from the list (sourced from volunteer.Name) and then select B from the dropdown. My desired result would be a single entry gets created in Link with VolunteerId = 1 (representing me) and JobId = 2 representing the selection of B. Problem that I am having is that after I select B in the dropdown it creates a new record for B in Job and the Link table gets updated with that JobId as opposed to simply using the one that was already in the table.

Creating A Search Button That Will Retrieve Data From Table And Populate Form

I've been able to navigate a lot on my own, but there is one issue I cannot seem to resolve. I have 1 form and 1 table. I have the form set up so that you can enter data, and then press a button, and it will "save" and refresh the form for a new entry. However, I want to be able to pull that entry back up in the form, and fill out additional fields later on.The form is set to data entry = yes because I do want the form to open up as brand new each time.

To sum up my question. I want a text box and search button at the top of my form. When you type an ID number in the text box, and then press search, I want access to populate my form with the information in my data table associated with that ID number.

If I type in the number 1234 and hit search. I want my form to autopopulate with the data in the row for ID number 1234 (all the fields I have already populated). So by searching 1234, the name, phone, background info, etc that is populated in the row will appear.

I created a form in Access that retrieves data from a table. Inside the form, I am able to access/populate data fields with data from the table. I also have data fields, inside the form, that requires key-in data. I have some how lost the ability send all data field information to a second table and clear existing data fields for new entry.

Questions: What settings, code or buttons can I use to send/store data field information to a new table? What settings, code or buttons can I use to automatically clear all data fields from my form once data has been sent to the new table?

"Query Is Too Complex" And "System Resource Exceeded"

These are the two results I get when I try to run or go into design view for the last few queries in a series of queries I've created for an estimating tool for my company. The reason I'm getting it now, is that I had to significantly alter the queries prior to these in the series. I need to alter these as well, but I'm thrown into SQL view, and with the amount of info, I'd be lost without the normal design view. Furthermore, it won't run anyway. I can't reduce the size and maintain a decent representation. Is there anything I can do with Access 2003, or will I have to resort to not doing this at all?

Creating A Table To Cross Index Items In Another Table

How do I create a table that can cross index items in another table. Maybe I am not using the right terms here so let me show a small example.

Say I have a tables of words.
tblWords
numWordID
txtWord

Then I have some entries, all more or less synonyms of each others
fresh
new
clean

Now I want to create a cross-index table, related to the table "tblWords" where I can select synonyms from words already in the table "tblWords", so if I for the word "fresh" add "new" and "clean" as synonyms or entries, if I then go and look at the word "new" it will already have the synonyms "fresh" and "clean", likewise the entry "clean" will then have the synonyms "fresh" and "new".

Kind of a many to many relationship junction table but only with one table!

I hope my explanation have not been to confusing, but let me know if you need a clarification.

Hi,
I ve got an access db thats attached to a java application.
I need to be able to create a temporary table that stores a result set, its necessary to do this as the java app needs to perform lots of repeated operations on this temp table.

I was think something like this would work:

DROP TABLE tempResults
CREATE TABLE tempResults
AS
SELECT col1, col2, col3 ....
FROM orginalTable


So i tried this:

Create table temptable AS
SELECT education,
FROM supermarketTable;


but it doesnt work, access complains about syntax error in create statment.

Could anyone give me some pointers?

what i am trying to do is have something create a new table. Creating Form To Target Current Record Open In Another Form

I have three objects a Main_Table , ClientDataForm and a MapForm all three share a common ClientID number

From that Main_Table I have created a ClientDataForm form which I enter all Data

From ClientDataForm I wish to create a button on it which runs a Macro that Saves ClientDataForm Record and then populates another form named MapForm with whatever record is currently open in Form One whether a newly created one or previous record.

How would I write this code for that button? Also why I would write it that way?

Creating New Records In A Table

I think this is a pretty simple thing, but for some reason I'm lost.

I need to add a number of records to a table.

The user would input a starting record number and ending record number (ie 60000, 60003) and access would create those records with the record number field populated with all the values, in other words, it would create 4 records 60000,60001,60002, and 60003

any ideas how this can be done? I'm thinking a query, but it might require coding of a for...next loop???
