Creating And Assigning New ID To Duplicate Records

There is currently a database which contains location information on a variety of different samples, each which is identified by a unique sample number (the primary key). However, when these samples are processed, they are split it half and each is assigned a second identifier for each half (in this case, an A or a B). Therefore, if originally there was sample 1, it will be split into 1A and 1B. My task is essentially to create a second database with further information for each sample half (1A or 1B), while maintaining a link to the main sample database to reflect any changes to the sample location information. So far I have been using a make table query that pulls from the linked table which links back to the main database and combines with another table that simply has one column called "Piece" which has an 'A' in the first row and a 'B' in the second row.

I am quite new to using access, but I have found this task fairly frustrating so far because it feels like I am trying to force access to work in ways that it was not designed. Essentially I would like access to create a duplicate entry for each sample in the original database, and force in an 'A' or a 'B', and combine these fields to create a unique identifier. However, I am running into a lot of issue when trying to append data from the original database etc.

Creating Multiple/duplicate Records For Output

Hi

I am writing mini database which will produce labels for boxes. I want to be able to produce a sheet of labels based on the 'number of labels' to print field. I can output one label or many on the page/s depending on how I structure the query and how many records are in the query.

My Question:
I need is a query which takes an individual record and duplicates it by the integer in the 'Number of Labels' field

any ideas?

Forms :: Underlying Query In Subform Creating Duplicate Records On Form

I have an "Returns" master form that contains two subforms. The subforms contain items that we are returning back into our inventory. The underlying queries in each subform show only those records where the "Return Date" is null. The query(s) works fine, except that if there are 3 items that need to be returned there are 3 records that show in the master Returns form. I tried the Totals option in the query but the I need that Return Date on the subform. I only want one Returns master form to show the 3 records (not 3 records of the same master form).

Assigning Pictures To Records

I notice that this topic has been done to death.....I have a database that is embedding the pictures and the predictable problems has manifested...the database is swelling up....

I'm learning to adapt the database to include the file location in the form and have the picture box refer to the file location, rather then embedding the picture into it....the problem that I have is that although I know how to do it because I get it.....this database will be run by a number of people, many of which don't have much experience and it must be simple to input the file location. Is there a way to simplify putting the file location in the text box aside from typing it in manually (a search window; like the one that appears when trying to open a file or insert an object, perhaps)....

Assigning Records To A Group

We're developing a database to manage tournament registrants as well as event results.

The key tables we have ar:
ContactsRegistrationsRegistration DetailsTournamentsAgeGroupsBreakingAgeGroupsExperienceGroupsEventsPayments

There are queries for using information in the tables to determine age, competition divisions etc.

At the moment the RegistrationExtended query, which uses the ContactsExtended and TournamentsExtended queries and the Registrations table to determine the number of events for each registrant as well as what division and age group they are assigned. This is done with some IIF expressions.

For the 2012 event we had 4 division classes based on experience and 6 age groups. For 2013 there might be more division classes and age groups. So now I have the tables AgeGroups, BreakingAgeGroups, and ExperienceGroups. The two age group tables have a query that calculates the age group name based on the values in the MinAge and MaxAge fields. For example 8 & Under, 9-11, 12-14 etc. The ExperienceGroups also have a minimum and a maximum field but only one field will be completed for each experience level. If the value is a maximum then that would be for those with less than the maximum experience and if the value was a minimum then that would be for those with minimum of that many years of experience. For example Grasshopper for less than 1 yearWarrior for those with 1 year to less than 2.5 yearsSamurai for those with 2.5 years and less than 4 yearsShogun for those with 4 or more years.

We want to maintain the history so the age groups and experience groups are now tied to the tournament.

I'm think that I'll need some VBA code that will compare the registrant's tournament age to the ranges assigned to that tournament and will assign them to the correct age groups. Then there will be code to compare the registrant's experience and assign them to the correct division class. The key here is that each year might have a different number of age groups and experience groups as well as different experience group names. For instance in 2013 we may change the 8& Under group to 7-8 and add a 6 & Under group and we may add another level called Emperor for those with 20 years or more experience.

Database has a form to add a new item. This info is stored in the Item TBL. There is also a table that lists available UPC codes called UPC TBL. When a user enters a new item a dialog box will give them the choice to add a UPC code for that item. Clicking no - nothing changes and user return to the original form (no brainer) But if they click yes what I need to happen is:

1. The next available UPC code in the UPC TBL is entered into the Item TBL field for UPC.

2. The UPC TBL is updated to remove the assigned UPC, leaving it ready for the next assignment.

3. - and for another day - I need to create a message when the UPC table is empty because all UPC's have been assigned.

There's an inventory of products that I might take to a show (convention). What's a good way to associate the show with the product, and store that relationship in the ShowLink table?

I could make a datasheet with one of the fields a combo box, but this would get tedious if I had 100 products. I figure a better way would be to have a multiselect list box that I select all the products, then have one combo box to associate a show to it.

I'm trying to put together a DB for creating notifications to customers. The source file is pulled out from another system as an Excel file, which is then uploaded to Access via VBA. The user runs a query, and then sends the results (customer information) to an Excel file where we have set up a mail merge document (the notification itself).

A customer may appear in multiple records (having multiple accounts), but will only receive one notification.

What we're trying to do is give each notification an unique ID that will become its document reference number once the document is created. The number will need to be the same for all the records in which the customer appears, and they will need to be consecutive, as the documents themselves will be stored in PDF form later on in the process.

So I would like to assign an unique ID to each customer, each time it shows up when querying the uploaded source file (the query is done in a form, that has a sub-form for showing the results). Then, when exporting the query results, they will be also copied and stored to another table, along with the assigned reference number, for monitoring purposes.

The Access file itself will be split and used by multiple users (up to 9 users at a time). In theory, each user will see their own customers (each customer account is assigned to a certain user), but the number assignation will need to also depend on when the query has been run. For example, if user 1 queries the DB at 9:30AM they will get records numbered 1000 to 1050; user 2 (who queries the DB at 9:31AM) gets numbers 1051 to 2100 etc.

Creating Duplicate Values Error

I have a table with one primary key (ClientID) which is an autonumber (cannot be duplicated), and another field which is a number field which is set to a random 6 digits (also cannot be duplicated) whenever a new client record is created.

Now, the main database is on a desktop, and my partner and i are connected to this main database through our laptops whenever we're in the office. For the last 6 months, I had only the ClientID in the form (from the Client Table), and everything would work fine whenever we created a new record in the Form, even if we created a new record at the same time on our personal laptops, the numbers would automatically be increased by one w/ no error.

I just added the other field now, the regular 6 digit random number field, and sometimes (only sometimes) when we both have a different client and start a new record, we get error messages that says we're creating duplicates. When that error message comes up, one of us has to close down the form completely, and reopen and start a new record again. Not sure why this is happening. Here is the error message.

I would like to do a query that Joins the "Size" in each table, and then matches an "Item" to a "Location". However, because of how a normal join works, I cannot seem to figure out how to limit the "Location" field from producing duplicates in the match.

I only want to have 1 location for every 1 Item.

I need to be able to produce an error on a form where the user attempts to create a new user that already exists. The error needs to be produced when the save button is clicked.

See below for the existing code on my save button which exists in form, 'frmAddEditUser':

Currently, if I attempt to create a user with the same Payroll ID as an existing user, my 'User details saved' message box is displayed and to the user it looks like a new record has saved successfully which isn't the case.

I need a message box to appear displaying something like "Payroll ID n already exists" where n is the 'PayrollID' of the duplicate record. (Is it possible to combine a value from a certain control and ones own custom text?)

Note: PayrollID is a combination of letters and numbers, i.e. two letters, followed by 5 numbers, e.g. JD12345.

For reference, the table/field and and control are called, '[tblUser].[PayrollID]' and 'txtPayrollID' (on 'frmAddEditUser') respectively; it is from this field and control that I want the error to be produced if the user is entering the same values which are existing in 'tblUser'.

I'm working on a form with almost a hundred various fields (it's what my employer needs). He wants to be able to create new records with much of the same information as the old ones by clicking on a button that will copy the information to a new record, then clear certain specific fields (or some process that will safely create the same result). I don't need specifics on how to write the same line of code for each and every field I wish to clear.

Say I have a form with 5 fields: part_number, part_owner, procedure, file_name, and date.

How could I copy the record to keep the fields part_owner and procedure the same, but clear part_number, file_name, and date?

All of the fields are from the same table (no, it's not normalized...).

Queries :: Mass Duplicate Main Records And Related Subform Records

In my simple database (attached), I need to mass duplicate Tasks and their Notes.

I have three tables: tbTasks (PK: Task_ID), tbNotes (PK: Note_ID), jtbTaskNotes (FKs: Task_ID and Note_ID). jtbTaskNotes is my many-to-many junction table that ties Tasks to Notes.

The main form (fmTasks), bound to tbTasks, has a subform (sbfm_TaskNotes) that displays notes associated with each Task. On themain form,you select which Tasks you want duplicated via a checkbox. The append query (quCopyTasks) will duplicate all tasks that have the checkbox checked. All good there. However, I can't figure out how to also duplicate each task's Notes.

I found Allen Browne's solution [URL] ....., but that only handles duplication of one record at a time, whereas I need to duplicate many records at a time (sometimes 10+ records). How do I go about duplicating multiple Tasks and their associated Notes?

Before you ask "why are you duplicating records?": There are times when tasks need to be re-accomplished and therefore need to have a new record. It's easier to duplicate records than it is to hand-jam everything again.

Qry Results Show Duplicate Records, Records Are Not Dup In Table.

I have built a qry that initially shows the correct information. For example.

tblContent has 289 records with a Type = Class.

I built a Query to select from tblContent Type = Class and I get 289 records. I add additional criteria of Progress <>"Not Scheduled", I then get 206 records. I then add additional criteria Last Name <>"Demo" And <>"Care" And <>"Support". This brings up 200 records, but the query appears to duplicate each record 3 times. I do not have 3 of the same types of records.

The SQL Statement is below

SELECT tblProfile.LoginName, tblProfile.FirstName, tblProfile.LastName, tblProfile.Organization, tblProfile.CostCenter, tblContent.Title, tblContent.Type, tblContent.Code, tblContent.[Date Assigned], tblContent.[Date Started], tblContent.[Last Accessed], tblContent.Progress, tblContent.[Date Completed]

Hi

I have a table (which is populated by people filling in a form) which contains two fields:

Section
WeekCom (e.g. week commencing)

I want to make sure that the form will not allow someone to make a double entry. For example, if Sally goes in and says enters "Benefits" as the section and "WeekCom" as 15/10/06, and then Ben tries to do the same - the form will not allow Ben to enter it.

How do you do this please? The table does not have a primary key at the moment....is there any way of doing it without setting one of the fields as a primary key?

now my problem is, how do i prevent duplicate records into the table?

Identifying Duplicate Records

Be advised that I'm a complete novice with Access, and have used it only to view Excel files with more than 64,000 records. Any help would be appreciated.

I have an Excel file of 10,000 records entered by salesmen of possible prospects, with salesmen, prospect name, address fields. Some salespeople have entered the same prospect and address information; the only thing different in these records are the salesman name.

I know how to import the file into Access. But from this point, how do I construct a query and generate a report that shows me ONLY THE DUPLICATE RECORDS? We would like to use this report to identify the double entries and the salespeople so they can clean up the database. I know Access (I have Access 2003) can create this query, I don't have a clue on how to do it.

One hint: A post on another forum suggested " Make a group-by query (grouped on all fields except salesperson). Add a count field. Select if count >1. This should do the trick."

I'm sure this is the answer, but I don't know how to "make a group-by query", how to "add a field", etc. Like I said, I know how to import the data. That's it.

This is extremely frustrating to be this close to the answer and not know how to finish it. Any assistance would be appreciated. Thank you.

How To Stop Duplicate Records

I have two table. Deliveries Created (DC) and Goods Receipt (GR).

I have a query which links the two by PO number, PO Item, Unit code and Delivery quantity.

This works fine until one PO Number has more than one delivery quantity which is equal. For example.... The PO quantity is 4,000 but, because the units can only be shipped in quantities of 1000, there are four different entries in both the DC and the GR tables each with the same PO number, PO Item number, Unit code and delivery quantity (and shipped on the same date). This of course gives 16 results for the query using this PO number.

There is one unique field in the DC table this is the posting number field. I've tried grouping by this number and taking the First values from the GR table. This works OK in that it produces Four results but, two of the deliveries were received on Day 1 and two were received on Day 2. If I take First of GR date I get DAY 1 for all, If I take Max I get Day2 for all. What I need is the correct date.

I hope I have explained this OK.
