Dcount In Forms For Entries Only..

Aug 4, 2005

Hi All,

basically i'm new to access, i am not a programmer and have been asked (told) to do an access (a few) for our office,

OK what I have is a very very simple database, we add in the post that we post out every day. I have two fields called Postage Paid and Stamp Required. I have used a Dcount to count how many have Postage Paid and how many require a stamp (Stamp Required).

What I want is to add the totals for the day that i enter them, i don't need to store that data, just to tally up the totals for the day i enter them...

Forms :: DCount In Forms To Avoid Duplicate Record

May 31, 2014

How can I prevent duplicate records from being added from a form, the dcount in the text field property, trigged before update is where this should be used is what I know but having trouble with the syntax.

I've got the table tblInvnetoryDetail with InvID(AutoNumber), and SerialNumber. The form text field is txtSerialNumber. I've managed this far with the expression

DCount([InvID],"tblinventoryDetail","[txtSerialNumber]=&"'") but this did not work.

How can I get the expression to avoid duplicates.

Forms :: DCount Non-Blank Cells

Apr 12, 2013

I think I read somewhere that DCount will not count blank cells, but when I try to do it - it counts everything.

Here is my formula:
=DCount("[E-Mail]","Detail","Not IsNull([E-Mail])" & " AND [Primary] = [Products]![Product Code]")

Basically, I want to count the number of email addresses in the E-Mail column of my Detail table IF the Primary column (also in the Detail table) equals the product code on my form AND if there is something in the E-Mail column for that line. When I did the above formula - and I've done a bunch of different variations - it keeps counting all lines that match the product code.

=DCount(”[Subject]”,”[CoursesSubForm]”)

An error message results.

Forms :: DCount Function - Getting Count Of 3 Dates When There Is Only One

Nov 9, 2013

DCount function.

Code:
Me.ImprovementNotice5DayCount = DCount("[txtReferralReason]", "qryRTOFileReferralPopupCount", "[ComplianceTargetDate]-[DateNow]<=5")

I am not sure where I have gone wrong.

What I would like Dcount to count are those dates in the ComplianceTargetDate form control that are <=5 to the DateNow form control.

I get a count of 3 when there is only one. I may have the syntax of the Dcount wrong.

Forms :: DCount Function With Combobox Criteria

Oct 7, 2014

I am working with MS Access 2003. I have a form (frmCalendar) with a textbox (tbDay) and a combobox (cmbLineName)

I want to count the number of records based on the criteria from cmbLineName, and show the result in tbDate. Inside the Control Source of tbDate I put in the following:

=DCount("[EncounterID]","tblEncounters","[LineName] = ' " & "Forms![frmCalendar]![cmbLineName] = " ' ")

The problem is that the result in tbDate is always 0; regardless of what is chosen in cmbLineName. I know that the record count should not be 0 for all criteria.

=DCount("Discussion_Title","Discussions","[Discussion_Title]='" & [cboType] & "' And [Discussion_Date] = Between ([txtStartDate] And [txtEndDate])'")

I get an #Error message. I just threw that together because it describes what I want, but I know there are syntax problems.

Forms :: DCount Function In Subform - Total Number Of Records

I tried using =DCount("[Part Number]","Completed","[Final] = 'RPR-RPR & RTN'"). That is counting the total number of records in the table, not the total number of records in the subform. How do I get it to count the total number of records in the subform?

Forms :: DCount / 2x Criteria - Counting Family Members Under 16 Years

Jan 13, 2014

Using MS Access 2000

I'm building a customer management database. Part of which is a table to record details of all members of the main customers family or the household compliment.

I'm currently using a DCount to work out how many people on the table are related to my client, to work out the size of the family.....

=DCount("MemberID","tblHHMembers","CustID = [CustID]")+1

Could I also then count the members of the household that are under 16 years old by looking at the DoB from the same household members table?

I realise that I'd need to ask access to calculate age at the same time as working out if they're under 16 and then count them if they have the same Customer ID - which might need a little more than this single function!

Forms :: Finding Duplicates - DCount Not Providing Expected Results

Mar 8, 2013

I've been working on trying to get this code to work as expected for days. I'm trying to find duplicates (I can't use primary keys or indexes alone to weed out duplicates due to the structure of the tables involved) in a subform as a user enters data. As soon as a project number is added, the code is supposed to count the number of records that contain that particular project number as well as a category number (there can be multiples of the same project numbers as long as their category numbers are different). This is the code I am using in the "Before Update" event of the field in the subform:

Private Sub ProjectID_BeforeUpdate(Cancel As Integer)

Dim strCriteria As String
Dim RecCount As Integer
strCriteria = "([ProjectID] = " & Me.ProjectID & ") AND ([CatID] = " & Me.CatID & ")"
RecCount = DCount("[ProjHrsID]", "tblProjHrs", strCriteria)

[Code] .....

What could I be doing wrong? Nothing about this code seems to work properly - even the Undo and Cancel=True is a problem (I get the "No current record" error).

First question is:

1) When i open the form i only want to be able to add new entries and not be able to edit old entries. However i would like some people to have the ability to edit existing ones. Is it best to create two forms one for new entries adn one for editing or is it best to add a command button on form for editing.

Creating Two Tables - Old Entries And Weekly New Entries?

Mar 13, 2014

I have a table in access which is updated weekly; I need to create two tables from this updated table.

1st table will consist of all the new entries for the current week

2nd table will consist of all the entries from the previous week - an amalgamation of all the entries which are not from the "current week" (table) For example; the table below shows the two entries from last week.

ID
Name

1
Adam

2
Ben

This week I have three new entries New entries

ID
Name

3
Charles

4
Richard

So when I run the same query next week I will get something like this.

Old Entries
ID
Name

1
Adam

2
Ben

3
Charles

4
Richard

[code]....

How do I get a query /queries which divides up the weeks new entries and also all the old entries.

Forms :: Preventing Duplicate Entries

Mar 7, 2014

I am attempting to make a system where the lifespan of baskets in a production process can be tracked. In order to do this I am looking to create a form to input when a new basket is introduced.Each basket has a 'disc' associated with a number on (BasketNumber), however these discs are reused once the basket breaks which is making it more difficult.

I have a form (Add_New_Basket) which feeds into a table (Active_Basket); what I am trying to do is make sure that a new basket cannot be introduced with the same disc number as an active basket. The way I am trying to determine which baskets are active is that I have an end date, that is filled in once the basket has been scrapped.

Therefore I am trying to set my Add_New_Basket form to restrict me entering a new record with BasketNumber 999, if there is already a BasketNumber 999 in the table with 'EndDate' null. If there is BasketNumber 999 and EndDate is dd/mm/yyyy then it can create the entry.My form Add_New_Basket has fields ID (which is hidden), BasketNumber, StartDate (=Date()).My table has fields: ID, BasketNumber, StartDate, EndDate

Forms :: Multiple Entries From One Form

Jan 12, 2014

I need to create a form that will allow the user to enter details about say a water meter - make, model, size for example.

These will be from combo boxes.

Each time the form is opened though, there could be a different number of meters to enter, from 1 to xxxxx

I will need to use this method for entries on other things as well, such as users and a couple of other things. Same basis just different information.

What I want to do is have a form where they enter the number of each thing that is going to be entered, so 3 water meters, 2 users. Then hit "next".

That will then open a form with the right number of spaces to enter the details for 3 water meters, or 2 or 1 or 999 depending on how many have been entered.

As apart from putting a look in and closing/reopening a single entry form each time.

When I record training I have to enter the data for one person at a time which is fine when you only need to do 10 or 12 but recently I had twenty people complete the same training and I don't really want to enter them one at a time.

What I would liket to be able to do is to bring up the Training Form, select the one Training Description (TrainingDescriptionQuery) and then select multiple Employees from the EmployeeDetailsQuery.

Forms :: Drop Down Box Auto Filling Other Entries

Apr 26, 2013

I've created a drop-down box on a form, that allows a user to choose from three names.

However, when I choose say name A, it then populates all the other entries with name A.

For example:

record 1 has name A
record 2 has name b
record 3 has name a

if i then enter a new record, and enter name C in it, it changes records 1, 2 and 3 to show name C too.

is there a setting i need to change or something?

Forms :: Using Form To Display Previous Entries And Add New Ones?

Apr 8, 2013

I'm trying to design a simple wildlife tracking DB, so that when myself or my colleagues spot an animal we can enter its ear tag number via a form. That will either bring us up a list of previous dates/locations that animal was observed, or if it's not in the DB, allow us to enter the new animal and location.

I have two main data tables:
dt_Animal- which stores the ear tag info, species, and other information about that unique animal
dt_Sightings - stores info on when/where animals been seen (linked to dt_Animal in a one-to-many relationship, of course)

What I want is that when you open up the form, you get a box (text or combo) to enter the animal's ear tag number.

- If it already exists in the DB, it brings up all the info on that animal and its previous sightings - with the option to fill out any missing info and (of course) to add a new sighting - and it WILL NOT add a new record to dt_Animal - just to dt_Sightings
- If it DOESN'T exist in the DB, it creates a new record in dt_Animal and allows you to enter any/all of the other information

Where I'm running into problems is that I don't want duplicate records in dt_Animal - each animal is unique. I haven't found a way to set up a form so that you don't get pop-up errors if you're typing in an ear tag number that's already in the system.

I've tried various tactics involving simple coding (NotInList, etc.) that I pulled out of this forum and other places, but haven't had any luck.

Forms :: Automatically Clear Fields Between Entries?

Dec 23, 2013

I have made a form with a subform to search for existing records based on inputting a postcode then selecting the relevant address from the subform which then fills the form with details of that chosen record ready to issue a further package linked to that original record.

To prevent errors and confusion by the users I coded the following:

Private Sub CmdFindAddress_Click()
If IsNull(Me.TxtPostcode) Then
MsgBox "You need a Postcode to use this button. Please type one in."
Me.TxtPostcode.SetFocus

[Code] ....

'Where the postcode entered does not exist in records or if there is a mistake typing in the postcode, below will remove residual record details from previous postcode ready for a new postcode search:

For Each ctlCurr In Me.Controls
If ctlCurr.Tag = "clear" Then
ctlCurr = Null
End If
Next ctlCurr
Me.Refresh
End Sub
.........

The problem is that if I test the system by inputting a postcode where I know there are no records, the CtlCurr is highlighted and the error message is:

Compile error: variable not defined
..........

This does not happen if I have already selected a postcode so the record fields are filled and then change the postcode - so the record fields are cleared.

Previously, entering a postcode which did not match existing records generated the "there are no records...." error message instead. How do I define CtlCurr?

Forms :: Avoiding Duplicate Entries By Same User

Forms :: Custom Message For Duplicate Entries

Aug 5, 2015

I have tried the code below, but I am not getting what I need. I have a table [Student Info] with a field [Student ID] as the primary key and many other fields. I added the Student ID field to my form, [Student Add]. When I input an ID that already exists I get an error code as expected but then my form still loads. I currently have a second form for updating student info [Student Update] for which I have a parameter form that asks for the Student ID. I would like to use just one form to add and update students if possible. So, if you add a new Student ID you can enter all pertinent data. However, if you enter a duplicate Student ID the form should populate with that student's information.

If I must have two forms (1 to add and 1 to update) and a duplicate Student ID is entered into the Add form, the user should get a message stating that the record already exists. Then, (Option 1) force the Add form to close without saving or (Option 2) give an option for opening the Update form. Either option is acceptable at this point because I am stuck.

When attempting to use the code below, I get a data mismatch error on the "Answer = DLookUp......" line.

Here's one I use on Social Security numbers for a pop up when a duplicate....
SS# is stored in table "tblApplicant"

Private Sub SocialSecurity_BeforeUpdate(Cancel As Integer)
Dim Answer As Variant
Answer = DLookup("[SocialSecurity]", "tblApplicant", "[SocialSecurity] = '" & Me.SocialSecurity & "'")
If Not IsNull(Answer) Then
MsgBox "Duplicate Social Security Number Found" & vbCrLf & "Please enter again.", vbCritical + vbOKOnly + vbDefaultButton1, "Duplicate"

Cancel = True
Me.SocialSecurity.Undo
