Difficult Relationship Problem...

I have a database for my company which I am making.

The products are hydraulic cranes and come in numerous models (or sizes), in turn these models come in numerous versions, 5 different ones in all, lets call them for simpleness 1-5. However, some cranes come in versions 1-3 only, others 4-5 only, some all versions and no-doubt some a random mix!

At present I have a table with the fields "Model" (Text), and seperate fields for each "Version" (ie. 1, 2, 3 etc), these are Yes/No tick boxes. Ticking a given box for any given model, means that only these options are available on a form. Ie When you select a "400" crane, you can for example only select Version numbers 1, 2 and 3 - those that are checked in this table.

What I need to do is when selecting each individual model on a particular order is to display 2 figures hydraulic oil flow-rate and also hydraulic pressure required from a reference table I assume. These figures are different for every given model/version combination.

The difficult part as I see is relating the yes/no check box from the table above to version number on the reference table.

Does this make any sense? My head hurts.

More Difficult Than Should Be?

I think i'm making this more difficult than it is.

I have an 2 excel spreadsheets with sales numbers like this -

One file is numbers I averaged over the past 3 months. The other file is actual numbers. Not all zip codes are in each file. I need to figure out the difference between the 2 and add the difference to this months numbers. So I created a query and found there were 94 records that matched based on zip cod and customer type. Then I found the difference in sales amounts. Now I'm stuck at figuring out which zip code and customer type don't match in the 2 files. So if zip code 10001 with customer type S isn't in the actual data for this month I need to add the zip code and customer type and have it be -303.23.

Further, More Difficult, Help - Please!

I’ve posted on here a few times lately, as I’m creating a database at work. It is going to be used to keep various information about new persons applying for jobs, and I want it be viewed/sorted by either 'Job Grade' or 'Job Title' I keep doing a lot, and then getting stuck on certain things. I’m stuck again, but I think it’s a little more difficult this time…

What I would like to happen is have the database open up, and a screen appears with two choices – ‘View by Job Title’ and ‘View by Job Grade’. When you click one, a new screen appears and a list of some sort appears with all of the job grades / job titles (depending on which button is pressed) on that are currently in the database.

From here, you can choose a job grade / title and it will bring up the form I have created – but only with the records that have the chosen job grade / title.

So for example, there could be 20 records in the table. 5 with job title ‘Manager’, 5 with job title ‘Assistant’. Then there could be 5 jobs with grade ’1’ and 5 jobs with grade ‘2’. When you clicked on ‘View by Job Title’ and then choose ‘Manager’, the 5 records with the job title ‘Manager’ would come up.

I hope I’m making sense so far.

The data would all be stored in one main table, and I already have the form created, so it would be good if I could use this.

Is there any way to do all of the above?

If anyone could help at all, it would be very much appreciated.

Difficult If-statement

I have a solution for my problem, I just want to see if there is an easier way. Here is my predicement:

From...........To..............c

0...............100............5
100............500............10
500...........1000...........15
1000.........3000............25
3000.........5000............30
5000........10000...........40
10000.......30000...........50
30000.......50000...........60

(This means: Between the amount of 0 and 100, the eventual amount equals to 5. Between 100 and 500, the evebtual amount is 10. etc. etc.)

Over the amount of 50,000 for every 5,000 the amount goes up, the eventual amount (column c) goes up 10, with the condition the eventual amount (column c) should not be over 500.

My current If-statement: Eventual Amount:
IIf([Amount]<100,5,IIf([Amount],500,10,IIf([Amount]<100,15 etc. etc.)))

Is there an easier way to do this... It's going to take mighty long to do it like I am currently doing it.

Difficult Problem, Is There A Solution?

Hi Everybody. I've been nosing around here because I have this difficult problem with a database design. I modelled my program in UML so I have a class diagram. Now I want to create an access database out of it, but this is too hard for me.

It's about a school project for flowers. Every year, they make a cross plan. This cross plan contains crossings. Many crossings. And every crossing exist from 2 genotypes. A mother and a father. With this crossing several new genotypes are created. How on earth do I realize that in a database? A plant is male as well as female so you don't need to indicate which sex it is.

Further more I want a genotype to be judged on his characteristics by a user as much as he wants to.

Well...I hope someone can help and if you have questions about it don't hesitate to ask.

Difficult Duplicates Query

Hi all,

I have 2 tables, namely: Projects and WeekUren

Where [WeekUren] contains multiple references to unique records in [Projects].

[WeekUren] has the following collums which are important:
-ProjID
-Week
-Persoon

Where these three always form an unique combination. For instance:
1 | 1 | 1
1 | 2 | 1
1 | 3 | 1
1 | 1 | 2
1 | 2 | 2
2 | 1 | 2

Saying: Person1 will work week 1 till 3 on Project1, Person2 will work week 1 and 2 on Project1 and week1 on Project2.

Weeks are here relative to the project start date (a value of [Projects]) and always start with and increment with 1. So week1 of Project 1 and 2 don't neccesarily fall on the same dates, hence Person2 is still able to work both Projects.

Bear with me here.....

Now I need to select all duplicate records (where people are assigned to two (or more) projects in the same real week.

Real week is defined by:
Code:DatePart("ww",((WeekUren.Week-1)*7+(SELECT Projects.Start FROM Projects WHERE Projects.Id=WeekUren.ProjId)))

And the Query to convert [WeekUren] in to the relative form is:

The query to print out duplicates is ofcourse:

Sofar so good, combination of the two however give me a syntax error. Hence my question here how to construct such a diabolical Query. Thanks!

my problem is that when I am writing a querry for this...it gives me an error because of the << ' >> mark in the word << l'année >>

my querry is this...

I am getting these values from another recordset.

Difficult To Explain Yet Simple Problem...!

Hi all

I have a financial database that gets downloaded transactions off the internet from our accounts. The problem is that the transaction payer/payee is not always unique and needs to be classified. This is easy done using If statements but I really want to enter parts of the string into a table and have a query return a category for this payer/payee. Example:
I want this: AUTO ONE CLARKSON CLARKSON WA AU006495
to be recognised as: car parts

or with this tranaction:
CLARKSON MINI MART CLARKSON553908
look for "mini mart" and return supermarket

This step will make classifying transactions a lot simpler and user friendly.

Simply Count Query... Why So Difficult?

I have Two fields with DateWorked and EmployeeNumber. All I want to do is count the number of employees that worked on a specific date. In the employee numbers I have 4 dummy numbers that I don't want to count in my query (00001-00004), but will have entries almost each day. The rest are 5 digit numbers.

Some employee will work some days, but not others.

So I set up my query with:

EmployeeNumber
Table
Total: Count
Criteria: >4

I did that think that it would count all employee numbers great than four, but all it seems to do is give me the count of days that more than 4 employees worked.

What am I doing wrong? I feel like this is simple, but after some of the more complex things I've done over the past week, this seemingly "easy" thing has me stumped.

DB On Network Drive -- How Difficult To Set For Multiple Users?

Alright, so my pride and joy and departmental savior database has been fully implemented and people are so pleased with it that they *all* want to use it at the same time. Initially, I made it custom for three peoples' UI preferences, but since it's such an intuitive design, other staff now feel comfortable using it instead of passing the work down the line to the one person who knows how to use that "newfangled thing".

A couple years ago, I used FMPro and allowing for multiple users at once was an annoyingly complicated process dealing with permissions and rights and accounts and passwords and yadda yadda. Is it any easier to set up in Access? Does anything special even need to be done to allow for multiple simultaneous users?

DIFFICULT - Returning Two Most Recent Records On One Form Line

Hi,

This is a toughie (i think so anyway!). I'll attempt to explain!!!

I start with a CONTINUOUS form in my DB that shows all readings for a single given customer's connections. E.g. Customer A has 5 connections and each connection has say 3 readings. Thus this query which uses joins between the Customers, Connections, and Readings tables, would return a list of all readings for each connection, so in the above example: 1*5*3 = 15 records.

Not too tricky so far, but then what I want is for each connection to have just one line showing the latest reading (easily achieved by use of SQL Aggregate Max function on the date field coming from the readings table) TOGETHER WITH the last-but-one (next most recent) reading. So back to the example taking Customer A's connection 1, the row would be as follows:

Cust Conn CurReading PrevReading
A 1 750 500

Where the CurReading value (750) comes from a different record than PrevReading (500).

I've tried all sorts of ways (subqueries etc.) to achieve this without success. The main problem being that any sub query would require parameters from the current record's fields, which seems not to be possible. Can anyone help or is this simply not possible in MSAccess Forms. If it isn't possible anyone have any suggestions as to an alternative way?

Relationship??

Hi All,
I am new to access and this forum, so hello all.

I am trying to build a database to keep records of my bird sightings. As you might have surmised; I am a birder.

I have come to a holt on creating a complex relationship between the Bird Entry From and the table that contains a list of British birds.

In Bird Entry From two of the fields are for entry of the bird name, one field being the Common Name and the other being the Latin Name. They are both drop down lists that contain all the birds from the table, this being done by import data. The table that holds the bird list has two fields One is called Common Name and the other is called Latin Name, this being the same as the filed names in question in the Bird Entry From

This is where I am coming unstuck. What I would like to happen is that when I enter a bird in the Common Name field (either by typing until the bird is auto entered from the drop down or using the drop down to find the bird) it automatically enters the Latin name in the Latin Name field and visa-versa, but I have become very frustrated with trying to do this.

Am I wasting my time? Or is it possible? And if so would anyone be kind enough to tell me how?

I've three tables in my database, tblInfo, tblSavedInfo & tblCountry.
for tblInfo I have this fields - Ref: Cost: RefCountry:
for tblSavedInfo I have this fields - Ref: Cost: Country:
for tblcountry I have this fields - RefCountry: Country:

My problem is when I save from tblinfo to tblSavedInfo I want it from RefCountry on tblInfo check wich country is on tblCountry and save on tblSavedRef the country instead the refCountry.

As tblInfo has about 200.000 rows I need something to make it quick. Is there anyone that can help me please.

Relationship Help Please

As you all know Im not a expert on databases but work in a volunteer basis in a small community area where we have no money for people to do anything for us.
Im proud because I did the other database and its up and working but this one has got me beat.
Im setting up one for the volunteers, which has computer knowledge, any basic training they need, when they are available and what tasks have been set for them.
I need to have a one form which has just their personal details but to be able to put in data on the other forms and it will link back to the volunteers name.
Ive attached what Ive done and Im sure your all going to laugh - but any help would be appreciated

Many To One Relationship (I Think...)

Trying to set up a fairly simple DB. Here is the layout:

tblRoom(roomID, roomNumber, rackOne, rackTwo, rackThree)
tblStudent(studentID, name)

Each student will be assigned to one, and only one, rack. There will be 3 students to one room. One student can only have one room but a room can have many students... I store studentID in the rackOne, Two and Three fields. My problem is when I try and querry for the information so as to display actual names rather than ID's. I'm not sure If my querry is the problem or if I've set the tables up incorrectly. Any insight is much appreciated.

Hello,

I'm having some problems setting this up right.

I have 3 databases.

USHER 2 LAST

AUTOKEY PRIMARY

I have a one to many relationship between the movie and date between the attendance and movie data table. I have tried linking the name to the usher fields but I"m not getting the result I want. I want to be able to open up the volunteer table and have it show me the movies they have worked on. The movie data table will list who worked it, but the volunteer tables are not.

Any ideas?

I was wondering if anyone could help me with a query. Basically I am doing (or trying to do) a small database to track childrens progress in my mums primary school. I'm doing this for free as the budget is rubbish for this type of thing and i dont have enough knowledge to ask for payment anyway! I want to get it right from the start and I think if I get the relationships right initially then I can complete the rest of it on my own. I did this at university (normalisation etc) but ive not used it since i left in 2002 and so have practically forgotten everything i ever did.

Basically, the child comes into the school and is predicted a level in maths, reading and writing. Then in the october, feb and july of each of the 2 years they are there, they are given actual assessment levels. They are also given a prediction level at the beginning of year 2.

So far I have one table with student no, surname, first name, gender, ethnicity, year group and SEN(special educational needs) - with the primary key being student no.

This is where I get stuck - do I go for a maths, reading and writing tables and split it that way - or on an assessment basis, so prediction yr1, october yr1, feb yr 1 etc etc. Or is this completely wrong? Am sooooo confused, so any help would be greatly appreciated.

The outcome I want is to be able to query a childs progress, so for example: show children who achieved a 1a in yr1 maths, and then out of those children, who achieved a 2a in y2 maths (as this is the required shift in progress set by government). I really hope that makes sense.

One-to-One And Many-to-Many Relationship

I'm rebuilding my database from scratch now that I've learned a bit from the forums about developing a proper database and I want to investigate whether I have the relationships set up correctly, as I seem to be using lot of one-to-one relationship, which most articles say is very rare, and whether I am formulating many to many relationship correctly. Here is a screenshot of my relationship.

If I've understood this correctly, one-on-one is desired if you have a subset of data that is applicable to the main table only occasionally and is dependent on the main table's data. Have I used that correctly?

As for many to many relationship, articles say this is formed by having two one to many relationship linked together in a table. In my screenshot, you can see that tblAdvocacyVisit is the linking table. However, I've set GuestID as a one-one relationship whereas ClientID is one to many relationship, reasoning that since I do need to relate the Guestl Logbook data to Advocacy table for some queries I will be performing later, this will save me some work. I'm afraid that this may compromise RI or something like that. I can simply add a PK autonumber to tblAdvocacy to revert the GuestID as a one-many relationship, but can't see how that would not create more work in queries or so...

Oh, are the lookup tables supposed to be related at all?

Many-to-many Relationship

I’m building a database of protein mutants we use in the lab. A lot of analysis is done on these proteins by various people and it’s becoming a bit of a nightmare keeping track of all the information per protein. What we need is a database. I’m getting a reasonable grip on it all I think with the excellent examples I have found on the forum but there are obviously areas that I have great difficulty with. The main problem for now is that many-to-many relationships are involved and I just cannot get them to work properly.

On each protein up to 8 different types of test are performed. To keep things easy I’ll call them A1 (for Analysis1), A2, A3 etc. These are done by different people from a group of 7. I’ve called them O1 (Operator1), O2, O3 etc. Each of the operators can do multiple analysis and the operators overlap. So e.g. O1 might be particularly good at A1, A4 and A7, O2 might be good at A2, A4 and A5, and O3 predominantly does A1, A4 and A6. What it comes down to is that each operator can in principle do each of the analysis so I have to give that option in the database.
What does work (but is not the solution as it introduces 8x duplication of data) is if I have a separate table with operators for each analysis. The same tblOperators is linked 8 times. There must be a way to link each of the analyis to only 1 tblOperators, probably with the use of a linking but I just cannot work it out from the examples I've found here.

Can someone help me on my way please?

Relationship Help

New guy on the block here.

I am having trouble associating the relationships within a database to accomplish what I need. I don't know if I am over thinking or I just plain old don't get it. So, I ask if someone can draft this database up rather easily and post it for me or send me in the right direction to learn quickly.

This is what I am looking for: A table with people’s first name, last name, title, job position. That is it. I can do that and have done that. No problems.

Another table that has amplifying data on that person such as: date of birth, SSN, date employed, comments, etc.

What I envision is, creating a form to add the names, title, and job position of the people to the table.

Then I want to create another form that puts the other data associated with that person. This other form should have the first and last name from the first record to "view" only so the correct data can be added to the correct person.

That is it; I hope someone can help me out. I have been working on this for sometime and just can't seem to get it.
