"Embed" Word Or Other Files Within A Database

Mar 8, 2006

Hi everyone

I know it's possible to use Access to create a Word document and think it's possible to have a button (or combobox) open a Word document saved on the hard drive. If I'm correct with the second belief, the Word file(s) would need to be moved with the Access database if it's moved to another directory or PC.

Is it possible to save the Word (or other) files within the database itself so simply moving the database to another directory or PC would take the "embedded" files with it? I realise that the database file size will increase, but suspect that this increase would be similar to the size of the individual Word files.

Thanks for your time.

Greetings:

This is a new area for me and I am struggling with how to approach the solution. Have searched the archives but still can't figure it out....

I have a database that stores call center coaching events. I would like to insert a wav file (recorded conversation) into each record and be able to play the wav file when the record is current in the form.

Any guidance or suggestions would be greatly appreciated.

Thanks!

Embed Interactive Word Document In Access Form

Jan 26, 2015

I need to be able to embed an interactive word document in an access form. The need is to put in text that has underlines and strikethroughs to indicate name changes to policies.

The user creates a new proposed update by designating the policy number but I need a word file attached to this update that can show more punctuation than access can show.

Of course I want to make this as automated as possible so the user doesn't have to work in two different places to get this done.

Hi there,

I am just contimplating the best way to add word files into my database. I know you can add them as objects, however when they appear on the form they seem a bit 'messy'.

Does anyone have anytips how to make this look more professional, perhaps the use of links, or buttons?

Many thanks in advance, Ross

Calling A Query Using .mde Files And Merged Word Documents.

Jan 17, 2007

Hi,

My situation:

A front end written in Access (back end mySQL).
I have made a .mde file out of this front end.
There are a number of MS Word documents used (as merge documents) for running reports and letters that are linked to queries in the database. However, I can only link these documents to the original .MDB file as you can't link to the queries ni the .mde file.

This works fine until you have a query that requires a parameter from a form. The user will have selected the parameter from the .mde version of the front end that they are using but the query which is being called from the .mdb version (by the Word merge document) can't see this parameter because it is a totally separate database.

How can I get around this problem?

Sorry this is a lengthy post, hope it makes sense.

Matt.

Need Your Opinion - Store/retrieve Word And Excel Files In Access 2003

Sep 4, 2007

Folks I need your help; just wanted to get your opinions here.

I work in a small engineering group and we have lots of reference documents in word and excel which we typically use for any projects. Currently, all these files are stored in Lotus Notes database. Unfortunately, they are pulling the plug on Notes license starting this fall. Therefore, I have been asked to see if there is a way we can store these files in Access as a repository and query the database whenever we need some information.

In order to avoid the database size getting too big, my thought was to store the .xls/.doc files as an “OLE object” data type, keep the files in local hard drive and create a link in a form to give the user to retrieve the information.

Do any of you have any suggestion on what is the best way to handle this?

Your input is highly appreciated.

Shan.

Forms :: Embed Navigation Form Instead Of Using Tabs

Oct 21, 2014

I have a form with a lot of data structured in tabs. Since the tab loads all the data at once while the navigation form browses to the desired form. I have tried but the issue is the Master-Child link. The form in the navigation form is not considered as a subform, hence, no way to set a Master-Child link. The navigation form itself is the subform but even when setting up a link there it has no influence on the form displayed by the navigation form.

Help With A Word Order Database

Nov 7, 2005

I am a modular housing sales consultant and I am trying to setup a work order database in access. This database would allow me to spec out a modular home for a prospective customer/client as they provide me with all of their home options (floors, exterior, doors & windows, interior, appliances, bathrooms, kitchen, etc.) and then print out an invoice with an estimated total.

I am currently using an excel spreadsheet and it is very cumbersome to use. I use it as an invoice and the invoice contains the following information on it.

Bill to:
Dealer Name
Dealer Rep
Phone, Fax, Cell

Ship to:
Customer Name
Customer Address
Phone, Fax, Cell

Home Options:
Floors:
Joist: (Structure Wood 2X8 Joist, Structure Wood 2X10 Joist, Plywood 2X10 Joist)
Carpet: (Cappuchinno, Biscuit, Pebble, Summer Straw, Praline, Herringbone, Cashew, Buckskin, Shale, Botanical, Cordovan, Stone, Cascade, Black Ice)
Vinyl Flooring: (Woodgrain #05296, Square Tile #57296, Mosaic #55296, Tan Stone #08296, Large Square Tile #07296)

Interior:
Interior Doors: (install, ship loose, 6 panel, flat)
Hardware: (Brass, Brushed Nickle, Round Knob, Level Handle)
Crown Molding: (4", 5")
Base Molding: (4", 5")

Appliances:
Color: (White, Black, Bisque, Stainless)
Dishwasher: (Standard, Power Scrub)
Microwave: (Over Range, Free Standing)

There are other options but this is just a brief listing of options as an example.

Each option would have a price attached, and selected price would be added to the invoice, and once work order is completed, the invoice would have options totalled. Ready for the customer and dealer to confirm and approve.

Can someone start me in the right direction on getting the tables setup for this - the one that I seem to be having the most difficulty with is how to setup the options for this invoice. I pretty well have a grasp on the others. I might also need help in relating the tables to one another.

I hope this all makes sense.

Any help would be greatly appreciated.

How Does Database Get Locked When Can't Write LDB Files

Aug 1, 2014

I have a database on a shared network drive. All users except the manager have only read access to the file/directory. However, if the manager tries to open the file while other users have access open, it only allows him to read it as read only. If they close the database, then he can open it with read-write. Does access use another mechanism other than ldb files for locking? The weird thing is that it seems to be locking correctly. If the manager tries to open the file while someone has it open, it's read-only.

Merging Data From Duplicate Database Files

Mar 18, 2015

We have a client who has managed to muck up their Access database by means of having two users on two computers attempting to use and modify it at the same time, and the primary (actually, the only) location for the database is on Dropbox.

What seems to have happened is that Dropbox detected a conflict, with two different versions of the same file, and resolved this by creating two separate files. How long this went on before the client noticed that they were entering data into two separate files, I can't say.

Their client list is 28,000 someodd people long. What I need to know is if there's a process for merging the two files together, without creating 28,000 duplicate entries. This is being run on Access 2002.

Computer Hangs Accessing Network Database Files

Oct 6, 2004

And yes I now that's the title of a Knowledge base article, I stole it because it put into words what I can only say in expletives right now.

Basically, well it's all a bit odd.
I got users on the network who, until yesterday, could access some networked databases. Other files from the same source are ok, just Access files.
Today the moment they click (and I mean a single-click) on the icon to open the database...explorer hangs.
You can't open the database from within MS Access either, that hangs too. But you CAN open them up and use them if you can get them copied locally.
Oh yeah, some people (in the same room, on the same VLAN) can access the database, but can't perform any tasks within it.
Databases are a mix of 97 and 2000.
And to make matters worse, it's happening on another server.

I know you're gonna shout virus, but that looks to be a non-starter since I know of no such virus which would affect ONLY Access files and do it on a single click, and secondly The systems check out fine with both Sophos (and our good luck charm AVG) run against them.

Holy Moley! Has anyone ever come accross such a palarva?

Modules & VBA :: Edit Recent Files Of Access Database

Mar 18, 2014

Is it possible to edit the recent files of a access database?

We have a main database (version control database) from where you can open a database which is located on a network drive.

By selecting the datbase you need from a dropdown menu, access will check which version you have locally. If there is an updated version available on the network it will download this updated version, overwriting the old one. The 'main' database is then closed and the local version of the database you needed is opened.

The problem is that this local database is mentioned in the recent files history so people are able to bypass using the main database.

In Excel you can clear the recent files with application. Recent Files setting the maximum to 0 and back to original again. In Access you do not have this option.

Where I would be able to find this option. Ideally I'd like to only take out a specific databasename from the recent files, rather then resetting the full list.
