Check Data On Leaving A RECORD- Record, Subforms And All
May 24, 2005I have an application that enters candidates in, who apply for a job.
I found that I can enter a candidate in, and if I dont enter at least an address type or phone type ( giving that candidate an address record, albiet a blank one (just a type of address) and a phone record) then the candidate wont have a sub record for addres or phone at all.
This is hurting my reports. They are set to pull the primary address and phone only, as we dont need to have 2-3 contact information for a candidate on a report This is how I found out that I had blank address and phone for some test records. I need to be able to check when a person does a number of things, that at least the combos for phone type and address type have been chosen as something. This will ensure that they have a primary address and phone, as I have code that takes care of all that. I tried putting the following code in the form's before update, but since it is calling to a subform, the minute I tab TO the address combo, I get the message. The form is updating before I get the chance to skip the field.
Here is the lay out. A user can enter in candidate, their address, phone, application and activities. Address, phone, applications and activities are all sub reports on a tab control. The user should be able to move freely within any record, and only be bothered when they try to leave, if important information is still empty. I dont want to control how they enter ('you must enter this first!' lol) just that they do enter it in the end.
What I want to do is check when the user is leaving a record.(closing form, going to another record, clicking the search button that opens another form etc) if either combo is empty (no primary contact info) then it gives the message and goes back to the combo that is empty.

If I can't figure this out, I am thinking of making a new address type and phone type. Call it "none chosen" and then make that a default selection. Then one would always be chosen...I think. I would like to avoid that though.

Forms :: Double Click Event - Form Showing 1st Record Instead Of Selected Record
May 8, 2014I am new to access and I recently encountered a double click issue
My form loads perfectly on double click event but it shows the first record instead of selected record.
My search is based on a PersonID but each PersonID has different WorkID that I wish to display on double click but it always shows the first WorkID instead of my selected record
I have tried changing the filters in the form properties but it still doesn't work for me.
Here's my code:

Modules & VBA :: Event Information - Deleting Record Creates A Blank Record
Sep 8, 2013I have a form set to the table Client Information with a subform set to the table Event Information. Client Information has a one to many relationship to Event Information.
There is a button that deletes the current record in Client Information--also deleting the related records in Event Information--then closes the form. The code works fine but a blank record in Event Information is apparently being created before the form closes.
Here's the VBA that I'm using:

It's not a big deal because the button won't be used often and I can manually go into the table to delete the blank record. But if there's a simple solution to prevent this that would be nice.
Auto Print Report For Only Latest Record On Add New Record Event??

I am looking for some help with a project I am working on where I need to automatically print a report from my database every time a new record is added to the table. The table contains 13 fields and the report needs to display 12 of them, the other being the index which is set to Autonumber.
The table is being updated solely by ODBC, this is working OK.
There is the potential for records to be added to the table very quickly via the ODBC link, so I need to safeguard that the report is being populated with correct information from the record that triggered the print event. Also, should multiple records be added in close succession, a report needs to be correctly generated/printed for each of one. The DB is to have no user intervention, and will just run on the PC at startup with all access menus/controls locked out.
Any information on how you think I should structure this, or any examples of helpful code that you might have would be very much appreciated.

Leaving Out Errors
Nov 29, 2005I do a query to remove "." from a list of my servers. This works great, but for every name on the list without a "." I get an error in the output. Is there any way to remove these errors from the output, so I only see the data that has been properly pruned down?

SubTables Leaving Disconected Records
Sep 5, 2007I made a Table with one record per person which is entered initially and contains a sub-table which is a list of the drugs they are taking. As people are notoriously bad at spelling drugs they select them from an alphabetacised drop down list held in another table. The idea being that they check the spelling before entering them on the main table for any new drugs. The subjects each come back and have a number of measurements taken on a number of visits.
So the main table and the drugs table have a one to many relationship and the main table and the visits. In both cases the tables are linked by the same unique identifier which is compulsory and unique in the master table. The data is input using a master form and sub-forms.
I havent done any of the input but when I looked at the two sub-tables they each have a number of records which are blank in the identifier feild.
How has this happened? How do I stop it happening and is there any way of finding out which record these visit data and drugs should belong to?
Leaving Subform Error With Relationship
Feb 27, 2006Hey guy im kinda new to this program so excuse me if my question is simplistic:I built a form for making Purchase orders. In the main form...a user enters a bunch of text/num info (name, address, ect)into the table. After that i have it tab to a subform..where a user can add items by line (as many as they like). All good till here: Once i go to click out of the subform...i get message "You cannot add or change a record b/c a related record is required in table 'UCT_Req'"My relationship has a 'one-to-many' link (the req number to the many line items). I have auto-numbers counting up in each table.My main problem seems to be attaching the entered line items to a specific record in the main Purchase order form...and then opening a fresh form afterwards. I require to be able to check whether or not a yes/no box has been selected, each time the database is navigated.. ie, next record , previous record.
I cannot find the event in VB to allow me to perform this function. I see AfterUpdte and beforeUpdate events, but sometimes the data is only browsed and not updated.

Criteria In Query Leaving Blank Table
Apr 30, 2007I am trying set up some criteria for a create table query. I am using multiple fields from different tables, I am trying to delete certain feilds if they meet the criteria. I am using iif([letter c_last]=[letter a_last],null,[letter c_last]) in the criteria for letter c last, but when I run it a box appears to enter criteria for the last name field? I want it to look at the field not for data to be entered manually. I hope this makes sense. Any help would be greatly appreciated.

I have a data entry form that has one field that cannot be a duplicate. So, in the table I have it Indexed with No duplicates.
The problem is that the form doesn't notify the user that they have entered duplicate information until they close the form. So the 10 minutes they spent filling it out is wasted.
So, after consulting various posts, I did a BeforeUpdate event with the following code:
(the field that must be unique is called "LS Number", in the form "Q and D" based on the table "Q and D Database")

When I test this by entering a duplicate LS Number, it gives me the error "Type Mismatch." Unfortunately, I have no idea what this means, nor do I know how to fix it.
Please help, my head hurts!
Forms :: Remove Dots After Leaving The Field?

Jun 13, 2015I have a form for rentals where I have fields for car details and for client details. I have a list box for clients so that when I enter the Client Id I automatically get all the records filled out on the form, from the clients table...
This works but the problem is that sometimes I have a new client who rents a car that is not on the database so I insert the client details manually on the rentals form without filling in the client ID as this client does not exist on the database.
The problem comes when I want to save the form it wont allow me to leave the client ID field blank... I imagine this is because of the relationship...

Form Entries Leaving Entry Boxes Blank
Sep 6, 2006I have a form that allows users to search the database for records based on there criteria. The form allows the user to search, through combo boxes, by variables. The first is MAT, the second is Relocation Area. The search works fine when the user selects options form the combo boxes. However sometimes it is neccesary to leave the location field blank and only search by MAT. When the location combo box is left blank no records are found. Is there anyway around this. The SQL code for the query is below:

Use Specific Record In Continuous Form For Event?

I have a continuous subform that shows 2 records consisting of a text field and a yes/no field.
I was wondering if it was possible to take the state of one particular of the yes/no fields to trigger an event. Specifically, when one of the questions is checked [true] then I would like to make visible another subform on the main form.
Can this be done, and if so, how, or should I just leave my subform visible at all times?

There is a button that when clicked sets the subform's visible property to true. I want the subform to go to the first control in a new record which is a combo box. the subform is a multiple items form. I have tried the GoToControl in the subforms OnCurrent event, but it is not working. I get an error saying the database cant find a third form.

Aug 28, 2013I have a report with several sub reports that run and fill a table conditionally. The third sub report displays the records from this table. It works perfectly.
If I print a batch of records, it also works perfectly - but only for the first record. Previously, I had another report with several sub reports where the visibility of objects were controlled - this worked fine in a batch. Every subreport had the correct visibility settings.
In this case, I have a similar design, but instead of setting visibility on the various subreports, I am filling a table based on data in the subreport. As stated it works great for the first one in the group, or any single print.

Bit of an Access beginner and am trying to sort something out for work - not sure why they've asked me!
I've created a query to search on a couple of items using drop down boxes on a search form I created. This bit of it works fine, I used this site http://www.fontstuff.com/access/acctut08.htm and copied what he had done. This is fine.
I now want to add a date search to the same query. I know I can use Between [..] AND [..] but if I leave the boxes blank it finds no records. I'd like it to search and include all.
Ideally I want to include 2 extra text boxes on my form that I can put a to and from date in (or not put a date in and it find everything).
Hope that makes sense, please can someone do me an idiots guide?

Form Event To Alert Before User Moves Onto Another Record

I have a form with some bound fields and some unbound fields. If I make any change to the bound fields I can use the "Before update" event to perform some actions when a user tries to move onto a new record.
What I now need is if a user doesn't make any change to the bound fields but makes a change to an unbound field - how can I check this before the next record is displayed. Is there any event I can use? Each time a user tries to move to a new record I want to check first if they have added anything to an unbound field.
Users can move onto the next record using buttons or the record navigator at the end of the form.

Sep 21, 2014I have a database which is slowly evolving. Users needed a feature to delete some records without a trail and some with a trail from the form. So I added an apply action field in the subform using which they can delete a record without a trail and if they wanted to keep a trail they could do that too. When user selects "Delete Violations as it was entered in error" the system deletes the record completely which is what everyone wanted.
After six months of use now I am asked to add an audit trail. I managed to do that also. I also looked at Browne's method but my data structure does not match the requirements for that method. I used an alternate method. It works as intended except when a record is completely deleted using the code I mentioned above. Then it goes in the infinite loop. I somehow need to bypass the before update event so that the function to write the audit trail is not called.

I've got a function already written to validate the data in the record and decide whether or not the fields are enabled and disabled, however im having trouble finding an event in which to activate the function
Is there an event that triggers whenever a user selects a different record?
Any chart or list with all the handlers and how they trigger (in relation to each other) and when?

Jun 12, 2013I have a list box that displays the contents of a back-end table that is has a new record added roughly 45 times per hour. I'd like the listbox to refresh automatically when a new record is added and, ultimately, notify the user that the new record is there. Are there any non-form events I can use to accomplish this? Right now, my workaround is to refresh the box once a minute using the form's timer. It works fine, but it's not pretty. Ideally, I could create some sort of event based on the new record being saved in the table.
