Access 2007 - Autofill A Form Field Depending Upon Value Of Another Field

Feb 20, 2012

I am new to Access 2007 and I am having trouble in creating a form. It is simply a data storage table which would be fed in by users. That it.

I need to create a user friendly form so that :

When the user selects : Career_Goal field as "None", the next field called: Years, should be automatically be populated as 0.

In any other case, they should be able to select the years from the dropdown list.

How do I create this if else conditions? Do I use expression builder, if yes then how?

Access 2007 Datasheet Field Dropdown Menus

Dec 14, 2007

 Our office is planning to switch over to MS Office 2007 including Access 2007. I've just been looking into converting our Access 2003 databases to the new version. One thing I noticed about the datasheets appearing as subforms is that each field header/label/caption/column selector thingie has a dropdown menu. The down arrow of the dropdown menu takes up valuable realestate where the field name is being displayed.

Question:
Is there a way to turn off those individual datasheet dropdowns and get rid of the arrows so that the form doesn't have to be redesigned, due to increased column width considerations which the down arrows cause, just to display the full field labels as they always have been in Access 2003?

Thanks in advance for any help!

Cheers!

Reports :: Access 2007 Trim And Field Text Addition

Mar 11, 2013

I created a form letter as an Access 2007 report. I want the greeting to read, "Dear [first_name]," e.g., "Dear Alan,". The [first_name] field is bound to said field in a query. When I just use the [first_name] field, I get "Dear Alan" with no comma. I've tried to add the comma various ways:

"=Trim[first_name] & ",", "=[first_name] & ,", "=Trim([first_name] & ","), etc., etc.

Any addition to the basic field produces the "#Type!" error. I also created labels from the same query using

"=Trim([first_name] & " " & [last_name])",

and that works fine.

Reports :: Access 2007 / Grand Total Field Outside Of Column Grouping?

Sep 19, 2013

I have a report (Access 2007) with multiple totals and subtotals. However, one field, whenever I click "show Grand Total," always shows up all akimbo (out of line with the other grand totals), unbound and without the nifty little blue "grand total bar" above it.

Queries :: Calculated Field - Return Zero If Negative Result (Access 2007)

Oct 10, 2014

I have a query that returns several calculated fields. One of them is simply derived by simple summation of the others. If this calculated field returns a negative number, I need it to show as a zero.

The only way I know how to do this is by an IIF statement :

Code:
SELECT [fld1], [fld2], [fl3], .....
IIF(([fld1]-[fld2]-fld[3])<0,0,([fld1]-[fld2]-fld[3])) AS fld4
FROM...

(The above doesn't suggest that [fld1], [fld2] etc are calculated fields - I just wrote it like that for succintness - they calculate fine, there's no issue with them...)

Is there a more efficient way of doing this? I find IIF's a bit tardy, possibly because they evaluate for both True & False eventualities, regardless of the condition, and this query is going to run against a fairly large dataset so any performance lag is going to be exacerbated.

Access 2007 Crashes On Excel 2007 Import

Mar 21, 2008

On trying to import an Excel 2007 file into Access 2007 I get the following:

1) Choose "External Data," Import, Exce
2) Select small file in MS Excel 2007 format.
3) Click on Import the source data into a new table ...
4) Choose OK

Immediately get "Microsoft Office Access has stopped working. Windows is checking for a solution to the problem..." This message never resolves, so I have to click 'Cancel'.

Then I get "Microsoft Office Access is trying to recover your information..." I have to click "Cancel" here as well and then kill MS Access in Task Manager.

Event Viewer gives following message, which is of no help:
"ID: 2, Application Name: Microsoft Office Access, Application Version: 12.0.6211.1000, Microsoft Office Version: 12.0.6215.1000. This session lasted 710 seconds with 120 seconds of active time. This session ended with a crash."

Trying to import a small Excel 2003 file leads the same result. The same happens with a CSV file.

I have uninstalled and reinstalled Office 2007 as well. I am using Vista Ultimate.

I have turned off DEP.

How can I get MS Access 2007 to import Excel?

Thanks

Ken

Access 2007 Runtime Not Visible In Access 2007

Nov 26, 2007

I installed Office Enterprise 2007. Then I installed DEveloper Exrtensions, then Access Runtime 2007. All appear to have installed OK - they appear in Program and Features.
Instructions on runtime packaging tell me that a Developer option should appear in the resulting drop-down when I click the Office button (top-left round thing) when I have a d/b open in Access. It's not there! I have un-installed and re-installed the extensions and the runtime - still nothing!
Help!
I do have Runtime 2002 (XP) on the same PC, is that relevant?

Queries :: Access 2007 - Update A Field In A Table With A Random Number / Long Integer

May 27, 2014

Is it possible to run a SQL command to update a field within a table with random numbers?

More specifically - random long integers linking back to an ID (autonumber) field in another table?

Background to this is, I have multiple static data tables related to each other by long integer identifiers (autonumbers)

The structure is fine but I haven't been provided with the actual data yet - but for development purposes, I need to work on other functionality which requires that this data be present.

So I want to fill my table with dummy data such that I can go off and work on the remaining functionality, but then just go back and clear it all out once I get the actual data.

I have one 'main' static table, which links back to other tables, which I have already populated with dummy static (i.e. company names, locations etc) Now I want to go into my main table and populate those fields in each record with a random ID. I don't mind doing this field-by-field (there's only a handful) but I've a lot of records in there (~1000) so I'd rather not do this record-by-record.

Limit A Field To User Defied Values Depending On The Input Of Another Field.

Nov 23, 2005

Hey all,

I have two fields 1 & 2

field 1 is a simple combo list of user defined values ie A, B, C or D

Field 2 relates to a attribute of the data in field 1 and is not always the same for A, B, C and D. i.e

A could have a,b,c,d or e
B could have c,e,f,g or h
C could have a,g,h,i or j
D could have v,w,x,y or z

I would field 2 to have a combo box which only displays a,b,c,d, or e when A is chosen in field 1; c,e,f,g or h when B is chosen; etc

How do I do this?

Cheers all,

Matt

Forms :: Limit Form Field Selection Depending On Another Field

Feb 5, 2014

I am creating a training database and first I have tables in relationship to the courses:

tbl_Courses
Course ID (Primary Key)
Course Title
Objectives

Instructors (lookup field allowing multiple instructors to be selected, meaning they are skilled to teach the course)

tbl_Instructors
Instructor ID (Primary Key
Last Name
First Name
Full Name (Caluclated to put Last Name, First Name)

[code]....

What I am trying to do on a form to create a new event is once the user selects the Course from the Course ID combo box, then I need the Instructor combo box to only display the instructors who are skilled to teach the course which are selected in the tbl_Courses.

I can get all Instructor ID's, but not the names and the class that has multiple instructors show on one line.Should I have not put the Instructors field in the tbl_Courses? Do I need another table for instructor skills or something?

General :: How To Limit The Options Of A Field Depending On Another Field

Nov 26, 2012

In one table I want to limit the options of one field depending on what is chosen in another field.

Field Type has two options: Receivable and Payable.

I want field Sybtype with this limits:

If Receivable is chosen in Type field you will only have CreditCard & Lockbox available in the Subtype field. If Payable is chosen you will only have Cheque & Transfer to choose.
Shall I have two separate tables? or only one table with Type and SubType as below? but then how can I make the above work?

Type SubType
Receivable CreditCard
Receivable Lockbox
Payable Cheque
Payable Transfer

Can One Field In A Table Be Used To Limit The Result Of Another Field In The Same Rec

May 25, 2007

Hi,

I have a fairly simple database that looks like the attached. It is the beginnings of a school database. Unfortunately, the MS template doesn't quite do it.

We have around 700 pupils in 5 year groups. Each year's intake is assigned the year of that intake (e.g. 2002, 2003 etc).

The youngest pupils are in Year 7 whilst the oldest are in year 11.

Each Class is assigned based on the intake year but given the name of the schooling year - (e.g. year 7, year 8 etc). And there are 6 classes per year - hence names 7.1, 7.2, 7.3 etc.

My "Students and Classes" table should combine both the classes and pupils. However, I want to be able to firstly select the class to put the pupil into (and hence infer the induction year), then just show in the next filed only
the pupils that belong to that induction year and hence go into the selected class.

However I design my lookup or query, I can't seem to figure out how to do this, or if this can even be done.

Any help is much appreciated.

Chris

Access 97 & 1 Gig Limit

May 17, 2006

Hello All:

We use a custom built Access “97 version” database at work that keeps track of our internal manufacturing processes. The database stores jpg’s and dwg files that use up a lot of precious DB space and if we had it to do over we would use hyperlinks to these files to save space. But this database we built long ago and we have reached the 1 gig limit of Access 97.

1) If we upgrade to a newer version of access will this increase the database limit to 2 gig’s
2) Is this kind of upgrade easy to do or should this be done by a Access professional

Thanks for the help

Limit Query By Part Of A Field

Sep 1, 2005

I have a table that I need to identify the records in that have specific text in one of the fields, the field also contains other data. i.e. the field (accessdescription) can contain any combination of the following text (Bridge, Report, Email). and I want to list only the records that have email in this field, noting that the field usually contains at least two of the possible entries.

Any pointers in the right direction would be greatly appreciated.

Does Access Have A Size Limit?

Apr 3, 2007

Hello,

I am working on something and have to link I think a few thousand tables from a "store bought" database here at work. Is there a limit in regards to access? I know they are just linking but I didnt know if Access gets nutty after a while...

Anyone encounter functionality breakdown due to size or complexity?

Thanks.

Did I Push Access To The Limit?

May 18, 2006

Need some feed back here.

Have I pushed Access to the limit? Everything runs great, although I do have some hecups, once in awhile but nothing major.

I'm at 100 megs. I have 40 users with read/write. I have maybe 300 users with read only.

The IT people told me that Access is not design to do this kind of work. I mention that it been running for over 7 years, with very few problems.
Those problems I created myself.

I guess I need some feed back from what you think.

Query Criteria If On Form Field Limit, Otherwise Do Nothing?

Apr 26, 2006

I tried to word the title as accurately as possible.
What I'm trying to build is a Form where they can select data in different fields to limit (filter) the list. In my query criteria I want to read the form, if there's a value use THAT in the criteria (for that field) otherwise ignore it.

I've tried isnulls etc. If I put a value (like City) it properly returns all the records with that city, however if I put nothing the "ISNULL" returns a value that the criteria doesn't match i.e. I get nothing.

There must be a way to tell a query to NOT use any criteria if an object (form!field) is blank...?

Reports :: Character Limit For A Field In Report

Jul 16, 2015

In my table, I have a field for "notes" and have it set to long text. It works just fine and has all the text visible. When I create a report or a form from this table, it truncates the text in that field. It limits to the 254 characters of old. I am not sure how to fix this. I have tried setting the WillGrow to yes and it still does not work.

Access Limit Of 148000 Records?

Apr 17, 2007

Finally after 2 1/2 days I have the ability to bring a dbase 5.5 file in to Access 2007.

1.Do a normal export of a DBF file out all dbase.
2. Excel 2007 - open the DBF file. Note: dBase Files (*.dbf)
3. Save as a .xlsx file.
4. Access 2007 - right click on table in left columnImportexcel
5, Note: You'll be looking at a window with a yellow bar across the top.
Browse to your *.xlsx file and open.
6. Select "OK"show Worksheets nextFirst Row Contains Column HeadingsNextNextNo Primary KeyextFinishclose
7. Double Click on file in left column and there it is.

Never got other methods to work, sad to say.

After a day to get to this result, the problems begin. Every time we would change one character field from 50 char to 6 char, or whatever, the out of memory or disk space error would come up. I have 250 gig available and I'm running 4gig of memory with nothing loaded but Access 2007. I even shut down my virus checker.

So I spent a day or two trying to find a wining combo (A File Size That Would Work). And here it is, 148500 records that comprise of a 21.3m file is the breaking point. If I change a character field, 250char to 6 char, I'm ok. If I change a couple more it get the error message. 150,000 will get a memory/Drive error no matter what is changed.

Is there a option in Access that should be on. Because I find it hard to believe that an old dBase program, one step up from DOS, can handle 350,00 records all day long and Access chocks on 148000 records. Up until now I thought Access was the best thing that happened. There has to be something wrong, no software designer would have done this. I even checked for a corrupt file, the best I could. If there is a file checked out there, I’m open to it.
