Filter A Report So It Doesn't Display Certain Records
Oct 18, 2005
hey everyone . .
i've got a report which pulls its data from a query. it pulls these fields:TestCode...Price...HID...Month...etc . . .
There are names of "TestCode" that we don't want to display, is there a way to filter certain "TestCodes" out? if so, how?
Here's my current SQL Code:
I have a query which pulls certain records from a table, here is my SQL statement:
SELECT [qryGroupByAMCount].[TestCode], [qryGroupByAMCount].[Price], [qryGroupByAMCount].[HID], [qryGroupByAMCount].[Month], [qryGroupByAMCount].[CountOfAutoNumber], IIf([TESTCODE]="PTCGCD",[CountOfAutonumber]*2,IIf([TESTCODE]="LSHABC",[CountofAutonumber]*4,IIf([TESTCODE]="HPVPNL",[CountOfAutonumber]*2,IIf([TESTCODE]="TOXOAB",[CountofAutonumber]*2,[CountofAutonumber])))) AS Extended
FROM qryGroupByAMCount

I have a memo field with RTF that shows properly on forms. For example
"<strong>"&"my text: "&"</strong>"&"more text" displays my text: more text
However, on my report it looks like the characters (e.g., "<strong>"&"my text: "&"</strong>"&"more text").
The report control is RTF format. why it doesn't display as I'd like?

I am using a SQL statement as the rowsource of a listbox. the expected result should be a list of 452 items which I verified by pasting the SQL statement into the Access query design and running the query directly. For some reason, in most cases, the listbox will only display 21 records. Other times it may display more than that (with the same SQL statement). What's really unusual is when I click on the form's "Find" button after the first set of 21 lines appears: it will then append more records to the list. Sometimes by doing this I can display all 452 records. The results seem to be somewhat random. I've tried adding delay loops, DoEvent statements, multiple requeries, repaint, etc. -- nothing I've tried seems to help. Any ideas?

How do I pull information from a subform (more than 1 record in subform at times) to put on my report?
I have added the subform to the report and set Visible property to No,
I know the syntax to refer to the subform and its fields but I don't understand how to get all records in the subform for the main record to be displayed.

Microsoft Access 2007.Background: I have a query that received work orders from out client system and runs them through access. Once in Access, an employee goes through the query output and organizes the records (mentally) by product_code. There can be be 1 or more records of a certain product_code and there are 129 total different product_codes. Say, a typical time the employee runs this query they might see 25 different records consisting of 6 different product_codes.Each product_code designates who (an email address) should be sent the work orders to approve.
The employee currently copy/paste the relevant records in an Outlook 2010 email body and uses an external excel sheet with the email addresses to see who it should be sent to. I'm automating this whole process.I've gotten an email to generate in vba, and to send an 1 email to each person who has one of their product_codes in the query output.
My problem is that I'm having trouble figuring out how to filter the emails so that instead of seeing all 25 records (from above example) they only see the records with their product_code.Another thing to mention is that as of now, I have a script that converts the report to HTML and sticks it in the body of the email. So I'm not sure how to edit that script to allow to filter the report or if that's even where I need to do the filtering (another procedure maybe?)
This is my html conversion script
'product_code = Mfg_Cd in this scriptFunction exporthtml(str_Sender As String, str_DataMsg As String)
Dim strlin As String, strHTML As StringDim objOutlook As Outlook.ApplicationDim objOutlookMsg As Outlook.MailItem
Dim objOutlookRecip As Outlook.RecipientDim varX As Variant
Dim RS As Recordset Set RS = Me.Recordset Set objOutlook = Outlook.Application
Set objOutlookMsg = Outlook.Application.CreateItem(olMailItem)

I am having trouble getting a query or report to show only the most recent data.
We have salesmen that use a handheld data collector scanners to count inventory in stores. The scanner data is imported to a Access table. Each record line is one scanned item. I have a query with totals that counts the records and gives me a total count of each item at the store on that date.
I then need to filter the data to only show the most recent date. Using Max Date I get the most recent date but the count fields are showing totals for all dates. I am also getting the unique item from the earlier date in this query which I do not want.
Here is my data table: Inventory Scans from stores.
Scan Date
Item Scanned
location
1/1/2014
item123
Store ABC
1/1/2014
item123
Store ABC
......
Here is my Query with Totals that counts the item records:
Scan Date
Item Scanned
location
(Item Scanned) count
1/1/2014
item123
Store ABC
2
1/1/2014
item 456
Store ABC
3
1/1/2014
item 789
Store ABC
1
2/1/2014
item123
Store ABC
2
2/1/2014
item 456
Store ABC
1
This is what I am trying to get - only the most recent date of counted items:
Scan Date
Item Scanned
location
(Item Scanned) count
2/1/2014
item123
Store ABC
2
2/1/2014
item 456
Store ABC

I have an Access database where we grade reports. At the end of the grading form I have a memo field [Comments] for the grader to enter comments about why the report received the grade [Grade]. Each report is graded by multiple people. So for example, ReportNum 08-001 may be graded by 5 people and therefore will have 5 records in the database. I need a report to show all the comments for all the reports where the grade is <80. I know how to do this except for how to display all the comments from the memo field in the 5 records on one report for that ReportNum.
I hope I am making sense. I appreciate any help.

I have a database that I have created for work. On the form I have several dlookups running. A couple of them show up as expected. But most of them are showing up blank. That is until you click on the box, then the result appears. Changing the Locked and Enabled settings does not resolve this.I have the database locked up for normal users. When I access it by holding shift while opening, when I access this form, the dlookups all show the desired results. No clicking on the boxes required.
I've tried refreshing, but that doesn't work. If I write code that loops through all of the textbox controls, setting focus on them and moving throuhg the form, then the results will show up. Basically having VBA click on the boxes for me. Although this works, there is a slight lag and screen flicker as it sets focus to all of these textboxes.

I've got a single form ("Lead Data") that has Cascading Combo boxes that work perfectly, entering data into "tblLeadData":cboMatterTypeIDcboMatterIDcboAttyIDcboPlglID Attorney & Paralegal are the people assigned to the Matter. My problem is in finding a way to allow a specific Attorney or Paralegal to filter for only his or her records. I made a query of tblLeadData that works perfectly as a query, but when I use it as a filter in an "on click" macro event, it doesn't work. I suspect it's because of the cascading combos, because I've successfully used this kind of query based macro filter in the past.
Okay, more on how it is set up. The same people are always assigned to a specific matter, so when you pull down the Atty & Plgl combo boxes, there's only one person. So it isn't a true Parent/Child relationship, but it's working. And there were two advantages of this set up over an autopopulate set up (which I considered): 1) When I change something in the reference tables (refAtty and refPlgl), it also changes in tblLeadData & 2) in case there's an exception to the usual assignment pattern, we can just leave Atty & Plgl blank and put the correct assignment in a text box called "AssignmentNotes."
So my query of tblLeadData that works, qryLeadDataAssign, uses the following fields:
tblLeadData.AttyID
refAtty.Atty
tblLeadData.PlglID
refPlgl.Plgl
tblLeadData.AssignmentNote
Expr1: [Atty] & " " & [Plgl] & " " & [LeadAssignmentNotes]Criteria: Like "*" & [Who?] & "*"
The Join Properties in the query between tblLeadData and refAtty is set to "2: Include ALL records from 'tblLeadData' and only those records from refAtty" where the joined fields are equal." And the same for Plgl.
When I run the query, it asks me a single time, "Who?", I put in the name and it pulls up all instances of the name from any of the 3 fields. It acts as a "contains" filter, not an "equals" one.
As for my cascading combos, here are the settingsMatterTypeIDRow Source:
SELECT refMatterType.MatterTypeID, refMatterType.MatterType, refMatterType.[MatterType] FROM refMatterType ORDER BY refMatterType.[MatterType]; On Change Event:Me.cboMatter.Requery
MatterIDRow Source: SELECT tblMatter.MatterID, tblMatter.Matter FROM tblMatter WHERE (((tblMatter.MatterTypeID)=[Forms].[LeadData].[cboMattertype])) GROUP BY tblMatter.MatterID, tblMatter.Matter, tblMatter.Matter ORDER BY tblMatter.Matter;
On Change Event:Me.cboAtty.Requery
[Code] ....
I put a button on the form and put an embedded macro as an "On Click" event. The macro is an "ApplyFilter" and the filter name is qryLeadDataAssign. When I click on the button, I am asked to enter
data 3 times:Enter Parameter Value: Atty
Enter Parameter Value: Plgl
Enter Parameter Value: Who?
Clearly, the expression in the query doesn't function in the button. And the result, no matter what I put in, is that all of the records are still there, although the filtered button is activated.
I tried putting the expression from the query into the macro builder window, but I for sure don't know what I'm doing there and haven't been able to make it work.

I have a report that has a link to open a a form "ProjectDetailsActive" to a specific record ID from the report. It works.
I have 3 subsets of users who have restricted access to the form "Project Details Active". By that I mean that when they open this form, it hides and rearranges some tabs, and disables certain controls. If a user from one of these 3 subsets tries to open the link to a specific record in the form, it does not work. The form opens to the first record available instead of the selected record. This is only a problem for these 3 user groups. For users who do not fall into these 3 groups, the filter works.
This is the only code in the form that does the restriction, but I don't know where the process is going wrong.
Code:
Private Sub Form_Current()
LoadBudgetPage
CancelRsn.Enabled = False
'detect number of line items for current project
Me.lblOrderCount.Caption = GetNumRecords & " line items for this project."
[code].....

In a form used to record a sale for a company we have a dropdown box with the contact names for that company and when one is selected it populates other boxes like phone number etc however the combobox brings up all possible contacts but when some of them are selected all the boxes return blank, including the combobox, whereas most of the contacts work fine.
The SQL used for the combobox is as follows..
Code:
SELECT tbl_Contacts.ContactTelephone, tbl_Contacts.ContactMobile, tbl_Contacts.ContactEmail, tbl_Contacts.ID_Contact, tbl_Contacts.ID_Company, tbl_Contacts.Salutation & " " & tbl_Contacts.ContactForename & " " & tbl_Contacts.ContactSurname AS MainContact
FROM tbl_Contacts
WHERE (((tbl_Contacts.ID_Company)=[tbl_CompanyBookings].[ID_Company]))
ORDER BY tbl_Contacts.ContactForename;
Why some contacts work and some don't ??

I'm trying to hash two scripts I've found into 1 functioning filter, however I'm still relatively new to vba and can't figure out how to get this working.
I'm trying to use Allen Browne's Search Criteria:
with another snippete of code I found here:
Code:
'Purpose: This module illustrates how to create a search form, _
where the user can enter as many or few criteria as they wish, _
and results are shown one per line.
[Code]....
It's the date part I'm having trouble with, the rest of the search criteria work fine without the date, but I can't get it working when I try to modify and merge the date sections of each code.
Also I'm using a listbox for the "Yesterday";"Last 4 days";"Last 9 days" and not a combo box.

I am using MS Acess2000 and need to make a report that will be passed around with production work. My primary key is the invoice number of the work order. Currently to open an invoice i have a macro, attached to a query with the following qualifiers; Like [Enter invoice]
This pulls up the current record fine.
for the form and flags the folloing in the property filter sectin of the form
(((([CustomerTableMasterRef].[Invoice]) Like [Enter invoice])))
PART 2
Now I am trying to use microsofts how to filter a report using a forms filter...
This picks up on the Invoice query as shown above but does not just insert the query results...
Is there better code or another way to approach this... Currently i am using:
Name:cmdOpenReport
Caption: Open Report
OnClick: [Event Procedure]
Private Sub CmdOpenReport_Click()
If Me.Filter = "" Then
MsgBox "Open an Invoice First"
Else
DoCmd.OpenReport "rptCustomers", acViewPreview, , Me.Filter
End If
End Sub
Using this code not only does my report not detect the correct fields to import data (no data is filled in) but it requerys the invoice or atleast should, which I could do with out all of that code...
Where should i go from here?

On one of my Access2000 forms, I have the following sub that takes the user to a particular record whose value is passed to the sub as a variable. It frequently results in EOF being true because the recordset does NOT get all the records in it during rs=RecordsetClone. I set a msgbox to tell me the RecordCount, and even though there are almost 3000 records in the underlying table, the rs.RecordCount was anywhere between 300-750 each time I ran the code. Therefore, rs.find won't find the right record most of the time, because that record won't be in the recordset. What causes this and how can I fix it?
Here's the code -- I've got MoveLast and MoveFirst both in there to help ensure that all the records get grabbed, but that had no effect; I still get EOF:
*****************************
Public Sub GotoOrder(pOrdID As Long)
On Error GoTo Err_GotoOrder
Dim rs As ADODB.Recordset
Set rs = Me.RecordsetClone
rs.MoveLast
rs.MoveFirst
rs.Find "OrderID = " & pOrdID
If rs.EOF Then
MsgBox "Record not found."
Else
Me.Bookmark = rs.Bookmark
Me.Visible = True
Me.SetFocus
End If
Exit_GotoOrder:
Exit Sub
Err_GotoOrder:
MsgBox Err.Description
Resume Exit_GotoOrder
End Sub

I've encountered a simple problem. =) I have a report based on a query. Of course due to the relations the query table should affect the report. But it does only with the filter parameters I put in the Query Design View, the quick ones ("filter by selection", etc.) that are in the result table view work there but doesn't affect the report. Still the query asks me to save it each time I apply any of these quick filters but make no changes at the end.
Any ideas how to make them work in the report? Or these filters are temporal and shouldn't work in that way? If so, what could I do to simplify customer's life?

I have a query that has a field that reads DateReceived By Month: Format$([Workorders].[DateReceived],'mmmm yyyy') The criteria line is Like "*" & [Enter Month & Year (Leave Blank for all)] & "*" And this works when I run the query. If I enter october 2013 it shows only records for this date range like it should.
Then I built a bar chart report that will show the workorders only for the month entered. The problem is, If I leave this field in my query the chart does not update . When I open the chart it will prompt for the month and year but the data in the bar chart doesnt change. If I remove this field the chart updates as expected.
If I go into design view for the report and then right click on the chart and go to properties , then to row source, it reads as this:
TRANSFORM Sum([Workorders Query2].MyTime) AS SumOfMyTime SELECT [Workorders Query2].SerialNumber FROM [Workorders Query2] GROUP BY [Workorders Query2].SerialNumber PIVOT [Workorders Query2].[MXDPrinter];
If I click on the elipstical to go into query tools for this line , and click on run I get the error : The microsoft Access database engine does not recognize '[Enter Month & Year (Leave Blank for All)]' as a valid field name or expression.
So my criteria runs normally in the query and returns the correct records, but I can't get it to work in the chart .

I have a query that sums up the number of parts used. This works fine.
I want to be able to limit this query to parts used after a specific date.
I have in my report
DoCmd.OpenReport "Part Totals Report", acViewPreview, , "[Part Date])>= " & SQLDate
The report is bound to a query that has 2 group by fields, 1 count field a a further field, a date field ([Part Date], that I put a default criteria on. This field is not displayed. If I don't put a criteria on this field disappears when I close and open again.
I pass a date to the program via a form and this ultimately ends up in SQLDate. When I run this I get promted to enter [Part Date] even though I'm setting it equal to SQLDate above. I can out garbage to a proper date in here either way the report picks up the default date entered in by the query.
1. Get rid of all of the parameters off the query.
2. Then you can use the Where Clause of the DoCmd.OpenReport code to specify the parameters based on your variables.
1.Not sure what this means but when I get rid of the criteria for the parameter the field disappears (I'm setting the show field to no as I don't want totals group by date). Getting rid of the field gives me all parts used.
2.I think I'm doing this in the above but will bow to superior knowledge!!
or is it I can't pass a parameter to a report run by a query that is grouping fields together to produce a count.
Incidentally once the report has been run (albeit with the wrong parameters) and I go into design mode and look at the property sheet for the report the correct filter is there (i.e., the date that has been input) but it quite clearly ignores this.

(this might be more appropriate in Forms; apologies if I'm putting it in the wrong place.)
My company runs a home repair program and we keep track of our clients in a database I made a few months ago. We use almost exclusively a form drawing from 3 tables. We just hit 800 records (according to the form) and I was checking some things, and found that there are 807 records in each of our 3 tables.
I did a preliminary check, and the primary keys match as best I can tell, so I'm trying to figure out how 7 records can be missing from our form.
Any ideas?
Thanks in advance.

I Have a table that contains the fields: CAT, CHAPTER, ID, someSrting and Completed
CAT, CHAPTER, ID are numbers and Completed is true/false. If I mark a certain entry as Complted (true), I want all the records with the same (CAT, CHAPTER, ID) as the one I marked to be updated to Completed.
For example, If I marked the entry cat:1 chapter:1 id:1 as completed (true), I want all the entrys that have cat:1 chapter:1 id:1 to be marked as completed (true)
the code I wrote is:
Code:
Private Pub Completed_check_AfterUpdate()
Dim myCC
Dim myCat
Dim myChap
Dim myID
myCC = Me.Completed_check
myCat = Me.CAT
myChap = Me.CHAPTER
myID = Me.ID
CurrentDb.Execute "Update [my Table] " _
& "SET Completed = (" & myCC & ") " _
& "WHERE CAT = (" & myCat & ") And CHAPTER = (" & myChap & ") And ID = (" & myID & ") ;"
End Sub
I'm running the code (my clicking the "check box") and nothing happens, I was thinking that maybe I defined the after "WHERE" statement wrong, and there are 0 entrys changed..
UPDATE: after removing the
Code:
"& "WHERE..."
row, the code does update the entire table, so I have a problem with the syntax of the sql..
