Queries :: Find Data In One Table And Put In Field Of Another Table Then Update

Nov 7, 2013

I have an "order details" table that needs to populate a field called "Voucher" with data from another table called "codes". The "codes" table also has a true/false field called "allocated" because once allocated the code cannot be re-used.

I am trying to work out how to automatically allocate the next unallocated code in the "codes" table to each record in the "order details" table when that order details record has a DiscountID of "92".

Order Details Table Fields and conditions/criteria:
ID - primary key
DiscountID - only when the DiscountID = 92
Voucher - only populated when Discount ID = 92

Codes table Fields and conditions/criteria:
ID - primary key
code = text field with a code like "einstein01", "einstein02"
Allocated = False

Is there a way to put the next available code into the order details record then mark that code as allocated in the codes table. Then, move on to the next order details record that has a discountID = 92, input the next unallocated code and mark that code etc. etc.

Ideally, I would like to do this to happen via an event when the Order forms button "Close" is clicked.

Tables :: Prohibiting Duplicate Data In A Table

Nov 12, 2012

I'm having some issues with stopping duplicate entries in a table and have tried a copule different ways with no avail.

In one table in particular, I have a table holding employees as followed;

EmployeeID: PK
FirstName
MInitial
LastName
Company:FK
DepartmentFK

What I am trying to do is stop the ability to duplicating records over a series of fields (FirstName, MInitial, LastName, Company)rather than just one specific field.

I attempted to index the table as followed;

EmployeeID: PK/Unique
FirstName: Unique
MInitial: Unique
LastName: Unique
Company: Unique

The problem with this is it wont allow me to enter more than one person with the same first, middle, or last name or company.

I tried "DCount" Code in a form with no luck, that code reads as followed:

Code:
Private Sub Form_BeforeUpdate(Cancel As Integer)
If DCount("*", "tblEmployees", "[firstname]=" & Chr(34) & Me!firstname & Chr(34) & _
" And [MInitial]=" & Chr(34) & Me!MInitial & Chr(34) & _
" And [LastName]=" & Chr(34) & Me!LastName & "#") > 0 Then
Msgbox "Person already exists."
Cancel = True
End If
End Sub

Note: this code was initially used on a different database I was working on that accounted for an individuals First Name, Last Name, and Date of Birth which worked great. I am just trying to apply that similar concept to this new database with first name, middle initial, last name, and company; which will be a foreign key.

Can Use A Find Expression To Parse Data In A Table

Jul 9, 2012

I've got a Table with a string of data delimited by an "*". The first part of the string before the "*" can be variable in length, so if I use a LEFT expression to break apart the 2 parts of the string on each side of the "*", my results are incorrect. In MS Excel, I can use the following formula to solve the problem:

=LEFT(B6,(FIND("*",B6)))

You are just substituting the number of positions with a Find command that looks for the "*", and returns anything left of the "*". Unfortunately, the brilliant programmers at Microsoft, once again, don't have an Excel function in Access. how to recreate that functionality in a table in Access?

Find Duplicate PrimaryKey Violation...

Oct 24, 2006

Okay,

I have 33,099 records in a query, that i'm importing into a table. (don't bother witht he semantics, it's from a linked dbf file)
The table does not have a primary key. Given Three Fields (out of 74):

Item_ID
Title
AltTitle

With the table populated with all the records, I highlighted those three fields in Design View of the table, and told told access to make all three of them the Primary key. Upon attempting to save the table, I got an error message saying that data in the table violated the primary key unique fields rule or what not.
So I wanted to make a query to determine where the error occurred. I could not off the top of my head figure out how to select only the duplicated records in a table, so instead, i figured if they violated the Primary Key unique field rule, there should be duplicate entries. so I did this:

select distinctrow item_id, title, alttitle from tbl_Table;

I got 33, 099 records returned on the DISTINCTROW. Strange as that was, I deleted all the records from the table, set the primary key as I wanted it, and then repopulated the table via my sql insert into commands. This time the table reports only 33,093 records, meaning 6 records somehow violate the primary key unique index, but don't violate a DISTINCTROW call. How can i find them to determine how they are violating the primary key unique index?
thanks

Filling In A Column Using Data From Another Table

Jan 20, 2015

I have a list of 4300 clients. The clients' personal information and ID numbers are listed in the table BasicInformation. Another table, DiseasesAndValues lists 17 diseases and a "scheduled value" (long story short - an amount of money) for each disease. Each client has one of these 17 diseases. I would like to have a column in the BasicInformation table which shows the scheduled value for the disease that a particular client has by going back to the DiseaseAndValues table and checking to see what the scheduled value of their disease is. Alternatively, I could use a query that could enter in these values with a click of a button.

Find Records With A Duplicate Field Entry

Jul 24, 2007

Hi, I have a cross-ref table (called MFC_CIBC_XREF) which links a bank account to a fund number and a general ledger number. It should be a unique relationship, wherein (the "=" means corresponds/links to)

Bank Account # "=" Fund #

For each bank account, there are sometimes multiple currencies being used, so each currency then links to a general ledger account, such that

Bank Account #.Currency = Fund #.General Ledger #

Sorry, if that's kinda cryptic, but here's an example:

Bank Account - ABCD123
Currencies operated in - CAD, USD
Fund # - F30

Based on the above, ABCD123 "=" F30, and including the general ledger numbers, ABCD123.CAD "=" F30.100, ABCD123.USD "=" F30.8121.

Basically, it's a way to keep track of not just the transactions for a particular bank account, but for the transactions in a particular currency.

Anyway, as I said, it's supposed to be a 1-to-1 relationship: each BankAccount.Currency should correspond to 1 and only 1 Fund.GeneralLedger. However, there are some entries in the table which have each BankAccount.Currency corresponding to multiple General Ledger numbers. Using my example above, ABCD123.CAD has two records in the table, one corresponding to F30.100, and another corresponding to F30.8101. This was probably because F30.8101 used to be linked to a different bank account, that got merged (ie, it might have been linked to ABCD124.CAD that then got merged into ABCD123.CAD).

Now I want to run a query on MFC_CIBC_XREF and find all the records where for each BankAccount.Currency, there is more than one Fund.GeneralLedger. I don't really know that much SQL, and even in Design View, I'm not sure of the statements to use. Any help is much appreciated.

Comparing 2 Tables To Find Duplicate Values

May 9, 2006

Hey all

Im rather new to access but have to use it at work. Ive been asked to see if there is a way to delete duplicate records from a table.

Now, I have 2 tables. The 1st table (tbl_list) contains records of various customer details. This list is old.

The second table (tbl_new_list) contains new customer details.

We have found that we have the same customer details in tbl_new_list that are in the old table.

Im looking for a way to compare these 2 tables so that the values in tbl_list are not in tbl_new_list.

I have tried numerous methods using append queries but nothing seems to work.

Thanks in advance people

P.S the data will be compared through a telephone number.

Queries :: Table With Duplicate Records - Return Distinct Data For Each Client

Jan 17, 2014

I have a table with duplicate records (which is ok) and I want to return distinct data for each client.

It works fine when there is only two fields returned however, when I add a third field to the query it no longer returns only the Distinct records - I am getting Duplicates returned.

I.E

SELECT DISTINCT tblClient.ClientNo, tblClient.Name
FROM tblClient

Works fine with only the Distinct records for each client returned

However

SELECT DISTINCT tblClient.ClientNo, tblClient.Name, tblClient.Address, tblClient.OrderValue
FROM tblClient

Now returns Duplicates!

Is there a limit to the number of fields to be returned using DISTINCT or what else could be the problem? Should I be doing this some other way?

Queries :: Find Specific Data In A Table To Produce A Report

May 14, 2013

I have a table that is linked into access 2003. This table is updated by personnel in another location and I have to run a weekly report on engines that are below a certain performance level.

The column heading is MGT Margin and I have to list all of the engines that are below 20 degrees.

Can I run a query that looks at this table and produces a report of all the engines that are below 20 degrees?

I currently have to cut and paste each engine from the updated spread sheet every week onto a separate spread sheet and import that into access. If a query can be used to do what I am after I can use similar principles in other reports I have to run.

private Sub chipsoftnummer_AfterUpdate()

It doesn't work, simple things like hello world do work so VBA is enabled.

How To Find Duplicate Entries Across 2 Columns In Access And Line Them Up

Nov 16, 2012

There is an issue that I cannot resolve in MS Access:

I have a large files with multiple columns that has 2 columns that randomly contain duplicated data.

I would like to filter out the duplicated entries in these 2 columns without spoiling the data integrity - and so the duplicates appear on the same row.

I think what I want it pretty much like conditional formatting in excel, but unfortunately the file size is really large to be filtered in excel.

VBA Help : Exporting Column Names With Data From One Table To Another

Feb 12, 2008

I have an Access table say Tbl_People that looks like :

ID1-ID2-Name-Age-Location
xxx-yyy-Mike-25-Essex
uuu-vvv-Jack-32-Surrey
mmm-nnn-Bob-36-Newcastle

I want to transfer this data into another table say Tbl_Output with four columns in the format below:

xxx-yyy-Name-Mike
xxx-yyy-Age-25
xxx-yyy-Location-Essex
uuu-vvv-Name-Jack
uuu-vvv-Age-32
uuu-vvv-Location-Surrey
mmm-nnn-Name-Bob
mmm-nnn-Age-36
mmm-nnn-Location-Newcastle

In Tbl_Output's 3rd column, only the Columns names: Name, Age and Location are repeated for each person and not column names ID1,ID2 (only its data xxx,yyy etc. is required in columns 1 and 2 as shown).

I was helped by rpeare with a VBA module that gives a single column output in Tbl_Output as

Mike
25
Essex
Jack
32
Surrey
Bob
36
Newcastle

The code is:

Sub main()

Dim db As Database
Dim rstElements As Recordset
Dim sName As String
Dim sNumber As String
Dim sArea As String
Dim freefile
Dim Filenumber As Integer
Dim sSQL As String

Set db = CurrentDb
Set rstElements = db.OpenRecordset("tbl_elements")
rstElements.MoveFirst

sSQL = "DELETE * FROM Tbl_Output"
db.Execute sSQL

Do While rstElements.EOF <> True
sName = rstElements.Fields(1)
sNumber = rstElements.Fields(2)
sArea = rstElements.Fields(3)

sSQL = "INSERT INTO Tbl_Output (OutputField) SELECT '" & sName & "'"
db.Execute sSQL

sSQL = "INSERT INTO Tbl_Output (OutputField) SELECT '" & sNumber & "'"
db.Execute sSQL

sSQL = "INSERT INTO Tbl_Output (OutputField) Select '" & sArea & "'"
db.Execute sSQL

rstElements.MoveNext
Loop

Set rstElements = Nothing
Set db = Nothing

End Sub

How can this be modified to get the required format data above? Thanks for any help in advance
