Forms :: Checking For Required Fields Before Saving Record
Aug 25, 2014
I have a transaction form and there is at least two fields I need to make sure have been entered before the record is saved.
I have no problem with text or numeric fields but I can't seem to be able to check the contents of a drop down field.
What is the best method to use to make sure a drop down has been selected by the user and contains a value.
I have temporarily used a default value in the drop down but that's not really what I want.

I have made a form based on related tables. it requires me to fill out every field, which I don't want. I didn't make them required. Why does it do that?

I've got an attendance form set up with check boxes for each day I want to check attendance. I have two problems with this form.
1) All the boxes start out with little squares (I want them to be blank)
2) If I try checking a box for one person, it checks all the boxes in the column (same with unchecking).

I have a form and subform.The form and subform both access tables that have "required" fields.If I try to tab to the sub form without filling in the required field then I get an error message generated by access (this is what I want). If I try and exit the form without the required field I get an error message as well.
Now it's a different story with the sub form. The sub form contains 1 to many rows. In each row there is a required field. I don't get any error message for not filling in that field. I Know I can 'capture' this in the code but I want access to do it.

I am working on an Access 2002 database where one of the tables has five required fields making up the key.
There is a form that is linked to this table which is used for adding new records.
There is a close button on this form that has the following code in it's OnClose event:
"DoCmd.close"
When the form is opened, no data entered and then the close button is clicked - nothing happens.
It used to work fine, until I recently upsized the database into a SQL Server database and now it's all gone horribly wrong.
If I close the form manually by clicking on the cross, I get this
error:
[Microsoft][ODBC SQL Server Driver][SQL Server]Cannot insert the value
NULL into column 'Product', table
'LeasebookSQL.leasebook_user.leases'; column does not allow nulls. INSERT fails. (#515) [Microsoft][ODBC SQL Server Driver][SQL Server] The statement has been terminated. (#3621)
Can anyone please tell me how I can get the form to close without trying to save the record, especially when no changes have been made to the data on the form?
Thanks,
Simon

I tried to check if all required fields have been filled before saving the record using the following code.
Private Sub txtReportNo_BeforeUpdate(Cancel As Integer)
If IsNull(Me.cboMainCat) Then
Cancel = True
MsgBox ("Please enter Data for Main Cat")
Me.cboMainCat.SetFocus
End If
Repeat above code for all required controls here.
End Sub
It did not work with following error code.
Run-time error 2108
You must save the field before you execute the GoToControl action, the GoToControl method, or the SetFocus method.
The error message contradicts my original intention that prevents from saving without all required fields have been filled. Is there any way to get rid of this error message?
In addition, under the value of certain field, I need to check additional fields under that scenario. Is any additional code required to add in for that purpose?

I have a subform with records of call details (date, time, subject) - the date and time are autogenerated and subject is a text field. After entering text in the subject field and then clicking on the close button in the main form, or clicking anywhere else in the main form, the record is saved to the table. However, if I enter text in the subject field and then move up to view previous records (within the subform) and then click the close button in the main form the record is not saved in the table. How can I either save the record before allowing the user to move to another record within the subform or before exiting the subform set the focus to the new record so that it will be saved on exit?

I need code that I can incorporate with the code below, that will notify a user when required fields are left blank so that they have to go back and fill it in before updating the record. Below are the objects (shown in the order they appear on the form):
cmbModel
txtSerialNo
txtExpDate
txtPONo
cmbOfficeLoc
If any of the objects above are empty, the user should be prompted to go back and fill them in setting the focus back to the first empty object (again the fields above are in order). If conditions are not met, do not run the code below. If the conditions are met then proceed with the code below.
Private Sub Form_BeforeUpdate(Cancel As Integer)
Dim strMsg As String
Dim iResponse As Integer
' Specify the message to display.
strMsg = "Do you wish to save the changes?" & Chr(10)
strMsg = strMsg & "Click Yes to Save or No to Discard changes."
[Code] ......

I am using code like this to give warning messages and pass on focus to boxes only when things are selected.
Private Sub TextBox2_Exit(Cancel As Integer)
If IsNull(Me.TextBox2) Then
MsgBox "TextBox2 cannot be left blank"
Cancel = True
Else
ComboBox1.SetFocus
End If
End Sub
I do this for a series of required fields in order.
However, I also want a command button that is 'Exit without Saving' that should be clickable at any time, but of course when focus is controlled in my required fields sequence, it can't be clicked. How can I separate this button?

I created this function to manage a MsgBox containing all required fields with no data:
Code:
Function FormValidation(TheForm As Form) As Boolean
Dim boolResponse As Boolean
Dim strError As Variant
Dim ctl As Control
boolResponse = True
strError = Null
[code]...
Then, I have a Form_BeforeUpdate event, where I wanna place the function, which contains also some VBA code to manage duplicates records:
Code:
Private Sub Form_BeforeUpdate(Cancel As Integer)
Dim rst As DAO.Recordset, dbs As DAO.Database, strICAO As String
Dim ctl As Control, txtMsg As String
[code]....
Now, how to add the function in this event to get these two results:
1. if required fields are blank and I press OK on the MsgBox, the routine must stop;
2. the focus must go in the first required blank control.
I tried some options but I get different kind of malfunctions: no custom message for duplicate records but only the access default one, "go to next record" feature with tab key not working and so on.

I have created a Form based from a Table. On one of the fields, I need to be required inside the Form before moving to the next record of that form. I can not make the required field in the table, because I have to append information day to day.
Also, the required field is a combo box option that is limit to the list.
What kind of Code I can do inside the form of the specific field to make it required before clicking onto the next record. It does not matter if the processor closes out of the form before updating, only if moving to the next record.

I have a field on a form [vin] that is based on a table, except i changed control source to a Dlookup to pull the vin number in from another table so i wont have to type it when i enter the record. However, this field is not saving when i save the record. I cannot just make a relationship because we reuse the same vehicle numbers, when we sell van 1 with vin 123, and replace it with a new van with Vin 456, we still call it van 1, so the unique vin is the only way to distinguish the two.

I have a form frmAddNewProject that is a Data Entry form.When you click Add Project on the form, it creates folders and copies files to a location and also creates new record(s) in the ProjectT table with appropriate information.Here is my code:
Code:
Private Sub cmdAdd_Click()
Dim FSO As Object
Dim FromPath As String
Dim ToPath As String
Dim FolderPath As String
Dim strType As String
Dim strYear As String
Dim strGPN As String
[code]....
Everything works fine till here. Now I would like to close the form but closing it gives me an additional empty record.
Code:
Dim ctl As Control
On Error Resume Next
For Each ctl In Me.Controls
ctl = ctl.DefaultValue
Next
Set ctl = Nothing
to remove all values, but then it just adds an empty record.Is there a way to close that form without removing my legitimate new records and without adding empty ones?

I have a form for meeting records. One text box contains meeting notes, which is linked to ntext variable (SQL linked table) on the underlying table. The database has about 40 users but this particular form get no more than 10 new records per day, not so much activity.
This is the problem: sometimes a user start filling a new record, fill the meeting notes, but when he saves the record the text box gets blank and the record is saved with null value in the text box. This happens randomly but not very frequently.
Sometimes frustrating because the text may contain a full page of text and then when the user save the record all the typing is lost! Text box is with RTF formatting. I suspect it has to do with the Ntext data type of the underlying table. Shall I convert it to varchar(max)?

I have a popup called by a subform to add a new record or edit a selected record. I keep getting "Runtime error 32502". The value you entered isn't valid for the field "|"
I have no required fields and all the drop down related fields have the right value type in them (That I can find)The only "|" reference I can find is in the OpenArgs content below when I load the form. If I'm adding a new record I pass two fileds via the OpenArgs
Private Sub Command52_Click()
DoCmd.OpenForm "AddDebtorPaymentFrm", , , , acFormAdd, OpenArgs:=Me![DebtorId] & "|" & Me![MatterId]
End Sub
or if I'm modifying a record from the subform on click I
Private Sub Text38_Click()
DoCmd.OpenForm "AddDebtorPaymentFrm", acNormal, , "[Transactions].[TransId] = " & Me.TransId, acFormEdit
End Sub
Below is the Popup Load code
Private Sub Form_Load()
If Me.DataEntry = True Then
Me.VariableHeading = "Add A Debtor Payment"
[code]....

I have a form that I need to use to add new clients to a table in my database, lets call it tblClients. On this form I have a combo box which, when selected, will drop down with the first and last names of all clients in tblClients, as well as their Client ID. Once you select a client from the drop down menu, it populates all of the fields in the form with that clients info (Client ID, fname, lname, address, phone number, etc. etc.).
I need two other things on this form: one button that will save or modify whatever current record is currently pulled up, and one button that will start the process for entering a new client, so basically it would blank out all of the fields and fill the Client ID field with the current number +1.
As of right now I have the form made and the combo box works, in that I have 3 dummy clients in the tblClients and when I select each client from the combo box it will populate the fields on the form with the info. I'm using some simple VBA on the combo box such as
Me.FirstName = Me.cboBox.Column(1)
and that seems to all work, but the problem is trying to save/modify data to tblClients. The only record in the actual table that gets modified seems to be the first record. For example, if I pull up client with ID #3 and change his address or phone number, what happens when I click to save the changes it takes client ID #3 record, overrides it with client ID #1, and then client ID #3 is the same as client ID #1 except with the old information. I'm not quite sure why this is happening.

I have a form with mandatory fields highlighted a different colour (yellow or blue). On the form are 3 tab pages with subforms which also have these fields.
I have added a checkbox named incomplete to each tab page and to the form. My intention is to try to write some code to look at each field on the page and if the non-white (ie mandatory) fields all have a value, then the incomplete on that page is changed to no. The code then checks the incomplete value for all 3 pages - if these are all no and the form's mandatory fields are also filled in, then this also becomes no.
When creating reports, I can then find out which records have not been completed and notify the relevant staff. Also if the data is incomplete, they don't want those records appearing in reports - so I can use the incomplete value from the form.

For my query I have 3 tables.
TEAMS. This contains TeamID / TeamName and TeamManagerName.
TeamAPPLinks. This is a many to many relationship and contains TeamAppID / AppID and TeamID (TeamID links to Teams.TeamID and AppID links to Applications/AppIS)
Applications. This contains AppID / AppName / Pass/Fail.
So teams can have many applications and applications can have many teams.
I only want to show teams that have all applications that have the Pass/Fail column as PASS. I have managed to do this for FAIL runing a query in a query but obviously its different for PASS as all associated applications have to be a PASS, not just one FAIL for a FAIL.

Hi! Please help!!!
I'm currently building a bookings database and have encountered an alert message that I cant seem to rectify -
"You cannot add or change a record because a related record is required in the table 'Booking Details'"
Basically - I have a 'Customer Database' form that is linked (via command button) to a 'Booking Details' form. Within 'Booking Details' I have 2 sub forms - 'Booking Quote' and 'Booking Payments'. Both subforms are linked to the 'Booking Details' form by the 'booking ref' field with RI.
I have no problem updating information in the 'Booking Quote' subform, but when I try to add information to 'Booking Payments' it states the above message.
Can anyone please advise as to how I can prevent this happening? I'm slowly losing my mind....!!!
Many thanks,
Stacey

Currently I keep getting this error: "You cannot add or change a record because a related record is required in table"..My current tables are this:
Primary Table with persons info:
Primary Key - Auto number generated
Name
Address
Email
Phone
I have 4 other tables with use check boxes.
ex:
Table 1 - Geographic locations visited
ID - Auto generated
USA
CANADA
ASIA
ECT...
Table 2 - Languages Spoken
ID - Auto generated
Spanish
Chinese
English
Table 3 - Skills
ID - Auto generated
Hunting
Dance
Singing
Weaving
Is this not a genuine one-to-one relationship table? I mean No two people would have had visited the same places and speak the same language no? I tried to create a one to one relationship with the primary key to the auto generated ID of the child tables but I'm sure that is not how you do it. Also when I try to save the check boxes in my form and I close it and come back it doesnt save and is blank again. Is it because my form gets its information from a query that takes all the information from all the tables.
how I can get this to work properly? Am i to make use of a foreign key? I've read a lot about it online and watched youtube videos but I dont see why I need it here in this case. Is there a way to set the IDs in the child tables to be the ones from the primary table? Or do I have to use a foreign key and manually input the primary ID into them?
Or would it be better to have all these child tables in the primary table and have one large table instead? I just didnt do that because one of them has like 20 checkboxes with cities and locations
