Forms :: Counting Distinct Values In A Filtered Subform
Sep 15, 2014
I am a novice and have been searching to no avail for a solution to my problem. I have a main form and a subform (datasheet view) of a table. In my main form I have various calculations which calculates the data from the subform (when auto-filtered). What I am trying to do is count the distinct [Call Number] reflecting the data from the subform into a textbox in the main form (when subform is auto-filtered).

I have this table ("people") and an example of possible rows:
id(key) COL 1 COL2 department country name
1 xx yy KPP USA John
2 zz kk KPP USA John
3 ss ff TLL USA John
4 ww qq PPO Italy Marco
5 jj uu PPO Italy Marco
I have to count the number of distinct DEPARTMENT for each NAME; so, for John should be 2 (KPP and TLL) and for Marco 1 (PPO).
I have tryed in this way:
SELECT
COUNT(DISTINCT department) AS NumberOfDifferentDepartments
FROM people
GROUP BY name;
But Access says me there is a syntax error.
I'm working with MS Access 2002.

i'm trying to get a count of how many customers made billing requests during the month of november. the query is based on one table in the database. some customers made multiple requests, but i'm looking for the number of different customers who made requests, not the total number of requests made. the following sql stuff weeds out the duplicate customer numbers and lists each unique customer number.
SELECT DISTINCT TBLBillingRequest.MemberID
FROM TBLBillingRequest
WHERE (((TBLBillingRequest.DateSCSCLogged) Between #11/1/2005# And #11/30/2005#));
my problem occurs when i try to to incorporate the count function like so.
SELECT DISTINCT Count(TBLBillingRequest.MemberID) AS CountOfMemberID
FROM TBLBillingRequest
HAVING (((TBLBillingRequest.DateSCSCLogged) Between #11/1/2005# And #11/30/2005#));
it gives me a count, but the count includes duplicate customer numbers as well, not the total of unique customer numbers, which is what i want.
any suggestions/help would be greatly appreciated!

I am currently trying to make a form which will generate a report for the users. Currently the form has 3 combo boxes where users select which fields they want displayed from the table in the report. They also have sorting options next to them (Asc or Desc). I am now trying to put in a multi select list box under each combo box to allow users to filter the report to their liking. Currently I am trying to pull distinct values from the specific field of the table and display them in the listbox for users to select.
I have tried using vba to set me.filter1.rowsource = SELECT DISTINCT me.combo1 FROM EVAP_Database, but this doesnt seem to work. I have also tried a few other codes and still no luck.
Table: EVAP Database
Combo: Combo1
Filter Listbox: Filter1

I remember reading a tut on how to count records using Running totals in a report - but I cannot remember where I read it. It went something like this.
In the section that you want to count, add a field with record source '=1' and make it a running total for the group.
In the header (one level up from where the running total resides) add a field with record source =Max(RunningTotalField)
Although the 'intellisense' sees my 'RunningTotalField' when I create the above mentioned formula, when I run the report, its asking me to input the value for the 'RunningTotalField'?
Have I confused some concepts or am I on the right track?

I have a form [Art_DepartmentFilter] that has a subform [Art_ByRoomSubform]. The linked master/child fields are DeptID and RoomID.
There is a list box on the form that allows you to select the department, and this also updates a list box that shows the rooms in that department that have art in them.
I would like the user to be able to filter the form to show either all of the art in that department, or just the art in the specific room. I have two separate buttons, one for each filter (cmdDeptFilter, and cmdRoomFilter).
I realized I had to add the link for the RoomID in order to get the filter for the room to work (which it does nowoCmd.ApplyFilter , "[qry_artbyroom]![DeptID]=[forms]![art_departmentfilter]![textdeptid] and [qry_artbyroom]![roomid]=[forms]![art_departmentfilter]![textroomid]").
However, DoCmd.ApplyFilter , "[qry_artbyroom]![DeptID]=[forms]![art_departmentfilter]![textdeptid] and [qry_artbyroom]![roomid] like '*'" returns just the first room listed for the department, not all of the rooms.
How can I show all of the rooms for the department selected?

I'm creating a report for an imaginary "medical clinic's database", the intended function of which is described as follows: "Create a statistic that shows the total number of distinct drugs prescribed to a patient."
Where I'm at:
I've created a query called UniqueDrugs containing drug and patient info. The SQL is:
Quote:
SELECT DISTINCT Drugs.Drug_Name, Patients.[Patient _ID]
FROM Patients INNER JOIN (Drugs INNER JOIN Prescriptions ON Drugs.[Drug_ID] = Prescriptions.[Drug_ID]) ON Patients.[Patient _ID] = Prescriptions.[Patient_ID]
GROUP BY Drugs.Drug_Name, Patients.[Patient _ID]
ORDER BY Patients.[Patient _ID];
The results of this query seem to be what I need. All I need is for the count formula that I use to return the number of distinct drug names there are that are related to a patient's ID.
I've created a report and I've put the following formula into a text box:
=DCount("[Drug_Name]","[UniqueDrugs]","[Patient_ID]=[PID]")
Where PID is the name of another text box in the report that contains the Patient ID that I want to compare to the drug names returned by the query.
However, this *always* results in #Error, no matter how I change the formula.I have been led to believe that syntax is not the issue, as the following formula worked as intended for a different task:
=DCount("[Prescription_Date]","[UniqueYearQuery]","[Patient_ID]=[PID]")
How do I use a DCount to return the number of different drugs that have been prescribed to a patient?
If it did not require the number of different drugs, I would simply use the following formula, which works just fine:
=Count(Drug_Name)

I am currently developing a crude Contact manager database and need a quick way of entering data into a selection of records (around 1000 at a time). At the moment I am manually going through all records and changing the "DateLastEmail" field manually, which can be very tiring.
Any way to assign a button to change the field for all records to today's date or something of the like.
Currently I have a form which filters my subform. The subform resides as a seperate query and when the "Apply Filter" button is pressed it requeries with a change of .filter property, so I guess that all that needs to be done is to change all records that exist within the query, but I am stuck on a way to do this without manually entering it.

I have the following code and get the message that records were exported successfully but when I open the table they are not there. I don't get any errors when I compile the code but I also don't get any results in the immediate window either.
Code:
Private Sub cmdAddToTable_Click()
'Dim tmpRS As DAO.Recordset
'Dim tmpSQL As String

Table: Transactions: ID,Date,Title,Category,Value, Budget Name
Table: Budget: Budget Name
Budget Years: Budget Name, Date From, Date To
Form entitles Budget, Fields : Date From, Date To, Budget Name
So within the form budget I have a subform which I want to group the categories and get a total value. THE tricky part is, I only want it to include values from the budget specified in the form and the date range of the form.

I have a form with subform (datasheet) .
On my subform i have one field which shows the
productId ( which is filtered from combo boxes on main form) .
productId contains two columns
1 bound column(id) ( hidden with width 0 )
2 column (desription) ( shown with width 2 )
Now after entering the data when i come back to the form again . It hides the data from the productId field on subform , because data in combo box (on main form) doesn't match. Although the row is showing up , only the text in field (productId) is hidden.
Now when i change data in combo box on main form to match the ProductId , then the productId field text shows again. after changing combo box it hides . What i need is the existing data should not hide when i change the combo box selection.
see pic 1 where product matches and pic 2 where not. please note i am using master child relationship on the form/subform.

I have set up a database to record several different sets of records for a volunteer group that I run. The types of records that I am keeping are hours on duty, uniform issued and attendance at training. The attendance form is a subform which contains a list of dates and the two fields of checkboxes showing if they attended or sent their aplogises.
What I am trying to do is to count the number of times that members attended training. I have set up a 'unbounded' text box in the footer and would just like to add a formula in to the command box of the box properties. Anything more i.e. coding then it goes over my head very quickly.

Hi all,
I had table with following data
Table
f1 f2 f3
1 10 AB
1 11 WW
2 10 DD
2 11 DD
f3 is memo field
I had to retrieve data by grouping records based on f1 value
and i had to display f3 value as "-" if all f3 values for a f1 are distinct.
If all f3 values contains the same value then i should display that value.
I should get output like this
f1 f3
1 -
2 DD
I tried a lot by taking the distinct count of the records and displaying - when count is > 1
but i am not able to succeed.
please any one give the solution.
waiting for your help.
Thanks

I have a combo box that I want to display titles of discussion that fall within a date range. I set up the query as such;
SELECT DISTINCT Discussions.Discussion_Title, Discussions.Discussion_Date
FROM Discussions
WHERE (((Discussions.Discussion_Date) Between ([forms]![DiscussionsForm2]![txtStartDate]) And ([forms]![DiscussionsForm2]![txtEndDate])))
ORDER BY Discussions.Discussion_Title;
It works but not quite the way I want it too. I would like the combobox to display only unique titles but right now it shows the same title if it was used on another date. I guess its showing distinct titles and dates, while I want it to display just distinct titles.

PIDM | regsYear | hc_Year
52 | 2009 | 1
52 | 2010 | 1
201 | 2007 | 1
201 | 2007 | 0
201 | 2007 | 0

Hi, all...
Sure hoping someone can help me with this. I have a main form with a continuous subform. I am trying to filter the subform "behavior" combo box with another combo box on the subform "learningtype". The subform filter works fine if only the subform is open, although I can't add records because it would require a record in the main form. However, now that I've added the subform to the mainform, when I open it it asks for the parameter value of the filter combo box on the subform. Can someone help me, please...I'm desperate. I'm attaching a sample for you to look at.
Thanks, gurus!!
