When I learnt to use vba in excel (to basic level) I was always advised in a userform to validate data at end of record input i.e. when pressing enter and next. Is this true also with access or should i be putting validation rules at the afterupdate stage of a particular control?

Forms :: Create Data Entry Form To Input Data For Field

I an trying to create a data entry form (IndividualsEntryFm) to input data for fields such as (First Name),(Birthdate) etc., these to be saved to the (IndividualsTbl)

I also have another table (NamesTbl) which has family names etc. The two tables are linked by a (MainID) field. I want a combo box on the individualsEntryFm so that I can select the family name. Then I wish the empty fields for the IndividualsTbl to be available to enter data.When I press the save button I then want this data saved, together with the MainID from the combo box to the IndividualsTbl.

I have set the IndividualsTbl with a (PersonID) field as an auto number each individual therefore has a unique PersonID but may well share the MainID. I'm trying to link many people to the same address.

Is it possible, to input information from my continuous form into a web control form. at my job we a required to tract our jobs by equipmentid and job control number(jcn). When a job is done we have to upload the id and jcn into a website to tell it is cleared. I am looking for a way for that info to automatically be filled in when i load the website based on the job i have selected in my form?

Forms :: Validation Of Data In A Form?

I am trying to validate data held in two controls on a form.

The first control records membership status and is a combobox with 5 values allowed.

1 is 'member'
2 is 'under consideration'
3 is 'left' etc.

The combobox displays the description, the underlying table the number 1-5.

The second control records 'reason for leaving' and again is a combobox with 7 entries just as above.

I need to ensure that if a value is entered into the second control the value of the first control is '1' or 'member'.

Whatever I do I cannot get any code to work.

So, what event should I link to the code attached to the second combobox? On lost focus, before update or what?

What value do I check for in the comboboxes, the text or the number?

How do I set focus back to the first combobox in the event of an error?

Do I Use Validation Rule Or Input Mask For This??

I want a customer ID field which only allows initials (3 letters) or admission number (4 numbers) and do not allow a mixture of letters and numbers. What input mask or validation rul do i use for this.

i tried: (validation rule) Like "???" Or "0000" but of course it didnt work, as the ??? represents ANY three characters (text or numbers) and "0000" is only used in input mask to represent numbers.
i also tried the input mask: "LLL" or "0000" but it also doesnt work because it takes "or" as one of the field data.

please offer your help if you can,

Input Masks And Validation Rules

I'm using a simple input mask via the wizard for a date of birth field in a table, but the table is accepting entirely invalid dates such as 32/12/2005. When I tried inputing something like this in the wizard it says invalid input, so why is it valid in the table?
Should I set validation rules?
I tried this:
>31/12/2004
and set the validation text to "Invalid data"
i.e. limiting input to less than 31/12/2004... but it still didn't work.

Can anyone help?

I have done some basic data validation on a form, but I cannot seem to apply data validation to my subtotalled column called SUM FTE.

For the field properties on the Data tab I have the following:

Control Source: =SUM([FTE])
Validation Rule: >1
Validation Text: Total FTE is >1

My test:
Employee A - .50 FTE
Employee A - .60 FTE

SUM: 1.10
Data Validation should indicate SUM FTE >1, but no validation is being reflected on form.

I am building a very comprehensive Membership Management Database with extremely useful facilities initiated by some 20 or 25 Queries..

The database includes 5 Tables which store data relevant to members, another which stores details of Interest Groups and a 3rd which stores which members are affiliated to which Group or Groups.

Currently the database is accessible only by a very limited number of persons and data can be entered/edited by only one person. The database, using Access 2010, is maintained on a desktop computer and synchronized to a copy on a Cloud.

My requirement is to permit some 50 Group Leaders to input/edit data on a Password protected Group Members Form such that that is the only element of the database that they can access. The Forms would have only 2 fields from which the user would select entries from drop down lists.

My query is ; is such a procedure feasible in principle and would I be correct in assuming that the user would require to have available a copy of Access.

I'm a BA so i'm converting my excel issues list into a database with a front end where i can create new issue records this uses a form that sits on top of the issues_table.

Howver, i have created a table called Projects and a table called Test_Plans

Each issue is logged against a project and a test plan. Lets say ProjectA has TestPlan1 and ProjectB has Testplan2.

On my issues form, i can select ProjectA in the project field.

In the Testplan field i can select EITHER TestPlan1 or Testplan2

Testplan1 is the only valid entry.

How do i

a) Once I have selected ProjectA in the Project field only display Testplan1 in the Testplan field?

or

b) If the user tries to enter testplan2 for it to error?

I've tried creating a query and linking the controlsource field to it but it doesn't like that!

Forms :: Adding A Record To Table From Input Form

I have a table with 2 fields in it - Type and Pallet_Case - using a form the user enters the name of the Type and then from a combo box selects either Pallet or Case. There is a button on the form that is to save the new record to the table. (code below) The strangeness that is happening is that when the new record is added to the table, whatever is the first existing record alphabetically in the table is changed to the same Pallet_Case selection that was made for the new record.

I have a list box that displays on the form that is updated after a new record is added to show what records exist in the table (this is done by a query of the table and sorts on the type), so I can see this happening without having to open the table. It doesn't matter what sort order I put the list box in nor the table it still changes the first record alphabetically. And it is only change the Pallet-Case field. I even changed the first record to something else and it still did this.

We store data for clients which can be found online. Our current method of getting the data so we can analyze it is to copy a table found online and pasting it into excel.

What we want to do is to copy that data into an access table. This equates to inputting multiple records at the same time. There are 5 columns and around 20 rows (records) pasted at the same time. I want to do this in Access, through a form which would them store that data in the appropriate table.

I assume there is an ActiveX control out there which can put a spreadsheet in an access form. Then i could maybe write a VBA procedure to input the data into a table.

I would like to know what the best way to input a duplicate record is with the exception of 1 field that is used to correspond with the proper parent of the record?

Here is an example of the problem, We receive a letter with pertinent information that corresponds to 30 of our facilities. I would need to enter this 30 times so that when the users of this information run their reports for their facility I can ensure that the letter would be referenced.

I have a form that acts as a filter/search engine -- it inputs criteria into a query, then opens a report based on the criteria/query. One of the criteria options is "Supplier Number", which is to be entered into an unbound text box.

All of our suppliers have 10 digits, usually in this format: A123400000 (i.e. First character is either a Letter or digit, followed by four or five digits, then followed by four or five zeros)

Our system works with ten digit numbers, while the people in the dept are used to just typing in "A1234" assuming the zeros are irrelevant.

How do I create a validation rule or input mask where a user can simply type "A1234", then it will return zeros for the remaining of the ten required characters?

I realize the usual response to these type of simple question is "Search the Threads", but I have done so already and still don't have an answer!

I've two tables, QA (Quality Assurance) and Instruments. I'm using form to add data to QA.

There's a field in QA, named InstrumentUsed. The criteria is that InstrmentUsed should only accept value when 'status' field in Instruments table shows 'working'. If status is 'faulty' or 'need repair', it should pop up the related error message and cursor stays on the same field.

I've not starting learning VBA yet, so I'm trying to make use of Macro's.

How to use data from another table as a validation criteria for a field in form?

Pops up a MessageBox and stays on the same field, on the form, unless error is resolved?

I have a form, and on the form there is a Provider Rate which is a combo box, if the user select a zero rate, then it has the description please enter manual rate in box below. There is another box which the user can enter a manual rate.

how I can limit entry into these boxes, as currently a user can select a rate in the provider rate box and still enter something into the manual rate box. I want it so that if a rate other than zero has been selected in the provider rate box, then they can't enter anything into the manual rate cell.

I am having to develop a form that we can use in case in our web based inventory systems crash. I am not good with forms at all.

I'd like the data entered to go into a table I've created with 4 fields.

So Field1 and Field2 will stay constant until we hit a button that does a whole new person we are issuing equipment to.

Field 3 and 4 though will need to generate a new record each time we scan data into both those fields.

For example the data table would look like this

Field 1 Field 2 Field 3 Field 4

Person1 IDNumber SerialA SerialB
Person1 IDNumber SerialC SerialD
Person1 IDNumber SerialE SerialF

If it makes a difference this form will be done in Access 2010. Once I get the data into the table, I can do whatever I need to do with it.

The database was developed on a computer with only English input setup. The user group is a combination of computers with only English input setup and both English and Chinese input setup. For those computers with both English and Chinese input setup, when they use the form to enter the records, the data input is in Chinese input. The users are very annoying to change to English input before data input. It is not the worse case and the most worse case is that when go to next new record, the input is automatically set back to Chinese and the user needs to manually changes to English before continue the data input. Is there any way to set the data input to English by default and if need, the user manually change to Chinese?

We have a database where we are trying to limit the amount of data that users need to input.

We have a form, which contains order information. Where a customer has specific requirements, we add those requirements to a separate document review table MasterSpecification and DetailedSpecification.

When a customer has specific requirements, we can open the frmMasterSpecification and search for the document.

Assuming a review has been done the requirements will be shown on the subform Frmsubcoverage. I would like to be able to select the record source from this form and have the details entered into our order entry form.

Under the specification form there could be many sub coverage records depending on the type of item ordered to that specification.

I have a form called frmStartTimeEntry where a user inputs data using a barcode scanner. In this form there is a field called Part_No where after a value is inserted, I'd like the form to check if table_lines_per_part includes this part. If not found, then I'd like the form to open another form called frmLinesPerPart where the form would pull the same Part_No inserted in the previous form to fill in the Part_No field (which is hidden) and then the user would type in a qty for the LinesPerOrder. A user would then click a button btnOk to append this new record to table_lines_per_part and be returned to the frmStartTimeEntry to continue filling out the rest of the form.

This is the idea I have but I don't know how to code the part where the form checks after update if the part_no exists in the other table, nor how to capture the part_no to the other form and then append both the part_no and the lines per part to the other table.
