I'm fairly new to databases and have been attempting to build a multi-table database. It's not properly rationalised, but I wanted to test run it to ensure it was fit for purpose first.I've built my form, which is pushing data out to several tables, but I cannot seem to get the form to pick up previous records.

Forms :: Using Form To Display Previous Entries And Add New Ones?

I'm trying to design a simple wildlife tracking DB, so that when myself or my colleagues spot an animal we can enter its ear tag number via a form. That will either bring us up a list of previous dates/locations that animal was observed, or if it's not in the DB, allow us to enter the new animal and location.

I have two main data tables:
dt_Animal- which stores the ear tag info, species, and other information about that unique animal
dt_Sightings - stores info on when/where animals been seen (linked to dt_Animal in a one-to-many relationship, of course)

What I want is that when you open up the form, you get a box (text or combo) to enter the animal's ear tag number.

- If it already exists in the DB, it brings up all the info on that animal and its previous sightings - with the option to fill out any missing info and (of course) to add a new sighting - and it WILL NOT add a new record to dt_Animal - just to dt_Sightings
- If it DOESN'T exist in the DB, it creates a new record in dt_Animal and allows you to enter any/all of the other information

Where I'm running into problems is that I don't want duplicate records in dt_Animal - each animal is unique. I haven't found a way to set up a form so that you don't get pop-up errors if you're typing in an ear tag number that's already in the system.

I've tried various tactics involving simple coding (NotInList, etc.) that I pulled out of this forum and other places, but haven't had any luck.

Forms :: Creating A Form Which Copy Selective Entries From Previous Record

I am tasked with creating a scientific database of fish catches at various different sampling stations. I envisage the entry form having hierarchy levels, ie year, season, date, sample station, species caught, and then the specific associated data with each species (weight, abundance, length etc) will form each distinct record.

In each year there are 2 sampling seasons. In each sampling season there are up to 20 dates on which samples are taken. On each date there are up to 50 sample stations recorded. And at each station up to 20 species can be recorded.

In order to enter each species caught in a survey, the end user will potentially have to fill the season box with an entry 40,000 times. For each season there will be 20,000 date entries to be made. For each date, 1,000 station code entries, and 20 species entries for each station. What I would like to happen is this.

When the end user is entering the data, he or she will be working through the hierarchy from the ground up. Ie., they will enter a particular species' data (abundance, weight, length etc) at a particular station on a particular date during a particular sampling season. The next entry will be a different species at the same station on the same date during the same season. I would like the duplicated information from the previous record to be copied across onto the new one so that all the end user has to do is enter the species name, abundance weight and length data.

Once they have finished entering all the species data for that particular site, they can move onto the next site which they would fill in the data themselves for the station code. So, in the hierarchy, the first button would copy all the previous data except the species name and associated weight length abundance data. The next button would do the same, except leave the station code blank. The next button would leave the species name, station code and date blank. And so on up the hierarchy. The end user would be able to selectively choose which data is copied over by using these buttons, saving lots of potential extra work doing repetitive entries.

Edit Previous Entries Using Form - Odd...

I'm working on a pre-existing form. When I open the form, I am able to enter new data and this data gets stored in the database fine. If I close that form and reopen it, I cannot view past entries or edit them. I know of a property (Allow Additions, Allow Edits, Allow Delete) which can change this behaviour, but these seem to do nothing for this form. I have them all set on yes and it behaves as I've described. Ideally, I would like to allow edits of previous data.

I thought maybe the SQL query controlling the data wasn't returning any entries, therefore no entries would be displayed. So I saved the query and opened it up to see how many entries it did find. And it found all that it should have, so I know that the SQL statement controlling the form is what I want it to be.

So my question is this: are there anymore properties or values that I don't know about, that would control the mentioned behaviour of the form? Maybe something somewhere that I'm missing, that would make the form add only?

Forms :: Form After Close And Reopening Not Picking Up Fields

I have cleared the data out of the database and started testing it to check its usability.I entered in a full record, and flicked back and forth between the records, and everything was looking good.

Then I closed the form, and re-opened it and my record was no longer populating the form fields.I've literally changed nothing bar one field that was changed from number to text.

I have converted an old Access 97 database to Access 2010. Mostly it works fine but I have a major issue with the invoicing forms. It was working in the old database but I cannot get it to work in this version.

I have the usual invoicing option where the lines of the invoice are displayed in a sub form for that customer and line totals calculated. This works fine. I have a sub form total text box in the footer of the sub form which I want to pick up from the main form so that I can add the delivery charge and VAT.

Is It Possible To Automatically Fill In Fields With Previous Entries?

Let's say in one table (called Employees) I have two columns, Name (the Primary Key) and Job (Both are text fields). One row contains "Jack" and "Gardener" in each column respectively. If I were to have a form for a different table where I select Jack's name from a drop down menu of all the "Names" in "Employees" and it then automatically fill in the next field with his Job (which would be "Gardener").

I really hope I'm making sense... Is this possible?

General :: Setting Default Value For New Entries As Previous Entry

Is there a method of setting the default value for new entries to the same value as the previous entry?

For example, I have a quality control information table that stores QC data for different lot numbers. It is annoying to enter in the lot number and product code field over and over again if there are dozens of records per lot number. Is there a way for Access to easily display the previous entry as the default value?

Retaining Data Items In Previous Entries After Item Has Been Discontinued

I seem to be have trouble resolving an issue whereby data entered via a combo box based on another combo box from separate tables/queries is not able to be retained when the data in the original table has been "discontinued". The database in question has changing items that are continually updated and/or discontinued. However when these items have been checked as "discontinued", the old entry data is then updated and the fields are empty.

The next stage I'd like to include is a match and enter pricing details. We get a lot of repeat work that is entered onto our system, due to the nature of the work we do each item is then checked individually. There is a portion of this that could be automated.Our order intake table has an amount of information, various bits of which are supplied by various customers, but not always all of the information is required or given.

Id like a price to be copied from a previous record where the "shots" field matches a previous entry.The other fields that would need to be similar are the "coverage" "drawing no" "pattern no"..But only when these fields are populated, we often, but not always put a - in these fields where the information is not given. I think this may be bad practice, but it shows us the information has not been supplied, and not just missed from the order.

To sum up, when an order is completed i'd like to have an afterupdate event that searches the previous records, where cover, drawing no / pattern no are *matching* and the shots do match, then copy the price of a matching record, where that record is within 12 months of today (using the date_rec field) and then tick an "automated_price" field so i know the price has been generated by the system.

I have a table called "Cities" which has only two fields; City & Province.I have connected it in a relationship with another table as "Include ALL records from 'Cities' and only those records from 'tblInstallations' where the joined fields are equal."I have put an "AfterUpdate" event which works and everything.

It is working fine and updates the province correctly.The problem is that is putting another city from same province in the "City" field even though I picked up different name.

Forms :: Multiple Entries From One Form

I need to create a form that will allow the user to enter details about say a water meter - make, model, size for example.

These will be from combo boxes.

Each time the form is opened though, there could be a different number of meters to enter, from 1 to xxxxx

I will need to use this method for entries on other things as well, such as users and a couple of other things. Same basis just different information.

What I want to do is have a form where they enter the number of each thing that is going to be entered, so 3 water meters, 2 users. Then hit "next".

That will then open a form with the right number of spaces to enter the details for 3 water meters, or 2 or 1 or 999 depending on how many have been entered.

As apart from putting a look in and closing/reopening a single entry form each time.

Forms :: Using ID Value Passed To Form From Previous Form In Query

I have a big table, EquipmentDetails and separately I have job plans.Job plans can have many pieces of equipment. I store the relationship in EquipmentDetails_JobPlanDetails, but am feeling frustrated as I can't seem to get Access to build the SQL query from this in the way I want.

I am generating a List Box in a form which is populated from a query.The query calls on a table which lists ItemID from EquipmentDetails and JobID and in the current form (where the list box is) I want to pick up and display the ItemIDs associated with that JobID. The current JobID reaches my form correctly (I've proven this by displaying it in a text box) from the previous form.

The problem I have is that I can't seem to get the SQL query to only get ItemIDs that are linked to the current JobID. No matter what I try, it either gets all of the ones in that table, or I can't compose one.What kind of SQL do I need to only grab the ones relating to the current JobID please?I've tried building it in the design view but it says that it can't do it because the outer joins are ambiguous.

I am trying to have cascading forms running on my database. The first form adds a new staff member. When you press the next button this happens...

But I want it to open Frm2 using the ID from the previous form. The stumbling block for me is I close the first form before opening the next so I cant pass the ID across.

I've inherited an Access 2010 database that needs tweaking. I have a form, let's call it CALLED_FORM, that is loaded from various places - ie there are quite a few places that do the following

DoCmd.OpenForm "CALLED_FORM", , , , , , coupleofarguments

This works great when called from most places but if it is called from 1 specific form there is a likelihood that some code is executed that shouldn't be.

So I want to be able to do the following

In CALLED_FORM I want to be able to skip some code if the previous form is say FORMX. For all other forms I want it executed. E.g.

If PREVFORM <> "FORMX" then
code
more code
even more code
End If

Is there a system variable for PREVFORM.

I know I can change coupleofarguments to threearguments and pass something over in that to show which form it has been called from but that is a bit difficult.

What the database currently has: A payment entry form consistenting of many fields. This form populates a payment entry table. Some of the fields within the payment entry form are linked to other tables and queries for data (such as a recipient list).

What the database now needs: A group payment option. Should ten people attend a dinner, the total cost needs to be divided among the attendees, and then the payment entry form table populated with ten different entries and the subdivided cost of the dinner per person.

My thoughts: The most ideal thing to do is to have a hidden recipients window show up when the user indicates that this is for a group event. The user could then add all the additional recipients (beyond the primary which is already collected on the form), and the total amount for the meal. The database would then generate an entry for each recipient listed, dividing the total cost among them, and then simply duplicating the rest of the information as is.

Then back in the first form I need to find which control had focus before (button 1) was clicked.

I have recently started working for a new company and have inherited a nightmare of a system!

I have basic knowledge of Access and have been asked to stop duplicate entries under the same PO Number.

I have tried using DLookups by looking at other posts on the forum with no success.

The input form is called Purchase Order Entry, with the field called PO_No. The table is called Orders, with the field called Purchase Order Number.

I have tried to make the Purchase Order Number in the Orders table, the primary key but an error that it cannot contain a null value appears.

The Purchase orders may not be entered into the database in numerical order also.

I have quite an extensive form linked to a table. When I add new columns to the table I seem to have a problem getting the form to read the data.I have just added a numerical column to the table and added a text box on the form that is bound to it. When I try to pull up the value using VBA it is blank, even though an entry is visible on the form. I have set the text box to general number and the entry shows in the actual table. When typing in the entry into VBA it capitalises where required so it must be registering the table entry. However the value it pulls remains blank.

I'm fairly new to access and have been tasked with fixing a database that to my knowledge is built incorrectly but due to budget constraints and the time it would take to build a new one, we have to stick with this one. Here's my problem, in the database is a form that we use to create new entries in a table but when I try to create a new entry through the form, it creates multiple entries in the table with the rest of the data split between all the new table entries. Is this something that is caused by us moving over to the most current version of Access? Is there a way to fix this problem given the software we are using? At one point I had recreated this table because we had been having issues with other aspects of the database (security deposits were not being updated when entered through this form).

Forms :: Duplicating Values From Previous Record Of Patient In New Form

In my database scenario, a patient would see a doctor and the doctor would check off fields in a form representing different disease symptoms that the patient has to calculate a final score (for ex. if the patient has 2 symptoms, the final score would be 2).

After a few months, the patient would visit the doctor again, and the doctor will have to fill out the same form, adding any new symptoms the patient might now have. I would like to have the disease symptom fields checked off in the previous visit automatically show up in the new form, so that the doctor only has to add the new symptoms, and then recalculate the score using both the old and new data (for ex., if the patient had 2 symptoms before and 3 more symptoms now, the score would be 5).
