Forms :: Hiding Columns On Subform Based On Multi-Value Lookup Field
Aug 7, 2013
I want to use VBA to hide columns in a subform based on what is checked in a multi value look up field.
I am creating this DB for use with sharepoint as a web database, which is why I am using the lookup field to begin with. There will be a client DB to use with some VBA code
So what I have is a lookup field with tests "Test 1, Test 2, etc" on form sample.
There is a subform called results, and I want to hide certain columns based on what tests are performed.
I tried using an If Then statement (code is being run on subform load)
If Me.Parent.fieldTest = "Test 1" Then
Me.Test1Col.ColumnHidden = False
Else Me.Test1Col.ColumnHidden = True
That is basically the code I was trying to use. I am getting an error 13, which I assume is because fieldTest can not = something since it is a multi value look up field.

Hello All!,
The results of a query by users are shown in a subform (in datasheet view) similar to this:
Months 2004-22004-32004-42005-12005-2
2004-06 0.9840
2004-07 0.9969
2004-08 0.9800
2004-09 0.9850
2004-10 0.9850
2004-11 0.9879
2004-12 0.9879
2005-01 1.0000
2005-02 0.9900
2005-03 0.9900
2005-04 0.9900
2005-05 0.9900
2005-06 0.9936
The second column onward denotes Years-Quarters. Where I need help is in hiding columns I don't need to show if outside of the range the user's chosen: for example, if user chooses Jul-04 to Mar-05 then I'd like hide columns 2 and 6.
For whatever reason I can't get the monthly values to line up with the Yr-Qtr columns, but I hope you all know what I mean :o, i.e., 2004/07-2004/09 lines up with 2004-3, 2004/10-2004/12 with 2004-4, and so on.
As always, any help provided would be greatly appreciated.

Morning all, I'm trying to hide a column of a datasheet in a subform I have... if I run the form and right click and hide the column, it doesen't save that the next time I load it (wasn't sure if it was suppose to, but after reading http://office.microsoft.com/en-us/a...2362201033.aspx it would appear so) I'm using SQL Server 2000, not 7 so I would think that problem shouldn't come up for me yet it is, I need to hide a couple columns from the user (mostly ID columns) while they are entering in data, anyone have any advice they could throw my way?
Much appreciated
- Chris

Hello!
The problem at hand for me is to be able to hide columns in a subform wherever "#Name?" appears. My VBA experience is minimal to non-existent, but if a not so complex sample code exists out there then I'd appreciate any suggestions you may have.
I have attached a print screen document that shows the result of a query in the subform I just talked about. My anticipated thanks for your help.

how to do a particular thing in Access 2010 (I don't even know if it is possible).
I have a table named PRODUCTS:
ID_PRODUCT (primary key, autonumber long integer)
ALLOWED_OPTIONS (multi value text lookup field: "Option 1";"Option 2";...;"Option 9")
So I can store, for each different product, none, one, or more options to let the customers choose from.
I have a table named ORDERS:
ID_ORDER (primary key, autonumber long integer)
FK_CUSTOMER (foreign key, linked to the primary key of a CUSTOMERS table; represents the customer that places the order.)
FK_PRODUCT (foreign key, linked to PRODUCTS.ID_PRODUCT; represents the product that the customer has choosen)
CHOOSEN_OPTION (lookup text field; the customer must choose ONE option among those allowed for the product he has ordered)
The problem is that I would like the CHOOSEN_OPTION field to show as a combobox, listing the values stored into PRODUCTS.ALLOWED_OPTIONS, so that when a customer buys a product, he can choose only among the options allowed by that particular product.How can I manage a multi value field to populate a combobox, in which every item stays on its line? If I use, as a query to populate the combobox:
select [PRODUCTS].[ALLOWED_OPTIONS]
from PRODUCTS
where [PRODUCTS].[ID_PRODUCT]=[FK_PRODUCT]
I obtain an empty combobox.If I refer to the last field as [ORDERS].[FK_PRODUCT], Access asks me to type a value for "[ORDERS].[FK_PRODUCT]", treating it as an unknown parameter.I think that the problem is that when the combobox expands, the record is not committed yet, so FK_PRODUCT is unknown (NULL?). But this happens even if I commit the record typing something in FK_PRODUCT and then I re-enter the record and I expand the CHOOSEN_OPTION combobox, that is still empy although FK_PRODUCT exists, now.Is there a particular syntax to refer to a field in a record not committed yet (something like "THIS." or "ME.")?

Every time I mentioned multi-value fields I get the same input, don't use them. So I am trying to replace this field with a junction table. This will have multiple records for each record in the original subform. The only problem is that the original subform is set to continuous view and now I get the error that "you can't view a form as a continuous form if it contains a subform".

I have a main form with multiple sub-forms (each a separate tab). Having imported the fields from the equivalent tables, none of the multi-value combo box fields on the sub-forms work as they do not show anything. I tried implementing one on the main form (to test) and it worked fine. What am I doing wrong with the sub-forms fields?

My Db has a master table with a two-field primary key.
I have a main form, based on a query that primarily grabs data from that table.
The form has a subform based on a table which is the "many" side of a one-to-many relationship with the master table. I'm having a problem adding individual records to the subform.
The subform is linked via Master/child fields to the main form, but only on one of the two fields comprising the PK. When I add a new record in the sub it does not pull the PK data to the FK fields in the sub table and I suspect it is because of only having one of them properly linked.
The subform relates to an annual certification process that we track with vendors. The sub-table is populated each year with the two FK values for all qualifying vendors in one go. If I then need to add a single certification record for a single vendor I want to have a button on the subform that will pull the values from the main form fields, and ask the user for the cert year.
I tried adding a new record in vba via
Code:
Private Sub btnAddSingleRec_Click()
Forms!frmMainForm!subfrmCurrentProcess.SetFocus
DoCmd.GoToRecord , , acNewRec
DoCmd.OpenQuery "qryAddSingleCert"
with the query being an Update query with the following in the Update To line and "Is Null" in criteria:
Forms!Mainform!PKField1
Forms!Mainform!PKField2
[Enter Cert Year]
This doesn't throw an error, but the Access warnings say I'm updating 0 Rows.

I'm having a big struggle with adding a multi-value lookup field to a table. I need to provide a long pick list of items (from a source table) but these items must not be output (in forms or reports) in alphabetical order, they need to remain in the order that they are in the source table.
Access wants to alphabetize the output even if a I add a number field to the source table and sort by that.
Is there any way I can persuade access to just give the selected items back in the same order as in the source table ?

Ok this is a bit long winded and I will try to explain,
I have a main form, with a title at the top, then a row of buttons underneath and underneath the buttons I have a sub form.
Some of the buttons can have a dual function (or multiple function) so rather than open up another form I have hidden text below the button, so that when the mouse moves over the button, the text becomes visible. this gives the impression of a drop down menu off that button.
However I cannot get the text to appear over the top of the subform, it only appears behind it.
To give an example of what the buttons and drop downs are for, one of the buttons is a reports page, rather than open another form I can have a list of the differnt reports I wish to run (currently they are text boxes with an on click event).
any advice woudl be much appreciate and even an alternative to what I am doing if anybody has one.
Many thanks
MattP

I have a report where I number pages based on the Store (muliple stores in report but page numbering resets when Store changes) I do this by manipulating the page number field on the report by code in the report sections to reset it and to increment it.
Code:
Private Sub GroupHeader0_Format(Cancel As Integer, FormatCount As Integer)
Me!PageNum = 0
End Sub
Private Sub PageFooter_Format(Cancel As Integer, FormatCount As Integer)
Me!PageNum = Me!PageNum + 1
End Sub
Private Sub ReportHeader_Format(Cancel As Integer, FormatCount As Integer)
Me!PageNum = 0
End Sub
The report has a Page Header with various fields and labels and that's been fine however I've had a request to hide a field on subsequent pages (i.e. print it on the 1st page of each store then hide it).
So I added the following code to various sections, but can't get it to work correctly. The fields (label and text box) appear on Page 1 for the first store then get hidden but never return even though when I step through the code it is functioning 'correctly'. The GroupHeader code is performed but the fields don't get displayed on the report. I think is isn't re-painting that section but adding code to the Paint event does nothing, and in fact doesn't actually get run, so not sure when that event is triggered.
Code:
Private Sub GroupHeader0_Format(Cancel As Integer, FormatCount As Integer)
Me!PageNum = 0
lblMemberNo.Visible = True
MemberNo.Visible = True
[Code] ....

manipulate the data by changing one of the columns (Customer 1) to a Look Up Field. This has created two challenges for myself:
1) The data is gone ... oops. I can solve this one.
2) More serious, that column (Customer 1) will only display primary key numbers of the data. Before the corruption, I had a combo box on a form. This combo box took its values from a Table called CustomerTable, the value in this combo box was stored in the QuoteListTable. Before it showed names, now only primary key.
I have attempted to:
-change the look-up back to a regular field (got rid of the look-up)
-exported the table to a query, turned it back into a table, no change.

I search around online and did come across much info on code to how to hide fields. But, the problem is I cant seem to find a way to hide a certain amount of fields based on a number amount.
example: Lets say I have a 12 text fields to show 12 months of monthly payments, and lets say a client only has a 3 payment term. How can I list 3 under installment field and have remaining 9 fields auto hide since they wont be necessary? this way I only see what applies and not additional text fields.

I have frmIncident that has a 2-column combo box (cmbIncidentType). Column (0) is IncidentType, Column (1) is YES/NO. This combo box feeds from a Query and currently has about 15 "types" of which 4 have a "Yes" tied to them, then rest "No".There are situated on a TabControl (tabIncident) with 5 sheet tabs. If the Incident Type selected in the Combo Box has a corresponding "Yes" in Column (1) then all 5 sheet tabs need to be visible. If it is "No", then only three of the five are visible. Here it he current code I am using for the AfterUpdate event on the combo box:
Private Sub cmbIncidentType1_AfterUpdate()
If Me.cmbIncidentType1.Column(1) = "Yes" Then
pgEmerIncidentRpt.visible = True
pgNarrClose.visible = True
Else
[code]...
When I open the form is will set the proper sheet tabs that need to be visible, however once I cycle to the next record, or select a different Incident Type, even one with a "YES' in column (1), it will only show the (3) sheet tabs. I can never get it to show all 5.
In the code, the only (2) sheet tabs that need to visible = true or visible = false are shown, starting with "pg".

I have a database with a form that has 3 fields in a subform. I need to paste there data from multi rows. Now I have to do this column by column and paying attention that I select them correctly. Is there a way to directly insert the data by selecting only 1 field and have the data directly there as it would in excel?
Now we use excel as a "between" road to paste it there and then copy it from excel and paste it into access.

What I have: I have a main form with 3 subforms viewed as datasheets.
I have read the post about hiding columns by using me.<object>.columnhidden = True and that kind of works. Once the user goes to resize the columns they can get the hidden columns back. This is a problem if I'm trying to hide a priority column only admins should see.
Is there a way to specify the width of a column and restrict the user from resizing it? That way the user can not resize and get hidden columns back.
If there is a better way if doing this please let me know. Ultimately, I just don’t want the user resizing or unhiding columns I have sized and hidden.
Thanks

I am wanting to grey out/disable a field on a form based on entries in two other fields being the same. One of these fields that contains the data to be referenced in on a sub-form.The form is called 'Payment_Information-Form', the field to be greyed out/disabled is called 'SUF A Paid?'
The fields that are being referenced are: 'Set up fee in s (SUF) Recrt Restriction A <=' which is on the main form, and 'SUF_Letter' which is on a sub-form (within the main form). The sub-form is called 'Costings_11_Previously_Paid_SUF subform'.If 'Set up fee in s (SUF) Recrt Restriction A <=' equals 'SUF_Letter' then grey out.I tried the following formula in both the On Current and After Update sections but it hasn't work.
=IIf([Forms]![Payment_Information-Form]![Costings_11_Previously_Paid_SUF subform].[Form]![SUF_Letter]=[Set up fee in s (SUF) Recrt Restriction A <=],[SUF A Paid?].[Visible]=True,[SUF A Paid?].[Visible]=False)

I have a continuous subform which queries a table of attachments. I'm using Access 2007 but not using the Attachment datatype; this DB will grow considerably and I don't want to waste precious space by filling it with bulky files. So instead, I have code which makes a copy of the attachment and adds the hyperlink (to the copy) to the table instead.
Now - I want to add a control to the subform to display an icon / image reflecting the file type of the attachment (Word doc, Excel s/s, PDF etc.)
But not sure how to go about it.
I was thinking I could use FileSystemObject.GetFileExtension at the point in the code where the attachment is added, and add a new field to my attachments table (i.e. translate "*.xls*" to "Excel", etc.) Then store / embed a handful of images for the core types I would expect and use an image control on the subform to display the image based on the value of that field.
But is that even possible / feasible?
Or, is there a handy API which can retrieve the icon associated with a file type based on what has been installed on the local machine (even if there is, there's still the problem of setting up the image control to display the appropriate icon specific to each record...)
Or, is there another control available which would be better suited to something like this than an Image control?

I want to create a different rowsource-query for a lookup field (field1) in each record in a subform. The rowsource changes dependent on the value in another field (field2) in the same record. How can this be done?
- I tried to change the rowsource-query in an eventmacro when the focus is set to field1, but this ofcourse changes the rowsource for all field1's and makes the allready selected values unvisible.
- I think I have to include the value of record 'field2' in the rowsource query, but i cannot find a way to include that value in the query.
Something like:
Lookup field1 in the subform contains this rowsource
- SELECT CUSTOMER.Id, CUSTOMER.AGE, CUSTOMER.NAME
FROM CUSTOMERS
WHERE (CUSTOMER.AGE= me![field2]);
me![field2] however does not function

I have two tables, "Membership" and "Class." The Class table has a class ID, class name, and cost of the class.
In the Membership table, I have a field to accept a class ID that is entered by a user. I also have a column called Tuition. When the user enters a classID in the Membership table, I would like the dollar amount associated with that classID to automatically appear in the field called Tuition in the Membership table.
I tried the LOOKUP data type and calculated fields, but no luck. I know that DLOOKUP can be used on forms, but I don't see how it can be used directly with tables.
Is this even possible?

I have a library database with a form called Author and a subform from a junction table. The junction table connects Title/Genre. It's many to many because I usually have a few genres for one book.
This is my problem. I want to add more information to the subtable that is in the junction table. For every record I would like to add also Book Group (I am a member of several groups and want to remember which one I read the book with) and Purchased From.
So I am assuming I have to have 2 lookup controls to be able to add Book Group and Purchased from since neither one is on the junction table (and they both come from tables). Or do I add them to the junction table?

Hi, I'm pretty new to access but almost have a database working the way I want it to. I just need help with one thing. I am using PPC Creations on a PDA to fill out a service docket. All the fields export to the DB ok, the problem I have is displaying the info on a report. I have one field to display one of 8 manufacturers and then 8 fields (one for each manufacturer) that display the model. A bit like this...
IntruderPanelType (results are code eg. 1=ADE 2=ADEMCO)
ADE (results are text eg. Optima)
ADMECO
DABOSCH
GARDTEC
MENVIER
SCANTRONIC
TEXECOM
OTHER
OtherIntruderPanelType
So, on my report I want a field (maybe needs to be new) that will display the contents of the relevant manufacturer field, depening on what is in the "IntruderPanelType" field. On the report if "IntruderPanelType" is "1" and "ADE" is "Optima", I want it to display.......
Control Panel Type: ADE Optima
I'm sorry if I'm not making myself clear but if you can understand my ramblings I'd really appreciate a simple solution to this. I've attached a copy of my database so far, in case it helps any! TIA for any help you can give.
Regards,
Brian

I have two combo boxes in a subform that use lookup queries. I can get the combo boxes to work correctly out of sub form in a regular form but can not get the combo boxes to work in the sub form. I have narrowed the issue to the logic in the queries in the secondary and tertiary combo box queries. Here is the part of the secondary query. I think I have to add the primary form name to this part to correct my issues. How would I do that?
primary form = Lookup_fm
sub form = master_tbl_sub_fm
IIf(IsNull([forms]![Master_tbl_sub_fm]![Role1]),[P_ID],[Forms]![Master_tbl_sub_fm]![Role1])
