Forms :: Stop Access From Creating New Record When Inputting Data In Field Or Tab
Dec 17, 2013
How do you prevent access from adding a new record when u input data in the current record or tab to the next field? My database is set up to open with a form where the user picks his name and then a week ending date once that is complete u open a new form where the name and date auto populate along with other fields to fill out such as job charge, charge type , times charged for each day of the week. But I don't want access to create a new record everytime the person inputs or tabs..... .
I have attached my database for better clarity!

But I use one for creating new records in a table.
And one to View/Edit exiting records.
When I open an existing records, and tab through the fields. Once I pass the last field it creates a new record.

Well from reading the forums i have learned alot about access but now i am stuck and can't find what i am looking for.
I am building a database basically to track the Software bought for our company.
I have my Application table and my purschased table. The relationship between the two is ApplicationID.
What i need is to be able to do is look up the ApplicationID and then have that vaule be added to the new purschase record. My method of doing this was to created a form with 3 list boxes and 1 text box (not viewable). The list boxes are Company, Application, Version. The text box is the returned ApplicationID.
The list boxes dynamically adjust based on your selecetion to find the vaule of the 1 text box "ApplicationID".
Once you have selected the application you want to add as a purschase i have a button to open the Purschase form. I have everything that needs to be filled out in the form. My problem is getting the vaule of ApplicationID in the purschase form for the new record.
My problem;
Right now when the Purschase form opens it as all the data and the ApplicationID is shown as being correct but not selected. Right now the user would have to manualy select the vaule for the data to be commited to the record.
How do i selected a record so the data is submittied and a new record is started, on open, then set the focus onto a new field. This way the user does not have to do it manually.
I hope that makes sense to everyone.

I'm fairly new to access and have been tasked with fixing a database that to my knowledge is built incorrectly but due to budget constraints and the time it would take to build a new one, we have to stick with this one. Here's my problem, in the database is a form that we use to create new entries in a table but when I try to create a new entry through the form, it creates multiple entries in the table with the rest of the data split between all the new table entries. Is this something that is caused by us moving over to the most current version of Access? Is there a way to fix this problem given the software we are using? At one point I had recreated this table because we had been having issues with other aspects of the database (security deposits were not being updated when entered through this form).

I have created a Form based from a Table. On one of the fields, I need to be required inside the Form before moving to the next record of that form. I can not make the required field in the table, because I have to append information day to day.
Also, the required field is a combo box option that is limit to the list.
What kind of Code I can do inside the form of the specific field to make it required before clicking onto the next record. It does not matter if the processor closes out of the form before updating, only if moving to the next record.

I am trying to create a database to manage IT assets, most of the structure is done, I'm now trying to get the details done.
The issue I am currently trying to tackle is to get a control button on one form to create a new record in the sub form that sits in the main form via another pop-up form.
So I have :
>PeripheralsViewForm - that has 4 control buttons (Edit Quantity, Edit Description,Add an Item and Exit)
>> PeripheralsSubForm - (Datasheet) which is referenced to PeripheralsQuery
The Edit Quantity and Edit Description open a separate form which allows the user to update only the quantity or description respectively (I have done it this way rather than allowing edits in the data sheet as I feel that it is too easy to hit a key incorrectly and overwrite data in the datasheet view) Both of these functions work perfectly (to my amazement) - I am using the id field in the subform to link to the pop-up form which then has unbound text input boxes, which I then write back to the subform.
e.g from edit button on click event: DoCmd.OpenForm "perquantform", , , " ID=" & Form.PeripheralsSubForm!ID and then from the pop-up form "perquantform" on the "Exit & Save" button I have :
Forms!peripheralsViewForm.PeripheralsSubForm.Form! Quantity = Me.newquant DoCmd.Close acForm, "perquantform", acSaveYes
This allows the user to select the record in the datasheet form and then click either the change quantity or description button. Also also the other reason I did it this way was because I just couldn't get the subform to requery when I had the two edit popups linked to the table or query.
The problem now is that when I click on the "Add an Item" button, it overwrites whatever record is currently selected !
The code I have is this:
From the "Add an Item" button on click action:
DoCmd.GoToRecord , Forms!peripheralsViewForm!PeripheralsSubForm.Form! , acNewRec
DoCmd.OpenForm "addperform"
And from the form "addperform" - "Save & Exit" button on click action:
Forms!peripheralsViewForm.PeripheralsSubForm.Form! PerType = Me.pertypedrop
Forms!peripheralsViewForm.PeripheralsSubForm.Form! PerMake = Me.permakedrop
Forms!peripheralsViewForm.PeripheralsSubForm.Form! PerModel = Me.newmodel
Forms!peripheralsViewForm.PeripheralsSubForm.Form! PerDescription = Me.newdescription
Forms!peripheralsViewForm.PeripheralsSubForm.Form! Quantity = Me.newquantity
DoCmd.OpenForm "PeripheralsViewForm"
DoCmd.Close acForm, "addperform"
--------------------------------------
the line "DoCmd.GoToRecord , Forms!peripheralsViewForm!PeripheralsSubForm.Form! , acNewRec" is what I have added to try to solve the overwrite issue, but when I run this it comes up with the error :
"runtime error 2498 - An expression you entered is the wrong data type for one of the arguments"
I have put this line in the "addperform" exit action and it comes up with the same sort of error.
Using Access 2010.

I am creating a simple data entry form wherein the user will enter the product id and on change the product description and retail price must be displayed.
When the order quantity is entered, the total cost need to be calculated. I am able to do this using DLookUp and simple multiplication.
However, after doing the above, I need another row to appear so that I can accomplish the same for another product.

I have created some control buttons using the built in functions of Access2007 and then using the script supplied here modified the control.
So far the controls can add new record, save record, exit form, open next form and close existing form, open previous form and close existing form.
My next question is when the user reaches the end of the form fields how do I stop the form from automatically starting a new record?
For example, I use the TAB key to move from field to field and when I tab out of the last field the form goes straight to the next empty record.
I want this to be a deliberate action performed by clicking the Add New Record button and not an accident of a key press.
The other thing is, how do I get the form to open with blank/empty fields and not at the first populated record?
Some of the data is updated frequently so the records need to be able to be edited but I need to prevent accidental editing of the existing records.

I have an Access 2000 database in which i am importing some data programmatically through VB6. However for some reason Access is changing the data that i am sending it (i know it's access doing it as a manual import does the same thing)
Example data (dashes signify different columns 4 total)
8/31/11 - 08:30:45 - 1 - 003
this gets changed by access to
8/31/11 - 8:30:45 AM - 1 - 3
Note it changed the time to am/pm format and my 003 became 3 . I have all the database fields set as TEXT and not numbers / date & time so I would think that it would treat the data literally however that is not the case and my data gets messed up.
How do i tell access to stop messing with the data and treat it literally and not change anything ?

I am building a student register for a school for disabled children. There is a screen listing all students, one showing detailed student data chosen by #=IIf(IsNull([ID]),"(New)","Open")# clicking on "Open", one listing all the guardians, choosing a guardian by #=IIf(IsNull([ID]),"(New)","Open")# clicking on "Open", to diaplay Guardian details.
From the student list, I select and view student details, including a pointer to their guardian details. After selecting the first student details, and then viewing their guardian data, any subsequent student details and guardian details updates the prior guardian data with the next guardian's data.
How can I prevent the successive guardian details from updating the prior guardian table when it is exited? I view the guardian details using ADO recordsets populating a form. When I exit, it updates the previous record.

Access stops me from increasing the size of a key field
Table tTrades
. Key field: idTrade: auto-number
. Field: Code: Text 10 characters
Table tData
. Key field: Code: Text 10 characters
I get an error message when I try to change either of these Code fields from size 10 to 16 characters
Error message - you cannot change the data type of field size. It is part of one or more relationships. Te change the data type of this field, first delete its relationships in the relationships window.
I deleted all relationships in the relationships window. But I still get the same error message.
If I click on relationship window > "All realtionships", Access reproduces all my relationships in the relationship window. Somehow it knows them. I deleted them all again and saved. But I still get the same error message.
I have a form ftTrades which generates automatically when I click on table tTrade and create a form.
I deleted this form ftTrades. But I still get the same error message.
How I can increase the size of this field.

I have a shared db where there is a requirement for more than 1 user to enter data in the same form and hence the same table. Up till now there has only been 1 data entry clerk so there has not been a problem.
Would accessing the same form by different users cause a problem, assumming they are inputting different records?

I have a database (split into front and backend). Users populate the table using a form on the front end. Recently, it has been pointed out that some of the data entered into one specific textbox is being changed on the table. The data entered is always has a minimum of a letter and number value i.e. "A1", "A2" etc. Upon examining the table, this has changed into numeric values i.e. "1291", "1061", "852"... etc. Looks like it is translating them into both 3 and 4 digit numerical values by the looks of things. Where more complex data is entered such as "2(A1, A2)" these seem unaffected.
The field is set to text, I have set no validation rule, format or input mask. Just can't see why access is changing these values. It seems to be translating them, but I can't see a pattern.

I am trying to link the textboxes on a form so that their values are stored in 2 seperate tables.
Setting the Record Source of the Form to TableA and the various Text boxes etc are set to the Fields in that table works fine, however I want some other text boxes to be linked to another set of table fields, so that when I enter values into those text boxes the data ends up in a different table.
Has anyone any ideas on how text boxes on one form can be linked to different tables.

Hi there
I have a database that has two tables.
Table 1 is called applications and table 2 is called contacts.
Table 1 has two fields that relate (not through the relationships) to table 2.
These fields are named thus: Officer and ContactTelephone
Through a form I wish to be able to do the following.
When I choose the Officer from the drop down box (combo box tied into Table2) it will then automatically put in to ContactTelephone the necesary number.
It MUST drag the info from Table 2 and place in to Table 1.
Any ideas
Thanks :D

I have a form in which user will enter few values but I need users to enter the comment in relevant text box too only if they have any non zero value.
I have attached an example for reference....where red encircled portion is for values and blue is for relevant comments. If value is non zero then user should be enforced to enter the comment too......system should not allow user to move forward or backward until there is some comment.

I my form i have a textbox into which the user can enter a value that will serve as criteria in a query.
In the beforeupdate of this textbox there is a check about the validity of the input. If this input is wrong, a message tells the user what's wrong .
In such a case i like to cancel the event but in the same time clearing the textbox.
Canceling isn't a problem, but automatically clearing the wrong input seems not to be so evident.
How can i do that ?

I'm making a large database. There are over 100 questions per "chapter" of the data I need to enter. The forms aren't large enough to accept everything at once so I broke up the chapters into a few smaller forms. The problem I'm having now is it saying "you can't go to the specified record" whenever I enter the same company name in two of the forms for the same chapter. The company name is the primary key. How can I make it so the techs can go from page to page without breaking up my tables?
Thanks in advance.

I am working in Access 2007. I have a form with 3 text boxes of which I need the Textbox3 to calculate a SUM of the input values from Textbox1 and Textbox2. These text fields will compute ONLY when the record is saved OR if there is a prepopulated value in the text field. EX. When textbox1 is populated with a value when I Openform, then as I input a value into textbox2 I immediately see the SUM in textbox3. Works great in this scenario. However, if both textboxes 1&2 are null, and I input a value into each, then I won't see the SUM in textbox3 UNTIL I save record.
How can I get the SUM to display after inputting the value of my textbox1&2?

If memory serves me right, I've seen code or maybe a shortcut somewhere for inputting a date value in a form along the following lines.
To input today's date, input "0"
Yesterday = "-1"
A week ago = "-7"
and so on.
