I am fairly new to using access and am currently creating a database for a small bakery. They have new legislation whereby they have to list all their product ingredients and any allergens in the ingredients must be shown in bold.
one to input ingredients and a checkbox if it is an allergen
The other has a main form and subform to get ProductName, Photo and then a combo box in the subform to add ingredients.
Everything appears to be working ok but I have an issue with my subform. The combo box has no duplicates and lists the ingredients in alphabetical order as I require. However, if I view the subform separately from the main form I see that it is storing all the ingredients selected for each product. Therefore it is storing a lot of duplicate information.
We are working on an Access (2007) database that is on a SharePoint Site (2007).
Currently the form is operational, but there is one last thing that would be nice to have.
The table is "Updated Headcount" which contains "EMP_ID" which are unique numbers stored as text.
In the event a new employee is entered in the system by another user on this site we would like to prevent any duplicate "EMPID"s from being entered and saved on the SharePoint, we would also like to alert the user and prevent the data from being saved.
All data is currently bound, so once the user makes a change it is made, no submit button is required.
We are running into some difficulties in doing a dlookup from the value entered and comparing to a column in the table.
TABLE - UPDATED HEADCOUNT COLUMN in UPDATED HEADCOUNT - EMPID FORM CELL user will input an EMPID - newEMPID FORM CELL used for a dlookup to compare what user has entered to what is already in the table - duplicateEMPID
So below is what we are trying to do, we are sure there are a few commands missing....
In my database (attached), I need to be able to store multiple notes for tasks performed in various cities -- each note has a small description (more on that at the bottom of this post). For the "San Antonio, TX" task, notes "Heartbleed" and "BAT Scan" apply. From what I understand, this is a many-to-many relationship which will require the use of a junction box. My structure is like this:
tbTasks TaskID (PK - autonumber) Task
tbNotes NotesID (PK - autonumber) Notes Details
jcttbTaskNotes TaskID (FK from tbTasks) NotesID ( FK from tbNotes)
My mainform (fmTasks) is based off the tbTasks table; my subform (subfmTaskNotes -- continous form) is based off the jcttbTaskNotes junction table. The Master/Child link for the subform control is TaskID. In the subform I have a combo box bound to the NotesID field in the junction table that allows me to choose a note.
My problem: I also have a "Details" text box in the subform that I want to be populated with the description of the Note selected in the combobox mentioned above. For example: if I choose the "Heartbleed" note, then I want that "Details" field to be populated with "Mitigate vulnerability associated with CVE-2014-0160". I assume it has to be somehow tied to the "Details" field of the tbNotes table, but how to implement that. How do I get the Details text box to display the details for each note?
Eventhough i know calculated control are for queries, I still need to store a calculated value of a sum. I have a form with customers, dates, locations. That form has a subform that contains the services done and materials used. This subform is in datasheet view. In the footer i have a control with =Sum([Price]).
So I need the value of this control to be stored in the table the main form is based on. I did an unbound control in the main form where the =Me!Subform.Form!.Textx will bring the value "over" Then for the on focus event the vba code Me.Total=Me.Textx stores the value. That is fine. The same works with a command button with the same vba code.
However i am asking if there is a more automatic way to get the value over without the unbound control/command button.
I need to know if I can store data in more than one field, without allowing Duplicate entries.
Example: We have to send out letters with a claim number on it, sometimes we need multiple claim numbers on a letter, up to about 10 claim #'s is the most I've seen thus far.
We mail merge into Word to create the letters.
However, these claim numbers cannot be duplicated within the database and in order for this to work with the mail merge, I need several fields to store the claim numbers.
To be more specific. I probably have a bad data structure as I was kind of rushed and a little inexperience with putting the database together. It's for work and sometimes management just doesn't want to wait, they are so negative.
In brief, most everything is in 1 table and I know from reading this forum that I shouldn't do that, but that's another story.
Further, a claim# is tied together by the same claimant, the relationship code is what separates the claimant with the family, the insured id# is used for all claimants within the family.
You can also tie the claim# to a provider id#, some providers such as clinics and large hospitals have multiple providers that use the same provider id#, so a suffix code is used to separate the providers within that same #.

I know that you shouldn't store totals in Access, but I can't think of a way around what I want to achieve and wondered if anyone had any ideas.
An item on stock will move from one location to another, I will need to list the 'balances' of this stock at each location, easy enough to do, but there are hundreds of item movements per day and the users do not want a history of movements to be kept but do require an ongoing balance.
e.g. 100 of the item moves from A to B, this movement record gets deleted, how would I know that the item stock at A has been reduced by 100 and B raised by 100?
How to duplicate records in SubForm, i have created a form (transmittal) with a subform that contains all items listed:
Master Field : Transmittal No Child Fields: IDTransmittalNumber
There is a button that allows me to duplicate form , however when i change the Transmittal no in the main form it automatically deletes all data in subform since they are both linked by that field..
My programming abilities are mediocre, but not novice.I have a pretty large scale management system to build (more than 40 tables, lots of relationships, forms, etc). One of the structures in the database is the following:
+ Main table ++ Secondary table connected to Main table via FK1. +++Tertiary table connected to Secondary table via FK2.
The above when making the user interface is expressed as a form (Main Table), a subform (Secondary table) and a subform within the subform (Tertiary table).
I need to create a button that duplicates the contents of the main table, the secondary table and the tertiary table. I have already been able to create a button that duplicates the contents of the main table and the secondary table by using Allen Browne's code found online.how do I move forward to embedding in that method the ability to duplicate the contents of the Tertiary Table?
I have a form that uses Table A as a record source and has a subform that uses Table B as a record source. There is a one to many relationship between Table A (one) and Table B (many).The user opens the form to a set record, then uses the subform to create a new record in Table B.
This works perfectly and I can do everything I want. But sometimes the subform creates a blank entry in Table B before I enter any data. Then, once I start entering data, it creates another record in which it stores the data that I am entering.The result is two records: One that only has the date of the record's creation (I set that to be automatic upon creating a new record) and the primary key that links Table B to Table A. A second one is the "true" record, the one which stores all of the data that I am entering.
It won't happen for 10 records or something and there is no apparent pattern. In case it makes a difference, the form is set to open as the subform as the focus.
I am setting up a subform in continuous with combobox, but when I enter the data on the first combobox, it duplicated to all the following records. Is there a way to stop that?

I am scoring rating scales. I want to be able to enter just the responses from a person, say on 80 questions (preferably into a form), where all the answers are 0 to 3 and have Access add the questions into the right groups to calculate all the sub-scores of the rating scale. For example, Scale A may consist of Questions 1, 6, 15, 29, 35, and 70 I need access to add those up and save them so I can use them in a report. I also need access to add the frequency of certain questions that were responded to with the answer 3. I have gotten Access to calculate the scores in a form by adding extra variables to the form, erasing the variable name out of the white box and putting in the syntax =[Q1]+[Q6]+[Q15], etc. in place of a variable name but it just sits there on the form and doesn't store it anywhere. Normally I would gather these up into an array using ASP and email the split up comma separated values out to the client via an email.

However, this time I need to store those values in an access database. I am assuming that the client may want to run queries on the different array values, for example, how may people chose coca cola and sprite.
Is it better to store the value separately - one Ms access field for coca cola, one for sprite (which is what I thought I would have to do to create queries on this) - or can they be stored under one field heading "drinks" and queries be performed on different values within that field?
Could someone explain a quick way of doing the latter i possible in MS access and the SQL for querying?
I understand the conventional wisdom of not storing calculated values on the table, but I have a need to do do so. On my Input Screen I have a generated Certificate # derived from 5 single value fields keyed onto the screen. This certificate # is unique to those 5 single-value fields which should not be repeated. I want to store it on my Table as the Primary key with "no duplicates" so that if a keyer keys the same 5 single-digit values , thus creating the same Certificate #, he will get a MsgBox back telling him he cannot add a duplicate entry.
I know that as a general rule one should not store calculated values in a table, but if I need to include such a value on a number of forms, and calculating that value involves manipulating an ADO Recordset, does there come a point where the performance hit outweighs the design "quality"?
I have been struggling with this and would appreciate any help. It sounds so simple!!! I have 4 fields (Unit Price 1, Unit Price 2, Unit Price 3, Unit Price 4) in a Orders table that I want to add together and store in a 5th field (Sub Total) in the same table using a form. I am having problems with the sum and I am unsure how to get it to show in the Sub Total box in the form as well as the table. Thanks for your help!!
I have an "Returns" master form that contains two subforms. The subforms contain items that we are returning back into our inventory. The underlying queries in each subform show only those records where the "Return Date" is null. The query(s) works fine, except that if there are 3 items that need to be returned there are 3 records that show in the master Returns form. I tried the Totals option in the query but the I need that Return Date on the subform. I only want one Returns master form to show the 3 records (not 3 records of the same master form).
I'm trying to determine the SQL to return only those records in a table which have duplicate values in each of two fields, but different values in a third field. Here's an example:

For the above table, I'm trying to return records which have multiple entries for AcctNum + FoodType, but DIFFERENT values for FoodClass. So for the above table, the query would return:
It returns these two records because there is more than one record with for the AcctNum + FoodType (i.e. 'A456' + 'Potato'), but DIFFERENT values for FoodClass (i.e. one record has 'Vegetable' while the other has 'Perishable').
1) show the number of records in the subform on the main form 2) count the number of records in the subform where a value [Public] is True 3) count the number of records in the subform where another value [Analyst] is True.
I can achieve the first two by using the following VBA on the Main form current event -

i would like to have on my continuous subform fields from my table but only as a non-editable list (I have a dedicated mod form to actually modify the values), and I don't really like the way "Locked" and/or "Enabled" work, especially on combo boxes. To me, the arrow shouldn't be there: it looks like you can modify it, but you can't; it's a bit confusing and counter intuitive.
So what I did is replace those combo boxes with text boxes, and used DLookUp in the Control Source. Now I can lock and disable the text boxes and it looks just as I want it: you can't select the text, and most importantly there's no dropdown arrow.It works, but it's kind of a lot of work compared to what it is with the cbo. Also, since those are calculated values, they take a fraction of a second to appear, as opposed to the nearly instantaneous display of the values with the cbo, and there's only 5 entries in my test database.
In the detail of the parent form, there is a tab control block and each has subforms on them that are exactly alike for WorkOrder Notes, History, Specs When the Work Order subform is accessed (connected by SerialNumber, WorkOrderID and CertDate) the default WorkOrderID should default from the parent form, the SerialNumber should default from the parent form, and the CertDate should also default from the parent form.
What is the syntax to get these fields to default to the values parent form BUT not specifically referencing the name of the parent (because there are 5 differnt parent forms)?
I am a novice and have been searching to no avail for a solution to my problem. I have a main form and a subform (datasheet view) of a table. In my main form I have various calculations which calculates the data from the subform (when auto-filtered). What I am trying to do is count the distinct [Call Number] reflecting the data from the subform into a textbox in the main form (when subform is auto-filtered).
I'm running into an issue with my forms. I have a form that contains a subform, that contains a list of projects. This list is read-only. To update a record, you can double click on it, which opens another form filtered on this record, and which contains the fields in the first form as well as some others.
I have a command button on that last form to "Save and close", which fires up a macro that saves the record and closes the window.
Now, the issue that I'm having is that, when the window closes and I'm once again in front of the first form with the list of projects, the values of the record I changed are not updated and when I click on another record, Access tells me there's a conflict in the values and asks me if I want to keep the changes, discard them or copy to the clipboard.
It seems to consider the old values from the first form as a change, and thus asks me which to keep between these, and the actual (proper) changes I made in the dedicated form.
For the proper changes to be applied, I need to select "Drop changes".
I tried to requery the first form, also undo the changes to it after closing the window, but none of that worked.
I'm actually basing this on one of the templates, which does exactly what I want and which obviously works...
I chose the criteria 2 for the filter just as a test as I knew there are some records with that value in the master category field.
The problem is when ever i click the button to apply the filter it clears all the data as if it has not found any records with that value.
Is my syntax and method OK? Why its filtering everything out?
The only other thing to consider is that the field I am filtering on was set up using a lookup wizard linked to a table so the values stored are a foreign key (hence the value being 2 rather than something descriptive).
I'm trying to create a record for a table that has 2 attributes:
ContainsTracks +album +tracks
I have my main form, where the album is determined by a TextBox. My subform has a textbox that lists the tracks (in datasheet view). I have this set up and working fine.At the moment if I try to add a new record by typing a new entry into the subform I get the error: "Index or primary key can not contain a null value". This is because both album and tracks make the composite primary key of ContainsTracks.
My question is, how can I tell the subform to grab the value from TextBox1 in the main form as the +album when I create a new record.I have provided two screenshot that perhaps explain my predicament a bit better
I have two forms one simple and another sub form located in simple form and connected to query where query has parameters, while opening the simple form the sub form require the parameter values. Question is here how I can make the sub form like when I open the simple form the sub form must be disabled (not request me for parameter values) and make a button in simple form to activate the sub form and then request me the parameter values.
