Forms :: Subform To Popup Relationship And With Refresh Of Calculated Field
Apr 3, 2014
I have a "Main" form called frmProjects that sports multiple tabs. One of those tabs is labelled "Milestones", into which I inserted a datasheet subform called frmSubMilestones. The table that feeds the subform is tblMilestones. I established the parent / child relationship between frmProject and frmSubMilestones, and everything is working just fine...
To summarize: frmProject as main form -> Milestones Tab on main form -> frmSubMilestones as datasheet subform on the Milestones Tab (there are other tabs that are not subforms).
I have been asked, for each milestone in the frmSubMilestones subform's datasheet, to capture the number of days spent by employees on a monthly basis. The Milestones table and the PersonDays table have a primary key and a foreign key that are similar.
To summarize: frmSubMilestones as subform -> txtAggregatePersonDays as calculated Textbox fetching data from tblPersonDays -> OnClick event -> FormLoad of frmPersonDays as datasheet PopUp form.
DoCmd.FormLoad is supplied with the usual parameters to make the PopUp form appear, filtered on the currently highlighted milestone. Everything works fine so far... well almost.
Problem 1: When I introduce new rows in the frmPersonsDays datasheet, everything seems fine at the surface, BUT the primary key of the calling form (i.e. frmSubMilestones) does not appear in the tblPersonDays table; this is normal because there is no form-based parent / child relationship between the two forms. As one might expect, I am trying, from frmPersonDays, to get the primary key value from the "parent" frmSubMilestones using the Forms collection. No dice. I surfed and surfed, tried the bang and the dot operators, drank scotch, but nothing worked. I had to add foreing keys manually in tblPersonDays to further my tests. I can't figure out how to reach any control on the calling form, which is a subform.
Problem 2: The calculated txtAggregatePersonDays on the frmSubMilestones works wonders for existing data in tblPersonDays. However, when I introduce new rows in the PopUp form, I also realized that the calculated Textbox in frmSubMilestones is not updated when I close the frmPersonDays PopUp. I have to close the PopUp form and move the cursor in the Main form (frmProjects) to refresh its associated milestones.

I'm trying to sum a couple of columns from a subform datasheet and carry them onto the main form.
My main form, [frm_tours_details], holds subform [sbfTours] which is a datasheet.
On [sbfTours], I've got a couple calculated fields within the datasheet, one, called "txtStudentSum", which calculates number of people total ([students]+[adults]+[numfreeteachers]) and one, called "txtptotal", which calculates fee for the program based on the following formula:
Code:
=IIf([txtMonth]>=10 Or [txtMonth]<=4,([Students]+[Adults])*7,([Students]+[Adults])*8)
(The fee is $8/person in season, and $7/person out of season.)
I've been following online directions I found to put a text box in the form footer which then sums each of these calculated fields ("txtStudentSum" & "txtptotal"), and then reference these text boxes from my main form.
However, the main form text boxes just come up as #Name? or #Error when I try to reference these boxes on the subform. Or, sometimes, the one calculating total students will show the total of ALL students, adults in the database, not just those for this particular record-but only, it seems, if I have the subform open separately first, then load the main form. I also tried putting the whole original calculations into text boxes on the main form, but they will only reflect either the current record selected in the subform, or they will only show the first record, regardless of what you've selected, depending on which way I tried.
I've attached a copy of the database ... click on the tab 'tours', then click on, say, tour #6 (since this one is multiple programs and needs to calculate) to open the tour details form.

I've got a subform (simple table view) inside a main form, the subform (sfrmRecipes) just has an IngID field (which stores ingredient ID's) and a percentage field
I've added a few calculated fields to this subform, to assist users in making decisions, however each of these fields needs a sum total
So far my percentage field (which is an actual stored field in tblRecipes) is the only one with a functioning sum
for some reason the two calculated fields (which are both plain numbers, no text) do not give me a sum total option, i am only able to use the count function on them
Why calculated fields dont sum up and if there is an easy way to get it working (tried creating my own text field in the footer and manually typing SUM(fieldname), but it does not work).

I have a subform embedded in a main form, the subform has a field (text box) that is doing automatic calculation so no manual entries are needed from the user. I have tried to pass automatically the final result to a text box in the main form, but all events are not working (afterupdate, On change, On Dirty), etc.
I have a button to do the above mentioned in the main form, but I don’t want to use that button, I want to do all the process from the subform.
Also, from the subform I was able to do click on the button on the main form (programmatically), however MS Access is too quick and the value extracted from the subform is always empty (zero); Acees is finishing before the calculation is done.
I am using MS Access 2010.

I have a form, a couple of comboboxes and text boxes on it. When these are filled out, the SQL of a query is changed using these parameters.
There are three subforms on the form, all pivot charts, all based on the query being changed.
The goal would be to update all three according to the user-given parameters.
Right now the subforms only update if I close and open the form, which is probably not the best solution, since it's too slow.
I've also tried to requery and refresh them, with no result.
Then I tried to overwrite the recordsource of the subforms with the same text that was originally there. This got them to refresh their data, but then all of the charts disappeared and had to be built again, so this is a no go too.

In my Student Administration database I am trying to launch a popup form from a sub-form of a Job Positions and Seekers form. The sub form is actually one of 2 sub-forms, both Continuous Forms default view, on a form linked via an unbound control (MasterJobPosID).
The first sub-form is called and lists open Job Positions and the 2nd sub form is called and lists all Students Seeking each of the positions. The Students Seeking subform is linked to the unbound control MasterJobPosID in the main form which is set to equal the Job Positions subform's JobPosRecNo field which is the key to the Job Positions table.
The popup form is called Job Employment and is being launched via an event macro from the Students Seeking subform. It will allow the user to create a record in the Job Employment table. The event macro has a Where statement that says "=JobPositionID And Student", an attempt to link it to both the Job Position record being filled and the Student filling it.
I am able to populate the popup form's fields in expressions setting Default Values equal to fields on the loaded Job Positions subform and the Student from the Students Seeking subform. What I am unable to get is the Job Position record key from any of the 3 fields it appears in on the Job Positions and Seekers form:
MasterJobPosID on the main form.JobPosRecNo on the Job Positions sub form.JobPositionID on the Students Seeking subform.
I want that to link the new Job employment record to the Job Position record the student is filling. In fact I get a parameter prompt for JobPositionID when the popup form is launched.

I have my main form which is f_main.
On there is a Subform called subfrmFront and that has a source object of the form f_front
A button on f_main opens up a popup. In this popup, the fields I am updating all relate to the same records that are being displayed in the subform. Everything updates OK in the popup (i.e I can see in the table that the updated information is in there), but the subform back on f_main still has the old data in it.
I need to requery that subform to show the new data I just inputted.
If I close f_main and re-open it, the latest data is in there, but surely there is a way to make sure it updates on the close of the popup form.

I have a continuous Form [Letter Log - All] with "LetterNo" field as the primary key. What i want to do is click the "LetterNo" and a filtered pop up form with subform should appear based on what has been clicked. But i don't have luck doing that. The name of the main form is "LetterLog" and its subform control name is "LetterLogSub"
here is what i did.
Code:
Private Sub LetterNo_Click()
'DoCmd.OpenForm "LetterLogSub", acNormal, , "LetterNo = " & Me.LetterNo, acFormEdit, acDialog <-- this one works but without the subform
'DoCmd.OpenForm "LetterLog", acNormal, , "Forms!LetterLog!LeteterLogSub.Form.LetterNo = " & Me.LetterNo, acFormEdit, acDialog
'DoCmd.OpenForm "LetterLog", acNormal, "LetterNo", "me.LetterLogSub.Form!LetterNo = " & Me.LetterNo, acFormReadOnly, acDialog
DoCmd.OpenForm "LetterLog", acNormal, "LetterNoFilter", "Forms!LetterLog!LetterLogSub.form!LetterNo = " & Me.LetterNo, acFormEdit, acDialog

I had a subform to enter payments. It worked well. The master and child fields linked well and all the necessary data appended to a new record in the payments table.
Now to make it more user friendly, I changed the subform to a popup form (The 2 forms took up too much real estate on the screen).I deleted the payments subform and created a command button to open the payments form as a popup.
I need 3 fields on the payments form to be populated from the edit sponsor form (sponsorID, MemberID, SponsorTypeID) and then payment details to be entered and posted to a new record in the payments table.Since I've changed the payment form from a subform to a popup form, the master/child relationships are gone and the 3 fields I need for the payment record no longer appear.

I have two ways to enter work placements for students, I need to refresh a subform on one form while closing another.
The issue here is the form with the subform may not be open as mentioned above.
So is it possible on closing one form to refresh a subform only if it's parent form is currently open?

So I created a new form that multiple coworkers will have access to. I understand that you can password protect an entire data base, but I was wondering if you could go deeper than that. I have a main form with a combo box (query to show existing IDs) for "ClientID" that links the main form and subform (Its controlsource is ClientID from the table the subform was created off of). If a user selects an existing ClientID, the linked subform pops up with the selected ClientID displayed on the subform in a field along with existing additional information displayed. If The user types in an ID not in the database, a blank subform comes up for the coworker to create this new record and the field for ClientID is blank.
1) How can I make it so that when a coworker types in a ClientID in the combobox that is not in the database, the blank subform that pops up has the ClientID field filled out with what was typed in the main form.
2) Situation: Adding a new client to the main form, and filling out the additional in on the popup subform. I want there to be a field on the main form for "worker". The worker will put their ID and create a new client record. Is it possible to make it only possible for this worker to edit this client record in the future? ...the original creator will be the only one able to edit the information.
-I am thinking maybe have a table with all workers and associated passwords. So, if a user tries to open a subform created by another worker, he will be prompted to enter a password (which will be the one associated to the creator in this "secret" table.

I have been trying to figure out how to make a form refresh after deleting a record in a subform. The code in the combo box that populates the subform works fine. If you select the "Action" of "sign" from the unbound combo box above the subform, it places "Sign" in the the subform and then makes a checkbox on the main form [WillTake] = True.
But when I delete the record by right clicking on the entry, the focus is sent back to the main form so I can refresh the form and thus update the [WillTake] checkbox. I have tried just about everything. I can get the focus to a field on the form, but I cannot figure out how to refresh or requery the form.
The code to transfer focus is on the OnDelete of the subform.
I have included a watered down version of the DB.

I have two subforms on a "Page"/Tabs. Subform #1 is a continuous form which accepts data about dimensions of a pattern piece. The other subform needs to update its information display each time the last control of the first subform loses focus, because it tells me how much material is required for all pieces of this pattern that are entered.
My first feeble attempt at this was to add the following code to the "Lost Focus" event of the final control on the first subform:
Form.Parent.Refresh
This succeeded in forcing the second subform to re-run its calculation.
However, after the recalculation took place, I wasn't able to move to the next record on the first subform. This subform is a continuous form, and I need to be able to add another row of data and then see the second subform change based on the additional information in the first subform.
Obviously I've done this wrong.

I have an invoice form named frmInvoice. It contains a subform named subInvDetails. I am trying unsuccessfully to transfer a calculated subtotal from a text box in subInvDetails to a total in a text box in frmInvoice. Is there a way to do this? I have tried everything I can think of but I can't seem to make it happen.
To be more precise, I have a textbox which is a calculated value ([Rate]*[Hours]) named txtSubTotal in the sub form. In the main form I have a field named txtTotal. I thought that setting the Default Value of txtTotal to =Sum([Forms]![subInvDetail]![Subtotal]) was the right way to it, but the value of txtTotal remained zero. I have also tried using =Sum([Forms]![subInvDetail]![Subtotal]) as txtTotal's Control Source, but that didn't fit my needs or seem like the right way to do it. It didn't work anyway.

I have a Workorder Form that holds all the fields that apply to the entire project (payment, customer, etc).
Then I have a subform for Stock. This allows there to be several different stock items (and production information relevant to that stock) assigned to a Workorder.
I have successfully linked the two so that when a Workorder is opened, it shows any related Stock in the subform that has already been created.
The problem is new stock entries. I need it to only allow Stock additions to the current open related Workorder.
I currently have it where you can type in the WorkorderID (autonumber) on the Stock subform new entry and it will work. But I do not trust employees to type in the correct number every time they need to add stock to a Workorder. I can't release it this way.
I mean, the whole point is for the database to promote as little error as possible, right?

dbo.VendorAssignment A ON V.VendorID = A.VendorID
GROUP BY V.VendorID, V.VendorName, V.VendorStatus
HAVING (V.VendorStatus = N'Active')
ORDER BY COUNT(A.ClaimNumber)
So, if we look at the code it should give me top 2 by ascending , but whats happening here is once i refresh it gives me top 2 and it stays the same until and unless i go to view mode and come back to the form mode( refresh) again. automatic code or something which can make this one update automatically?

I apologize if this has probably been asked countless times; however, in my search of this forum I could not find something that seemed to work for something so simple.
**************************************************
Scenerio:
I have 2 forms. The first form is my main form and the second form is my "popup" form. Both of these forms access the same table. In my main form I have it so people can not enter in a ID so it reduces accidental data entry. Therefore, I created a "popup" box that allows ID entry.
Everything works great except when I close out of the popup form, the newly entered data is not available unless I close the main form and reopen.
Million Dollar Question:
How do I refresh or requery (dunno the correct term usage here) the main form to reflect the addition I made in my popup form. I would like the refresh event to happen when I click the close button on my popup form.
**************************************************
Again, I know this is probably simple, but I cannot find it anywhere or most likely I am blind
Thank You

I get this strange behavior in multiple forms I have. When I click on a field for the first time, I get a quick popup that immediatly disappear. It only get the popup when I enter fields I added for search purpose (a listbox which has a query as source, which I build with the value from another input field that the user type in).
I get the error when :
-I enter the input field for the first time
-I type in a value for the first time
-I select an element in the listbox
-Also when I open a form for the first time (happens only for the first opened form)
I don't even have time to see what it is in fact. I had to time a screenshot to see what it was.
So, I get an error like this : "Search referenced file : MSOUTL.OLB". No text in the msgbox, only that title.
[URL] .....
I checked google, found various reference to Outlook stuff. Problem is, I don't use any outlook stuff. I don't get any of those popup when I open the projet under Access 2013, but under Access 2010 I get them. I created the project under Access 2013, but users will use Access 2010.

Eventhough i know calculated control are for queries, I still need to store a calculated value of a sum. I have a form with customers, dates, locations. That form has a subform that contains the services done and materials used. This subform is in datasheet view. In the footer i have a control with =Sum([Price]).
So I need the value of this control to be stored in the table the main form is based on. I did an unbound control in the main form where the =Me!Subform.Form!.Textx will bring the value "over" Then for the on focus event the vba code Me.Total=Me.Textx stores the value. That is fine. The same works with a command button with the same vba code.
However i am asking if there is a more automatic way to get the value over without the unbound control/command button.

On "price" field settings I used AfterUpdate event : Me.Parent!Total_price.Requery
I see result in parent form, but value isn't saved to table and I can't use it in next calculations.
I need refresh/requery/save patern form. I try this code:
Me.Parent.Form.SetFocus
Me!Parent.Form!Total_price.SetFocus
DoCmd.RunCommand acCmdSaveRecord

I have a form, frmProjects, with a continuous subform, sfrPeopleOnThisProject. They have a master-child relationship. The form shows one Project record at a time, while the subform shows all the People records for that project. This works as expected - the correct records show up in the subform as you move through the form records.
To make it easier to glance through the list of subform records (as they can sometimes be quite long), I've added a navigation combobox to the header of the subform. If I understand correctly, as the combobox is within the subform, it should obey the master-child relationship: it should only show the subform records associated with the main form's current record. It does not. Instead, the combo box collects *all* of the records from the table that the subform is based on. So, choose the record for Project 1 in the main form. Up pops the 2 people on Project 1, but the combo box lists both the 2 people on Project 1 and the 3 people on Project 2.
The row source for the subform combo box is:
SELECT tblPersonOnProject.PersonOnProjectID, tblPerson.Fullname FROM tblPersonOnProject INNER JOIN tblPerson ON tblPersonOnProject.PersonFK=tblPerson.PersonID ORDER BY Fullname;
I can make the combo box perform as required by adding "WHERE Project=Forms!frmProject!ProjectID" to the row source and placing a hidden textbox on the main form for ProjectID (the autogenerated primary key) to sit. Have I misunderstood the point of the master-child relationship in the subform? This hidden textbox thing can't be correct.

What I'm trying to do: I have created an unbound field within a subform's footer to calculate the average of the displayed record values. The subform is in datasheet view. The records are returned based on a query with a relationship between two tables. I need the calculated data (which I currently have displayed on the main form) to populate within the master table.
I can't figure out how to automatically do this. I created a simple command to get it there, but I'd like the user not to need a button to display a calculation.
Main form based on TableA; subform based on TableB.
Here's how I have it set up (Btw, I suck at SQL I just figure this is easiest to read):
Query SQL looks like this: SELECT tblB.Field1, tblB.Field2 FROM tblB.Field1 INNER JOIN tblA ON tblB.Field1 = tblA.Field1
Main form: unbound txtbox = [Forms]![frmA]![subfrmA].Form.[txtAvg]
The field that is averaged is tblB.Field2. There are potentially a bunch of records displayed in the subform.
I need that [txtAvg] field to save to TableA. My command button is simply Me.tblA.FieldName = Me.unboundtxtbox. I'd like to do away with that.
I tried to use the on current or on load event for the main form; but the calculated field value is 0 until it calculates it. It seems like there is a short delay before the value shows up on the form at which point the on current or on load events don't pick up the calculated value; just the 0 that is initially there.
