General :: Add Return Between Entries In Form Field That Allows Multiple Values

Apr 5, 2013

I have a subformClientOffers on my frmAllProperties. On the subformClientOffers is a field called Outside Agents. This field allows for multiple values to be selected.

The subfrmClientOffers is in datasheet view.

While the field Outside Agents DOES allow me to select more than one, they post in the field one after another:

Ken Shaw, John Doe, Jane Doe, Harlan Bestlyn

Therefore, the datasheet view of the subformClientOffers causes the field Outside Agents to get very long, much too long to view without scrolling. My client wishes for everything on the frmAllProperties to be viewable without scrolling.

Is there anyway, to cause the field Outside Agents to place a return between each selected name (sort of a wrap text kind of thing)?

One thing I might mention is that the field is a drop down field from tblOutsideAgents. The table itself has First Name and Last Name, but I concatenated that into Fullname on the form, so that when the user opens the drop down they see the entire name. I don't know if that would have any effect on making the 'return' thing work or not.

I can't use this field as a subdatasheet because I already have one subdatasheet attached to the subform to show multiple notes on each Client Offer.

General :: Adding Values (Multiple Entries) In One Field

Dec 6, 2012

I have a field named Supplies Expense. As an analyst inputs a business's expenses, it may require multiple entries into this one field. What is the best way to accomplish this?

For example:

Supplies Expense (Field Name) [$0.00]

The analyst has the following data:

2009 Financial Statement
Paper $50
Depreciation Expense N/A
Ink $100

So, going down the list, the analyst goes into access and enters $50 for paper then later needs to enter $100 for ink.

What is the best way to combine these multiple entries into a single Supplies Expense field and allow for a quality check of the individual numbers at the end of the project?

General :: Multiple Entries To One Database Field?

Aug 8, 2013

Basically, I'm compiling a table of funding sources and whilst all the fields are relatively straight forward, how best to approach the matter of where the funding is available. For example, Funding A is available in America only, Funding B is available in America, Canada and Europe and Funding C is available Internationally etc (a huge number of possible options and infinite different combinations). How's best for me to lay this out because there will be hundreds of funding sources all with different availability criteria? If the field name is 'Countries funding is available', can a data type input be multiple entries?

Ultimately I'll want to be able to query show all funding sources available internationally or show those available to America and Canada only etc...and when I query on another field or show all, I'll want to see where each of the funding sources are available, listed out .

General :: Form Control To Combine Multiple Field Values Into A Single Text Box?

May 10, 2013

I'm trying to set the control source for a control on my report that describes the number of portions that goes into a box. Sometimes there is a specific number of portions per box and sometimes it's a range. When the number of units is specific, then it is entered into the MasterCaseMinUnits Field. If there is a range of units possible than the min is entered into MasterCaseMinUnits and the max is entered into the MasterCaseMaxUnits.

I want my report to look at the mastercasemaxunits, if it is blank it will only display what is in the MasterCaseMinUnits field. If there is a value in the masterCasemaxUnits field, then it will display the masterCaseMinUnits & " - " & MasterCaseMaxUnits. this is the code I'm Using:

Code:

=IIf(Nz([MasterCasemaxUnits],[MasterCaseMinUnits])=[MasterCaseMinUnits],[MasterCaseMinUnits],[MasterCaseMinUnits] & " - " & [MasterCaseMaxUnits])

When I run my report, the control displays: #Type!

Posting Multiple Values Or Entries To One Record?

Jul 14, 2014

I am trying to create a database for a company I work with which creates a food product which needs to be traceable from creation to finish. I have created a table with all of the necessary information for the creation of a batch.

1. During this batch creation, we add water multiple times which we record each time, i.e., 2cups, 2 cups, 2cups, etc. I have a field for "water", and wish to record each instance and amount of water added, but only want one record for the complete batch. Also I only need the total water amount in the batch record, but want to be able to expand to see the individual amounts as needed.

2. Also, we need to record various readings (temp, etc.) throughout batch creation. Again, same problem as before.

What is the best way to do this? I want to be able to reference this info anytime I want to check creation specs for each individual batch.

I am using forms for data entry.

How To Return Values From Multiple IDs On The Same Line

Sep 12, 2007

I'm working on a freebie for a day care center.

I can not seem to work this out in a single query.

I have:
tblChildren
tblParents
tblGuardians

Because so many familes that use day care are fractured, it is possible for 1 parent to have multiple kids but some of them to have a different second parent.

Therefore each parent and each guardian has thier own line and own unique ID in their respective tables.

each child in tblChildren can have up to two Parent IDs (Parent_ID_1 & Parent_ID_2) and up to two Guardian IDs (Guardian_ID_1 & Guardian_ID_2)
I've set the data entry form to require at least one parent for each child, but there may not be any 2nd parent or any guardians.

So what I now need to do is create a query, or series of queries, that results with each child on it's own line, with the name of each parent, and each guardian in thier respective fields.

Has anybody got any guidance for me please?

Modules & VBA :: How Can Function Return Multiple Values And Not Re-run In Query

Jan 11, 2014

Trying to run a query where each 4 fields calling a custom function will not just re-run the same custom function over and over again for each field in a single record.

A Function has a huge amount of multiple queries and logic to perform. The Function returns a Integer, Integer, Integer, and optional Integer. Each integer requires a DLookup to lookup a String description value for each individual integer (in each of 4 fields).

The problem is, the DLookup in each column that runs against each of the integers re-run the same function. The result is that a single record, each of the 4 columns returning a single of the 4 values, the complex function is re-run 4 times.

The function is huge, part of a Business Rules Engine. Depending on the Rule-Meta data - it might launch up to a dozen queries and perform logic steps for each record. This is not the ordinary SQL Query.

Imagine if one record (for 1 field) takes 0.1 second to run. By referencing the function in 4 columns, this same function is re-run 4 times (0.4 Seconds) Against 50,000 records - this duplication of re-running the function for each column can really add up.

Possible Solutions: Researched Class Modules - There is a comment that the property Get, Let actually reduce performance. There are huge advantage of code documentation, documentation and centralization. It doesn't claim class modules reduce execution as each propery is returned. It also describes that Class Modules can't be called directly in a Query - unless each property is wrapped in a function.

Function Returns one String with delimiters: e.g 34;54;55;1 This single column goes into a Make Table (runs function one time per record) Then the D-Lookup is run against static local data. This pevented the function from being run over and over across the network linked data.

Final Solution: Eventually, the many hundred lines of VBA code for the Rules Engine will be converted into SQL Server T-SQL Functions on the server. For a Rule Engine development, Access has been great for a rapid protoype development and testing. The TSQL will be a final big step requiring re-coding. It is not currenty my option for the delivery time frame.

Assigning Numerical Values To Text Entries In Another Field

Sep 23, 2004

What is the best solution to this problem? How can I automatically assign a numerical value to a field based on the information currently contained as test in another field? For example, if I have a field that ranks a film as “Poor, Fair, Good, Great, Superior”, how can I have a set value appear for statistical purposes that assigns a number to each of these values (Something like: If rating of current record = “Poor”, then ranking = “1”; If rating of current record = “Fair”, then ranking = “2”; If rating of current record = “good”, then ranking = “3”, etc. I also want to be able to have the values recalculate if someone changes their original opinion.

General :: Summary Form / Home Page - Text Boxes Values From Multiple Queries

Jan 20, 2014

I am currently developing a database to provide a friend with an auction tracking and ordering system.

I will have a number of questions the first is related to the Home Page/Dashboard/Summary form I am creating. I basically have a few sections, one of which is a combo box offering the user to select an auction to view in the summary section. This summary section contains the list of lots but I also hope to to expand on this and create multiple text boxes, each containing the answer to a number of queries (totals etc).

I have written all the queries and can see the results however as the form does not have a record source I would like to know how to make each text box populate with the result of different queries (ideally in vb - I am using ms access 2010)?

I have tried a few things, control source doesn't apply as I have no record source (i guess). I investigated Dlookup/Dcount but am unsure if these apply for the same reason. I understand I am likely to need a recordset etc in vb and have already tried a few things but unfortunately none of them work.

Multiple Entries For The Same Field

Apr 22, 2006

I'm new to Access and databases so my question might seem dumb, but I need some help figuring something out. Well, I have this database where I'm storing information from different charities. So I created a table with their name, address, phone, contact person, and many othe things. Now I need to create a field with the services that they offer. Each charity could be able to offer more than one type of service. So for the services field, I cannot create a drop down list because that only allows me to choose one service. So what would be the best way to allow the user select more than one kind of service offered from a list and then be able to search that with a query? I have a list with over 50 different possible offered services and each charity usually offers 2 or 3 different services. Thanks

Must I create another column/field to hold how many different addresses that that person might have? Thanks!

Tables :: Multiple Entries In One Field?

Feb 19, 2013

Let's say if I am building a database for a library and in a table the book titles are the primary key and there is a field "authors" to record the authors' names.

But sometimes a book may have several writers and if I type all of them into one field, Access only recognise as one person. So how can I format/set up so that when I use query or filter, each one of names can be identified?

If multiple entries are not feasible, how else should I design my tables?

Modules & VBA :: Return Multiple Records In A Single Field

Apr 6, 2014

I'm trying to create a report that's based on a query, and the query has three fields: [PersonName], [PersonDate], [PersonShift]. This table holds records for people that worked on certain days and certain shifts. What I want to do is create a report that gives a graphical calendar display of each day in a month, and on any day that the person has a record (and sometimes there are more than one), I'd like to see just the PersonShift records showing in that day's box.

tblPersons
PersonName PersonDate PersonShift
Jason 4/10/14 FIRST
Jason 4/13/14 FIRST
Jason 4/13/14 SECOND

So if I were to print this report for Jason, I'd get all the days in April laid out like a calendar, and on 4/10/14 you'd see "FIRST" in the box, and on 4/13/14. you'd see FIRST and SECOND in the box. All the other boxes would be blank.how to display the calendar, how to display the dates. I'm able to return records to those boxes by creating 31 separate queries, one for each day of the month, and each query returns records for that day. The queries are added to the report as subreports. It all works beautifully.

The thing is, I'm running 31 queries every time I pull the report. Is there a way to code a single field on a report that will run a SELECT statement on the table using variables that are located in fields elsewhere in the record?

If I have a PersonName field on the header of the report, and I have a PersonDate field in the detail of the report's record, can I create a new field in the detail of that record that runs a SELECT statement on qryPersons, and filters the tblPersons by the PersonName on the header of the report and on PersonDate in the record?

I want a field on a report that runs a SELECT statement on tblPersons, I want the field to return only the PersonShift records for that person based upon the PersonDate. Each of the fields on my report have a CalendarDate field, and I want the SELECT statement to return records where the PersonDate matches the CalendarDate, and again, it should only display PersonShift records.

Forms :: Multiple Entries From One Form

Jan 12, 2014

I need to create a form that will allow the user to enter details about say a water meter - make, model, size for example.

These will be from combo boxes.

Each time the form is opened though, there could be a different number of meters to enter, from 1 to xxxxx

I will need to use this method for entries on other things as well, such as users and a couple of other things. Same basis just different information.

What I want to do is have a form where they enter the number of each thing that is going to be entered, so 3 water meters, 2 users. Then hit "next".

That will then open a form with the right number of spaces to enter the details for 3 water meters, or 2 or 1 or 999 depending on how many have been entered.

As apart from putting a look in and closing/reopening a single entry form each time.

Choosing Multiple Entries In Combo Box On A Form

Jul 2, 2014

I'm quite new to creating a database. On my navigation form, I have a dropdown list/combo box that contains up to 16 possible selections. The user should be able to select more than one item, but can't, when using the navigation form. In the man form that this 'writes to' the selections can be made, with checkboxes in front of each item in the list; but not in the navigations sub-form. the Navigation sub-form only shows the list in a column. I don't see any properties that explicitly allow more than one suggestion or restrict to only one, so am I using the correct control?

Query To Return Default Set Of Values In A Subform When Main Form Opens

Apr 23, 2007

Here is my sample DBA

I'd like to solve this issue

when I open my Quotations form I'd like a set of services to be selected by default, ex: Brush and Pen. So the user only has to input the quote amount

is there anyway to have the form open with a script like:
"on open (or on load). in subform SELECT refproduct where product from tblproducts = 1 and also SELECT refproduct where product from tblproducts = 4"
Therefore when my main form opens, in the subform I have already Brush on the 1st line selected and pen on the 2nd. My user only has to type the price.

Thanks for your much appreciated help

Forms :: One Form To Create Multiple Data Entries

Dec 30, 2013

What the database currently has: A payment entry form consistenting of many fields. This form populates a payment entry table. Some of the fields within the payment entry form are linked to other tables and queries for data (such as a recipient list).

What the database now needs: A group payment option. Should ten people attend a dinner, the total cost needs to be divided among the attendees, and then the payment entry form table populated with ten different entries and the subdivided cost of the dinner per person.

My thoughts: The most ideal thing to do is to have a hidden recipients window show up when the user indicates that this is for a group event. The user could then add all the additional recipients (beyond the primary which is already collected on the form), and the total amount for the meal. The database would then generate an entry for each recipient listed, dividing the total cost among them, and then simply duplicating the rest of the information as is.

Forms :: Inputting Data Into A Form And Getting Multiple Table Entries

Jul 3, 2014

I'm fairly new to access and have been tasked with fixing a database that to my knowledge is built incorrectly but due to budget constraints and the time it would take to build a new one, we have to stick with this one. Here's my problem, in the database is a form that we use to create new entries in a table but when I try to create a new entry through the form, it creates multiple entries in the table with the rest of the data split between all the new table entries. Is this something that is caused by us moving over to the most current version of Access? Is there a way to fix this problem given the software we are using? At one point I had recreated this table because we had been having issues with other aspects of the database (security deposits were not being updated when entered through this form).

I'm pretty good with setting up a very simple database such as inventory, profiles, etc.. However I'm creating a database to keep track of a football (soccer) team's players and match statistics. What I have so farsample attached)

Tables:
* Players - PlayerID, Fname, Lname, position, goals, assists, etc (all details regarding a player)
* Position - Positons (Table containing positions eg: defender. Data is selected in player's form as a combo-box)
* Competition - Competition types (Cup, League, Friendly. Data is selected in Match's form as a combo-box
* Venue - similar to Competition table
* Opponent - Similar to above two tables
* Match - MatchID, Competition, Venue, etc (form corresponding to table attached)

Forms:
* Player form
* Match form

Now as shown in the sample, I choose players using the combo-box. Then whatever stats they had during the match are entered on the fields provided. How to link the player (selected using combo box) to the stat fields (goals, assist, YC, etc).
