General :: Append Excel Records To Table
Feb 6, 2013
I have Office 2010 working on XP Pro SP3.
This is the first time I have tried to append/import a bunch of names and addresses from a spreadsheet into my access table.
I thought it would be easy with all the integration of applications but it's not. What happened to the bit where I could match the fields where it's not quite the same name and set the type so it worked OK.
All I seem to be able to get at at the moment is a wizard which does a very poor job and won't allow me to append the records. I tried exporting the Excel as CSV - same thing - error messages.
Is there a way of matching up the fields so everything works? What am I missing - this should be a cinch right?

I select records from a table based on criteria:
< Dim rst As DAO.Recordset
Set rst = CurrentDb.OpenRecordset("SELECT * FROM [tblLVRWrittenStatements] WHERE [tblLVRWrittenStatements].[seedrsID] = " & seedrsIDVar & "") >
I now want to append these filtered records to another table called ArchivedWrittenStatementsTable;
< CurrentDb.Execute "INSERT INTO [ArchivedWrittenStatementsTable] SELECT * FROM rst" >
Would be lovely except rst not recognised. Is there a way of achieving this without having to <addnew etc > looping through the records.

I need to know the best way to append,
table1=productid,ProductName,Qty to table2=Productid,productName,Qty,date daily
I want to be able to append Records daily from table1 into table2 OnClose. But i do not want duplication of record in the same day.
If changes occurs in table1 after append,table2 should be updated using If conditions

Hi there
I have a spreadsheet that I have successfuly imported into Access but now I would like to maintain it, update/append/delete records etc.
The spreadsheet is produced weekly and Intend to import it into my Access database on a weekly basis there are around 20,500 records and 15 Fields. I have kept the Field names in Access the same as the spreadsheet, except that the Access table has an ID field with PK and autonum. There are no other tables involved, it should just be a straight import update append ...but how?
I am looking for the best way to approach carryingout a regular update, is it best to bring the new import into a Temp table? and then carry out the analysis of what has been changed, deleted or added?
Also the queries to do this, how exactly do you get a query to scan through all of these rows and columns.
one last thing is it possible to create a table during the update/append process that will log all of the changes or flag the records using A=Append, D=Deleted U=Updated...
I've tried looking at various forums but mostly all I find is people with similar problems and no definitinve answer.
thanks

i have attached an abbreviated version of my database for reference. many thanks-

I have a database with existing tables.I now want to add a whole bunch of records into my access tables.A lot of the data is repeated, and lends itself to my doing it in excel with it's better copy and paste abilities, and it's ability to easily increment alphanumeric fields.I can't seem to succeed in append importing to the bottom of my access table from my excel spreadsheet. All columns are the same. Can this be done, and if so how please?I'm on XP Pro with Office 2003 Pro.I'm also very much a newbie in Access.

Is the record is already existing in access, but a few fields are blank, is there any way to import an excel file that just updates those blank fields for the specific record?
For example,
I have an excel file that includes files that are ready to ship out. My access database already has those file names, but does not have the shipping box number. Is there any way to import the excel file into my database, have it find those specific file names and update the shipping box number field? The excel file won't be adding any new records, just appending existing records.

I am trying to import from Excel and append to an existing table. My excel sheet is named tblStatus and I am trying to append it to my Access table "tblStatus".
I get an error message that says "The first row contains some data that can't be used for valid Access Field Names. In these cases, the wizard will automatically assign valid field names." (I used the excel sheet to set up my table.) After I click OK, I get to the point where I can click finish, and I get a "Subscript out of range" error.
MY row headers are:
strOrderOps
strOrderNo
strOperation
strOrderType
dtmBasicStartDate
dtmActualFinishDate
dtmCalFinishDate
strStatus
I am not sure what is going on.

I have successfully used VBA to populate select query results into an excel worksheet on open, for a co-worker. Now I am trying to populate the records from an append query to the bottom of those results, which are now in a table on an excel spreadsheet, Contractor EIF. I am trying to make this work because my co-worker modifies the results in the table, deleting rows, adding fill color etc. and as new projects begin he would like those added to the projects already in the table (without rewriting the entire table).
Private Sub Window_Open()
Dim strDB As String
Dim strMyPath As String
Dim strDBName As String
[code]....

I am rebuilding an application for a client and I have an Access table that I am using as a temporary table. Once the user is done entering information into the temporary table through a form, the user presses an update button that appends the records using an Append Query in Access to an SQL Server Table.
The following error message occurs:
"ODBC -- insert on a linked table 'linked tblname' failed.
[Microsoft][ODBC SQL Server Driver][SQL Server] Explicit value must be specified for identity column in table 'linked tblname' when IDENTITY INSERT is set to ON. (#545)
I am using a form, subform combination to record a bill with many details. The bill summary is posted into a tbl_TransactionsMain table in SQL Server using the ADO AddNew method. The PK for the tbl_TransactionsMain is then entered into the temporary table in Access. When the temporary table records are appended into tbl_TransactionDetail the error message occurs.
What is also interesting is while typing out this post I thought to test the error by manually trying to run the query. The query worked like a charm! When the orginal error occurred off of the form I tried to run the query manually and it failed. I am guessing that this might have something to do with the ODBC timeout.
I think SQL Server/ODBC connection is not liking how I have a set of records in an Access table with foreign key numbers assigned when I am attempting to append the records. I am new to SQL Server and any ideas are most appreciated! :)

I want to append records that I have created in Table1, via a form (Form1), to Table2, using Form1's OnClose event. (Table2 will be amended later, but I need to preserve Table1). Is there a way to append only the records from Table1 that haven't been previously appended to Table2? Also, can I turn off the warning messages in an append query? TIA

I have an order system whereby there is a "basket" table and an order detail table.
I want to use an append query to move all the records from the basket table to the order detail table.
However, I also need to mark each record that gets appended to the order detail table with an "Order Id" that has already been saved in an Order table.
I.e. I save the main details of an order into the order table then copy records from the basket table into the order detail table along with an order ID that comes from a form.
The order ID is an autonumber.
Thank you all so much in advance =]

I built an Append Query to take records of 'Leavers' from my Primary Table and add them to a Secondary Table named 'Leavers. This worked perfectly, but on reflection I determined that I needed to append a further column 'Notes' which exists in the Main Table but not in the Secondary Table.I amended the SQL statement as follows, but the query now fails stating that it doesn't recognize the field 'Notes'.
INSERT INTO Leavers ( [Member ID], Surname, [First Name], [Address 1], [Address 2], Town, PostCode, Phone, [E-Mail], Notes )
SELECT [Mail List].[Member ID], [Mail List].Surname, [Mail List].[First Name], [Mail List].[Address 1], [Mail List].[Address 2], [Mail List].Town, [Mail List].PostCode, [Mail List].Phone, [Mail List].[E-Mail], [Mail List].Notes
FROM [Mail List]
WHERE ((([Mail List].Leaving)=True));
Does this mean that one would need to recreate a new Secondary Table to incorporate the additional field? I have attempted to edit the secondary table by merely adding the 'Notes' field but that doesn't seem to be possible.

I need to extract a specific number of records into a table using a MakeTable or Append command using a temp variable, e.g. TempK&SA. Previously on the forum I was shown how code could be added to the OnOpen function to use a temp variable to select a specific number of records to report. ACCESS does not have the OnOpen function in the design view of a query like in the report. It does allow a SELECT TOP but only with fixed variables or percents (e.g. 25 in the code below).
The beginning code for the make table query (where 25 is the number of records added) is:
INSERT INTO [Output] ( RndNo, PointBiserial, BloomsTax, DateRevised, Exam1, Status, Exam2, Exam3, Exam4, [NCCPAKnowledge&Skills] )
SELECT TOP 25 TestBank.RndNo, TestBank.PointBiserial, TestBank.BloomsTax, TestBank.DateRevised, TestBank.Exam1, TestBank.Status, TestBank.Exam2, TestBank.Exam3, TestBank.Exam4, TestBank.[NCCPAKnowledge&Skills], *
FROM TestBank
WHERE (((TestBank.PointBiserial) Is Null Or (TestBank.PointBiserial) Between [TempVars]![TempPointBiserialLow] And .....
how to modify the code to allow a temp variable to determine the number of records to append to another table would be gratefully received. (This process then is repeated for a total of 7 append tables with different temp variables.)

When I try to transfer (ctrl c + v) data from a table in Excel to a table in Access it loses format.
Exemple: $ 1.000,00 (Excel) become 1000 (Access).
I need to keep the format to make sure that the code works properly.

hi Guys,
I have been looking at different post and checking Microsoft help files as well, but still can't seem to fix this problem.
I am having 2 tables. The first table is connected to a form for viewing and entering data, and in the second table i am just copying 3-4 fields from the first table.
I am trying to use the insert statement to insert records in the second table, and everytime i click on the "Add" button to add the records i get the following error "MS access can't append all the records in the append query ... blah blah blah"
However if i close the form and reopen it, and goto the record (as it is saved in the first database) and now click on the add button to add the fields to the second table/database, it works.
What am i doing wrong???
Any inputs will be greatly appreciated.

I'm having problems importing a spreadsheet from Excel for a client.
They are using Access 2003 and Excel 2007, 3.5GB RAM
It works perfectly on my machine - Excel 2010 and Access 2007-2010, 4 GB RAM.
The file is imported in Excel 97-2003 format via a macro using the transferspreadsheet function.
It returns error 3274: "external table is not in the expected format."
There are 1488 rows and 71 columns in the spreadsheet and resulting table - in future additional columns may need to be added representing new critical data.
The interesting thing was that it worked fine on my machine. Then as a trial and error process I cut the file down to 26 columns and it worked fine. 52 columns also imported. But it gave up when there were 71 columns.
if 52 columns * 1488 rows =77,376 record worked, that's more than the magic number of 65,536. but it doesn't like 71*1488 = 105648 records. Is there a limit at 100,000, or some other number in between? I would have thought Access could hold/import much more than this.

I have a table of trainees. One of the fields of that table is 'authorized trainer' (YES/NO) tick box. What this allows me to do is query the trainees table based on who is an authorized trainer, and who is not. I have a table of called training, that records information about training a trainee has completed. One of the fields of this table is a lookup that looks up all the trainees from the trainee table who are authorized trainers, so that I can also record who conducts each trainees training.
As you can see from the table the listbox field for trainer shows both the last, and first name of the trainer.I now need to export the table to an excel file, but when I do, only the second name of the trainer is exported. Is there a way to export both the first and last name?

I would like to use the "Collect and update via email" function within MS Access 2010 which sends out and collects emails. I know how to use this function, but what I would like to do is something slightly different. Instead of emailing out a data entry "form" that has the employee/team member enter information for data collection purposes about their project, status, start date, end date, priority, tasks, etc. Instead, I would like send an Excel/Access table with all of the current project information displayed in the email data collection form and then have the employee reply to the email and overtype edits to displayed information and then have those changes automatically entered into my table. For example, one project table can have up to 50 rows and then column headers such as project status, start date, end date, priority, task description, etc.

importing data from two excel sources to one table. I have a table with: Unit, Info1, info2, info3, info4, info5, info6, info7. I have been able to import from the first file which has all of the unit information-'info1-5'. I need to import another file to fill 'info6-7' based on specific unit numbers. I have created two excel tables the first with the headers "unit, info1-5" and the second with the headers "unit, info6-7." The first works fine and adds all the data I want it to, but when I try to do the same with the second it doesn't add any new data.I cannot add the last two fields to my first spread sheet because it would involve sorting through 700+ units and adding the data manually to 400+ of them.

Dim td As DAO.TableDef, db As DAO.Database
Dim out_file As String
out_file = CurrentProject.Path & "excel_out"

I am trying to import a series of records from Excel into a table in Access 2010. The field names in the Excel table match the field names in the Access table. The field formats are the same as well (both set to numbers).
I am receiving an "unparsable record" error for all fields in the Excel file that are being entered into fields in Access that are 'lookup' fields that allow multiple entries.
The Exel fields have been filed in with the 'numbers' that correspond to the correct 'lookup' selections. There is only one item in the excel field -> while access will allow multiple entries for the field, I for the records I'm importing I only need one.
For the fields that are 'lookup' but allow only one value the excel data is being imported and displayed correctly in Access.
Do I need to format the fields that are matching to multiple entry fields differently or in a special way?
