General :: Calculated Field In Subform?
Nov 14, 2013
I have an invoice form named frmInvoice. It contains a subform named subInvDetails. I am trying unsuccessfully to transfer a calculated subtotal from a text box in subInvDetails to a total in a text box in frmInvoice. Is there a way to do this? I have tried everything I can think of but I can't seem to make it happen.
To be more precise, I have a textbox which is a calculated value ([Rate]*[Hours]) named txtSubTotal in the sub form. In the main form I have a field named txtTotal. I thought that setting the Default Value of txtTotal to =Sum([Forms]![subInvDetail]![Subtotal]) was the right way to it, but the value of txtTotal remained zero. I have also tried using =Sum([Forms]![subInvDetail]![Subtotal]) as txtTotal's Control Source, but that didn't fit my needs or seem like the right way to do it. It didn't work anyway.

I'm trying to sum a couple of columns from a subform datasheet and carry them onto the main form.
My main form, [frm_tours_details], holds subform [sbfTours] which is a datasheet.
On [sbfTours], I've got a couple calculated fields within the datasheet, one, called "txtStudentSum", which calculates number of people total ([students]+[adults]+[numfreeteachers]) and one, called "txtptotal", which calculates fee for the program based on the following formula:
Code:
=IIf([txtMonth]>=10 Or [txtMonth]<=4,([Students]+[Adults])*7,([Students]+[Adults])*8)
(The fee is $8/person in season, and $7/person out of season.)
I've been following online directions I found to put a text box in the form footer which then sums each of these calculated fields ("txtStudentSum" & "txtptotal"), and then reference these text boxes from my main form.
However, the main form text boxes just come up as #Name? or #Error when I try to reference these boxes on the subform. Or, sometimes, the one calculating total students will show the total of ALL students, adults in the database, not just those for this particular record-but only, it seems, if I have the subform open separately first, then load the main form. I also tried putting the whole original calculations into text boxes on the main form, but they will only reflect either the current record selected in the subform, or they will only show the first record, regardless of what you've selected, depending on which way I tried.
I've attached a copy of the database ... click on the tab 'tours', then click on, say, tour #6 (since this one is multiple programs and needs to calculate) to open the tour details form.

I've got a subform (simple table view) inside a main form, the subform (sfrmRecipes) just has an IngID field (which stores ingredient ID's) and a percentage field
I've added a few calculated fields to this subform, to assist users in making decisions, however each of these fields needs a sum total
So far my percentage field (which is an actual stored field in tblRecipes) is the only one with a functioning sum
for some reason the two calculated fields (which are both plain numbers, no text) do not give me a sum total option, i am only able to use the count function on them
Why calculated fields dont sum up and if there is an easy way to get it working (tried creating my own text field in the footer and manually typing SUM(fieldname), but it does not work).

I have a subform embedded in a main form, the subform has a field (text box) that is doing automatic calculation so no manual entries are needed from the user. I have tried to pass automatically the final result to a text box in the main form, but all events are not working (afterupdate, On change, On Dirty), etc.
I have a button to do the above mentioned in the main form, but I don’t want to use that button, I want to do all the process from the subform.
Also, from the subform I was able to do click on the button on the main form (programmatically), however MS Access is too quick and the value extracted from the subform is always empty (zero); Acees is finishing before the calculation is done.
I am using MS Access 2010.

I have a "Main" form called frmProjects that sports multiple tabs. One of those tabs is labelled "Milestones", into which I inserted a datasheet subform called frmSubMilestones. The table that feeds the subform is tblMilestones. I established the parent / child relationship between frmProject and frmSubMilestones, and everything is working just fine...
To summarize: frmProject as main form -> Milestones Tab on main form -> frmSubMilestones as datasheet subform on the Milestones Tab (there are other tabs that are not subforms).
I have been asked, for each milestone in the frmSubMilestones subform's datasheet, to capture the number of days spent by employees on a monthly basis. The Milestones table and the PersonDays table have a primary key and a foreign key that are similar.
To summarize: frmSubMilestones as subform -> txtAggregatePersonDays as calculated Textbox fetching data from tblPersonDays -> OnClick event -> FormLoad of frmPersonDays as datasheet PopUp form.
DoCmd.FormLoad is supplied with the usual parameters to make the PopUp form appear, filtered on the currently highlighted milestone. Everything works fine so far... well almost.
Problem 1: When I introduce new rows in the frmPersonsDays datasheet, everything seems fine at the surface, BUT the primary key of the calling form (i.e. frmSubMilestones) does not appear in the tblPersonDays table; this is normal because there is no form-based parent / child relationship between the two forms. As one might expect, I am trying, from frmPersonDays, to get the primary key value from the "parent" frmSubMilestones using the Forms collection. No dice. I surfed and surfed, tried the bang and the dot operators, drank scotch, but nothing worked. I had to add foreing keys manually in tblPersonDays to further my tests. I can't figure out how to reach any control on the calling form, which is a subform.
Problem 2: The calculated txtAggregatePersonDays on the frmSubMilestones works wonders for existing data in tblPersonDays. However, when I introduce new rows in the PopUp form, I also realized that the calculated Textbox in frmSubMilestones is not updated when I close the frmPersonDays PopUp. I have to close the PopUp form and move the cursor in the Main form (frmProjects) to refresh its associated milestones.

I want to know the "cummulative sum of a calculated field".
Given Lookup table : A = U, V, W | B = X, Y, Z
Field C = iif([A]="U",10, iif([A]="V",20, iif([A]="W",30, 0)))
Field D = iif([B]="X",10, iif([B]="Y",20, iif([B]="Z",30, 0)))
Field E = C+D
Field F = Cummulative sum of "Field E". What would be the expression for the cummulative sum here ?
---------------------------------------------------------------------------------
I tried F = Sum(C+D), but it shows me error

I am looking to do a calculated field. Not sure what is the best way to do this, but I would like to have a dates in a table with all of our employees that has what date they started with the company. From that I want to know not how many days they have been with the company, but just the years.
So if I have been with the company 364 days, it should only show up as 0, and if I have been with the company for 365, it will read 1. I would like this to be in a query somehow. We use the number of years they have been with the company for their pay, and need it to be years, and not days.

I need to populate a table with Grid reference values consisting of 6 figure integers, eastings and northings.
I am receiving/downloading the Grid Refs in a UK Grid Tile format, with 3, 4 or 5 figures preceded by letters.
E.g. SK 456 849, SP 6789 4356.
I have used some query functions and written a bit of VBA behind a form to convert the received coordinates into the full coords I want. The coordinates are now in unbound controls on a form, and I want to pass these back to a table so I can use the data for display purposes.
Ideally I want to link to the table from a GIS and autoupdate without having to open the database (my imported data is linked in to feed the database automatically).
I have done some searching and not found a method to pass the values into a table - What is my best way of doing this automatically?

I got Gross Income Query. But I have employees that have overtime rate as well
So I have to calculate using overtime Payment And Gross Income Separately
So I make query and in query . I write this equation
Ovetime Pay: IIf([Total Hours Worked]>[Normal Hours/week],([Total Hours Worked]-[Normal Hours/week])*[Overtime Payrate],"0")
I successfully calculate it ...
BUT IT JUST GIVE ME THE VALUE LIKE A NUMBER SUCH AS e.g. 50 ,150 but instead of that i want currency data type of that calculate field for e.g. 50 become "$ 50".
Okay so in able to do that i go to properties Sheet of the field of the query and change Format to Currency ..BUT IT DOESN'T CHANGE !!!

The interface being used is a main form with various tabs and a subform on each of these tabs.
There is one field ('max power density') in my database that is calculated using 'Max Rated Power' and 'Cylinder Capacity' however these are in different tables and subforms. The 'max power density' and 'max rated power' are in table and subform 1 but 'cylinder capacity' is in table and subform 2. Is it possible to keep them in separate tables/subforms and still calculate the field?

I have an option button for a field [Fully Paid] (Yes/No) in my LoanT and i want to know if it's possible for my database to automatically choose an option depending on a calculated field
(Calculated field from another query) = [Outstanding Balance]
Say... if [outstanding balance] is = 0 or negative (refundable), then Yes should be On, if not it should remain No/off so that i wouldn't have to go over every record and manually choose the option
The option button is very useful when i want to display loans which are Paid and/or still active. How do I go about this?

Both forms have the field called JobID in common.
Both forms have a field called JobStatus.
Any easiest solution so that After I Update the field called JobStatus in the subform, it changes the field called JobStatus in the main form to the value which was selected from the subform?.

My query contains two calculated fields [TaxSavings1] and [TaxSavings2], which are based on some currency and number-type fields in one of my underlying tables.
I just created another field in my query which looks like: [TaxSavings1]+[TaxSavings2]. Instead of adding the two fields, it actually lumps the two numbers together. For example, if [TaxSavings1] =135 and [TaxSavings2]=30.25, it will give me: 13530.25. I need it just to simply add, i.e. answer of 165.25.
Does anyone know how to correct this? Thanks in advance.

I believe I did this before awhile ago but for some reason I keep getting an error.
I have a Mainform (frmMain) that has a Subform (frmSub). On frmSub I have 2 comboxes (strCom1 & strCom2) one is set to invisible (strCom2.Visible = No).
So using the "On Open Event" of frmMain I want make strCom2 visible if strCom1 = "Read Only". Ofcourse I will also need to place the vba on the On After Update event. Below is what I have so far but doesnt work.
I get Run-time Error 2427 "You enetered an experssion that has no value"
Code:
Private Sub Form_Open(Cancel As Integer)
If Me!frmSub.Form!strCom1.Value = "Read Only" Then
Me!frmSub.Form!strCom2.Visible = True
Else
Me!frmSub.Form!strCom2.Visible = False
End If
End Sub

I have an Invoice Form with a Payments Subform. Here are the details:
frmInvoice
InvoiceID
Customer
ShipmentID
QtyShipped
UnitPrice
frmPaymentsSubform
PaymentID
InvoiceID
CheckNum
DateReceived
Amount
An invoice can be paid in multiple payments. (One-to-Many Relationship).
I have a calculated field that takes QtyShipped * UnitPrice, which gives me my total due. That works correctly. However, I want to have another calculated field that sums all of the payments (the Amount field). Then I want another field that takes the difference between the total due and the sum of all the payments, and gives me a Remaining Due calculated field.
Right now, my TotalPaid and TotalRemaining fields are marked with '#Error'. Is that because TotalPaid is a running sum? Every day I can go in and add a payment to an invoice, so the number would be constantly changing until it was paid in full.
Any suggestions would be great!

Eventhough i know calculated control are for queries, I still need to store a calculated value of a sum. I have a form with customers, dates, locations. That form has a subform that contains the services done and materials used. This subform is in datasheet view. In the footer i have a control with =Sum([Price]).
So I need the value of this control to be stored in the table the main form is based on. I did an unbound control in the main form where the =Me!Subform.Form!.Textx will bring the value "over" Then for the on focus event the vba code Me.Total=Me.Textx stores the value. That is fine. The same works with a command button with the same vba code.
However i am asking if there is a more automatic way to get the value over without the unbound control/command button.

I have a problem with a total on my main form (calculated from a subform) not updating immediately. The updated total only displays correctly after I’ve navigated to another record and then back again. I would like the totals to update immediately after I’ve entered the new data. Can anyone help? Here are the specifics…
My main form has a subform which displays a dynaset of records from a query. I’ve set up this subform so that I can enter a new record, which is then written back to the record source for the query. This is accomplished via a combo box from which the user selects a product, and an AfterUpdate event returns the price of that product to the TotalPrice control on the subform. In the footer of this subform is a calculated control (called AdExpenseSubTotal), which calculates the sum of the TotalPrice field from the query. The footer of this form is hidden, and I’ve set up a control on the main (TotalSpent) form which displays the value of the subform control AdExpenseSubTotal. This total seems to update immediately whenever I tab off the relevant field in the subform – so far so good, no problems here.
Now here’s where it gets tricky. My main form has another subform which is hidden. This subform returns a dynaset of records from another query which has the same record source as the query on the first subform. Like the first subform, this subform also has a hidden calculated control with an aggregate function (Sum), and a calculated control (VendorSpent) on the main form to display its value.
As I said before, when a enter a new record in the first (displayed) subform (via the combo box) and tab off it, the TotalSpent control on the main form updates immediately, but the VendorSpent control doesn’t. Obviously the new record I’ve added doesn’t immediately show up in the query dynaset of the second (hidden) subform from which the VendorSpent control on the main form gets its value. The VendorSpent control only displays the updated total when I navigate to the next record, and then navigate back again.
Is there some Event Procedure I need to add to the AfterUpdate property of the combo box on the first subform which immediately forces the second (hidden) subform to requery? I probably haven’t explained myself very clearly, but I can provide a copy of the file (it’s only 184 Kb) if that helps.

What I'm trying to do: I have created an unbound field within a subform's footer to calculate the average of the displayed record values. The subform is in datasheet view. The records are returned based on a query with a relationship between two tables. I need the calculated data (which I currently have displayed on the main form) to populate within the master table.
I can't figure out how to automatically do this. I created a simple command to get it there, but I'd like the user not to need a button to display a calculation.
Main form based on TableA; subform based on TableB.
Here's how I have it set up (Btw, I suck at SQL I just figure this is easiest to read):
Query SQL looks like this: SELECT tblB.Field1, tblB.Field2 FROM tblB.Field1 INNER JOIN tblA ON tblB.Field1 = tblA.Field1
Main form: unbound txtbox = [Forms]![frmA]![subfrmA].Form.[txtAvg]
The field that is averaged is tblB.Field2. There are potentially a bunch of records displayed in the subform.
I need that [txtAvg] field to save to TableA. My command button is simply Me.tblA.FieldName = Me.unboundtxtbox. I'd like to do away with that.
I tried to use the on current or on load event for the main form; but the calculated field value is 0 until it calculates it. It seems like there is a short delay before the value shows up on the form at which point the on current or on load events don't pick up the calculated value; just the 0 that is initially there.

Table2 contain Two fields (3Months) and (6Months)
the table 2 is the source of a form that will let the user change the numbers. table 1 should change Date1 and Date2 Fields based on the two fields (3months) and (6months) if i want to make a lookup wizard it should be changed manually and if i make a calculated field i can't find other tables in the expression builder

I have a query with a Date field for EndDate (the dates for end-of-week, Fridays in our case) and another field for Sales (number of sales, not dollars).I want to add 4 calculated fields that represent weeks and have the Sales appear in the correct column (field) for that date.So I will have columns for 10 July 15, 17 July 15, 24 July 15 and 31 July 15 and I want the Sales for each record to land in the correct date column, based on the EndDate column. (The 4 fields is just for the sake of the example, I will actually be having dozens of these calculated date fields).I tried to do it by setting up the 4 calculated fields like:
10Jul15: Sales
and then adding Criteria like:
EndDate = #10/07/2015#
It doesnt work.

We are running Access 2010 runtime on Server 2008 R2 with both FE and BE on it. Each user has own FE copy on Server which is opened from own PC through remote desktop.
After fresh Server restart all goes well for 1-2 weeks. But then some strange behaviour starts:
- values of all calculated fields - whatever, on forms or on reports - disapears. When I click on a field it shows up again. And refresh does not work;
- all condition formats does not show up until I hover the mose on it.
When we restart the Server all comes to normal again. Its very annoying because users thinking data are gone!
