General :: Designate Unique Codes In Database During Data Entry

I wish to designate unique customer codes in my database during data entry.
For example;
Liz Stimp = LS1
Liz Stamp = LS2
Lyne Small = LS3
Lipo Suction = LS4
I have successfully linked the first and surname using a "Left 1st letter" in the expression but I do not understand how to add a 'unique' number to the code to give me the result I am after.
Expression so far is .....Left([First Name],1)+Left([Surname],1)
My question is this: I have a table where I'm entering employees' hours worked. Basically, it's something like this:

I have a query that (easily) determines how many hours an employee has worked on any given day. What I can't figure out at all, is how to write a query that can figure out how much time an employee had off in between shifts.
Thus far I'm able to run a query that separates this main table into individual workers by their id numbers, but can't figure out how to determine time off between shifts - as the last hour worked one day, and the first hour worked the next day are on two different lines (they are two different table entries).
Greetings.. I am attempting to teach myself Access but I am having trouble trying to figure out how to implement into my database the features I need my enduser to have.
Basically I am trying to create a Contacts database and I want the "form" that my end user enters data into to look like this (all examples are minimalist because I am looking for specific logical answers to solving my problems, not field suggestions):
Name: [textbox] Phone: [textbox] Email: [textbox]
Now I need to have Phone and Email each in their own tables, or in some way seperated so that I can retrieve a list of emails or phones without duplicates.
My initial attempt was to create the tables:
*key
NAMEtable *Name Phone (related to PHONEtable.Phone) Email (related to EMAILtable.Email)
PHONEtable *Phone
EMAILtable *Email
Now the problem with that setup is that I cannot create a new entry into NAMEtable unless the specific Phone AND/OR Email are ALREADY listed inside their respective tables.
What I need to be able to do is give my user the ability to use a "form" with 3 fields, that will do the following:
Allow a new Name without a Phone or Email. Allow a new Name WITH a Phone and/or an Email. Allow a 2 different Names to have the same Email, but pointing to only 1 instance of that email in a different table. (which it already does all if the Email and Phone already exist in their tables, I need it to be able to create new entrys into those tables from the form if they don't already exist). I also need to be able to enter in new Emails from a different form2 that dont have any relation to any persons in Name (which isn't a problem either at the moment since I just open the Email table and enter data).
I am unsure how to execute this first forms dilema though, I am assuming my database design is fine and it has something to do with some formality or code that I am missing to be able to do what I want. If so could someone help me out and make some suggestions? Or if my design is way off and there is a better way to be able to enter and store a Name, Email, and Phone from a form that relates back to a single contact and prevents duplicates then please let me know. if the email the user is entering isnt already in the database it will not create a new row in email.email and then link contacts.email to that specific email.email...........
for example if
contacts NAME , EMAIL row1 = bob , email.email row1 row2 = bobswife, email.email row1
email Email row1 = bob@bob.com
then I open a form that will have 2 members, both pointing to the same email.
1 of 2 Name: [bob] Email: [bob@bob.com]
2 of 2 Name: [bobswife] Email: [bob@bob.com]
Ok, lets say I go to create a new member
I can do this just fine:
Try1 3 of 3 Name: [bobsson] Email: [bob@bob.com]
What I can't do but need to be able to do is:
Try2 3 of 3 Name: [bobsson] Email: [bobson@bob.com]
It will return an error stating that the email isnt in the email table. I need to know how to get Try2 to do what I want so that when I enter 3 of 3 my database looks like this:
I am having a problem where I have a form that I enter data into. Sometimes when I enter the information it will add a record to the table and sometimes it doesn't. It doesn't put the information in the table more times than it does.
I have tried to enter the information outside the form and it still does the same thing.
Do you have any suggestions of what I can do to fix this.

Now I would like to insert some data into database though form, but if I for example add New contractor ( first name, last name ) with his location , it doesnt connect in table User-Location ... so it is not matched ...
I am trying to create a form for data entry. I would like the Total Balance in the last record to become Total Cost in the new record. However, if the total balance in the previous record is =<0 it prompts the user to enter a new total cost else use the last Total Balance. The form in question is FrmSubClients in the attached file.
I run an after-school youth program for high school students. My issue is an accurate way to track attendance of students. We have MS ACCESS 2010 on our computers at work.
On any given day we may see between 30 to 50 students, so this is a small operation - - and the reason I'm adverse to buying fancy "custom" software and hardware "systems". Because students come and go and vary over time, we may see 100 kids in a given week, but in the past 2 years of operation, we have had well over 250 students come through our program, with some returning at various times.
What I would like is to be able to
1) Make a simple ID card with student photos and a unique ID # that can be ...
2) Scanned by a simple barcode system.
2b) Actually two barcode swipes ... one swipe at the front door / main entrance, and a 2nd swipe by a hand held bar code in the various four classrooms to be sure the student is not only in the building, but also went to the correct class.
3) That the input of that information dumps into our ACCESS database so we can track student attendance, and ...
3b) provide reports out to school counselors / principals of the numerous highs schools that our students come from, to let them know which of their kids are actively attending our program.
My questions are ...
A. Can this be done with ACCESS?
B. Would it be better to do this with EXCEL?
C. If ACCESS can handle it, which types of bar code devices would be the best choice for us to purchase? (We would need a total of five barcode scanners. One at the front desk, and one in each of our four classrooms.)
The system would need to be expandable seeing that this could easily be doubled in terms of classrooms and students within the next year or so. We are currently just 2 years old.
I have made a database for data entry, currently i have a challenge of getting it update and navigate.
On the form if the staff name is xyz it should only shows the records filled by xyz in form and navigate that records only. I am attaching the data base also....
I have a form which saves to a database correctly. It has a key field name called "code".
I can recall the data into a copy of the first form to edit by using the key field "code".
All works well, however, when I click save data from the edit form it does not alter the original data but creates another form but with the same key field called code.
I have created a rather large data entry form for one of our departments which will be used to run a mail merge document. The merge is run off of a query of the form, rather than the tables themselves...I think that is what I've read is the right thing to do?
Anyways, most of it is working great so far but I've run into an issue where a few of the form fields are combo boxes. In access and in the query the data looks correct, but when you look at it in word (in edit recipient list) and after the merge, it will have a file path name instead.
So a combo box that has "Medical Plans and Visual Plans" in that field in the query, comes over saying "c:Users ameAppData
Ex: New Hires are provided information about Medical Plans and Visual Plans. Ex: New Hires are provided information about MeC:UsersbrooksAppData
It always shows the first two letters before putting the filepath name in there.
I have tried doing it multiple ways...a lookup to another table, lookup right in the field itself....get the same results.
I have a simple data entry form based on a table. However I have a few fields that I do a lookup in a field on the form from a query, and yes I know I should not have a lookup in the control source however, this is the way that I will be doing it on this occasion.
=DLookUp("[Salary]","[Salary Query]")
How I get the value from this unbound field to enter into the actual field in the table. Do I bring the actual field into the form and hide, and do some sort of after update, as I have tried and it does not work.
I have called the unbound field with lookup "Salary Level Base" and the actual field in the table is "Salary Base".
I am creating a form for data entry into my main table. It shows all the fields including a name, date, id number etc.
I am trying to put a subform on the form containing a query. The query has two filter parameters fed from two unbound boxes on the main form (date and name). Their purpose is to filter records on the query to just show those for one person on one day. It also calculates a duration based on a start and end time. The query results are ok.
I can't get the query to display properly in the subform.
Subform Properties/data/source object is set to the query name. I'm told i have to link the master fields and child fields but when I try I get the error 'can't build a link between unbound forms'. I thought all that was necessary to bind forms was for there to be a common field between the form and query? Both contain fields from the main table including date, name, start time and end time etc.
I have a data entry form to add new records to an Access database file called Claims. An auto-incrementing sequence number (SeqNbr) needs to be kept PER YEAR. If the user enters a date the sequence number pertaining to the year of this date needs to be incremented. The first record within a new year of course takes value 1.Records can be added at random for different years.
A simple SQL-statement can be made to determine the new sequence number:SELECT max(Claims.SeqNbr) + 1 from Claims where year(this.value) = year(Claims.EventDate)...this.value meaning the value of the date control in which the user entered the date.I need to return the new sequence number to another field on the form in which also the COMPANY CODE, YYYY and MM from the EventDate, the new sequence number and the USER INITIALS are concatenated.
I am building a database to capture monthly statistics on a number of items. I want to ensure that users don't enter statistics for the same item for the same reporting period. I found the following instruction, but can't make it work:
It suggests that I create multiple primary keys in the table
When I do it, it comes back with an error: Index or primary key cannot contain a null value.
I have a database that makes use of standing orders. That means that if a client has a standing order to receive products during for example 4 time as year (quartely at the end of the month). to automate the new entry by copying an old entry in the database.
Let's say I have a client where we will have to send a product at the end of June, it will look at a field where the next send date is, and when it reaches 2 weeks for that date, to create a new entry in the database based on that entry. This way, it will pop-up in our open cases and we are aware of it and also will be visible in our report.
1. I have a database (see attached) with three tables all of them with the same fields. The first three are numbers (InCo_No, Proto_No, Year_No). Each of these fields (numbers) can be the same in the other table(eg. Year_No), but the combination of the three cannot be.
How can I prevent the entry of a duplicate combination of these three fields?

I am working on a database and i have notice after making a form that when i enter a record using a form if i enter incomplete data on the form access automatically save that record and generate a id for that record.
For example I have a table that contain
StudentID,StdName,FatherName,DOB,Adress,Phone
And I have created a form for that table that also containing these fields.
Here I want to do that on the form I want a "Save" button , and the purpose of this button that when I click on this button then MS Access Save the record and then generate the ID for that record and if i close my form without pressing "SAVE" button access do not save that incomplete record.
I need to merge data from one DB into another.I have a split database with front end DBcompanyFE and back end DBcompanyBE. BE is on the server so users at company (3 users) can access it with their own FEs.I also have 2 users that are working at some other location (geographically) and they have identical BE of database (DBcompanyBE) and their own FEs.Now, my problem is, that at each location there is different data entered, but on both locations all the data is needed. What would be the easiest and mybe most automated way to merge/combain those data.
I recently designed a new database according an old database in order to replace it. I found that I have trouble transferring the data from old to new database.
Only transferring data from one table to another
Database A: [table]![customer] to Database B: [table]![Client]
I have read only access to a database maintained by a vendor. I am using an append query to search for new records in that database every time my database opens through a macro. This adds any new records to my table. I then add additional information to each record in my table. This is newly acquired information, not calculated, and it is different for each record.
My question is can I keep my table up to date with the vendor table without running the append query macro at open every time as my database may remain open for extended periods of time during updating of records.
I've data already entered (access/tables) on two different computers, however for the clientid on one computer has a hypen (-) and on another - because of something they couldn't get the hypen to work - so they used the slash (/) my Q is: 1) can I search and convert these to one, 2) is it wise the have / or - in the id?
I have to design 2 databases base on some data that was given by my instructor but I feel like I'm missing something on both specially the 2nd database. I have attached my work so far as well as the instructions and the existing data..
Is it possible for a website to pull data from an Access database?
We have all our department's policies in a MS Access database on our server. Some of these policies need to be made available to the public on our website. I'm wondering if there's a way for the website to pull directly from the database rather than having to manually upload the policies to the site every time they change (annually, semi-annually).
