I have a table full of meter readings. I want to have a field called consumption which looks at the reading just entered for that month and then subtracts the previous months reading for that meter which leaves the consumption.

Can I get a formula that can work this out automatically?

Review - Table Design - Meter Reading / Adjustments

I am working on a database to keep track of meter readings from several meters. Am at the table design stage and have come up with two seperate table designs but am wondering what would be best.

Each individual 'Meter' tracks more than one 'Fuel'. All of the regular meter readings should occur on the last day of the the month. The difference between the current month's reading and the reading from the previous month is the usage for the current month.

Though rare, there are occasions when there could be adjustments to the meter. A meter may be reset to 0 or to any other number due to a number of issues (replacement, maintenance).

The usage for a Meter-Fuel combination calculated by the current meter reading & previuos meter reading is assigned to current readings' date, As readings should onlt be taken at the end of the month, all other readings should be adjustments ONLY!

My other idea was to incorporate meter adjustments into tblMeterReadings and not have a sepereate table for meter adjustments

The I would create a multi-field index of dbMeterReading, MeterID, FuelID, blnAdjustment.

I think that the second version is the way to go, since I would still have to create a query to join data from both the reading and adjustment tables in the first design that would look like the data above.

Here what I consider to be the drawbacks to either table structure

Version 1
The first version requires more complicated queries to calculate the difference between meter readings.

Version 2
The second version will require some coding/querying to make sure that there are always two adjustment records for one date and determining which is the pre-adjustment and post-adjustment meter reading since it may not be true that the meter is reset to zero; it may even be set at number higher than the pre-adjectment reading.


Any thoughts on which design is better? Or any problems I could run into later with designing forms/queries/reports that perhaps I have not thought through?

Running Calculation Based On Previous Transactions

I am building an application for a small clinic. In the interests of good database design, I don't want to be storing numbers that are derived by calculation.

A patient with insurance will have a deductable that will be entered into a field on their first (ms access) transaction form.

A calculation will put the remaining deductable into another field. No problem.
However, the NEXT visit has to look back to find previous transaction records, again perform the initial calculation and then perform another for this transaction, and again the next time and the next until the deductable reaches zero.

Additionally, since I'm not storing these values, if I pull up an old transaction form, that form has to re-perform the calculation ONLY on transactions from that date and earlier. It must not reflect visits that took place later.

So, this field must query tblTransactions, filtered by the name of the patient (a combo box called tblTransactions.Patient_Name that looks at tblContacts), the transaction date/time (stored in two date/time fields, cleverly named tblTransactions.Date and tblTransactions.Time), and the total deductable value stored in a field called tblTransactions.Deductable.

As someone who has never coded anything more complicated than DOS batch files, I'm at somewhat of a loss as to how to go about this.

Any assistance, code-wise and which Property value to put it in would be MOST appreciated.

Calculation On Previous Record

Hi, I'm wondering if anyone can help me with this query. I've had a look at some of the previous posts under previous record, but don't seem to be able to get to the bottom of it:

I have a set of data on employees who have all had one or more financial searches done on them and I want to return a field based on the previous record of that employee.

My data is as follows

Search ID----Employee ID-----Search Result

1-----001-----P
2-----002-----FCCJ
3-----002-----FCCB
4-----003-----P

I would like an extra field that looks at the previous row, decides whether or not the previous row is the same employee id and if it is returns "Same" and if it isn't returns "Different"

I have partially done it using PrevRecVal module I found on the web.

I created what I need to do in Access in Excel first, the problem doing this in Access (for me) is I need to refer to the results in the previous record, PrevRecVal worked but I need to finish if possible.

The main report holds client policy data of which InvestAmount is used to start the calculation of the sub report, the data entered to run the calculations on the subreport would be

Dynamically Update Field Of A Current Record Based On Previous Record

I need a way to dynamically store a particular value in "field_2" of the CURRENT record depending on whether or not the value of "field_1" of the CURRENT record is identical to the value of "field_1" of the PREVIOUS record within the same table. The table is sorted on "field_1".

So, if the value of "field_1" in the CURRENT record is "ABC" and the value of "field_1" in the PREVIOUS record is also "ABC", then store a value of "PPP" in "field_2" of the current record. IF on the other hand, the value of "field_1" in the CURRENT record is "ABC" and the value of "field_1" in the PREVIOUS record is "XYZ", then store a value of "WWW" in "field_2" of the current record.

I have a report that will use these results to count only the number of records that have a "WWW" in "field_2".

Is this doable, maybe in a query somehow?

I should add that whatever the solution, it needs to be compatible with Access 2000.

General :: Error Reading Switchboard Items Table

I have two options on the main switchboard page and when I click on the second option it goes to a secondary page that gives me 3 options with the third option being to return to the main screen. When I select that option it does go back to the main screen but then on the main screen it shows the return to main screen option as well and when I select it.... it says " There was an error reading the switchboard items table." But I want the main screen to only show the original two options only.

Updating A Field Based On Previous Record

I'm trying to update an imported table from an excel spreadsheet with missing details. The table's records are in order so I just need to fill in a blank field with data based on the previous one as shown.

1 Bob London

I need to fill in the location blanks simply with the last location details, so records 2 and 3 with London and 5 with Glasgow. Is this easily done or would I need to pull all the data into an array and work on it there?

I've tried searching for an answer but haven't had any luck.

Conditional Format Based On Previous And Current Record

I'm having trouble with a tricky conditional format in a continuous subform.

The criteria is based on field [GroupNo] when it changes (increases) which are always listed in numerical order.

Basically all I want to is for the text box colour to alterante (eg blue & yellow)when GroupNo changes value

So it would look something like this....

Group NoID (highlight colour)

1 (yellow)
1 (yellow)
1 (yellow)
2 (blue)
2 (blue)
2 (blue)
3 (yellow)
3 (yellow)
etc etc

btw, although values will always be in order they may not all be output, so it's not just case of odd, even, odd, even (that would be too easy!)

I can retrieve the Previous Record's GroupNo value (via a function) in another text box and compare current GroupNoID with this in the Format Expressions and manage to change the colour, but it won't sustain this new colour for the subsequent same GroupNos, obviously as the values have changed.

So how can I....

Change the colour when the value changes.
Keep this new colour until it the value changes (increases) again.

I am trying to write some vba code to auto fill a cell's value based on the value of the cell in the previous record (In a datasheet form) i.e. if the value in record one was '1' and the down-arrow key was pressed then the value '2' should be entered into the new ext record

I have written some pseudo-code to show what I am trying to accomplish:

move down 1 record
set cell value of new record to cval+1

I am creating a database for an annual golf tournament. Part of this is to allocate players to play off together at certain times.

I have a form bound to a table called tblteeofftimes. This form has five fields (continuous form) - four of which are comboboxes whereby user selects each player for the record (who will play together). The other textbox has the tee off time. the first tee off time will be allocated by user eg 7:00 am.

My problem is I need to update each ensuing record with a new time slot at 7 minute intervals. Rather than have the user populate the form themselves I would prefer this be done authomatically as the user moves onto the next record.

There is a form which the user fills in 8 fields and saves it. Once saved, a new record opens.

However, I want to modify the save button to save the previous record and display a new record with only a limited no of fields to display from previous record, say 4 fields display from previous record, and the user fills the remaining 4 and saves it. Thus, the save cmd should continue to display 4 fields from the previous record.Already tried below code for save button but it displays all data of previous record as it is, doesn't display blank space for combo.118 and text2

I am so interested to see a solution to this little problem…i think ithis is one of my more complicated questions!!!!

Problem:

Where I work we have a series of machines… named “ C1, H7, H8 etc”

Each line has 3 counters on it,

Impressions – records the number of cartons used on the line
Standard Pack – records the number of filled cartons with product
Output – records the number of cartons that complete the whole line process and are ready to be shipped to the customer.

Sounds straight forward enough….but the process gets a little more complicated.

Some lines are referred to as joint lines… this indicates that the product from each line the output figure is joined together and totalled. So it is not possible to calculate how many each line completed for the output figure. Note… it is only the Output figure that is joint, each line still has it’s own impressions and standard park counters

Grouped lines are given a group code – P8 in this case.

Example…

C1 not joined

H7 and H8 joined.

C1 –
Impressions –1000 Cartons
Standard Pack – 900 Cartons
Output – 800 Cartons

H7 - P8
Impressions –1600 Cartons
Standard Pack – 1500 Cartons

H8 – P8
Impressions –400 Cartons
Standard Pack – 300 Cartons

P8
Output – 1600 Cartons

The output counter is brought in to the database automatically via a linked spreadsheet and a macro, this data is then stored in a table called “DaycodeMachineShiftImpressions” you will see in this table that the grouping is referred to as Machine.

As previously stated we have no real way of working out the amount each line has output individually.. the way it is calculated at the moment, is to take the figure for P8 and split it into 2 equal figures and assign that to each line.

So in this case the figure assigned to each line would be 800, although you will see that this is not possible for H8 line as it only put 400 cartons on the line in the first place.

I now want to implement the following calculation to my DB,

(see Attached Spreadsheet)

the calculations a re stored in cells b12 & b13 in the spreadsheet.

so that the output figure is separated

in proportion to impressions made.

I then need the figure per line to be fed back to the “tblProduction” output field..

in the tblproduction the data for P8 is stored to line level so in this case as H7 and H8, hence why i want to use the calculation to work out the output figure per line...

Can this be done automatically, if so please help me…

I'm having trouble with a Form and getting a text box entry box (Date entry) default to the date entered on the last record, which is linked to a table.

The only way I can get it to work is to type the date into the Text Box's Default property, for example, #11/13/13".

How to get the correct syntax or code into the Default property of the Text Box to make this work? I only want the entry to change versus the previous record/entry if the User changes / enters a new date.

I am trying to create another table that I can capture daily Out Of Stock data for products.

What I would like to do is to enter the product number in the first field of my new table, and then the remaining fields will auto populate with the correct details based on the product data stored in the parent tables that I have imported.

I run a service related company and I am trying to develop a service database that will automatically calculate the next service due based on the previous service date, the catch is that the service need to happen on the same week day. i.e. if the last service was on Friday 02-08-2013 and it is a monthly service, the next service is due on Friday 06-09-2013. Is there any way that this can be done? PS there are various service periods such as bi-weekly, weekly, 2 weekly, monthly, 2 monthly etc.

I've got stuck in preparation of this sales query. The primary sales table contains a mix of Canadian and the US detail invoice sales records. All sales records are in their native currencies The secondary lookup table contains daily US/CAN foreign exchange rates (FX).

I need to multiply every $US sales record (marked with U) with the FX rate in order to convert it to the Canadian currency. Unfortunately, this FX lookup table is missing over 50 daily rates in the last two years and as a result I cannot match them date-by-date with the sales table.

As a workaround, it is acceptable to use the previous FX rate in the table. The previous rate can be one or more days before the transaction occurred.

Attached is a sample database with the query that I've already built. The query contains two sample US records that are missing the FX rate on Jan 6. The FX rate of $1.0639 that needs to be applied to it should come from Jan 3rd entry.

Calculating Field Based On Value Of Another Field In Previous Record

I'm trying to create something like an online banking view that shows the running balance as each transaction occurs. I have tblTransactions with fields AccountNumber, ItemDescription, and TransactionAmount. I'm trying to create something that shows these three fields and a fourth field with the running balance.

So if I initially deposit $100 it will show the first record with TransactionAmount = $100 and RunningBalance = $100. Then the next transaction will subtract the Transactionamount for the new record from the RunningBalance from the previous record to get the RunningBalance for the new record. So if I make a purchase for $2, the AvailableBalance for that record is $98. Is this possible with a query? Here's a picture to describe what I'm talking about ....

General :: Reading DB File Information?

I see a lot of requests for this operation, but apparently .DB files are so general that sometimes it's impossible? Any all-encompassing program that can read files like this? I believe they come in different formats and are produced by a variety of different programs. The only thing I ever see though are files with [.db] as the extension.

If I open the one I have with notepad on a windows machine I see some of the info but some of it is not there and is garbled.

General :: MS Access Reading Data From ODBC Connection

I am in need of consultation for MS Access reading data from ODBC connection. I have SQL Server that has all the data for the project financials etc.

I need a database that will read only certain data from the tables, for example, I don't need to import all 500,000 lines from SQL through ODBC connection, I just want to bring certain data for a list of projects whichever are opened and load only that data in MS Access so the group then can add additional details for that project in a shared MS Access.

Right now, all I can do is connect to that database through ODBC and brings all the data which I don't need all as it increases the size of the database, but just a criteria to specify which data to bring, if that's possible to do.
