General :: Storing 2 Identical Fields On Same Table In Database?
Nov 5, 2013
I want to be able to store 2 identical fields on the same table in the database. The copy will start off being the same as that input in the original field. 90% of the time the 2 fields will always be identical but the copy may be changed at a later stage. I looked into using the copy as a calculated field but found out these can not be updated. Is there another control I can use or do I have to code the population of the 2nd field specifically (in AFTER UPDATE EVENT?) myself. The added complication is that the original and copy must be selected from a combo box as all values are held in a separate table.
Also trying to make the second field = to the first field in the design stage of the table using default value
SO if I put default value = [table].[fieldname] I get an error stating could not find field 'table].[fieldname', and yes the opening and closing square brackets are missing from the error.

I know that it isn't usually best practise to store calculated fields in a table, but in my situation it is necessary, and I haven't really found a good answer for this after searching these and other forums.
Currently my database has one "Name" field (I didn't make it like this) which might look like this "Jonathan (John) Smith"
Now I also have reason to grab the name like this "Smith, John" for other purposes.
I've set up a form for inputting new people with separate fields for firstname, preferredname, and lastname. I have the calculated fields:
=[fname] & " (" & [pname] & ") " & [lname]
=[lname] & ", " & [pname]
(Later I will add in all the iif's for if there is no preferred name)
Upon finishing the form, the user hits Submit, and I would like to store the concatenated values into the table in their appropriate fields.
I can do this with a SQL INSERT INTO statement but I'd have to add all 25 or so fields from the form, and injecting user input directly into a SQL statement is not best practice either.

I have started working on an existing MS access application (Front-end & Back-end) built with VBA. The frontend linked to a back-end access database which contains only tables. Because of the nature of the work involving vehicles. Each user has their own copy of identical databases with their individual data stored in backend.
Right now we just copy each back-end database via ftp and store it as usr_backenddb_date.accdb Back end databases contain around 16 tables with most of them containing a autonumber field as a primary key. Further tables are connected with each other referencing the primary key as a foreign key .
I would like ideally create a function in vba that lets me select the database and merge all the data from that database to a identical central database. For the initial part, I am thinking of combining each individual table in each database and changing the autonumber field with SQL with possibly trying to cascade the change so the refrences remain intact.
Constant Access to one back end db via internet (or server) is not really possible as the users are able to connect to internet (network) only few times a day. There are over 100 backends (for each vehicle) with over 1000 records in each.

I have a score marking template for an internal audit. A criteria is either met, or it is not. All of these questions have Yes/No data type. each question has a weighting. I have written a VBA function to work out the total score by using a bunch of If statements.I need to store the final result in a table, by entering the answers (yes or no) into a form.

Have 2 tables:
...TableA: 1 indexed field "Name" and many data fields in ~ 1000 records
...TableB: 1 indexed field "Name" and 2 data fields (DataB1 and DataB2) in about
~ 50 records
Tables currently have NO relationship set.
Want to add TableB data fields to TableA if Name are identical.
DataB1 and DataB2 fields are Not currently in TableA but could be added very easily.
Update (or whatever) will be done weekly where all previous data for DataB1 and DataB2 will be cleared from TableA before job is run.

I have a need to store client emails in a database. In an ideal world the user would drag and drop the email over the attachment field and it would be attached. I've not been able to find any drag and drop features in Access 2013 so i am guessing this may not be possible?
It is possible to simply attach the email using the attachment field but i find this method slow as the user has to save the email to the drive and then attach it to the attachment field using the dialogue box.

I know that it is bad form to store a calculated field in a table - normalization and all that - but I can see no other way around a need that I have.
I'm trying to make a database to store injury time for employees. If an employee is injured, he can do light work for a certain amount of time, but this light work need not be contiguous. But, the total time on light work must be known so as to see when it is used up.
For example:
Bob is injured on 4/1/06 and goes on light work on 4/2/06 until 4/5/06 (4 days). Bob is then taken off light work until 4/10/06 when he reinjures the same injury. This does not count as a new injury, because it is an aggravation of the old one. So, Bob goes back on light work on 4/10/06 until 4/15/06 (6 days).
So, I need to store Bob's total time on light work for this injury (10 days) so that I can keep a running total to check against the maximum for a single injury. All I can think of is to store the sum of days on light work as a field in Bob's injury record, but that means storing a calculated field in a table.
Am I missing an easy way to do this, or is there a method to do what I want that I am just not aware of?
Thanx for any help!

I have a simple data entry form based on a table. However I have a few fields that I do a lookup in a field on the form from a query, and yes I know I should not have a lookup in the control source however, this is the way that I will be doing it on this occasion.
=DLookUp("[Salary]","[Salary Query]")
How I get the value from this unbound field to enter into the actual field in the table. Do I bring the actual field into the form and hide, and do some sort of after update, as I have tried and it does not work.
I have called the unbound field with lookup "Salary Level Base" and the actual field in the table is "Salary Base".

I have an Access DB built that links to an excel spreadsheet. The spreadsheet changes so I cannot import and have to link.
Now the source of my spreadsheets is producing two spreadsheets with identical fields but different data. I need to combine the data from these two spreadsheets. Can I link them both and combine them in a query? How?
Appreciate any advise.

Hi All,
Being a newb, have a hopefully straightforward question. I'm writing a vehicle management database which covers eleven seperate areas. The data is currently contained in a spreadsheet with eleven seperate data sheets, one for each area. My thinking is I use linked tables as the spreadsheet needs to be occasionally updated.
My difficulty...
If I want to cycle through all records, I assumed I could query against all tables but don't seem to be able to.
The tables are not currently linked in any way and contain fields such as registration, emissions, list price, make and model and so on.
Any suggestions would be greatly appreciated.
Many Thanks
Q :)

I have a form control with the input mask on it for a phone number. I am using an append query to append the information entered in the form to a table. I need to pull two fields from a linked table from another database. What I need to do is be able to compare the entered phone number in the form with the phone number from the table. The problem I am running into is that it won't match the phone numbers. The same mask is used in the table I am pulling from. Why can I not just put =[Table].[Phone_No] in the Criteria of the field where the number from the form is placed so that I can get the right record from the linked table?

I have a form with 2 sub forms which have identical fields from different records. I want to use conditional formatting to indicate a mismatch between 2 of the identical fields. I have been told I should use [NewField] <> [OldField] but I don't know how to complete the syntax. If I call the first sub_form_1 and the second sub_form_2 and the field name is path_length on both, how do I compile the statement?

I have database for each location. Every location will update some information in the databases and send it back to me. In those location based databases, information will be stored in one table called "consolidate_input". I will store these databases in one specific directory and then I want to accommodate the data of "consolidate_input" into one master database having the same identical table in the database.

A SELECT works:
SELECT *
from mastertable
INNER JOIN secondarytable
ON mastertable.Identicalfield = secondarytable.Identicalfield
But none of these do:
DELETE
FROM mastertable
INNER JOIN secondarytable
ON mastertable.Identicalfield = secondarytable.Identicalfield
**Incorrect syntax near the keyword 'INNER'.**
DELETE
FROM mastertable JOIN secondarytable
ON (mastertable.Identicalfield = secondarytable.Identicalfield)
**Incorrect syntax near the keyword 'JOIN'.**
DELETE
FROM mastertable
WHERE (mastertable.Identicalfield = secondarytable.Identicalfield)
**The column prefix 'secondarytable' does not match with a table name or alias name used in the query.**
DELETE
FROM mastertable
WHERE IN (SELECT *
FROM secondarytable)
**Incorrect syntax near the keyword 'IN'.**
Can anyone help? This should be easy, shouldn't it?!
Thank you.

New to Access and learning the hard way. Im sure this is an easy one, but sure would appreciate the help. I am trying to sum a group of cells and display the total, which i have done. But I also want to store this total in my database. So my question is, how do i move my calculated total to my field that has the "record source" bound back to my field in the database? Hope that makes sense. Thanks in advance.

Hello All,
Probably trying to do the impossible.
Normally I would never (that’s a long time) have the results of a calculated field in a table, but I’m stumped.
Table1
TestID: Autonumber
Quantity: Number
Selected: Yes/No
Table2
SumID: Autonumber
TestID: Number, Foreign Key
Quantity Delivered: Number
Query1-Sum Query
Table2
TestID: Group
Quantity Delivered: Sum
Query2- Select Query
Record Sets
Query1 Table1
TestID-----------------------------------TestID
Quantity Deliverd Quantity
Select
Fields in Query2
TestID from Table1
Select from Table 1
Run Query
Can’t update “Select” field
So I’m thinking that I should create a 3rd query to update the summed Quantity Delivered into a new field in table 1. Which would in effect create a stored calculated field.

Here is an example of what I was talking about re: private message and storing calculated fields. Any help is much appreciated.
Also I received your email in regards to a sample secure database but I am getting a "Memory could not be read" error when I try to open it. Does this have anything to do with how it has been converted to 97 format or is it an error at my end? (I've been able to open other dbases from the forum).
Thanks,
Dearnne
PS Thanks also for your help with adding to option groups.

I need to know if I can store data in more than one field, without allowing Duplicate entries.
Example: We have to send out letters with a claim number on it, sometimes we need multiple claim numbers on a letter, up to about 10 claim #'s is the most I've seen thus far.
We mail merge into Word to create the letters.
However, these claim numbers cannot be duplicated within the database and in order for this to work with the mail merge, I need several fields to store the claim numbers.
Fields are:
ClaimNumber
ClaimNumber2
ClaimNumber3
etc....
To be more specific. I probably have a bad data structure as I was kind of rushed and a little inexperience with putting the database together. It's for work and sometimes management just doesn't want to wait, they are so negative.
In brief, most everything is in 1 table and I know from reading this forum that I shouldn't do that, but that's another story.
Further, a claim# is tied together by the same claimant, the relationship code is what separates the claimant with the family, the insured id# is used for all claimants within the family.
You can also tie the claim# to a provider id#, some providers such as clinics and large hospitals have multiple providers that use the same provider id#, so a suffix code is used to separate the providers within that same #.
Please feel free to ask additional questions and I will give you the additional information you need to help me. Thanks again.
P.S. - Last year I created the database and this year I am improving it, so expect more posts from me in the future. I really appreciate all the help I get from everyone here!!!!

I'm trying to create an archiving routine as my database is becoming very large. For about 10 tables I want to shift certain records to an external database which would have the required 10 tables with the same table names and structure.
So far so good. I now want to automate everything using vba. I can see how to use the INSERT INTO statement but I don't want to have to name every field as there are hundreds. I just can't see how to do this.
If the table structures are identical how do I neatly shift a bunch of records from one to the other using code.

there could be one or more categories for each person, and in the end there could be a lot of categories, certainly 20+, but the idea is that i could add more when needed.
What's the best way to store these data?Should i create a new table called groups and create a coloumn for each category and write the ID there? Should i add one field to the common table and store all interests there as csv? Many coloumns?
how to collect these data? i don't want text field due to spelling errors and inconsistency (don't want someone to add automobiles and the other cars). Plenty of checkboxes? Multichoice box?

Code:
Private Sub Combo1309_AfterUpdate()
If Me.Combo1309.Value = "Yes" Then
Me.Text1307 = Environ("UserName")
Me.Patient_Gender.BackColor = vbYellow
ElseIf Me.Combo1309.Value = "No" Then
Me.Text1307 = Environ("UserName")
Me.Patient_Gender.BackColor = vbRed
End If
End Sub
I have the above code in an unbound textbox and it functions correctly. Expect, the value Yes/No appears in every record in that textbox,So, if in record 1 the value of that textbox 1309 is Yes in record 2,3,4 the value of that textbox 1309 is set to Yes. How do I make it blank until the user selects the proper choice.

I have two linked tables (uneditable). They are linked by PersonID and they also have email address in common. For sake of example let's say one table has names of people, and the other table has the address they live at.
I have a user who requires a "datasheet" view of certain columns from each table. No problem, can do that easily in a query.
The issue is that he also wants to have an editable column that would have say "Address Confirmed". Clearly I need another table. If I make a three table query I find no way to edit that new column.

I have 2 identical database in terms of structure but it differs in data.
Basically I would like to import data from subDatabase to mainDatabase and ensuring that there are no duplicate records.
I have used the "link to datasource method" through importing the tables to have the "updating" function.
However, this method also means that the records in mainDatabase are also imported over to subDatabase which I do not want.
Is there a method to ensure that the records are shared/update one way only? (i.e. import from subDatabase to mainDatabase and not main to sub?)
