General :: Student Database - Transfer Of Payment To New Semester And Session

I am creating a student database in ms access2007 but finding difficult to go further. In my database, I have created the following

Student-info-table
SemesterTable
SessionTable
PaymentTable

Then a query from the payment that shows student I'd,arrears,amount due,paid. And balance

My question is

1.How do I transfer the students and their balance to a new semester and session
2.Do I have to new student and payment tables every semester bcos payment are made every semester
3. I want to keep each students payment for as long as they remain in the school
4. A session is made up three semesters how do I transfer students to a new session

May be my tables layout are faulty...

Tables :: Attendance Tracking System - Adding Hours For Each Student Enrolled In Class Session

I'm creating an attendance tracking system, the attendance system needs to : Allow an instructor to enroll students into one or more classes, and then add attendance by date to each class(es). The problem that I'm having is, attendance is tracked by the number of hours that a student attends class. For instance, if class1 is in session from 8a.m. - 12p.m. student1 may only stay 2.50 hours of that class and student2 may stay 3 hours. The teacher needs to be able to add attendance to class1 for July 12, 2013 and add hours for each student enrolled in this class session who attended on that day. I have the following so far, minus the attendance:

Students -This is just the basic demographic information that instructors will need to enter on students.
StudentID (PK)
StudentLastName
StudentFirstName
DateOfEnrollment
LevelOfStudy
DateOfBirth

Location - These are the locations in which our students can attend classes

I am creating payment database for a community gym, the data will be created on a data sheet.

There are 2 payment types monthly and annual (these are on a dropdown box with their own id number).

I have a joining date and a paid date, but reflected against the payment type ie 31 days or 365 days.

I have been trying to do something along the lines of:

if [monthly] (is selected) (so this would call up a 31days) date() is > [joining date] then give message to renew and same kinda thing for annual.

General :: Transfer Tables Directly To Backend Database?

I'd like to to import some large oracle tables from a remote server using "DoCmd.TransferDatabase..." on a daily basis. Currently, the system works, but my database is getting quite large (800 Mb) and I'd like to split off the tables to a back end database.

Is there a way to import directly to the back end database? The postings that I've seen seem to imply that one must first import the tables into my front end, then export them into the back end. Does that sound correct?

I'm at home right now, but will give it a try when I get to work. It just seems like there's got to be a more direct way!

Student Log In/out Database

Hello everyone. I am a new member and need help with a database that I am working on. Let me first say that my knowledge of Access, SQL, and databases in general is very limited. I work in the Academic Success Center at my college and they use an access database for sign in/out. My job is to redesign this database so that there are two forms instead of one. The first form will just be the first and last name of the student along with the date and time that are generated automatically. Currently the student must type in there info and when they are done working in center they must sift back through the records on the form to find their sign in info and type in a sign out time. My task is to make two forms one that has just the students first and last name along with the current date and time. This will be the student sign in. Once the student is done they should be able to find there name in a list of currently signed in students, select themselves, and be taken to their sign in record. The student will then be required to click a button to be taken to the sign out form which will automatically fill in there name, date, and current time not sign in time. The will then be required to select the resources that they used and what courses they worked on and any comments if they wish. Once they have filled out everything they will need to click a button that will close the sign out form and update the student table with their info. The actual design of the forms is not the problem, the problem is getting all of this to function the way it is supposed to. When I fist agreed to this it really didnt seen like it would be that difficult but apperantly it is, I am becoming very frustrated and desperate. If anyone can give any help at all or point in a direction that will help I would greatly appreciate it. Thanks in advance, and sorry to be so long-winded.

Student Database Design

I'm building a database to store student exam results so that transcripts can automatically generated. This is a final year project for university so the database will never be used. I am a complete amateur when it comes to designing databases.

I have attached the relational schema for the database. I'd be grateful if someone who knows about proper design could tell me if its ok (from the point of view referential integrity and normalization etc).

Just to explain a few things:
1) In the OverallMarks table, MarkType refers to whether the overall mark (i.e. 1st honours, 2nd honours) is for JF (Junior Freshman), SF(Senior Freshman) and so on.
2) In the ExamResults table, YearOfStudy refers to JF, SF, JS or SS. Year refers to the actual year the exam was sat e.g. 2007.
3) The data in the database will be coming from Excel spreadsheets, so my database will not be doing any calculations on the data. That's why I'm storing the overall mark instead of calculating it from the ExamResults table.

General :: Using Bar Codes And Access For Student ID And Attendance?

I run an after-school youth program for high school students. My issue is an accurate way to track attendance of students. We have MS ACCESS 2010 on our computers at work.

On any given day we may see between 30 to 50 students, so this is a small operation - - and the reason I'm adverse to buying fancy "custom" software and hardware "systems". Because students come and go and vary over time, we may see 100 kids in a given week, but in the past 2 years of operation, we have had well over 250 students come through our program, with some returning at various times.

What I would like is to be able to

1) Make a simple ID card with student photos and a unique ID # that can be ...

2) Scanned by a simple barcode system.

2b) Actually two barcode swipes ... one swipe at the front door / main entrance, and a 2nd swipe by a hand held bar code in the various four classrooms to be sure the student is not only in the building, but also went to the correct class.

3) That the input of that information dumps into our ACCESS database so we can track student attendance, and ...

3b) provide reports out to school counselors / principals of the numerous highs schools that our students come from, to let them know which of their kids are actively attending our program.

My questions are ...

A. Can this be done with ACCESS?

B. Would it be better to do this with EXCEL?

C. If ACCESS can handle it, which types of bar code devices would be the best choice for us to purchase? (We would need a total of five barcode scanners. One at the front desk, and one in each of our four classrooms.)

The system would need to be expandable seeing that this could easily be doubled in terms of classrooms and students within the next year or so. We are currently just 2 years old.

Reports :: Database Engine Does Not Recognize Payment As Valid Field Name Or Expression

I have a small database for producing various financial reports, by date period (from/to). It works perfectly except when there are either no payment records or no receipt records for the chosen period. Naturally enough, MS Access comes up with the message "Database engine does not recognize 'payment' as a valid field name or expression" --- !!!

Is there some way I can tell MS Access that I don't mind if eg the payment column result is zero?

The structure of the table on which the report is based (via a crosstab query) is :

transaction date
auto number ID
transaction type (either payment or receipt, chosen by form's drop down box) - TEXT
amount - CURRENCY
receipt type - TEXT
payment type - TEXT
fundno - TEXT

The crosstab query design is as per the attached jpeg file

Tables :: Student Database For Daily Attendance - Column Limitations

I'm in the process of constructing a student database for my school which would track (in addition to detailed student information) the daily attendance of over 270 students.

It is my understanding that there is a limit of 255 field names per table, so I can't use the student names as field names, nor can I really use dates as this would not quite cover even a year.

Student ID and AttendanceDate as field names is also not really a feasible strategy, as each week this would eat up 1300+ rows, so I would run out of space in that direction as well.

My question is ultimately am I better off building this in excel 2010, or is there a way of doing this in access that I have overlooked?

Default Value As Current Semester

Our school writes its semesters as F05, W06, S06, J06. The letter stands for the season (fall, winter, spring, summer) and the two numbers are for the year. I have two fields on different tables. The first one uses the semester (F05) to tell us when they joined the club. The second uses only the year (2005) to tell us what year the race occured.

Anyway, what I want to do is set the default value as the current semester or year. I have tried setting the Format to yyyy and Default value to Year() but neither of those makes Access very happy, especially since Year() needs a number between the parenthesises. I don't want to have to change the defaults each semester if I can aviod it. Any advice would be greatly appreciated, thanks.

General :: Record Lesson Information - Multi Student Forms And Reports

I created a database to record lesson information (see attached sample). When there was only one student per record, everything worked fantastic.

However, management would like to have one record per lesson, which means that up to eight students would need to be accounted for.

Adding additional Student_IDs to the lesson record table and the associated links to the student table was simple. Inputting lesson information was pretty straightforward.

The problem arises with output. There is one report to review an individual student's past lessons. Also, there is a form in which to export the lesson's public comment.

Both use different queries, but with the same name as the form and report.
Both the report and exported Excel file are blank, no data.

I'm building this in A2010, but saved as A2003 (working environment).

Transfer Database

Im stuck on a project that I have received help on before. I am trying to E-Mail a daily report created by a macro in Access 2000. It needs to go out as an excel spreadsheet, but in a format that can be opened in a Blackberry. The advise i was given was to use Transferdatabase. This is where i become unstuck. No matter what I type where i come unstuck. Is there anyone out there that can possibly advise me what to do in "idiot proof" steps?
Im afraid my knowledge of Access is limited to 2 weeks self taught knowhow ?

I work in a hospital where each ward has its own identical but UNLINKED staff database. I wanted to make a single database but the management was adamant that for confidentiality they should each be standalone. I lost this argument!

Data is stored in 7 tables: Identity, annual leave, sick leave, qualifications, etc.

Too late, someone has realised that staff may transfer from one ward to another, so the whole record needs to be transferred. What's the best way to do this?

So far the process I have come up with is:
Choose the person you wish to export from the source database
Run 7 queries to export the records from the various tables e.g. to Excel
Create linked tables in the target database to pick up these records
Run import queries.

I set up a macro to run the 7 export queries, using the "OutputTo" action and specifying .xls for the output format. But the files created don't appear to be readable by Access. In Explorer, they only have the Windows icon and are just "files".

Does anyone know a better way to tackle this problem?

Database Transfer And Date Probs!

Hi,

We've got a database that was on an old computer (Windows 98), and we wanted to transfer this database to our new computers (Windows XP). The database transfers over fine, but there seems to be a problem.

When we try to run a report, it doesn't semem to work properly. We are a training agency and the report in question is designed to show the courses booked in for each tutor between two set dates. The dates are typed into a form (start date and end date), and the tutor can also be selected from this form, and then a report is generated.

Without dates being inputted, all the courses are shown (so the report is pages and pages long). This is working ok. However, when dates are inputted the report stops working and error messages appear on the report. Hence it seems to be a problem with the dates, but I can't understand what since all the boxes are exactly the same as the version on the other computer, and when transferred back to the other computer it also works fine.

Any help with what could be going wrong here would be GREATLY appreciated.

we have got a table with the vehicle details with a sub forms (main Vehicle Details, Subform Booking details)

we cannot allocate a car until a week previous to the dates required.

we are using a recored (To booked) that we can store all the dates in, the idea really is to have a button we can click that brings up the parameter requesting the REG PLATE for the car that when entered will cut and copy the booking details from the NOT BOOKED into the corrosponding vehicle is this possible?

I dont mind a button beside each record in the sub form but really needs to cut + copy the fields beside it

the incoming caller's phone number is sent to the database.. and then possibly used in some way..(eg in a query or displayed on the screen in the database)
