General :: Update Query On Limited Number Of Records
Apr 15, 2013
I'd like to run an Update Query on a limited number (or percentage) of records from a Button on a Form.
[URL] .....
But instead of opening a Form, I want to Run an Update Query instead.

One shows my form with the Transporters Subform with 3 entries, and 1 entry. The three line items that say "Transporter" are in one subform. I used this code
Code:
Private Sub Form_Current()
If Me.RecordsetClone.RecordCount >= 3 Then
Me.AllowAdditions = False
End If
End Sub
to limit the number of records I can add to 3 or less.My issue is that I lost the blank text box that allows you to add another record. So, if I only have one Transporter listed, there's no box to let me add a second or third.I have the following properties for the Transporters Subform set to "Yes":
Data Entry
Allow Additions
Allow Deletions
Allow Edits
Allow Filters

Hi,
I am in need of help to sort out some records. I have tow existing queries I would like to combine and get one final set of records out of. They go like this:
Query 1. (unique #)
Lot Protocol Sample # 1 mth 2 mth 3 mth
X ABC 1 x x (check
Y ACD 2 x x boxes)
Query 2. (unique #)
Lot Protocol Sample # 1 mth 2 mth 3 mth
X ABC 1 8/8/05 9/8/05 10/8/05 (query
Y ACD 2 8/8/05 9/8/05 10/8/05 performs calculations)
What I am looking to retrive through the third query is this:
Query 3. (unique #)
Lot Protocol Sample # 1 mth 2 mth 3 mth
X ABC 1 8/8/05 9/8/05
Y ACD 2 8/8/05 10/8/05
Where the third query only shows the calculated dates when the check box is true. So for month 1 & 2 I get dates for Lot X and for Lot Y I get dates for month 1 & 3. I have tried to go through the expression builder, but to no avail. I either get all records, like query 2 or I get nothing reported. I am not sure how to limit the records based on the check boxes.
Thanks,
CB

I have a stock record database which I have 'inherited' from someone far cleverer than me!
I'm fairly used to basic SQL, but I'm teating by hair out over this particular problem.
I'm writing an Update Query to count the number of [NewModelCode] records WHERE Status ='Available' AND StockType = 'New' AND InstStockReference.OnlineShop = Yes and update a field called CountNew on a table called InstStockReference..
So far I have the following SQL:
UPDATE InstrumentStock INNER JOIN InstStockReference ON InstrumentStock.NewModelCode = InstStockReference.NewModelCode
SET InstStockReference.CountNew = DCount("NewModelCode","InstrumentStock","Status='Available'")
WHERE (((InstrumentStock.Status)="Available") AND ((InstrumentStock.StockType)="New") AND ((InstStockReference.OnlineShop)=Yes));
It partly works, but the result I get is a column count of 939 in every field where the Status ='Available' AND StockType = 'New' AND InstStockReference.OnlineShop = Yes.
I want to do a count the number of [NewModelCode] records.
Something's gone wrong? Any ideas?

I have a form based on a query. I've disabled "Navigation Buttons" on the form and am trying to recreate their functionality in a little more user friendly way. I've created next / previous record buttons and have those working great.
I'm now trying to re-create the record counter / tracker. I'd like to setup a box that shows which record I'm on (this can simply be based on the order the query returns them, the same way the navigation buttons does it when they are enabled. ), and how many records there are total in the query.
I tried messing around a little bit with =DCount but wasn't able to make it work I suspect because I'm counting the number of records returned in a query, not in a table.

I have a database for scheduling students' for tests. They can take up to six tests in a day. There are about 80 different tests that they can take.
In my table, I created columns titled Test1, Test2, Test3, etc. They are lookup columns and I chose to enter my own values, putting in the tests titles for the values in each column.
When I add these drop-down lookup fields onto the form, it will only display 37 of these values. When I go back to the table and select "edit list items," it shows that it did cut the list off at 37, even though originally it allowed me to enter all 80-ish titles.
Anyway. It appears that there are limited values you can have in a lookup column, though after doing a lot of searching online I can't find anything to indicate that is true.
It seems to me that it would be smarter to set this up with two different tables, storing the reg info in one table and the test titles in another table. However, I am having a hard time figuring out the relationship aspect of this solution and how to make it pull up the correct values for queries/reports as well.

I have a query that returns a set of records which details stock items that are older than a date given in a form. However i need to limit the results to the number of items held in stock
i.e say i want to look at stock over 1 year old, i get a list of all the stockids, and the date added.
Say there is a stock level of 3 for a particular stockid the results should be limited to the first 3 records that are over 1 year old. Rather than the whole list of dates I get now.
Any help or direction with searching terms would be appreciated
thanks:confused:

We have created a database where data entry happens on the first form. So far all is working well on this form except users complain there is not enough space for comments. I set up a column for comments, but it is limited to 255 characters. What/How else can I set this up to provide a lot more room?

I am having a problem with retrieving the information I am looking for. Basically I am checking to see if a user has selected a TRNumber from a drop down menu and if that TRNumber matches any other records in the table in that field. If it does, is that Number already associated with the user selecting it. If it is I want to get the ID number so I can simply update the record with new information. Here is what I have so far.
Code:
Dim Rs As DAO.Recordset
Dim Tech As String
Dim MsgStr As String
Dim IdMod As String
Set Rs = CurrentDb.OpenRecordset("PrepStartDateBlankQuery")
[Code] .....

The "PersonalDetails" table is related to the "Application" table using the autonumber from table, "PersonalDetails".
The "PersonalDetails" table has "StudentID" (autonumber), "First Name" and "Last Name" fields.
The "Application" table also has "StudentID", "First Name" and "Last Name" fields.
The "Application" table is related to the "PersonalDetails" table using the "StudentID" field.
How do I make it so that the first and last names on the "Application" table are automatically updated when the StudentID is entered?

I know this has probably been gone over, but I'm just looking for a super-simple way to put a button on my form that will create a number of records equal to the number of days in the month listed in a field. For instance, if MyField is "4/1/2015", I'd like the system to create one record for each date between 4/1/15 and 4/30/15.
I have scoured the forums, and I find many threads on creating multiple records, but none of them deal with the same type of thing I need. I have a field, called MyField, and I have a table called MyTable with a column called MyDate. I want to enter a date into MyField, then click a button, and the button will run code/macro/whatever that will create multiple rows in MyTable, one for each date in Month([MyField])

I am working on a DB for work. Currently the form has 3 options, each one selected hides/shows different fields pertaining to that option. Works great when you are putting data into the tables using the form. Problem is when you start that the beginning and click 'next'. When clicking next you do not see the fields show or hide. How do I make this happen?

I have split the database, with the back-end residing on the server. Only 1 other person is working in Access right now; she's verifying the data. Today she's working directly in the back-end, could this be the problem. If it is, I'm going to have to create a front-end for her quickly.
My problem is this...I'm working on queries and forms so that the scientists who will ultimately be using this application, won't be able to go in and inadvertently change something in the tables set-up. When I'm in the back-end main data table, it says I have 2723 records.
When I create a front-end query to query all the records in that table, it says I have 2160 records.
The input form that I created with most of the same fields as the query (created BEFORE I created the query...I'll have it pull from the query now instead of directly from the table) also says we only have 2160 records.

I have a table called tblCompanies. When a company acquires another company, I need a method by which the acquired company's CompanyID (PK) can be updated to the new company's CompanyID (PK). I also need to be able to update all related CompanyIDs (FKs) to the new value in related tables.
In cases in which the new company does not have an existing record, there is no problem: the company name simply gets changed to the new company and the existing CompanyID is maintained. I then use an audit table and Track Changes function to keep track of the company name data and a union query to keep the old names in the selection lists.
The problem is when both companies already have existing records in the table.
So, let's say I have records for Company A and Company B. Company A merges with Company B and Company B is now the main record. What is the best, simplest and easiest way to update the CompanyID (PK) from A to B and change the CompanyID (FK) to the new value in all related tables?
I am envisioning a pop-up form that directs the user to select the new company and then an update query happens behind the scenes... but exactly how does the criteria for the update query get selected and how do all the related tables get updated? My vba skills are pretty basic, will I need extensive coding to do something like this?

Hello,
I have created a query using the query builder by concatenationg several fields using the expression builder. Once concatenated, the total number of characters is greater than 255, and is therefore truncated. Since this is a query field and not a table field, there must be a way around this limitation. I can't even create the query and dump the results into a memo field because the dump will still only contain 255 char.
I could probably create the query using VBA, which creates a table containg a memo field, which is then populated by a variable containing the concatenated fields, but I would like a simpler solution.
Any ideas on how I can generate a query field that contains more than 255 char? The query is used to populate a report.
Thanks in advance.
Ken

Hello,
On a form I have a way to search for a record by using a listbox that has a Distinct Row Query from the table that the main table that the form is bound to. It looks for the Sample ID's that are associated with the samples that we test. The list ends at record 87877. We are WAY past that number in our numbering scheme but the list box does not display all the records. When the users type anything over 87877 the auto complete doesn't work and the last record shown in the list is 87877. Does anyone have any idea how to make all records show? The users use this to navigate quickly between samples but now it is broken. Is there some sort of limit?
Thanks
Greg

I have a report that I am trying to complete based on several queries. I am trying to count the number of records based on certain criteria and using the following DCount.
=DCount("[Calculated time]","IPG1","[Calculated Time] <= 0.04" And [Ship-to party] In ("SN00207PJZ","SN09162XXX","SN09324XXX"))
I want to count the number of IPG1 records that are under .04 and have the Ship-to party of the ones listed. I have tried everything that I can think of to get it to work but can's seem to get it to. I figure it's something easy but I don't see it.

I have a pretty normalized Access Database. The table that I am trying to add new records is tbl_returns and has 4 fields: return_ID, serial, reason and inv_num.
When I sell a card (or a range of the cards) an invoice including all the information is saved as a record in a new row in tbl_invoices.
If a vendor wanted to return a card (or a range of the cards) in the next visit (weeks or months later) I will accept and in most cases they want me to switch the cards with new ones. Therefore in a new invoice (different date and invoice number) I will give him new cards and return the cards that he wanted to change or return.
Now I have to assign NULL to the inv_ID field in tbl_allPins in order to make it available for sell in future. At the same time I want to have a record of the returned cards including serial number , the reasoning of return, invoice number and/or a little note about each one/range of the card(s).These are to be recorded in tbl_returns as you can see.
For instance you want to return serial numbers between 9876 and 9880 (includes 5 cards) because of the "scratch off problems" and your invoice number is 22222, using frm_returns. After you process it and then open the tbl_returns to check the result, you will see 6 records are added instead of 5. I was able to understand why it is happening (I believe so!) but I could not fix it. Also I cold not write a VBA to remove the inv_ID in front of the related serial numbers in tbl_allPins.
Also in another trial was ended up to creating the Form1. Form1 looks better (has no extra records) but I have trouble to navigate through the records in tbl_returns. There was a sub-form added but it was showing all the records in tbl_returns which is unwanted.
By the way, serial numbers and PIN numbers are each a unique number in tbl_allPins.

Still working on the registration and badge print system for their upcoming exhbition the company I do a bit of work for. Managed to solve most of my problems but have got stuck here.
Basically each of the badges have a barcode (code 39) on them which is in the following format...
*1000000123$M*
(*'s required for the barcode to work, the numbers are the badge number and the $M is the enter command (i think))
Basically we need a form that allows us to scan the barcode (the number of the barcode is the Primary Key in the tbl_Attendees), and for this to update the "Attended" (Yes/No) field to yes. This bit I can do with a simple update query, but we need some form of confirmation, something simple like a line of text showing up on the form saying
"Joe Bloggs of Leeds registered as Attended".

It all works great but if table2 contains a record in "Reference" that is not in table1 i just want it to ignore it, currently it just seeems to add them.
Any suggestion guys & gals?
