General :: Changing Stock Levels For Inventory Database?

Im building an inventory database for my company and have the tables, relationships, forms and query's built but im struggling to figure out a way to make all the quantities move around when I have a purchase order or sales order that either adds to removes from inventory.
My database is fairly simple as all I need to do is track what is coming and going and what is the current levels of inventory. I have for instance a product table that has all the information on what products I have and what their part numbers, item number (primary key), description and so forth, separate customer tables and supplier tables, as well as an inventory table setup similar to the northwinds database. I used queries to combine my purchase order and purchase order detail tables and to combine the sales order and sales order detail tables to make sales orders and purchase orders through their respected forms and all is good in that sense but it doesn't move the inventory numbers just lists what is in each purchase Order/Sales order.
I have the following form and subform combination:
The subform is linked to the main form by way of the "ProductID" control. (It's hidden in the subform).
Basically, each product (the finished article) is made up of many components.
What I would like to do is this:
1. Increase the stock of a "Product". 2. The Stock level control on the main form will then increment as much as selected 3. Contrary to that, I would like each component to decrement the relevant amount based on how much of the component is used up to make the product.
E.g. If I have Product A and it contains 2 components of which component A is used once per product but component B is used twice, then when I increase stock of product by 1, then component A goes down by 1 and component B goes down by 2. But If I put two of a product in to stock, I would obviously need component A to go down by 2 but component B to go down by 4.
I am thinking I need some way to loop through each record in the sub form for the current form, such as "Do While Not", or a "For Each". And then stick an Update query within the loop, but to be honest I can't think of how I need to address it!
I have a small database for my warehouse that sells washing machines, fridges etc.
I am trying to get a grip on the stock control. What I am looking for when a order is filled out on our order form is the stock number will reduce by the amount sold. Not sure how to make this happen. I have the number of units in stock under the products table
hello, i am new to this forum. i have been struggling on a project i am doing where i am tring to calculate the stock levles and keep track of them along with the re order level i have calculated the current stock levlel, in a query called "stock level 3" Here the total amount prodcuts sold are taken from the field called stock level.
Here is a break down of my original tables
CUSTOMER
Cu ID And all their personal details such as contact details
CUSTOMER ORDER This is where the order takes place and contains the following information
•In the query “All customer order details”, I have worked out the line total for each prodcut with in one order. I have timed the Qty_on_Order (customer order details table) by price (in the produt table) and by the discount(customer order details) this then gives the line total
Now to update the stock level I made a new query called “stock level Query”, where I added up the total number of each products sold, by adding the “Qty_on_Order” from the query “All customer order details”
I then made a new query called “stock level 2” where I calculated the amount left on the shelves by taking “SumOfQty_on_Order” of each product from “Qty_in_Stock” (form prodcuts table) to produce the field called “Qty_in_Stock”
I then made a new query called “stock level 3” where I inserted the same fields but an extra field called “Re_Order_level” for some reason could not add this to the query "stock level 2"
So far the system can add up the total number of products sold, for all the orders, and then automatically calculate the Qty_ in_ stock by taking away the “SumOfQty_on_Order” once a new order is made.
I then made forms where I go in my form to “customer”" and then to “making new order”. Below is a sub form called “all customer order details sub form” . Here orders are made with defining "Qty_on_Order
I want to make a system which calculates for me i have ordered more stock then there is. Howcan i now when i make sure when i place a new order in the query"All customer order details" , that if i order above the number of "Qty_in_Stock" (from query srock level 3), from the query “stock level 3”, that when I order more products then ““Qty_in_Stock”, in the query “stock level 3”, does not allow me to enter this and if it is possible please can you insert error messages on it.
I do not know if this helps .- I can not make the “Qty_in_Stock”, to appear in the actual table “Products”. At the moment I can only update this in the query “stock level 3”. I am not sure if I need this so I can then set re order level which then comes up with an error message telling me when the re order level has been reached. -
As later on I will need to add on any products brought in from the suppliers to the Qty_in_Stock”, in the products table to be automatically updated.

Hi, I have a data base that is used to keep track of stock level. When i issue a stock item and move to the next record I would like the stock level to be reduced by 1, any ideas.
I have a database which seems to open many copies when it is accessed over the internet (via ASP) but If I open it on my compter over my LAN then it seems to open 'exclusive' and those on the Internet get the error message that 'file is already in use'.
So I have devised a method where I will make a copy of my database on my computer, clear all the stock levels and then add in the new stock. My question is - how do I write a query that adds the 2 stock levels together?
I have a form which has a list of stock we have available to sell. I can then create an invoice and put in the relevant details. I then can select a product and it will add it to the invoice (which is in the form of a subform). Then the user confirms the quantity of each product. This is where the problems start....
I want an update query which will subtract the quantity from the overall stock level and give me the new stock level. This is easy to do if the invoice is for only 1 product. But I it doesn't work if there is more than one product in the invoice. If the first product has a quantity of 2 being bought, it will subtract 2 for every product.
What I am trying to do is create a stock database and iv imported a blank version of the northwind template and filled it in with my own products which is fine up to a point.
What i also have though is i get weekly reports of the stock of each product with their batch numbers, expiry date and quantity remaining for that individual lot sent to me from another company. (So i might have several lines with the same batch number and expiry date but diffeent quantities) So what i want to ask is:
Is there any way for me to combine the data in the weekly reports with the stock level data in the northwind template?
What i want to be able to have is where somehow i can see the total quantity of eac product with the same batch number and expiry date and then it tells me when that batch has expired and it also automatically deducts the stock from my total stock when it gets to within e.g 9 months of the expiry date as we will not likely sell those.
I need to do this as at the moment all i can get from my database is how much stock has been ordered, sold and what we have in total on hand but if the stock is close to expiring then i wouldnt know and i need to be able to see when to order stock in advance as i want a minimum of 6 months cover and ideally 9 months cover as orders for stock dont come in straight away.
Also, how i can import the data from the weekly reports into excel/access easily as they come as word files presented as a table but the data is put in frames i think and iv tried removing them but then it all looks messed up.
OK, your gonna have to bare with me a little bit as its hard to explain and if any VB is given please add a few annotations as I have to explain everything i do in a report (doest have to be too detailed, just to make the code understandable :) ) and if it needs better clarification feel free to ask :), but basically, I have the following relationship set up:
At the moment, because of the way it is set up, I cannot create a record in the transactions table unless an income record is given for it (because tb_income (one) to tbl_transactions (many)) but the way I want to work is as follows:
If you have a look at the tables tbl_transactions and tbl_income and their link. The way I want the system to work is when a new transaction is made, a new income record in the "tbl_income" table would be made with the date (in tbl_income) being the date at that particular time and all transactions created on the same date would all go in the subdatasheet for that one record created for that date; and if another transaction is made on an alternate date (say 00:00am of the next day) another income record would be created automatically with the date being of that particular day etc.
My other problem im facing is that everytime there is a transaction created, I want the stock level(s) field of products in that particular transaction to be decreased by the quantity purchased of that product but i have no idea how to do so

Also a subtotal/total box. - The stock needs to be deducted from the stock/products list when it is bought and goes into a history database/table. - Reports based on Orders, with only relevant information, for customer invoices. - A stock search facility where all stock, present and past, can be searched to see what is most popular according to manafacturer, colour, quality etc.
It is not a shop/EPOS application that i am trying to create. Its simply a stock control system which, as a bi-product, produces invoices and reports etc. It goes without saying that, as staff members don;t have extensive computer knowledge, the whole database must very user freindly and simple and clear etc.
Now MY problem -
I can produce simple databases and can set up straight forward queries/reports etc. But the whole stock update thing really confuses me.
- i dont know what the set-up/design of the database should be - i dont know how to do the stock update thingy - i dont know how to create a search facility for products being purchased - i dont know how to move the stock from the stock table into a history table with the customer/invoice information - i dont know, qithout creating 10 different queries, how to make a stock search facility which the user can determine the criteria for searching - i dont know how to make the whole thing look simple and user friendly!

I have an inventory app, how to make daily opening stock /closing stock.I want the system done automatically,that is as users exit,closing stocks & next day opening stocks as users log in.Then daily stock reports can be generated.
I have a form that displays a stock inventory, one of the fields I use is called [ItemCode].
On the Stock_Inventory form I have 10 command buttons that open other forms to display additional product information.
These were previously sub_forms that sat in a tabbed control box within the Stock_Inventory Form but as it now takes a while for the form to load (lots of queries running each time you search for a product) users are getting slightly frustrated.
So, what I decided to do, was move each subform from the tabbed control into a new form and open that form when it is needed by the user.
OK, when I open Stock_Inventory and search for a product [ItemCode = "ABC123"] and then want to see the Sales_History, I have to open my new form, Stock_Inventory_Sales_History, within this form are two sub-forms, each subform has a field called [ItemCode].
However, when Stock_Inventory_Sales_History opens it asks me to input the parameter [ItemCode] twice, I presume this is because the Stock_Inventory_Sales_History does not have a record source and that the subforms need [ItemCode="ABC123"] to run each query and return the data.
I need to pass the [ItemCode] from the Stock_Inventory form to each of the 2 Subforms that are on the Stock_Inventory_Sales_History form automatically.
I am trying to create a simple store keeping In and Out inventory database using Access, I thought I had made it but looks like I am missing something here.
The store works on SRV (Store Receiving Voucher) and SIV (Store Issue Voucher). Products will be added based on SRV and will be issued out based on SIV. So far I have created the tables as you can see in the figure. One thing I am not understanding is where to keep the record of the Current Quantity of each product, lets say an Item has been added or issue out, it should be added or deducted accordingly from that specific products overall quantity. Right now I have a sample field within products table as you can see with the name QtyOnHand but that doesn't seem to be logical.
I want to make inventory fifo(first in first out) db. Example:
February 1- beginning balance : 800 unit @ 6$ per unit 4- received 200 unit @ 7$ per unit 10- received 200 unit @ 8$ per unit 11- issued 800 unit 12- received 400 unit @ 8$ per unit 20- issued 500 unit 25- returned 100 unit to storeroom to be recorded as latest issued prices 28- received 600 unit @ 9$ per unit

I am a realtivly new user and I do not know alot of things about Access
I have set up a database, and within this database, i have a table with my product details (the products are books, details include: ISBN, Title, Stock Level, and Price), I also have a table with customer's information (Name, Contact details, etc). I have created an order form, from which a user selects the customers name from a drop down list, and then he selects his name, and finally the date. Following this the user then works within a subform.
This subform has the following details, Order ID, Book ID, and Quantity Ordered. After this I want there to be a subtotal. I have no idea as to how to set this up, but I am assuming that I would need a query or something, to look up the price of the books, and then to multiply it by the quantity that the customer wants. Following this ideally I would like a small box on the main form saying the total value of the order.
Would their be anyway, to add the book ISBN number into the subform, where the user could either type in the ISBN number or select from a combo box the book title, but either way, both fields are updated, what ever method is used.
From this subform, I would like to be able to print out an order summary/invoice. This would contain all the books ordered by the customer in the current transaction, as well as the customer’s information, and the total of the order.
And my final question is probably the hardest one. Is their anyway (possibly by pressing a button) to automatically minimize the stock value on the products table, by the quantity chosen by the user in the order form? And if the quantity wanted is greater than the amount in stock, for a message to appear on the Order Summary/Invoice stating "On Order"
Using the above method, would it then be possible through the creation of a query to show what customers have ordered in the past, in a tab on the customer's details form.

I am planning my new DB and am contemplating the best design. It will be used for warehouse stock rotation and control of pallets. I want to track each pallet (product/time in/time out etc) to each pallet space within the warehouse. There are a total of 400 pallet spaces or 'locations' as i will refer to them as.
Now, would it be possible for me to have a table set up for each location? Will access object to having 400 tables in my data base?? Is there a limit?
We are currently using Access 2007 for all our database needs but so many different people have had access to changes things that now they are so convoluted that my boss is wanting me to build a brand new database... Is there a way to take all the tables in one database and migrate them over to the new database that I am building?
In the past I have only done data input into Access databases that have already been created. They have been simple text fields only. I was hired on contract to finish data input for a database that serves to catalogue material resources. The database itself was supposed to have been completed by a former contractor but I'm discovering bits and pieces that weren't finished. I don't have any background in IT or coding.
So, this database eventually has to be shared in a "locked" format so that other entities can view our resources (like a catalogue) without changing them. My next step is to add images to each of the items being catalogued (there are about 100 images). The former contractor began a table labeled "Pictures" in which there are 2 columns: PictureID and PicturePath, the latter being a path starting with C:. The issue is, his picture paths include the hard drive name so that it looks like this:C:HardDrivePicturesPictureID.jpg
I need the database and its images to be share-able on other computers. And I need to use relative paths to connect the images to the database so I'm not tremendously increasing the size of the database.does the location/path of the database need to be changed so it can be shared, and if so how do I do that?
Second question: I have all the images I will be using in a folder on my desktop; how do I save them in a "fixed subdirectory" of the database so that they get moved with it whenever it is sent out to another user?
If I change the database name as I'm working on it (I've been saving a new database each day, so that if I screw up something I can go back to the most recent working one) will that mess up my picture paths?
I'm altering a database to have certain fields be recorded monthly.For example: instead of a client's file having "Total X Purchased" it would now be "Total X Purchased - Jan", "Total X Purchaed - Feb".
I want to spin the monthlies out of the master clients table & in to ex. tbl_clientsJan, tbl_clientsFeb, etc. but still have them linked; & have a "Totals" table that aggregates data from all of the tables (adds them up).
I have an existing form, & I was thinking of just creating tabs for the months & subforms in each with their sources as the month tables, & removing the fields that don't change month-to-month (e.g. client name), with relationships between them. I would start by copying all of the master table data in to the month tables & allowing edits from there.
the company doesn't track when the transactions occurred; I'm unable to group them along those lines.I'm new to Access & don't want to make a mistake.
I would like to get a third party to edit a database and record those edits by changing the colour of the font. I know this can be done in layout mode, but it changes the font in all records, I only wish to change the font colour in one record, how I can do this, without changing all the records in the database.
On occasion my access database all of a sudden begins to operate very slowly, I notice the queries take a much longer time to run.
Last week it suddenly began to operate very slowly after idling in excess of 30 mins
Today when I change the screen to design view and then back to form view once again it begins to operate very slowly. (yesterday was working fine on my desktop at home, I have not made any changes to the database with exception to saving and using the file this morning on the shared drive at work) If I shut down and re open it operates well but once again changing to design view causes the same issue. Sometimes compact and repair rectifies sometimes not.
I have some basic knowledge of Access and how it works but when it comes to the SQL formulas and some database structures I have not had enough experience. If someone could please guide me in the right direction with this I would appreciate it.
I have need to setup a database of all equipment in a small room so that I can keep inventory on it. Right now I have a database with three tables in it. An Items table that relates barcodes of an item to the actual item name. A Tech table that contains all the techs that would take from or replace something in the inventory of this room. And a Transactions table where it holds what item, who, and if it was taken or stocked.
What I need the most help with setting up right now is how do I use the transactions table to total up all uses and stocks of each unique item so that I can get an idea of what is actually supposed to be in the room at the moment.
