General :: How To Keep Sub Report Visible Even If No Data Is Displayed
Jul 22, 2013
I have a report with 4 subreports. The report contains calculated fields that use the totals field in the different sub reports.
My issue is when one or more of the subreports does not have data in it. The sub report dissapears while in print preview, removing the totals row and ruining the calculated fields in the main report.
How can I keep the sub report visible even if no data is displayed? Or have it invisible but have the calculated fields still reference.
I have a "Currency" field in a table and it holds large numbers (on which I will need to do basic arithmetic operations at some point, so I must store them as a numbers). I have set the "Standard" format on the TextBox used to display it on a form because I want to have thousand separators; I've also set "0" for decimals as I don't need to display them.
So everything displays as I want it even with the largest number that can be stored all the decimals are showing in the text field, but when I click on the field to edit the value instead of having the complete value it is displayed as scientific notation. I would like to display the complete value when editing it instead of the scientific notation, how can I achieve this, if it is possible?
A numeric example: If a user enters 1234567891012, the value displayed is indeed 1234567891012 but if they click on the field again the displayed value while editing is 1.23456789012E+11 (and it switches back to normal notation when the focus changes to another field). I would like to show 123456789012 all the time. I know that Access is capable of it most likely because if I set the Format to "Fixed" the values are always displayed completely (no scientific notation), but unfortunately I would like the thousands separators to show and it is not possible with the "Fixed" format.
Two last details, the scientific notation while editing does not kick in unless there is more than 11 digits in the number and the field width (and/or TextBox width) are sufficient to display up to 20 digits.
I have a report with quite a few subreports in it. There are a number of calculated fields on the form, most of which use Dlookup to retrieve at least one of the figures required for the calculation. The Dlookup runs fine and the report opens but the calculated fields are devoid of data in Report view. When I switch to Print Preview view the fields are now populated. Below are two variations of the DLookup syntax I have used to try and alleviate this issue.
=DLookUp("[8]","qry_MonthlyTotalsByYearFirstAid","[ActivityType] = 'First Aid Injury (FAC) Reported in Safeguard'")/[sub_AllHours].[Report].[8]
=DLookUp("[8]","qry_MonthlyTotalsByYearFirstAid","[ActivityType] = 'First Aid Injury (FAC) Reported in Safeguard'")/[Reports]![rpt_AllFigures]![sub_AllHours]![8]
Note that the field [8] specified here is simply a month number and forms a column in the crosstab query for the corresponding query name.
I would add the query referred to in the DLookup to the source query for the report but the source report's data is derived from a Crosstab query, which only accepts one data field (Access terms this as the value field.
I have via macro that displays the main interface to my database; frmMain (Maximize). This form frmSelectUIC (Minimize) allows me to select a department number of the data imported for analysis. All is fine, as shown here;
I have a query that pulls the records by month and year this worked great
Query is set up as Field: Month: Format([ErD],"mm/yyyy") Criteria: [Enter Month and Year (mm/yyyy)]
But I need the Month that is pulled to display in the report header along side the report header text without the user needing to enter the Month again. Example report header: January Things you need to know.
I have a database with a form called "Main" where users input data and then print a report from it. "Main" has fields in it from another form "Members". This data (from "Members") is shown on "Main' by Dlookup coding, and therefore cannot be selected for input by the user. Now, lets say a user inputs data into "Main" and prints the report on 12/30/2012. On the next day, a member's name is changed and I update that data in the "Members" form. On 12/31, I would like to print the report again, but it shows the updated member's name instead of what is was like on 12/30. How can I keep the old data in case I want to print the report in the future like it was initially printed? What do I need to do to any form(s), report or what VBA code needs to be written?
Where in Access 2010 I can modify the displayed fields of a Combo Box on a form. I need to format the display window and add criteria to one of the fields. Can't remember where I set this up and recently upgrading from Access 2007 isn't working.
I want my fields on the report to show up if there is data to show and to disappear if no data is avaliable. Also, will the fields format together or will they still stay apart? I need them closer together for the report.
Here we go.
In the report are months 1, 2 and 3 as well as the label box for each. I need the label box and the data(text box) to disappear when the data box is null. This is where I had started:
Private Sub GroupHeader1_Format(Cancel As Integer, FormatCount As Integer)
If Not IsNull(Me.Ctl1_Month) Then Me.Ctl1_Month.Visible = True Else Me.Ctl1_Month.Visible = False End If
End Sub
But when I try and run the report I get this error: Can't Execute Code in Design Mode.
Can someone help as to what I have done wrong or where I should place this type of format?
I have an Access 07 report, and when viewing the report I'd like to have some checkboxes visible based on their value. In other words, I need the checkbox to be visible if it's checked and not visible if it's not. I have the following in the OnLoad event of the report;
Me.Checkbox.Visible = Me.Checkbox.Value
This works fine in print preview but makes no difference in normal view, the checkboxes are visible regardless of value. I'd like to keep normal view if possible.
I come across a strange database condition every once in a while where if I create a new table, either by wizard or with VBA, the new table is not visible in the navigation pane. To make it visible, I open 'Custom' in the Pane and then open 'Object Type'. The table is then visible.Is there some setting or command that forces Access to show the new table as soon as it is created?
I'm running Access 2003 and my question relates to delivery notes that are produced for drivers as reports. These delivery notes have a blank payment box for the driver to complete if the customer pays upon delivery.
As more and more customers are prepaying by credit cards, I'd like this payment box to be automatically filled with a "PAID" text which will let the driver know the order has already been paid for.
The delivery note is produced from an "Orders" table which has a "Paid" field whose value is automatically set to "Yes" when the order has been paid for.
I was hoping to be able to place a "PAID" label on the report which is only visible when the Paid field of the underlying query is Yes.
As things are at the moment I cannot see any way to put any conditional statement onto this Text/Label. The only options for the "Is Visible" property of the text are Yes or No.
I have a form with a Yes/No checkbox. Sometimes a data entry person will use this, sometimes an associated report is printed and a technician in the field will be required to fill check the box by hand and return the report for data entry. what I have tried to format the check box, if the box isn't already checked, I can't get it to show up clearly on the printed report. It's set to Visible, width 6pt, solid, black, always display, yet it still is barely visible. Ive tried increasing the grid line thicknesses, making it shadowed, nothing seems to work. Is there anything I can do?
I've accomplished some simpler things like hiding fields based on the data in another field but nothing very complex. To the point: I have a report that shows data in both rows and columns, the report has a 7 columns, 3 of which could or could not contain data other than zero, in which case the column is not displayed. The problem I have is that it could be any of those three at any given time depending on what data is available for that report and what the user wants to see. Basically, if a given company has no data regarding column "A", then column A is hidden, but the main grouping is done through rows so all companies contain at least 0 for all columns (what I did is that, if a field sums the whole column returns 0, then the column is not visible). What I need to get working is the second part of this, have the columns rearrange themselves depending on which column is hidden (it could be that all 3 are hidden). How could I make this work? (btw, autoshrink is not usefull for this since it only shrinks vertically, not horizontally).
I am new to Access. I am a speech therapist and am building a database to keep up with my student's progress. I have set up the database satisfactorily (if rudimentarily, at this point), but am now trying to merge the data to a form on a MS word document that we use to file medicaid. Most of my tables and queries have one to many relationships because each student has several goals and in each therapy session we usually work on more than goal. On the medicaid form the information is organized by date. The only way I can envision to get the data to merge to the medicaid form is to use as the source a table or query where there is a single record for each date. But all the tables and queries I have figured out to build so far have multiple records with the same date, if we worked on more than goal in that session. (i.e. there is one record per each separate goal). For example, if you are visual like me.......
This is what I've got:
[date 1] [goal 1] [percentage for goal 1] [date 1] [goal 2] [percentage for goal 2] [date 1] [goal 3] [percentage for goal 3]
but this is what I need:
[date 1] [goal 1] [percentage for goal 1] [goal 2] [percentage for goal 2] [goal 3] [percentage for goal 3]
Is there any way to run a query that will reorganize the data in this way? I thought for a minute that a crosstab query would do it, but I don't need to perform a calculation, I just need to reorganize the way the data is displayed. .....perhaps something with a pivotform??? I haven't figured those out yet.
On my switchboard form, I have a check box which the user can check to make a text box (which appears in several different reports) visible and uncheck to make it invisible. The text box in the reports has the same name on all of them.
I am having trouble making this work.
I can think of two solutions, but haven't had success with either yet.
1. I could simply change the visible property of the report(s) control from the form. This works if the report is open, but throws an error if the report is not open.
Code:Public Sub showNumOrgsInReportCB_AfterUpdate()If Me!showNumOrgsInReportCB.Value = 0 ThenReports![publishZipR]![numOrgsF].Visible = FalseElseReports![publishZipR]![numOrgsF].Visible = TrueEnd IfEnd Sub
Is there a property or function I can use to test whether the report is open before I set the text box visibility?
2. Alternatively, a less elegant solution would be to run an event procedure to close all open reports. This would eliminate that issue, but I haven't gotten the code to work yet:
Code:Public Sub showNumOrgsInReportCB_AfterUpdate() Dim rpt As Report ' Enumerate Reports collection.For Each rpt In ReportsDoCmd.Close rpt.nameNext rptEnd Sub
This line: DoCmd.Close rpt.name throws a Run-time Error '13', Type mismatch.
I'm working on a report. I have a text box that contains directory path for a picture which is showed in a image box on my report which works great. I have now created a label called "nopiclb" that has "no Pic "entered in it but I want to set the label to not visible if path1 has a file path in it but visible if path1 is empty
I put the code below in onformat event in the detail section, but is not working
Code: Private Sub Detail_Format(Cancel As Integer, FormatCount As Integer) If IsNull(Me.path1) = True Or Me.path1 = "" Then Me.Nopiclb.Visible = True Else Me.Nopiclb.Visible = False End If End Sub
I have a filter on a form using a combobox.I want to export the data displayed to an Excel Spreadsheet. I have used the Exportwithformatting Macro but it seems to export everything.
I'm using access 2010 and have Tabbed Documents enabled as well as Display Document tabs.
When i open a form in design mode, it appears that I have the option of setting the form size parameters by dragging the page boarder horizontally or vertically to grow or shrink the size of the form. When I change view back into form view however, these changes don't appear to be having any effect on the form itself.
My question has two parts:
What am I actually affecting when I adjust the page size in design mode?
Is it possible to set a definitive end to a form in form view without reverting back to the Overlapping Windows setting?
My student is doing a project on question paper generation in which he selects questions from each lesson needed and also some of these questions have images associated with them. So, if these questions are selected, the image control in the report displays it.
If there is no image, the space for the control is left in tact. I tried changing the visible property for the image control in the Detail_Format event procedure. But this code is not reached at all and the space is still left. I am not storing the image directly in the field but its path in a text field.
I want that the space occupied by the image control removed. I tried the suppression thing but obviously it did not work.
I have a database that I use for keeping track of clients and printing invoices using a form/sub-form and report/sub-report. I want an image to be visible on my sub-report when I choose Received Payment in my sub-form. Right now I have my image set to visible = no.
I have a combobox on my form called TypeOfBusiness, with fields including Corporation, Education, Industry, Non-Profit. In order to make a second combobox called IndustryClassification appear when Industry is selected from the TypeOfBusiness combobox, I have used the following code:
Code: Private Sub Form_Current() If Me.TypeOfBusiness = "Industry" Then Me.IndustryClassification.Visible = True Else Me.IndustryClassification.Visible = False
[Code] .....
It works just fine. However, when a user selects both, say, Industry and Education, the IndustryClassification combobox will not appear. What code I can use to ensure the IndustryClassification box will appear regardless if another box is checked in addition to Industry? I am wondering if it has to do with the Column attribute.
When loading a form often some of the text is missing, headers are not there and/or the colours for the background are simple white, until I either resize the form or scroll up and down a few times.
