General :: Tracking Time Off From Work - Weekly Schedule?

I have been tasked at my work to create a database for tracking time off from work. I have built several databases in Access 2003 and have now transitioned to 2010 and it is seems to be going well. My past databases have been rather simple data in data out not really that big of a deal. However on this database they need a report that will show them a week view that shows them all the employees regular days off and any additional time off they have schedule in that week.

I have an employee info table that has employee basic info, Emp name, Emp number, Work Week code (which identifies which days off the employee has) Hire Dates (for seniority sorting) and then I have 7 fields listed as D1, D2, D3 and so on until D7 (I will try to explain these fields later).

I have another table (Time Requests) that has 3 fields, Date, Emp number, and Time code (which identifies why they are off work or unavailable to be assigned).

The last table I will refer to has 7 fields, they are Date1, Date 2 – Date7

I now have a form. This form has the 7, fields Date1, Date2 – Date7.

On my form Date1 field is updated by a manager with a date that is a Sunday then Date2 = [Date1]+1,
Date3 = [Date1]+2 and so on until I have all 7 fields showing date from Sunday – Saturday.

These fields are lined across the top in a vertical direction positioned above a subform of the employee info table. So directly below the 7 Date fields are the D1, D2, D3, D4, D5, D6, D7 fields then to the right is the Emp name and Emp number, This gives me a Week view of who is working.

I have been able to get the D1, D2….. fields to show their respective Work Week codes by writing very simple “If Then” statements . So here is where I AM STUCK…When I am showing this week view how do I get D1 –D7 to identify what date they are supposed to be in reference to Date1 – Date7 then compare themselves to the table “Time Requests” to see if they have a match and then set the value of D1, D2 …. to the “Time code” in that table. D1 – D7 need to auto populate and do this for about 50 employees.

Forms :: Employees Work Schedule - Filtering A Split Form

I have a database and form that is used to register times and various codes for employees to enter their work schedule for the day. Right now I am using a split form where they enter a ID code in the form and it auto populates with their name/department/and date. They then go and fill out a few boxes regarding time spent, machine used, and purchase order.

Once the information is added it is seen below due to it being a split form.

My question is this: Can I make the bottom portion (split form) filter and display only that specific employees ID number and his previous entries? Right now it is possible to view all of the entries placed and due to it being used on a network connection there are many submissions, I want it to narrow down so that once the employee enters his/her own ID only their previous submissions for that day can be viewed.

General Q - Code And Why It Doesnt Work All Of The Time

I am wondering why access does not follow its own code all of the time?

For example I have passworded forms following the tutorial on the Microsoft site. It mostly works when the participants fills in the wrong password we will get an error message box and when they cancel the password dialogue box it wont let the person enter the form - but not all the time. Sometimes if you press cancel it still opens the form anyway (without requiring the correct password).

This is similar with the module that I put in to prevent people from using the mousewheel to leave their record etc. Most times it works but sometimes it just isnt called on form load.

There is nothing wrong with any of these codes and when they work they work well but I cant seem to rely on access to do what is supposed to?

Tracking Person's Work?

I'm undecided in what I should to to track what an employee does for the day. Currently employees have a 5X7 index card which is printed out fields and they fill it in by hand and turn it in.

Instead of the employees doing this I want to record all of this information in the database.

These are the fields that I will include:
EmployeeName, Book, WorkType, WorkEffort, StartPage, EndPage, StartTime, EndTime, TotalPgsWorked, Comments.

Should I bound all of these fields to the tblWorkLog or should a create unbound fields and create an append query which will add these fields to the table.

I don't want the users to enter their own start time and end time as they might not record it accurately.

Should the time be recorded this way: Have the user open the form, when the form opens that will record the start time. Have the user have the form remained open until the end of the day or when he or she finishes through out the day. When the form is closed that will record the end time.

What is an alternative of doing that though? Have the user open the form record all the info and have the startime recorded. Exit out of the database, when they finish their work, open the database go back to that record and record the end time?

My problem here would be there is no uniqe ID. The user can work on a Book for a week, and can also work on multiple books on the same day. How would they know which record to open.

I'm uncertain how to lay this out and begin it any insight will be greatly appreciated.

Time Tracking System

I have a time tracking system where users can clock in and clock out. I want to have an error message when they clock in and then accidently clock in again. Therefore, they can only clock out after they have clocked in. The data goes into the table called "Timeclock Table". The fields in that table are SSN, Clock-In, Clock-Out, and TimeStamp. the clock in and clock out are check boxes. can you guys help me??????

General :: How To Display And Maintain A Schedule

I have 6 machines that run jobs Monday thru Friday but I will focus on doing one machine to avoid confusion.

The machine will be running 23 hours a day Monday thru Thursday and 18 hours on Friday and is shut down on Saturday and Sunday. Monday morning at 5am (start of the work week) Job A starts. The job will run for 30 hours. Then Job B will run for 160 hours. I need to know when Job B will start and end. Although it would be nice to know the time of day, just knowing the date would be good enough.

As I said I have 6 machines and each one is running anywhere from 7 to 10 jobs. My end result could be nothing more than a report, but a datasheet form would be ideal. On Mondays, new jobs are added and schedule is updated based on actual productivity from the prior week.

I need to make a report that shows a work schedule for 10 employees. I need it to print in a monthyly calendar format with horizontal lines to show start and end date and time. I need it to show that there is or is not any overlap for that machine."

It has been a while since I have created a DB and I get some of this okay. So far I think I need three tables. One is the machines. Two is the product schedule (how long it takes to produce X number of products). The last would be work orders and that pretty much covers the data.

I think most of the data can be maniputated by queries and that is even done on the report. The report as we all know is the reason for a database. If it was just about the data it would be simpler to do a spreadsheet. It could get fancy and make a pivot table. That output can be a calendar of sorts.

Table Stucture Help - Tracking Varying Time Periods

Hello,

I'm having a hard time trying to figure out how I should go about designing the table structure for the hours tracking for the database I'm working on. Basically, I have a table with projects (tblProj) that I need to track the number of labor hours worked per month. The problem lies in the fact that each project could have varying time periods, anywhere from less than a year to more than a year and can start and end at any time of the year.

I was thinking of creating a second table (tblProjHours) to store the hours for the project but I'm not sure what the most efficient way of doing this would be. My idea was to create a table as follows:

tblProjHours
ProjHoursID (pk)
ProjID (fk)
BeginDate
EndDate
Month1
Month2
Month3, etc....

I would create a large number of fields/columns, something like Month1 to Month36 just to make sure I have enough months to enter in the hours. This is of course inefficient since some projects would be way shorter than the maximum allowed months set by the table structure and there is always the possibility of surpassing the maximum allowed months based on the table structure. I was wondering if someone had any better ideas on how I should pursue the design. Thanks in advance!

General :: Weekly Calendar To Show Added Records

I need a calendar that can go forever that shows weeks and not months and each record i add (or is added by admin form) will show up. I have a calendar attached here to show what i mean but its monthly not weekly.

Basically it needs 7 spots for employee vacation leave, 2 spots for supervisor leave and 2 spots for other leave. My current calendar will only fit the 7 employees and no1 else thus the reason i want to go weekly and not monthly, so it has more room.

I have a table with the start and end of their shifts.

We have four possible locations and four weeks.

So I have four tables for each location.

I have a module that can work out hours and deductions based on time in and out. I built that into a seperate databse working on a one time in and one time out setup.

I want to incorporate the two so I can get the hours worked over four weeks at all locations and divide that by 4 to get the average weekly hours for a staff member.

Queries :: Tracking Time Spent On Customers Records Based On Date Of Entry

I have two tables, One table containes customer name, etc., tblcustomers the other table contains the tbltimelog, log of activity start time end time. No issues. I want to generate a form based on the dateofentry for the time record. I am not able to get a summary lets say I spent 20 hours on ABC and 20 hours on CBS. If I spent 3 different days on ABC and 6 different days on CBS it will not add them together it will list it ABC 3 times and CBS 6 times. I have tried the distinct function but it doesn't work because the date is distinct. Is there a way to do this as an SQL or whatever. Thinking I could just create a new table and calculating the totals but that seems to be a waste.

just building my first database. Eventually I want to make it open to others/make changes as new research is done. Can I add change-tracking etc. later (perhaps once I know ANYTHING about code etc.). Basically - can I worry about that later, or--like structure etc.--does it have to be set up before I can enter any data to begin with?

(for the initial part in which I am the only one using the db I was planning on just having it stamp the date of the original entry)

Our office needs a way to track reports that are due to us, so I'm trying to build an Access database to do that. What happens is this...

We put out a weekly tasking document (called an AFCTO) every Friday that tasks our outside agencies (units) to do various things. Each task in the AFCTO directs a single unit to do a specific thing. Units may be tasked multiple times in the AFCTO (one-to-many relationship), but each task only applies to one unit.

Some tasks require the units to send us reports on the status of that task, while other tasks don't. The reports that are due can occur at different frequencies. For instance, some tasks require our units to send us reports weekly on Thursdays; other tasks may require reports to be sent to us monthly on the 1st; other tasks may require daily reporting.

Now, with all that said, we need a way to see what's due to us each day. What I would like is a report that displays what's due for this week, similar to this:

So far I have a very rough mockup of what the form should look like (fmAFCTOTasks in the attached db):

The user can type in the AFCTO Task Number of the task, the start and end datetime group, the unit assigned to that task, the task desc, what type of report is due, what triggers the report, and the frequency at which the report is due. Reports can have one of two triggers...

1) event driven (something happens that requires a report to be due), or
2) date driven (report is due on certain date or day(s)).

Obviously if a report is event-driven, then there will be no frequency or date/day associated with it. How to structure the tables and the form.

I am looking to create something called a "transactional" database that tracks historical information.I want to track and keep a record of employees at my organization who have had disciplinary action. We currently have a 5 step approach leading to termination.Eg. Step 1: receive Letter #1 Step 2: receive letter #2 + manager meeting step 3: receive letter 3 + manager and director meeting, etc etc.

I believe this is transactional because for each employee, we would need to see when they received the letter in the past, and an employee may receive two or three "step 1 letter 1" notices due to whatever circumstance.I stumbled upon this database and I found the bottom part where you Add/Edit Employee is what I am looking to do...except I can't Design view or anything to see how all this cool stuff is done! General :: Tracking Recurring (Yearly) Training - Table?

I am trying to track a yearly training in Access 2010 but am not quite sure how to accomplish it. The training originally was just a one-time thing, due within two weeks of a new hire's start date so I currently have it displayed as three fields in my employee table (Due Date [Calculated], Completed [Date/Time], Paid [Yes/No]). Now, employees will be required to complete this training every year (beginning January 1st, not from employee's start date) and I don't know how to accomplish the tracking it.

I need to keep each year's completion date and whether or not the employee was paid. Currently, the "Paid" field is linked to a query that populates a list of employees that have not completed the training. If the "Paid" Yes/No box is unchecked, the employee's name will be listed in the query; once I check the Yes/No box then the employee's name is removed.

What would be the easiest way to track this training for each year? There are several other training that I am tracking but are one-time only events; these too are separate fields in my Employee table.

I am planning my new DB and am contemplating the best design. It will be used for warehouse stock rotation and control of pallets. I want to track each pallet (product/time in/time out etc) to each pallet space within the warehouse. There are a total of 400 pallet spaces or 'locations' as i will refer to them as.

Now, would it be possible for me to have a table set up for each location? Will access object to having 400 tables in my data base?? Is there a limit?

General :: Tracking Patients Medical Tests Then Alerts When It Is Overdue

I have been asked to create a access data base (using 2007) on tracking patients medical tests that then alerts you when it is overdue set against a scale:

Physical Test - age 20-39 - every 3 years - Male and Female
Physical Test - age 40-49 - every 2 years - Male and Female
Physical Test - age 50+ - every 1 years - Male and Female
PAP Test - 20+ - every 3 years - Female

There is about 10 of these tests like this and then tests specifically for Cancer type patients.

I figured out one way by creating a table with each column being a test but this didn't really work as I need to keep a record of each time they come in and the test is done and then it spits out the next reoccurring test from that date.

I then will need to make a report created from this that alerts on everybody who is overdue to not gotten any of the tests by category.

I then thought okay I will create a table that has the fields as ready something that this is better and to append the records to another form:

Illness - Pulling from tables of Illness
Test - Pulling from table of Tests
AgeGrp - multi-field, referenced from Table of Patients
Gender - Multi-field, pulling from the Table of Patients
Frequency - pulling from table of frequencies with amount of days to calculate

I did this and now I can't figure out anything past this point and how to link all this data up so the right information pops out.

Or is there a better way of going about this.

Flexi Time Query, Can't Get The Last Calc To Work

Hi

I'm trying to finish a query that calculates the time worked in the AM and PM, adds them together, then takes that away from the standard working day.

I've done everything else, but when I take the hours worked away from the standard day it always ends up with a positive number, regardless if they haven't worked enough hours.

I've looked through the forums and everyone is talking modules, but thats over my head.

I have visitors who come in from one to several days at a time through different times of the year. Usually someone visits each day. Currently I use Excel to track visitors but I often keep typing and retyping the same persons over and over.

I would like to create a database of these people but I'm stuck with how to enter and retrieve the information on a daily basis. Should I create a table with many date fields (up to several); or just two; one FROM and one TO and try to draw the information out through a query? If so, how would one ask ACCESS with a query to PRINT TODAYS LIST and another VIEW TODAYS LIST (of visitors) with a button on a form (I know how to create buttons).

Modules & VBA :: Adding Time With Work Hours Function

In my DB that we use and a workflow tool, some of our work has and due date and time.If we get the complete_package our work time starts and we have X amount of time to complete our work. This is something i worked on but set it aside, now i am coming back to try and fine tune this so it returns a more accurate value.

So if we receive and [Date_Complete_Package_Received] at 09/13/2014 09:00:00 AM and based on the work being done we have 5 hours to complete the work, then the [Date_and_Time_Complete_Package_DUE] would be 09/13/2014 02:00:00 AM. That part is simple and i have coding that does that just fine. [SLA_Time] is where it gets the amount of time allotted, we have 5,10,12,14,and 16 hours depending on what is being done.

Me.Date_and_Time_Complete_Package_DUE = DateAdd("h", [SLA_Time], [Date_Complete_Package_Received])

This is done on AfterUpdate of a field on one of my forms and it works the way it is but what i need is to be able to run this through my Workhours Function so i am not getting values that our in off hours.The following doesn't work i know i can't use the Workhours function with the DateAdd but this is just to show what i am trying to do.

I have a Workhours module and it is used for a lot of things and it works perfectly.
