Grabbing Values From A Table Based On Form Entry
Jan 5, 2006
In my database I have 4 tables for a small painting and decorating business.
These are:
tblCustomers, tblOrders, tblStock, tblPayments.
I have a form based on tblOrders to add new orders when they come in from customers.
In this form there are 3 important fields: "CustomerID" (Lookup to tblCustomers), "StockID" (Lookup to tblStock) and Quantity (Entered by user).
However, I want a calculated field that will be worked out automatically when the user is entering these details. The calculated field should go to tblStock and grab the "Cost" field.
However the main problem is specifying what price it will grab from the table. I want it to get the "Cost" where "StockID" = (the stock ID selected in the lookup). I then want to multiply the price by the quantity which the user has entered.
The control source should be worded something like:
= ([tblStock]![Cost] where [StockID] = StockID)*Quantity
but that isn't valid.
Could anyone point me to a piece of VBA or some way to get around my problem?
Many thanks for any help,
Stephen

Hi,
My boss wants me to program in visual basic, instead of using queries, a calculation between times, which values are gotten from a table. How do I perform a calculation between two fields from a table in code and what functions are there to calculate the amount of difference in minutes between times in visual basic? THANK YOU SO MUCH IN ADVANCE!

Hopefully this is an easy one. I've got a table with (for example) a list of books sold (field 1) and the price they each sold for (field 2). There are duplicates in both field 1 and field 2. I'd like to create a new table that has each book's name exactly once, and the maximum value it sold for. How can I do that?
Thanks!

I was able to create a very user-friendly pop-up search form : {URL] .....
I would like to take it a step further... Now, I would like to grab the selected record ID from within one of the list box columns and use it in my SQL statement (to copy the record into a new one). Is there any way to reference a highlighted record value within a list box recordset directly and/or any workarounds?
I know one would be to grab the ID and insert it into the text box, just don't know what the coding references would be for this.

I'm using Access 2010. I need to calculate a score based on values selected in a table by looking up corresponding values in other tables. I have a "Project" form to create new entries into the Project table (see Table 1). When I create a new project record, I will select values for the Payback and Need fields by selecting options from a list. The Payback list is pointed at Table 2 and the Need list is pointed at Table 3. In the below example, I created the "ABC" project and selected "1 year" for the Payback field and "Repair" for the Need field. Pretty simple.
Now that I have the "ABC" project loaded to my Project table, I'd like to create a report that will show a "score" for this project. The score should be calculated as follows: Payback Impact + Need Impact. In this example, the score should be 30 (Payback Impact of 20 + Need Impact of 10).

I have a report that is generated daily that is a TXT file that is also the has the same file name each morning. One section out of this file is needed in a database that compiles and sends out reports to our customers. This section of the TXT file is variable in length, but is always preceded and ends with a specific text string that I can search for. It is also formatted in columns that are always the same width.
I currently have to hand enter this section into the database every morning. Not the easiest of tasks... I would like to get this automated.

I am working on a jobs database where employees enter information where the job is being handed off to. I want to create a table showing the latest job entry by date. The jobs are listed by "Job Number" and when I try to create a table and remove the duplicate "Job Number" it does not always remove the oldest entries.
Any help would be appreciated.

Therefore want to create an entry in the middle table with foreign keys from either link automatically

I have two tables, one called 'Company' and one called 'Person'. Both tables have several fields, but they both have the same primary key, i.e. 'Naam'.
When I type in a name in the 'Person' table, I'd like the 'Company' table to automatically display the name too. So for example if I type in 'John Doe' in the person table, I want to be able to switch to the 'Company' table and have the same name displayed there, automatically.

I have a database that makes use of standing orders. That means that if a client has a standing order to receive products during for example 4 time as year (quartely at the end of the month). to automate the new entry by copying an old entry in the database.
Let's say I have a client where we will have to send a product at the end of June, it will look at a field where the next send date is, and when it reaches 2 weeks for that date, to create a new entry in the database based on that entry. This way, it will pop-up in our open cases and we are aware of it and also will be visible in our report.

I've got a data entry form that is used to enter incoming waste consignment data. (I've attached a screen grab of the form) Each screen represents one record and the data is recorded in a table called "IncomingWaste". The top of the form (light blue) refers to the customer/producer of the waste. Most of that detail is held in another table on the db. The bottom (Dark Blue) part is used to record the consignment data. It gives the user a grid to enter the individual waste components within the consignment (choosing from Drop down menus for the various descriptive elements) Most crucially, the weight of each component is recorded.
I have a calculated field at the bottom which gives a Total weight for that consignment. It simply adds the weight fields together and delivers a total in the box at the bottom of the screen which displays the total weight in that consignment using "Nz([weight1])+Nz([weight2)]+ ...etc - which works fine on the form. However, I can't seem to get this calculated total recorded and appended to each record in the table and I assume it must be re-calculated each time the screen loads (?)
The main issues is.... I need to create a report which adds the total weights from each customer over a monthly/quarterly period and I simply cannot seem to do it.
I have created the report which groups all the consignments from each customer and lists them in date order, but I can't identify or define the method I need to use to collect that Total Weight calculation from each consignment record and add them up to give a grand total for that customer for a particular period. I'm assuming if I can crack the first part and get the total recorded in the table, then I can call the value into the report.

My situation is this. I have 3 tables that I have imported from my mainframe system, between these 3 tables I have the data of product code, description, supplier code, supplier name, order method, and ABC code.
I am trying to create another table that I can capture daily Out Of Stock data for products.
What I would like to do is to enter the product number in the first field of my new table, and then the remaining fields will auto populate with the correct details based on the product data stored in the parent tables that I have imported.
How can this be done?

Hello,
Could some kind person out there help me out please?
I have been 'dabbling in' the area of conditional formatting, particularly in the area of changing the colour of my active form based on the result of what’s output on a text box. I have had some success in this area but where I am getting confused is getting the colour of my form to change on the basis of what is entered into a text box control that does not match exactly. My forms background changes to the required colour when its value is ‘set exactly’ but what I am trying to achieve is to change it according to the first letter of entry regardless of what follows? It always starts with a letter, either a ‘D’ or ‘V’ to indicate whether its ‘Vital’ or ‘Desirable’ and is subsequently followed by no more than 6 numbers and finally a letter. Basically I need my form to change colour based on the whether it is either a ‘V’ or a ‘D’ irrespective of what follows???
What I have been using so far is:
Private Sub Model_Number_AfterUpdate()
If Me.Part_Number = "V111145K" Then
Me.Section(acDetail).BackColor = 12632256 'Light Red
Else
Me.Section(acDetail).BackColor = 8421631 'Blah Gray
End If
End Sub
Private Sub Form_Current()
If Me.Part_Number = "V111145K" Then
Me.Section(acDetail).BackColor = 12632256 'Light Red
Else
Me.Section(acDetail).BackColor = 8421631 'Blah Gray
End If
End Sub
Can anyone help me out of a ' sticky situation'..
Ta Very much
Carol

I have a form where customer data is entered. one field serves as a criteria for a query. If, for example, A is selected in the form the query uses the criteria "A" in the X field f query. However, if B is selected in the form, the query uses the criteria "B" in Y field of query.
I can easily do this by setting up two queries and having criteria A run in X field of query and similarly for B. However, it seems as if there should be a way for me to have one query and simply use the criteria in a different field. So, is there VBA that will update a given query's SQL to use one criteria in one case and another critiera in another case?

I want to be able to pre-fill records with information based on a form every day for each client. This needs to display in a datasheet view showing all clients for each location.
Each day the subform needs to show the expected results of that day's activity with clients if all default conditions are met. (i.e. client receives a call that day based on expected conditions calculated in a form for that day).

The attached Access XP file demonstrates my problem. I've included a form to make testing easier.
Each record in the Projects table has one or more linked entries in the Keywordlink table, showing keywords that apply to that record. Each record in Projects has a Yes/No 'Utility' field.
A third table, Keywords, supplies the keywords that the user can apply to records in Projects, using the subform on the main form. The Keywords table also includes a True/False 'Utility' field. I have set this to True for for the first three keywords.
I need a query, a series of queries or some VB code that updates Projects_Utility for all records to True if and only if the record's linked entries in Keywordlink include all of the keywords for which Keywords_Utility is True (a boolean 'and', as opposed to an 'or'). Otherwise, Projects_Utility must be set to False.
In the attached file, with the current settings in the Keyword table, the 'GetSelectedProjects' query should then produce single-row listings for ClientA and ClientF.
I'd appreciate any help you can give me on this. I'm not a programmer, but I can manage a bit of VB code if I have to.

I have a table (tblConversions) that I'm using as a base for replacing values in a different table. tblConversions is set up as such and is made up of nearly 100 records:
ID LABEL CODE
1 Ashaway ASH
2 Barrington BAR
3 Bristol BRI
4 Jesse Smith BUR
....
Another table (tblSysItemLoc) has nearly 1,000 records with a field for Location Names such as Ashaway New Books, Ashaway Fiction, Ashaway Non-Fiction, Barrington DVDs, Barrington Reference, etc. Other fields in this table are just statistics.
What I need to do is loop through tblConversions, and find in tblSysItemLoc where the Location field Starts With the value from tblConversion.LABEL and replace the Entire field with the CODE. For example, from tblSysItemLoc "Ashaway New Books" gets changed to "ASH", "Barrington Reference" gets changed to "BAR", etc.
I feel like I need a loop inside of a loop, but I'm not sure where to begin. Loops are not my specialty.

I'm developing a database for the hospital I work in. One purpose of this is to keep track of patients with temporary invasive devices (there are many types such as urinary catheters, ventilators, etc.), specifically how many days each patient has a device for. Each device is associated with one patient only, but one patient may have many devices. Here's how the associated tables are set up:
1. tblPatients - PatientID (PK), LastName, FirstName, DOB,...
2. tblLocations - LocationID (PK), LocationLabel,....
3. tblDevices - DeviceID (PK), DeviceType, Device, DeviceDesc
4. tblDeviceUse - DeviceUseID (PK), DeviceID (FK), PatientID (FK), LocationID (FK) (where in the hospital was device inserted, e.g., operating room, bedside, etc.), DeviceStartDate, DeviceEndDate
5. tblDeviceDailyLog - DeviceLogID (PK), DeviceUseID (FK), DeviceDate, PatientLocID (FK) (area in the hospital that patient is in)
All primary keys except for PatientID & LocationID are Autonumbers; and the tables are linked appropriately.
Whenever an entry is made into tblDeviceUse, I want there to be new records to be automatically generated in tblDeviceDailyLog for each date between the Start and End Dates. For example, patient A123 had a urinary catheter from 1/1/2000 to 1/10/2000 that was inserted while the patient was in the ICU, but the patient was moved to the Medical Ward on 1/7/2000. So tblDeviceDailyLog should have 10 new records associated with this device, one for each calendar day, with the appropriate location for each day.

I have a form that request the User to enter a Parcel ID number (99-9a-99-99aaa-aaa-aaaa). The sub form asks for the subdivision number, block number, and lot number. The subdivision number, block number and lot number are normally part of the Parcel ID number but sometimes they can be different. I want the sub form to fill in the Subdivision number, block number, and lot number as a default but allow the user to change the value if needed. currently the sub form will only show what is entered into the table itself if a change is made on the main form the sub form does not reflect the change.

Hello: Is there (simple) way that I can populate a field based on the values of two other fields? For example, in a list of new employees, if a new employee starts on Nov 30 and works in the Administration Department, his human resources contact is Mary. If a new employee starts on Nov 30 and works in Sales, his contact would be Fred. I hope this is clear! Many thanks!

I am trying to write a query that gets all the telephone hours from a worker done under supervision in a town (qry_svhoursbytown). I have a table that has the workers details, including town (Crisis_support_workers), then another table that has what hours each worker has done (Supervision_Hours). The town is selected from a combo box on the form (frmSearch), under the heading total hours by location.
I try and select Bathurst then press recalculate results and in the text box next to supervision hours, it says 66, but if you look in the Supervision_Hours table, there is only 11 hours for the workers that are in Bathurst.
In the query, I have the sum total of the hours field in the Supervision_Hours table, the Town field from the Crisis_support_workers table with the total selected as Where and in that criteria I have [forms]![frmSearch]![ComboTown], then I just have the town field displayed.
What do I need to change to get it to sum correctly?
I have attached the database below so people can take a look.

I'm quite new to Access and am just working on a little practice database where I keep track of sales of a product.
Basically I have a table keeping track of the different types of products, a table keeping track of customers, a table for orders and one for replenishments of stock. I have a query that calculates the stock of each type of product based on replenishments and sales.
Now I want to make sure that a customer can't order any more than there is in stock. I know you can restrict what's entered into a table with a validation rule but that's only for static restrictions. After searching the internet for an answer I've pretty much learned that I can't really make this restriction directly in the table, correct? But then how can I achieve this? Do I have to restrict the amount through a form somehow?
