Having Some Subform Fields Auto Fill From Mainform Fields

Nov 2, 2005

How can I get some mainform fields' data to be the first entry in a subform? From the mainform, I would like the Head of Household name and date of birth to be carried over to the first entry in the HouseholdMembers subform.

The two forms are tied to separate tables. For each household member I need to be able to enter full legal name, date of birth and some additional pieces of information such as income and source of income.

What I'd like to avoid is making the users enter the Head of Household's name and date of birth twice. Is there a way to carry that information over to the subform?

Thank you, Charlotte

Referencing Subtotals Fields On Mainform From Subform

Mar 9, 2005

Hi,

i'm working in access 97 and am having difficulties pulling a subtotal or referencing any fields on my subform on my main form. I've searched the forum and help and tried to apply the info provided, but i still can't seem to get it to work.

as far as i can tell this should work:

=[MySubForm].[Form]![TxtTotalStaffNumbers]
but i'm still getting the dreaded #Name? error.

anyone got any clues as to what i'm doing wrong?

what about the case where the subtotal i'm referencing is a calculation such as =Sum([Quantity]*[FacilityArea]). Should i still be able to reference it on my main form by pointing to the name of the field?

Thanks very much!

Forms :: Auto Fill Fields From Associated Tables

Sep 24, 2013

I have a data entry form feeding a table named [Group Members] using Access 2010.

It has 4 fields; [Group ID] & [Group Name] derived from tbl.[Groups] and [Member ID] & [Member Name] derived from tbl.[Mail List]. The 'ID' fields are foreign keys from the respective tables.

The 2 'Name' fields have drop down lists for input selection, but my requirement is to cause auto fill of the 'ID' fields when the respective 'Names' are selected.

I had assumed that this simple requirement could be achieved with a suitable control on the form property sheet. It is so simple to do in Excel!!

Auto-Fill Text Fields In Form

Jan 10, 2012

is there a way to have a form set to either auto populate fields based on the FIRST FIELD? For example: if the user type in the STUDY ID, the other fields like (first name, last name etc..) are auto-populated/auto-filled? and if the STUDY ID is new and not in the table, then the users simply fill in all the fields/complete the form and save? And I would also like a message box to show when I am typing the STUDY ID that would say something like: this person is on the system already. Click YES for this person and NO to add the user?...

[Data Access Page] Auto Fill Fields

Dec 17, 2007

Is there an easy way in Data access pages to do like you do in forms as far as using a dropdown list and when you choose a name/acct#/rec# or whatever, that the rest of the fields are automatically updated to match? Just curious.

If you need an example, I can provide one.... basically, I'm trying to get a data-acess-page to act like a form so someone without access can do a simple search.

General :: Auto Fill Multiple Fields In A Form From 2 Tables

Apr 3, 2015

I have two tables, "Summary" and 'POC Information". In the "POC Information Table I have all my Contacts Information (Name, Title, Phone, Email, etc...) and I am trying to assign 2 POCs to each of my multiple projects located in the "Summary" Table. I am using a Form called "JCIDS Tracker Input Form" as the link. So far I am able to assign one POC by a combo box that lists "Full Name", then it autofills the other information...Phone Number, Email, etc... The problem come into being when I want to assign a second POC to the same Project...I can assign a name, but it won't correctly autofill the rest of the information...it just autofills in the information from the first POC that was selected.

I would love if the Quantity(stock) from ProductInfo would automatically fill the Item#CurrentStock field on the form when the ItemID is selected from the ComboBox.But all of the fields only relate to Item# from the first ComboBox!?!?I have tried =dlookup,

Tables :: Auto-Fill Fields Based On Linked Table (Access 2007)

Jan 6, 2015

I understand right off the bat if you're reaction is "don't duplicate data!!" -- mine would be too (don't fret, I know my normalization).

I've linked a table in my db to my Global Address Book in Outlook 2007 and, upon entering an employee number as a new record, would like to verify that the number entered is listed in the GAL and then pull in the associated name and location info.

The key is that I don't want this info to rely on the GAL going forward. For example, if an employee leaves or is no longer listed in the GAL, I don't want to lose the employee info (past data is needed for audit purposes). Note: I will be creating a report later to show if there are discrepancies between the GAL and my table, but that's another story...

So, what would be the best auto-fill options in Access 2007?

Forms :: Adding Fields In A Table And Having Output Fill Fields On A Form

Jan 29, 2014

I have a totalquery that runs fine and give me the sum for both fields I'm looking for but I can't get the outputs to fill the fields on the form. I have tried the Dcount query in the control source but that just returns an error and locks up access.

Code:
SELECT [Tble-wcDelays].Causedby, Sum([Tble-wcDelays].HoursDelay) AS SumOfHoursDelay
FROM [Tble-wcDelays]
GROUP BY [Tble-wcDelays].Causedby, [Tble-wcDelays].LinkingID
HAVING ((([Tble-wcDelays].LinkingID)=[Forms]![Frm-ePlusCent]![cleanID]));

That is the query.

Beginners Question - Auto Update Fields Based On Fields In Another Table

Nov 26, 2007

I don't have any database experience whatsoever so please go easy.
I'm guessing this kind of this is extremely simple for all of you.

I'm constructing a database of network resources and devices and I'd like to automatically update the values in one field based on the values of a field in another table.

The first table is called "IP" and the fields are called "Address", "IP Type" and "Device".
The second table is called "Devices" and contains the fields "Name", "Description", "Asset Number" and "IP".

Here's an example of the tables: (ignore the "code" tag. i've only used it to align my columns properly)

DEVICES:
NameDescriptionAssetIP
XserveFile Server107203.30.144.75
ProliantXDHCP119203.30.144.15

IP:
AddressIP TypeDevice
203.30.144.75Static
203.30.144.15Static

What I want is for the Device field in the IP table to automatically update it's values based on the values found in the Devices table. In this case, the values that should appear in the Device field in the IP table are "Xserve" and "ProliantX".

I've searched through but haven't found a complete solution, just little pieces which I'm too inexperienced to put together myself.

thank you
-Tim

Auto Rearrange Fields Or Hide Fields In DataSheet Based On Criteria

May 17, 2007

I have main form and that has one sub-form , this Main form governs/determines the data in the sub form.

This Sub form ( DataSheet Mode) has approximately 130 columns and based on the Main form criteria only ~ 20 columns has to be filled.

What I want to do is based on the main forms criteria I want to show only the columns that are applicable to main form criteria.

If I use Columnar or Tabular single form for the Sub Form I am able to hide the fields that are not required BUT IT LEAVES A SPACE/GAP on form ( for the hidden fields that are not required)

Private Sub Form_Load()
If Forms!frmShowPIforActiveAndCanAddNewPI!FrmSubFrmFi lterProductInformationPerFMT!CASETIF = True Then

Me.CASETIF.Visible = True
Else
Me.CASETIF.Visible = False
End If
End Sub

And If I use DataSheet and hide ( visible = no) a particular filed it still shows up in Sub Form

Is there a way to Auto-Re Arrange all the fields in the sub form so that the hidden ( visible = no) fields no not leave gap

Or is there a way by VBA program to select fields ( Columns) from a table to be displayed on a sub form based on a criteria

Thanks
Rahul

Auto Fill In A Subform?

Aug 9, 2005

Here is what I have so far. Table 1 has employee info. Table 2 is for the courses that employees take. Table 3 is a listing of available training courses. What I have done is created a form with all the employee info and linked it to table 2 by ss #'s. What I am wondering is if I can create a field, lets say course #, in table 2 and table 3. That way when I input the course number into the subform, then the corresponding info from table 3 is inserted, ie course name and course hours. Any suggestions or help would be great.

Non-Editable Fields And Auto Completing Fields

Jun 28, 2006

Hello all,

First post :) found some great tips on here. Anyway here is my story and question.

I am new to Access development. I know what I want to do, I just can not find a way of doing it :( .

1) I would like my form to only be editable when an edit button is clicked. I am not sure if I can do this on a form level or if I have to change each individual part. Any ideas?

2) I capture some clients details, title, first name and last name. I then need to merge the above 3 fields into one to create a 'policies in the name of' field. Is this posisble? I have tried using the initial value expression but am having no luck. Any ideas?

Thanks all :)

Updating SubForm Fields From Main Form Fields

Jun 20, 2006

Hey Everyone,

I am stuck trying to figure out this problem. I have a main form "frm_tirelog_600" which has 4 combo boxes "cboleg",
"cbocar", "cbopos", "cboserial" on it. The first 3 combo boxes are used as criteria on 1 of 3 subforms that I have.
The fourth combo box "cboserial" is used for the criteria in a query on another subform that I have called "frm_mount_600_subform",
which is independant from the main form, I hope I have explained that clearly enough. What I need to be able to do is
have the subform fill in 3 of the fields on it "leg", "car", "pos" with the value from the 3 combo boxes on my main form. I
can get it to show in the fields but not write to the table. I have searched the forum and have not been able to locate anything
that would work and really need any assistance with this. Im not real strong in the coding department which is where I
beleive this could be done.

I have attached a copy of my DB which I hope will better explain it. Any help would be greatly appreciated

Automatically Fill Fields

Nov 7, 2007

hello all, any help greatly appreciated.....

I have two tables in the same Access 2003 database.

Table1 is called "Clients" and has address type fields, e.g. street_name, postcode, etc. It also has a field called CYPAN_area.

Table 2 is called CYPAN_Postcodes and has two fields; postcodes and the CYPAN area that postcode belongs to.

I want to create a function so that when someone enters the postcode in table1, the database searches Table2 and identifies which CYPAN area that postcode belongs to and automatically populates the "CYPAN_area" field in Table 1.

any tips greatly appreciated

Harry

PS I'm only a novice so I don't know anything about VBA etc, but I understand excel type formula

Automatically Fill Fields

Nov 21, 2005

I'm kinda new at ACCESS, and I've accepted an assignment that is giving me some trouble. For beginners, I could use some help as follows:
I am constructing a data entry form that is keyed on PID (Personal ID). I would like to be able to have certain fields in my form (Name, Title, Department, etc.) fill in automatically from information already stored in a different table, also containing the PID (which I can set as key). I would like this action to occur either when the PID field has reached 3 characters or when the PID field has LostFocus.

Thanks for any help in advance.

Partially Fill Key Fields

Oct 29, 2006

I have a mainform Transactions with TransactionsID and a subform Site Details with SiteID. For non-database related issues (my users like things the way they are) at the moment I have to use text strings for the key fields instead of autonumbers.

SiteId begins with the TransactionID number (the program does check for uniqueness for TransactionID). At the moment the user copies and pastes the TransactionID into the SiteID textbox, and then just needs to add the site name.

I would like the SiteID to have the TransactionID partly filled in, so that one more step is eliminated. I have tried using forms!fTransactions!TransactionID, but I get #Error. I have also tried copying the TransactionsId text box onto the Site Details form and setting the property to invisible, and then using the forms! and I still get #Error. My first attempt was to change the data control of SiteID to TransactionID, but that didn't work either - it changed all the SiteIDs to their respective TransactionIDs. Fortunately I was working with a copy (rule number one of database design) and no harm done.

Is the issue that I am dealing with is that SiteID is a key field and that key fields can't be calculated? If so I will long for the day when all my key fields can be switched to autonumbers.

Using Combo Box Selection To Fill Other Fields

Mar 12, 2005

I am new to Acces programming and have been tasked with making a database for work. I is a very simple database. What I need it to do though that I can't figure out is. Once the table is populated with information I want the user to be able to select a record from my combo box and then all the rest of the information from the record will automatically display in the correct text field so any changes can be made to it. So I have say Combo Box John Smith and when he is selected I want text field DOB to automatically fill with 01/01/1960 as that is what was put in there when he was first entered.

Thanks.
