Help Required Selecting Specific Records From Related Tables

Hi,
Hope someone can help me out on this one. Searched the forum but can’t find anything to help me out.
I have two tables:
tblCustomers that contains unique customer records (names addresses etc.)
and
tblComments that contains comment data for the customers
Tables are joined one to many tblCustomers -> tblComments on account_ref
tblComments can contain several records per customer, all are datestamped.
I want just the latest datestamped comment record per customer, just can’t seem to work the logic on this one. Must be so simple but can’t fathom it.:confused:
Ideally, I’m producing a report of Customer data (Name, address, contacts etc) + the last comment record for each customer. Have started with a simple query, but have hit an impasse. Have tried sorting, group by, top 1, distinct etc, but don’t seem to be getting anywhere.:mad:
If someone can point me in the right direction, and give me a starter for 10 I’d be much appreciated.

Currently I keep getting this error: "You cannot add or change a record because a related record is required in table"..My current tables are this:
Primary Table with persons info:
Primary Key - Auto number generated
Name
Address
Email
Phone
I have 4 other tables with use check boxes.
ex:
Table 1 - Geographic locations visited
ID - Auto generated
USA
CANADA
ASIA
ECT...
Table 2 - Languages Spoken
ID - Auto generated
Spanish
Chinese
English
Table 3 - Skills
ID - Auto generated
Hunting
Dance
Singing
Weaving
Is this not a genuine one-to-one relationship table? I mean No two people would have had visited the same places and speak the same language no? I tried to create a one to one relationship with the primary key to the auto generated ID of the child tables but I'm sure that is not how you do it. Also when I try to save the check boxes in my form and I close it and come back it doesnt save and is blank again. Is it because my form gets its information from a query that takes all the information from all the tables.
how I can get this to work properly? Am i to make use of a foreign key? I've read a lot about it online and watched youtube videos but I dont see why I need it here in this case. Is there a way to set the IDs in the child tables to be the ones from the primary table? Or do I have to use a foreign key and manually input the primary ID into them?
Or would it be better to have all these child tables in the primary table and have one large table instead? I just didnt do that because one of them has like 20 checkboxes with cities and locations

Hi i have a field which is a date/time field and its format is short date which is xx/xx/xxxx. I want to ask if there is any way i can add a validation rule for only the year to be larger than 1980???

I have two tables, Articles and Versions, related 1 to many. In my Versions table I want to set up a field that will start at 0 for the first version record related to an article record, and as version records are added in relation to that same article record I want it to increment by 1, no gaps. It ideally would be editable. It will not likely count above 5.
The result would be

Three tables:
Employee, Sessions, EmployeeSessions.
Many sessions can have many employees - thus the joining table has been included.
When trying to delete an employee from the database using a form, I encounter the error:
The record cannot be deleted or changed because table 'tblEmployeeSessions' includes related records
Is there a problem with my table relationship structure? Or is it 'correct' that as the employee is supervising a session he/she cannot be deleted as this would interfere and maybe mess up the session record?

Now I would like to make a query when progress of each docno is equal and more than 50% it uses image1 And when progress is less than of 50% it uses image2

my question is how can i make the last column (Return) to fill like the data above..what i mean if (Delivery) not null So the return will be filled like the above if the (Delivery) is null the return will be null too
-the user will fill only the columns (File Type - Source - Delivery)
-the column (Return) will be filled automatically if (Delivery) not null

I am creating a task tracker where the user will enter a task which is working. If he is complete the task at that moment he will submit the task and everything is done for that task. However, if there is some issue or if the user need any information, then the user will enter a comment and will hit hold. My queryis once the user hits hold button, the table "Main" will capture the hold date and time. I need a second table, may be by name "Inbox" which will only show records kept on hold.
Secondly there should be hyperlink for "ID" of Hold records in table "Inbox" and when the user click on the the "ID" to resume the task, it should take the user to "Main" form and display that particular record (record which the user had clicked). Also, the date and time should be recorded when the user click on the hyperlink in Resume_Date and Resume_Time fields for that record.

Is there any way other than through coding/controls I can lock specific records in a table.
I have a reference table with less than 200 records on it. 5 and only 5 records need to be locked so that they primarily can not be deleted but also so they can't be edited.
I've read about locking it at form level but that, to me, means some sort of coding.

So I currently have a table that tracks medication activity for patients called tblMedRanges. The Fields are the ID, StartMedication, EndMedication, Med ID/Medication Name.
In the End of Medication, some patients are not currently active so they have a set date/time field property. What I have for right now is the default value is set to
Code:
=date()
So that when staff adds a new medication it is set to the current date. These patients are supposed to be active, but it doesn't update the default value. I want it to continue to update to the current date every time the database is open.
I have three options that I know of(or think I know of) to update but can't commit to one in particular :
1)I want these individual records in the field to update the current time for today and was considering using some kind of data macro code using before update.
2)The other idea I had was splitting up the field into an EndOfMedication field that would display a value only if their inactive, and an Active field (text, value list active/inactive choices) that would be used in a query to generate the current date as med field. This would take some crafty query work with comparisons later on to generate list of drugs that they were on for each visit.
3) set to text field and convert the field to date field for comparison in queries.

I Have a table that contains the fields: CAT, CHAPTER, ID, someSrting and Completed
CAT, CHAPTER, ID are numbers and Completed is true/false. If I mark a certain entry as Complted (true), I want all the records with the same (CAT, CHAPTER, ID) as the one I marked to be updated to Completed.
For example, If I marked the entry cat:1 chapter:1 id:1 as completed (true), I want all the entrys that have cat:1 chapter:1 id:1 to be marked as completed (true)

Let's say I have a table sort of like this one: [URL] .... (Table 1)
What I want to do is make another table that references the first table: [URL] ... (Table 2)
I want the cells in the Average field in Table 2 to calculate an average of all the values for records in Table 1 with Color fields that correspond to the Color field in Table 2 (this makes a little more sense if you look at the pictures). I could do this in Excel, but then problems would arise whenever I would add a new entry to the database, or re-alphabetized the data, since Excel math is depends entirely on the positions of cells, and I want these averages to be continually calculated correctly and to change whenever I add related records to the database.

Hi! Please help!!!
I'm currently building a bookings database and have encountered an alert message that I cant seem to rectify -
"You cannot add or change a record because a related record is required in the table 'Booking Details'"
Basically - I have a 'Customer Database' form that is linked (via command button) to a 'Booking Details' form. Within 'Booking Details' I have 2 sub forms - 'Booking Quote' and 'Booking Payments'. Both subforms are linked to the 'Booking Details' form by the 'booking ref' field with RI.
I have no problem updating information in the 'Booking Quote' subform, but when I try to add information to 'Booking Payments' it states the above message.
Can anyone please advise as to how I can prevent this happening? I'm slowly losing my mind....!!!

i have created tables as provinces, districts and sub-districts in my other forms say member i have create a look up wizard to the provinces, districts and sub districts. every province has multiple cities and every districts has multiple sub-districts my question is how to set properties so that if i select a specific province all its districts should appear in district field and districts of other provinces should be filtered. a good example is on some websites when we select a specific country all its cities or states appear in city field and if we change our option to some other country city drop box also changes to the cities of that respective country...

I have to make a multi-user manage database.All the usernames are sorted in one table and exported to listbox in Form.For each user there is a separate table with 3 columns where i must fill information from listboxes.The listbox (there are 4 listboxes, one for users select and 3 for different parameters) are located in MainForm where you select the information.My question is how can I select a specific username(table) from the listbox and fill the information from the other listboxes to the selected one?
The usernames table is named - Clients
each table for separate user is named client1, client2, client3 etc.
the form where you choose what to select is named Fill form.
The listbox for users is named - List71 And the listboxes for parameters are named - List75, List77, List79 Also there are 3 textboxes with calculated fields that i also need to insert in the specific user table.

Can someone help me out by looking at my database I've been messing with it for 3 days and I can't figure it out.
I have 4 tables each are in a 1 to 1 relationship. From there I have a query that is for every field between the 4 tables. I then have a Tab Control form with 4 tabs and it uses the qryAll I have setup. when I enter on the form I can enter info on all 4 tabs but if I try to go to a different record I get the message "You can't add or change a record because a related record is required in tblScouts". I have tried so many different options. I had even posted yesterday trying to do the same thing but my tab controls had subforms on them. The_Doc_Man was helping me with that issue but I couldn't get that to go either.
Would anyone be willing to look at it for me and explain to me what I was doing wrong?

In my simple database (attached), I need to mass duplicate Tasks and their Notes.
I have three tables: tbTasks (PK: Task_ID), tbNotes (PK: Note_ID), jtbTaskNotes (FKs: Task_ID and Note_ID). jtbTaskNotes is my many-to-many junction table that ties Tasks to Notes.
The main form (fmTasks), bound to tbTasks, has a subform (sbfm_TaskNotes) that displays notes associated with each Task. On themain form,you select which Tasks you want duplicated via a checkbox. The append query (quCopyTasks) will duplicate all tasks that have the checkbox checked. All good there. However, I can't figure out how to also duplicate each task's Notes.
I found Allen Browne's solution [URL] ....., but that only handles duplication of one record at a time, whereas I need to duplicate many records at a time (sometimes 10+ records). How do I go about duplicating multiple Tasks and their associated Notes?
Before you ask "why are you duplicating records?": There are times when tasks need to be re-accomplished and therefore need to have a new record. It's easier to duplicate records than it is to hand-jam everything again.

I have created a table that acts as a header for my data and a second table that acts as line item data. What I need to do now is add a second child table that uses the line item data as its parent table and stores associated line items for each record. Is this possible?

I have a form displaying the 11 fields of the parent/primary table using a selection from a combo box. I am using queries and vba code modules respective to form, combo box and command buttons. I have initial code that uses the two fields from the combo box selection to append same to a new parent/primary archive table. I now want to add to the append SQL the remaining fields to the parent/primary archive table. When I add the second sql string for the remaining fields to the same procedure and execute I keep getting 'null in primary key'. If I copy the primary record and paste same into the archive table it works.

I'm trying to split a table up because I now realize it won't be able to do what I need in the future. It wasn't designed properly at the outset, and I'm trying to correct it now.
This is a database of pregnancies and deliveries.
The single table does not cater well for multiple pregnancies (twins, triplets, etc), and also I foresee problems when mothers come back in future for another delivery.
Therefore I am trying to separate data into 3 tables: Mother, Delivery and Baby.
This is because each mother can deliver more than once, and each delivery can have more than one baby.
I have set up a trial database, with just a few fields in each table to see if this works. An screenshot of the table relationships is attached.
The primary key of the Mother table is linked to the Delivery table, and ditto the primary key of the Delivery table and the Baby table.
I'm not sure how to migrate the data over, in terms of the primary keys of each table, because in the new tables, these should be an AutoNumber field, so that they are unique numbers.

I have to make a Costing System but for that I need to enter our Expense details in database according to Fiscal year and months.
I need a table for Fixed expenses and one for Variable Expenses and then I need one or more Forms to update data in those tables. Now I've created a table with Fixed Expenses. I have to update Year and Amount in that. Now it is only letting me one entry per Expense.
I want multiple entries for one Expense say 'Advertising' for different years. I'm thinking may be I need to make more than one Table, may be one for Expenses with ExpenseID and other for Years with Year and YearID and the third one for Amount with columns Amount, Method of Payment, Date and Notes. I did tried this but I think I'm not creating proper relation may be because its only updating for one year.
I'm using Access 2003.

I am having an issue where a small percentage of my records do not follow my related Tables.
ex: 3 tables
tblEmployee
-intEmployeeID
-intWorkCenterID
tblWorkcenter
-intWorkCenterID
tblManager
-intManagerID
-intEmployeeID
-intWorkCenterID
where:
tblemployee.intworkcenterID -- tblworkcenter.intWorkcenterID -- tblManager.intWorkCenterID
Basically I have my general employee information in the tblemployee table, the workcenter information in the tblworkcenter, and the manager of the Workcenter in the tblManager. This is correct for 99% of the employee population. however, there are a few employees whose manager isn't the 'general' manager for the employees assigned workcenter.
How I can adjust an individual employees manager, while maintaining my structure? or would i have to go back and add the managers ID to a field in the tblEmployee Table?

I have a built a database to record and collate info about clinical trials that are run within my department. I have one large table [Trial Info] which contains all trial info and have created a second and third table [Milestones] & [Comments] to collect dates of various milestones and a notes that occur throughout the course of a study.
The milestones (dates) are recorded in the 2nd table and the comments are recorded in the 3rd table.
All data is entered by staff on forms. The first form captures basic info about the study, once this has been entered, the idea is to click a button to open the second form to document the trial milestones, this form also contains a subform for listing any free text comments required during the life of the study which are stored in the 3rd table.
I have setup the relationships between tables as best I can.
The main table with basic trial info is the parent table, linking the primary key to the foreign key in the second table, the foreign key of the third table is related to the primary key in the second table so these tables should be looking up the correct clinical trial as far as I can tell.
The form containing data from the main table has a button which I have set to open the Milestones & Comments form, and I have set this to open to the record that relates to the record in view in the primary form. The primary key is related to the foreign look-up key in the milestones table.
This opens the form fine, however this is not updating the foreign look-up key, this remains '0' which I assume is the cause of the following error when I try to save changes to the record

I want an access database to manage my correspondence after my motorbike accident.
I am sort of unsure on tables and correct normalisation so here's my plan so far.
Table 1
Company address details
Table 2
Contact name details
(I have a lot of different people from different departments in each company) so a contactID to table 1
Table 3
Media Type - letter, email, phone call etc
Table 4
Category - Legal, Financial etc
Also I want to link pdf images to each entry.
Does this sound okay or can tables 1 and 2 be merged? dunno if it would be easier to add names to an existing company rather than possibly adding the whole thing again.
