Help With Function/missing Values

Oct 18, 2007

Hello People!

I am trying to create a new variable that will indicate whether a person has a family history of breast cancer (1=yes). The values for the 4 source variables are either the number 1 or are blank/missing ("no" was not captured). Any help here is greatly appreciated.

Option Compare Database
Option Explicit

Public Function fnBrCaFaHx(BrstAny, BrstMth, Brst1Sis, Brst2Sis As Byte) As Byte
' Determine if participant has a family history of breast cancer.
If BrstAny = 1 Or BrstMth = 1 Or Brst1Sis = 1 Or Brst2Sis = 1 Then
BrCaFaHx = 1
Else
Exit Function
End If
End Function

Val Function Returns Zero Not Missing

Sep 19, 2006

Hi

Im using the Val() function to return numeric data from stored text strings.

My problem is that the function returns zero where the data are missing (i.e. a space character at the desired position within the text string).

This is very problematic for me, as the numeric data I am pulling out are in themselves response codes, where zero means something very different from missing.

Is there a way I can use this or another function to pull out numeric values, but return missing/null where appropriate.

Many thanks

Mat.

How To Use Expressions With Missing Values

Jun 11, 2007

I use a left join to join table A with table B. Table B has less matching records , so in the resulting table the field [RESULT] which comes from the table B has empty values.

If I use an expression for a new field PROCENT that involves [RESULT] I got #ERROR in all records with missing [RESULT] value. I tried various IF statements , but even IsError () function produces #ERROR.

It seems that ACCESS 2002 fails to detect missing values and gives an error for any operation. Is there any workaround for this problem?

Example
PROD_PERCENT: IIf([RESULT]>0,[RESULT]/[NETTO],0)

Query For Missing Values From Training Database

Dec 2, 2006

Hi

I have inherited a database that contains details of staff training data and the tables contain the following:

Personal Information Table:
PersonalID
Surname
Forename
EmploymentStatus (this contains either Staff, Operative, or Supervisor)

Training Courses Table:
CourseID
Course Name
Course Description
Supervisor (Yes/No)
Operative (Yes/No)
Staff (Yes/No)

Training Courses Attended Table:
RecordID
PersonalID
CourseID
Date

Each of the courses in the Training Courses Table should be attended by one or more of the groups identified in the EmploymentStatus field (ie. Supervisor, Operative, Staff) and the relevant field in the Training Courses Table is flagged eg.
Training Courses Table:
CourseID, CourseName, Supervisor, Operative, Staff
100, basic safety, Yes, Yes, Yes
101, safety management, Yes, No, No
102, working with ladders, No, Yes, No
103, VDU, No, Yes, Yes

I need to identify which individuals have not attended the courses that they should have been completed (ie. compare courses attended with the list of courses associated with the EmploymentStatus associated with individual staff members, and identify which courses have no attendance dates).
How can I structure the query, I can't see how to do this with the existing tables, but I think it should be possible, but my Access expertise is just not good enough to work through this.

Any advice would be much appreciated.

Tables :: Accounting For Missing Values In A Calculated Field

Mar 24, 2014

I have a table that stores information for multiple behavioral surveys (numerical values). My goal is to add the proper fields that compose total scores value for each respective survey (do a summation of scores). Now, under design view for my table, I see that I can add a calculated field. When I create this calculated field, I can use the Expression Builder to do a sum of the proper fields (the fields that compose a total score for a survey). The only problem that I'm encountering is that if a field that is part of a survey is missing information, the summation disregards the rest of the values for that survey.

How can I account for these missing values so that, if 1 out of my 9 fields have information, I will still get a summation score for the 9 fields? I want to be able to do this without having to change the value of the missing field to 0.

In SPSS I can easily do this by computing a variable and using a code like this:
SUM.2(field1, field2, field3, etc.)

Queries :: Missing Days - Creating Table With 31 Days Of Zero Values

Apr 3, 2013

Client has asked me to create a report showing summary of monthly sales by day. That was easy. I created a query for the month the user selected and then summarized and group the data by day. Client like the result but would like to see zeros on the report for non sales days. Non sales days are days like holidays and there are no sales.

I am thinking of creating an table with 31 days of zero values and then join the two tables in a query? Or, should I create a temporary table with code and then merge the two tables which the existing query which I can then use for the report?

I seem to be stuck on declaring it properly or something so that it can be used by other functions.

The expression I've written in the "Field:" box in Query design view is

Expr 2: DateAdd('yyyy',1,[Last_Date])

When I try to run the Query it doesn't work! Access just prompts me to enter a parameter value for Last_Date.

Modules & VBA :: How Can Function Return Multiple Values And Not Re-run In Query

Jan 11, 2014

Trying to run a query where each 4 fields calling a custom function will not just re-run the same custom function over and over again for each field in a single record.

A Function has a huge amount of multiple queries and logic to perform.The Function returns a Integer, Integer, Integer, and optional Integer. Each integer requires a DLookup to lookup a String description value for each individual integer (in each of 4 fields).

The problem is, the DLookup in each column that runs against each of the integers re-run the same function.The result is that a single record, each of the 4 columns returning a single of the 4 values, the complex function is re-run 4 times.

The function is huge, part of a Business Rules Engine. Depending on the Rule-Meta data - it might launch up to a dozen queries and perform logic steps for each record. This is not the ordinary SQL Query.

Imagine if one record (for 1 field) takes 0.1 second to run. By referencing the function in 4 columns, this same function is re-run 4 times (0.4 Seconds) Against 50,000 records - this duplication of re-running the function for each column can really add up.

Possible Solutions: Researched Class Modules - There is a comment that the property Get, Let actually reduce performance. There are huge advantage of code documentation, documentation and centralization.It doesn't claim class modules reduce execution as each propery is returned. It also describes that Class Modules can't be called directly in a Query - unless each property is wrapped in a function.

Function Returns one String with delimiters: e.g 34;54;55;1 This single column goes into a Make Table (runs function one time per record) Then the D-Lookup is run against static local data. This pevented the function from being run over and over across the network linked data.

Final Solution: Eventually, the many hundred lines of VBA code for the Rules Engine will be converted into SQL Server T-SQL Functions on the server.For a Rule Engine development, Access has been great for a rapid protoype development and testing. The TSQL will be a final big step requiring re-coding. It is not currenty my option for the delivery time frame.

Queries :: Failing To Filter By Criteria After Return Values From A Function?

May 15, 2013

I have two date fields in a table. I need to find the days between these dates and, if its greater than 7 days, I want to display the record in a report, so far, I have found a hand function that allows me to enter two dates and it returns a long data value representing the number of days in between the two dates. (google "I've developed the following code to count the business days between 2 dates." and its the second one that starts as SOLVED I made no mods to it as it does what i need it to do.

So, i added this to its own module within the data base for use within a query. My test query basically displays the unique ID, the start date and the end date and then displays the values returned from the function. here is the SQL:

SELECT [Main Table].[Unique ID], [Main Table].[Start date], [Main Table].[End Date], (Business_Days_Between([End Date],[Start date])) AS [Days between]
FROM [Main Table]
WHERE ((([Main Table].[Start date]) Is Not Null) AND (([Main Table].[End Date]) Is Not Null));

When ran, this Query works... However, when I enter a criteria like =2 or > 7, it says data type mismatch. I have even attempted the CInt() function to make sure its formated as int but i continue to get the same error.

Missing Records (and Missing Updates)

Oct 7, 2005

Hi all

This is an ongoing problem I have had for 4 weeks now.

I have made a a system thats acts like a clock In/clock out Out system.

the structure is somthing like this
ID
Username
tblDailyLog
TimeIn
MorningBreakOut
MorningBreakOut
LunchOut
LunchIn
AfternoonOut
AfternoonIn
TimeOut

All fields apart from ID (autonumber) and username (String*255) are Date field (there are a few others like DateOfTimesheet etc but they arnt important here)

When a user arrives in the morning they make a record which they use for the day

They then have a form with a whole bunch of buttons which simply updates the correct field. For example they click the "Sign in for the Day" button and it updates the correct field with the current time.

Everything was going fine until people noticed that every now and again a sign in time dissapeared.

I have hacked myself to death trying to solve this problem but still the updates go Astray.

Now each time a time is updated the process goes somthing like this

1. the user opens their timesheet for the day (the RS is SNAPSHOT and no locks)

2. User Hits a sign in/out button
3. The record source is changed to "" and all buttons hidden (to ensure the record isnt locked and to make sure you dont do two things at once)
3. The table is updated with the new time (using some dynamic SQL)
4. The table is repeatadly checked using a DO loop to make sure the the correct time went in.
5. when the returned time value of the field matches the varaible used to update it, the form is returned to normal and the user carries on his/her merry way (if it never matches the screen should crash but this never happens).
6. A New record is added to another table called "tblbugfixinglog" which records which field was updated and when. This is so that I have two records in two different ways (figured if one went astray I could pull it back off the other)
7. Another new record is added to yet another table called tblSQLRecord, which simply logs all .RUNSQL statements that are executed.

I thought that the two extra tables (and the check that the record had been updated) would help me track down where the records are going missing, but this isnt the case.

Now it appears that some records arnt being added to tblBugFixingLog and to tblSQLRecord either and some of these tables are getting quite a few #ERROR's in them..

None of the tables are related to any other and i've no idea how #ERROR lines are appearing in a table that has 1 function... to recieve new records ... no editing, no viewing, no deleting.

Does anyone have any idea how these updates/inserts can go missing or create #ERRORs.
I've built plenty of Databases in my time and have never come across this.
__________________________________________________ ______________

This is the function I use to add a record to tblBugfixingLog and tblSQLRecord

Private Sub AddBugLog(ByVal TimesheetNumber As Long, ByVal FieldUpdating As String, ByVal NewFieldValue)
Dim TempSQL As String
TempSQL = "INSERT INTO tblBugFixingLog (TimeAndDateOfEntrySERVER,TimeAndDateOfEntryPC,Fie ldUpdated,NewEntry,UserID,TimesheetNumber,Computer AssetNo) VALUES (" & _
"#" & Format(ServerGetTime(Environ$("LOGONSERVER"))) & "#," & _
"#" & Now & "#," & _
"'" & FieldUpdating & "'," & _
"'" & NewFieldValue & "'," & _
"'" & GetNTUser & "'," & _
"'" & TimesheetNumber & "'," & _
"'" & fOSMachineName & "')"
' MsgBox TempSQL
DoCmd.RunSQL "INSERT INTO tblSQLRecord (Username,DateAndTime,Screen,TheSQL) VALUES('" & LoginInfo.sUsername & "','" & CStr(Now) & "','Add Bug Log function','" & CleanData(TempSQL) & "')", False
'CleanData is a function that removes ' and " from the SQL string so i can easily add the SQL string into the table
DoCmd.RunSQL TempSQL, False
End Sub

Public Function CleanData(ByVal DataToClean As String)
Dim TempData As String
Dim i As Integer
TempData = ""
For i = 1 To Len(DataToClean)
Select Case Mid(DataToClean, i, 1)
Case "'"
TempData = TempData & "`"
Case """"
TempData = TempData & "`"
Case Else
TempData = TempData & Mid(DataToClean, i, 1)
End Select
Next i
CleanData = TempData
End Function

__________________________________________________ ____

I have no idea how this can create #ERROR lines in the table when it is just added to and nothing else.

Does anyone have any clue to what may be happening here.

(Oh yeah and no matter how hard I try, I can't replicate the problem.... works for me every time no matter how harse I am to it!)

Please save what little hair I have left and give me some hope

Cheers
Homer

Forms :: SUM Function Produces Error From Calculated Function

Jan 30, 2014

I have a project at hand and it's been a predecessor of mine and client has asked me to do some work on it and extend functionality - but I have not really delved into Access before and I have had to worked my way through to this final snag :/

The Main Form has one sub form. This sub form allows the user to add multiple order items i.e. qty, stock, description from records within the system - fairly straight forward.At the last column of each row is the sub total of those particular items i.e.

Qty Unit | Item ID | Total
-----------------------
2 | 1234 | 80.00
------------------------
1 | 43526 | 20.00
------------------------
> | |

So the total is a function of =[Qty Unit] * [Unit Price].Then in the Footer of this SubForm is the Sub Total

=SUM([Qty Unit] * [Unit Price])

All fine and well..... However, the additional functionality kicks in.

Lets add the additional customer_id from the Main Form. Each Item bought is dependent on the customer_id i.e. they get special prices depending on who they are.So a New table is made which has the Item ID and SpecialPriceID (of a table to define as a specialPrice) and the Price linked to this Item and Special Price category. So say that there are two groups of users "wholesale" and "nonwholesale" these would be SP_1 and SP_2 and each client is defined either one of these, and each stock item has a Price for each SP_1 and SP_2. Hopefully I've explained myself there.

Back to the SubForm. So now the Total needs to calculated differently with needed the external customer_id from the Main Form.

Code:

Function CalculateSpecialPrice(ItemID As String, CustomerID As String, Unit As Integer)
Dim SPSelect As String
SPSelect = "SELECT Price FROM [Items_SpecialPrices] WHERE"
SPSelect = SPSelect & " ItemID = '" & ItemID
SPSelect = SPSelect & "' AND SpecialPriceID = (SELECT SpecialPriceID FROM Customers WHERE customer_id = " & CustomerID & ") "

[code]....

its the sub total I just keep on getting #Error on. I have even watched (using alerts) that the correct return variable is the same as the individual rows. This is the equation I used for the SubTotal within the footer.

=SUM(CalculateSpecialPrice([Item ID], [Form]![FormName]![CustomerID], [Qty Unit]))
#Error

Now Function To Convert To Date Function

May 25, 2006

Hi all,

I need a little help. In my DB, I have a command button set up (I was tired of typing in dates) for date, but I used the Now function, which also gives me the time.

Now I have over 3000 subrecords of the main ones. I now need to queries transaction for that specific date, but it also retrieves the time.

I tried to go back and change the NOW to DATE in VB, but the code does not run.

How do I change all records that have date and time (using NOW function) and only click that command button to show only the date (mm/dd/yyyy)?

Thanks in advance.

What Am I Missing?

Sep 19, 2007

When I run this Query without the WHERE statement/Clause- it returns the accurate 985 records. However, when I include the criteria with the WHERE clause (it takes a range of +/- 10% of the Square Footage size into consideration), I lose 15 records, and only get 970 results. When I increase the range to +/- 15% in that field, it gives me 7 more records back.

Obviously it is dropping out records that do not meet the criteria for that field- how do I prevent that? I guess I would like it to display a ZERO or something, but still display the entire 985 records. What do I need to include to do that? Here's the SQL-

SELECT tbAct.MLS, tbAct.Status, tbAct.Address, tbAct.City, tbAct.Area, tbAct.SqFt, tbAct.Level, Avg(tbSold.SoldPrice) AS AvgOfSoldPrice, Count(tbSold.SoldPrice) AS CountOfSoldPrice
FROM tbListing AS tbAct, tbListing AS tbSold
WHERE (((tbSold.SqFt) Between ([tbAct].[SqFt]+([tbAct].[SqFt]/100*10)) And ([tbAct].[SqFt]-([tbAct].[SqFt]/100*10))))
GROUP BY tbAct.MLS, tbAct.Status, tbAct.Address, tbAct.City, tbAct.Area, tbAct.SqFt, tbAct.Level, tbSold.Status, tbSold.Area, tbSold.Level
HAVING (((tbAct.Status)="ACT") AND ((tbAct.City)="TEMPE") AND ((tbSold.Status)="CLOSD") AND ((tbSold.Area)=[tbAct].[Area]) AND ((tbSold.Level)=[tbAct].[Level]));

Missing Something

Jun 3, 2005

I hope someone can help me with this. I figure I'm missing one line of code but can't figure it out. I have 3 tables - tblGeneral (which is my main table), tblMDLink, and tblMD. The primary key in tbl General is FileNo. The primary key in tblMDLink is an autonumber and the primary key in tblMD is also an autonumber called MDID. tblMDLink is just a linking table containing the fields Fileno and MDID and uses an autonumber as its primary key. It contains some other fields that have nothing to do with this. I have a query called qryMDLink which contains all the fields of tblMDLink together with a calculated field calle full name which just combines the last name and first name fields of tblMD. Now I come to my form (which is actually a subfrom) called subfrmIMEDoctor. The purpose of the fomr is to allow users to add the names of various doctors to various files. The record source of the form is qryMDLink. The form also contains a FileNo field which is added programatically. The field has a drop down combo box with its record souce set to MDID. The drop down box has two columns with the first (not visible to the user) set to MDID and the second set to Full Name. Here's the problem - it won't let me enter data. Whenver I click on the box I get the message - "You cannot add or change a record because a related record is required in table tblIMEDoctor". By the way, I did set up one to many relationships beteen tblGeneral & tblIMELink and between tblIMEDoctor and tblIMELink. Any help would be greatly appresciated. Thanks,
