View RepliesI am having problems developing a membership database - I have three main tables.
1. A table of 600 members of an organisation
2. A table of the subgroups these members may join, about 80 in total.
3. A table of the members of each group.
The members do not have a unique ID - complicated reason for this so I use a system assigned ID. Group ID does have a unique Id but I chose to use a system assigned ID.
Table 3 records effectively consists of just two fields, memberID and groupID. When I create a form and subform to enter these values all is well. But I cannot expect users to know these values, so I have been trying to create a subform that creates/lists/removes members from groups, using a Group main form with a member tabular subform with a surname search through a combobox. Groups have between 5 and 20 members.
e.g enter 'smit' in the combobox on the subform and a list of smiths is displayed together with the full name, from which the user selects the correct entry. At this point the record showing for instance, Paul Smith belongs to Group 17 is written to table 3. All sorts of issues arise, too many to document.
I need to create a simple database where I have a list of people, a list of groups and all I want to do is select which people belong to specific groups.
All I need is to create a form where I have a list of my people and a tick box next to the groups to show who belongs to which group.
I stumbled upon the Option Group function just yesterday and, happy as a clam, I created a group with 2 options in radio button style. I assigned the values to a field called Registration_Type as the 2 options are "Confirmed Registrants" and "Prospective Attendees".
[Great. That part works well. When I look at the table, a 1 or a 2 is in that field so it's great to know how to control accidental ticking of radio buttons (previous 450 records or so didn't have this option group functionality so one might easily tick one of the buttons. So one part of controlling option group I know I can handle via the table itself for now.]
The challenge is how to ensure the user always ticks one or the other ... I went back to the main table and tested the 'required entry' option for the Registration_Type field but forcing an action like this is not ideal in my mind. The usual error message vagueness for the average user is no good and I don't want to limit the user so much.
Is there a way to simply have a popup come up warning that neither radio button was ticked? Perhaps something linked to the form - i.e., maybe "after update"?? I only learned about attaching code to before and after update on controls a couple of days ago, so not sure if this would be best approach.
Just something to let the user know that nothing has been ticked in the option group as that controls in which of 2 reports the data will show up in so any record not ticked might mean a registrant being left out, which would be rather disastrous <g>.

Is it possible to change ownership of a database to a group rather than an individual? The reason I ask is that i'm due to leave my employment this week and need to generally get things ship shape before I go. I currently own all the DBs that we use and I need to change that so people can take care of them (or wreck them depending on who it is!). I have set up user groups, one of which is "developer" and I would like this group to own the DBs so that they can be passed on without too much fuss.
If not then I need to change the owner to an individual and am really not relishing the prospect of importing all the objects into a new database just to do that, the thing is huge, has loads of fairly intricate permissions which have been carefully honed over the last couple of years. I read somewhere that you can change the DB owner if you exclusively open it but I have tried that and the "Change Owner" button is still greyed out.
Does anyone have any ideas?

I am currently looking into some of the security aspects of Access, as I am still not yet sure how i'll be designing a new database program, (whether to use Delphi to link to the database or run the database through Access itself) however, I was wanting to look into the security aspect of Access itself as part of my education and decision making process. Now I have deduced (correctly?) that some of the user/group access rights are based on the NT/2k/XP User/Group permissions etc, yet I was wondering if there was a little more to it than that.
In some ways I would like the application (through access or otherwise) to initialize with a logon prompt, that would ask for username and password. The database would internally?? retain the password information for security rights. I'm not sure if i'm thinking this through correctly, so i decided to come here for a few pointers in the right direction.
I'd like to set up internal to the database a set of groups and users with different levels of security. I don't want them based on the XP user account passwords and such, but just an internal database login. This would allow, to some degree, a specific master group to add / remove users from the database, as well as control user access rights to the database internally.
More or less, I want the database itself to be self-contained with all security and access rights, instead of basing them off of some external NT based security information.
So to my actual questions:
Is this possible?
Where would I start looking to set this up?

I have put my database in a package using MS Access extension but the user and Group Perssion is not included to the package. Does some one know how to include the permissions too.

This is a database that uses user-level security setup in Access 2003 but it is being run on 2010. An update to the security system is in the cards in the near months, but right now I need to add one more user and I am having an issue with that.
I can add the new user in the user and group accounts form and I can add him to any group except for one. Unfortunately that is the group that he needs to belong to. You can see in the attached image the new user (jschiff) and the group I want to add him to. There already are some other users in that group. What could prevent me from adding this new user to that group?
I have an option group with 3 options. The labels are black. I would like to change the label to red for the given option that was choosen.
Option group name: OptionCarrier
Options: Option1, Option2 and Option3
Labels:Land, Sea and Air

I have a spreadsheet that has been downloaded from a website. On the website people have chosen from a group of 28 checkboxes their answer. I have imported this spreadsheet into access. I now need to be able to run a report that shows only the one they chose instead of listing all 28..

Why would my group account privelages be ok, but when I look at each user individually they have no privelages set. I'm confused as to why this would be if the users are in the specific groups I have set-up.

He's showing in the list of users with membership of the correct groups.
However when trying to login with his username and password although it looks like it's accepting username and password as normal and database begins to open we then get the following error message
"operator has not been found call administrator"
and the database closes
Any ideas?

What i need is a paramater query to be able to work to give me the total of the groups..
Whenever i try to join my Parameter query with my sum query it gets messed up..

I am setting up a call log for an application. Once a message has been entered, I need to restrict access to the person who created it AND to managers (who have admin privelages to the database). Since the user who created a message needs to be able to go back in and edit it if necessary, I can NOT simply restrict access to the edit form to admins.

... i want my users to see a coloured image on their form to alert them to the status of a record in the database.
I have 3 very small bitmap images (named red, amber and green and stored directly next to my database ). I want to allow users to change which image should display on any given record by choosing either from a combo-box or radio buttons located next to the 'image space' on the same form. This image change will then save when the database is closed and remain until it is changed to another staus by a subsequent user at a later date.
Any ideas greatly appreciated (I'm currently at [I]'dimwit' level with coding)

Using Access 2007 DB windows 7..Main form on open of db collects the username from the environ. text Field(networkid) is populated on form from the function
1. On Open of DB it opens with a frmuserid which contains a text box holding the network ID which is derived from function fosusername()
2. The value of Forms!frmuserid!networkid (frmuserid! is the form that opens when the DB is 1st opened) is populated with the fosusername() in the networkid text box
I seem to only be having the issue of the db opeing with my network ID no matter who opens the db. Somehow I need to shut off that 1st ID when close db or update the form field on open.
So I have a login system established with loginID, passwords, and different user types. I also have a User Change Password form. However, this form only allows the user to change their password to something new. Also, for some reason the form only allows the first user in the table (ID#1) to be changed regardless of who is logged in. I was using an embedded Macro. I need to be able to have the old password entered and verified before the password can be changed to something new.

Ok the database that i have contain all the details about customers including thier joining date. I want to make a query that will produce relevant information for use on a membership renewal letter, It should show only members due for renewal on 1st of may
(there are 3 renewal dates per year. 1st jan , 1st may and 1st sept. I need to assume that the next renewal month of membership for those joining between those months will be the next renewal date. Example if you join in June your renewal date would be 1st september)
Could you please explain how i could do this in easy to understand language as i am no expert with access.

I have a form where new records can be added to a table. I was wandering if it was possible to automatically add 1 to a textbox that is bound to a membership id field within that table.
So when the form loads, the txtmembershipID has the next number displayed.
This is my code for the load event.

Im putting together a membership data base. the data base has an already existing client base which all have membership numbers in the form of first letter of there sir name, last to numbers of the year and a 4 digit number. So for example Joe Bloggs membership number would be B06001 his sister Betty Bloggs would be B06002 and the guy next door John Doh would be D06001.
What I would like to do it automate this system so everytime I make a new record when I input the sir name into the 'lastname' field on the form it checks the last Membership number and makes a new one. I wouild also like it to change the 06 to 07 when the year changes.
Ive done searches for things like this with Dmax etc but i really could use help with the code as I have no idea how to code this type of thing?
Any ideas on this oue would be great!

I have a database that was created in Access 2003. I'm using this MDB in Access 2010.I need to change a user created menu. The update involves changing an existing entry and adding a new menu item. The menu looks like:
Project
Time Entry
Time Spread
I need the "Time Spread" to change to "Time Spread Daily" with a changed macro name. After that a new menu entry is "Time Spread Monthly". This menu will run a new macro that will display a form.I think the only way to do that in 2010 is to use VBA.
