How To Create A Form That Can Update Data Linked To Multiple Tables
Jul 30, 2012
I'm using Access and Excel 2007.... I know how to import an Excel spreadsheet as a table.
I have several supplier price lists in Excel. I want to keep my vendor price lists up to date.
When one of my vendors tell me that a price has changed on a particular item, I figure that I could have a form that I could use to enter the changes.
I believe the form would look like:
Field: "Vendor" (drop down list to choose from. Name of the Supplier price lists) Required.
Field: "OEM" (Key Field found in each table) Required.
Field: "Brand" (Field found in each table) Not required.
Field: "Price" (Field found in each table) Required.
OEM would be the unique key field.
If I enter the Vendor name and then the OEM number it would show if there is already that number in the Vendor price list and I could make changes. Or I could enter new data in that vendor price list.

I'm working to create a staffing database that houses changes to staffing week over week.
I have one primary table, the "empMaster" table, that stores the employee's name, contact information, etc. I have other individual tables for noting which employee reports to which manager, what their business title is, what group they're in, their training history, etc.
Once I've populated the empMaster table with employee information, I want a form that allows me to update each of the other tables IF there as a change. Some weeks will have a manager change, some only a business title change, some a group change, some a training change, some all of the above. The problem I run into is that I will sometimes process hundreds of changes a week, sometimes only 10-20 so I almost have to use datasheet view for mass edits. I'm relatively new to Access and I'm having a hard time getting my form to allow this level of flexibility and to update all fields needed.
When I build a form that includes more than two tables (let's say I want to update a Manager and a Business Title), the form will not work and populates nothing. I believe it's because Access wants there to be an existing record to match to across all three tables and there will not always be.

How do you create a form that is not tied to one single record source? In other words, I want to be able to select the record source that it updates. I have a bunch of tables that have the same data structure but are separated due to geographical nature among other reasons. Is there a way to do this?

I have a table with the following columns: Task, Visa type, time it takes to perform the task. There are several taks that are performed for all visa types. I want to create a form to enter data to the table in which for the field visa type I have a list box that can allow multiple values, however, I do not to create a single line with the task and on visa type all the types of visas selected. I want to create a line for each type of visa with the information introduced.
I don't know if this is possible, the reason for which I want for the form to create several rows depending on the visas types is because then I have a query that sums all the types of visas. Can this be possible? I don't want the people to introduce manually directly to the table the data and also that for the same taks they have to enter manually 50 rows with values. I want it to be more simple and easier.

I have a database with a number of linked tables that are linked to tables in different databases (not a back-end).for example, I have table1 that is linked to table1 in K:databasedb1.mdb.table2 linked to table2 in S:datadata.mdb.and so on...
However, recently we have moved all our databases to a new location.
K:databasedb1.mdb is now residing in O:masterdatabase
and S:datadata.mdb is now residing in O:masterdata
and so on...
I'm now in charge of relinking all those tables to point to the new location.I would do this in linked table manager one by one but we have 100s of tables linked to multiple different databases in different location.is there a way to create a VBA code that will automatically do this re-linking process?
so,
1. find unlinkable tables
2. search its new location under O:master
3. re-link it to the new location
Database names and tables names have not been changed. Just the location of databases.

I currently have a pharmaceutical lot database set up in the following format:
MFGData (table w/Manufacturing Info)
QAData (table w/ Quality Assurance Info)
QCData (table w/ Quality Control Info)
PASData (table w/ Process & Analytical Science Info)
SCData (table w/ Supply Chain Info)
[Code] ....
Each table has a corresponding form for data entry in each area. The tables were subdivided in this way in order to limit each department's ability to edit the data of other departments. The only field common to each table is the drug lot number, or "Lot #" (which is the primary key of each table).
I wanted to make it so that when Manufacturing enters a new lot number on frmMFGData, it automatically creates that lot number in the other 4 tables. This process mirrors our actual real world business process, where drugs are manufactured and assigned new lot numbers by our manufacturing team, and then other departments simply reference those numbers when doing their part.
To accomplish this, I went ahead and set up 1 to 1 relationships between the various tables using their "Lot #" fields, establishing referential integrity and enabling cascading updates. However, when I attempted to enter a new lot number into frmMFGData (the manufacturing form), it didn't seem to appear in any of the other tables. If I edit an existing lot number and change it to something else, the change does carry over to the other tables, so I know that the cascading updates are working in some capacity.
If cascading updates cannot "cascade" new records, then is there any other way to accomplish this?

What the database currently has: A payment entry form consistenting of many fields. This form populates a payment entry table. Some of the fields within the payment entry form are linked to other tables and queries for data (such as a recipient list).
What the database now needs: A group payment option. Should ten people attend a dinner, the total cost needs to be divided among the attendees, and then the payment entry form table populated with ten different entries and the subdivided cost of the dinner per person.
My thoughts: The most ideal thing to do is to have a hidden recipients window show up when the user indicates that this is for a group event. The user could then add all the additional recipients (beyond the primary which is already collected on the form), and the total amount for the meal. The database would then generate an entry for each recipient listed, dividing the total cost among them, and then simply duplicating the rest of the information as is.

I'm trying to create a form using a combo box to populate multiple fields and tables.
I've created a text field to display the added information using this format:
=Comboboxname.Column(x)
in the text box control source field, and this works for display purposes. However, I need it to populate this data into a field on a table.
For example:
My combo box looks up data that has 2 columns, Part Number and Description.
The control source for the combo box is "Part Number". And that populates the part number in the "Main" table no problem.
The text box I created using the above format in the control source populates the field in the form, but not the "Main" table.
Is there a way for the other (description) field to also populate the "Main" table as well?

My db has several tables tb1, tb2 tb3 tb4 ..... I have link tb1 to tb2 (tb1Id to tb2)and linked tb2 to tb3 and tb4 (tb2Id to tb3 and tb4)
I have created a form with several field from tb1 and tb2 and a single field for tb3 and tb4. All of the fields except one for tb1 are use to make a decision based on what they display. The only field that is updated on the form is a date conversion field from tb1. once you update this field it will auto populate a date field on tb1 with current date. you then have a choice of 4 commands to activate based on what is displayed form the rest of the form.
my problem none of the fields can be updated. can any one help
qry the form is based on
tb1 [Name]
tb1 [ID]
tb1 [date conversion] 'this is the only field that is manualy updated
tb1 [date] 'updated base on date conversion field being updated
tb2 [field]
tb3 [Yes/no]
tb4 [yes/no]
based on what is displayed on the form you have 4 choices of cmd buttons.

I have 2 main tables. One with Data that I get from an outside source and cannot be changed. The other is one that needs to be updated as needed. I have a few look up tables so I can identify the codes with the descriptions. In 2003 I was able to make a big query and link my forms to the query to make modifications. I am not able to edit any information in the 2010 query. The people want it to work the way it did in the past but I am not skilled enough in access to do that. Is there an easy way to use a query when updating the form? I used to be able to edit the query itself and it would feed back into the existing tables.

My database allows you to log issues (see attached)
An issue will belong to the project, the project may have multiple test plans.
The issue will also be the primary responsibility of a company, and that company may have multiple contacts (people)
Now, i could create a form over the top of each table but then if someone wanted to add a new project, testplans for that project, suppliers (companies) for that project AND new contacts for those companies, they are going to end up going through loads, and loads of forms.
So my question is, what approach would you recommend to create a control panel where they could add these items with the fewest number of page switches possible? (preferably none.

I've been creating a new Access application and I've run into an issue. The form I created has 2 subforms on it. The data is stored on 3 different tables related by the RMAID. The data gathered from this form needs to go into our MRP application. I have linked the necessary MRP tables to my access application. How do I get the date from the form to the tables in our MRP application? The data needs to go to 3 tables from the MRP application. Do I create an append query that's run after the user completes entering the data on the form? Thanks for any help

I have set up a table (A) that is linked to another table(B) in my database. This linked table (A) is then used in a number of queries. When the data in the original table (A) is updated it does update the data in the linked table (B) as it should. However, when I run the queries they do not bring up any records. It seems that they are not looking at an updated version of the linked table (A) because if I rebuild the query it finds the records as it should. Any advice on this would be very gratefully received.

Am creating a Product-Sales Database, and I would like the corresponding Sales made in the Sale Table to be automatically deducted or to be reflected in the Product Table. The product table contains all my stock and has a relationship with the Sales Table. The Sale Table does not necessarily include the Stock. How can I create possibly a Sales Form that will be used as an entry point for all the products (stock) sold and automatically register the sold products in the Sales Table and at the same time make the required adjustments in the Products Table.

Hello,
My first post is on something that is troubling me. I have a Form acting as the display and entry point for data for a contact list, which is composed of two Tables as follows:
Contact - (text fields including: first name, last name, phone number home, phone number work, etc)
Industry Role - (yes/no tick boxes including: film, photographer, audio engineer, producer, reporter, etc)
The two Tables have a one to one relationship based on the URN field which is an autonumber. My problem is that when someone enters say a name, and then ticks a box, the autonumber will add two entries because it seems to see the first table then the second tables as sequential, and not the same thing. How do i go about making a form that can enter new records the same autonumber for two connected Tables?

I have an access database with a linked table to an Excel spreadsheet. I have a form based on the linked table so the presentation of the Excel date is better. The spreadsheet is used by other staff in my office to record sales which I need to register with an external organisation. What I want to do is update the spreadsheet with the registration date from my access form rather than going back into excel to do it.

Hi.
I'm about to move to a back end / front end system, from a single database file. Before I do so, I want to make sure I have all bases covered so to speak.
My back end file will reside on a server. I am aware that path names are sometimes changed by network administrators without warning.
From tests, I notice that, if the path to the back end can't be found, one cannot open the front end database file at all (Access 2003).
My question is: if my back end file gets moved, or the path changed, how can I get into my front end file to update the linked tables.
Many thanks in advance.
Mat.

I have been trying to figure this one out for a while and I can't seem to find anything helpful. I'm going to present a simplified version of my problem to help keep it simple.
I have an "Activities" table that contains fields:
ActivityID
ActivityName
I have a table of 7 Risk areas which contains fields:
RiskID
RiskName
What I need to do is to create a form that will allow the user to select an activity and then, for each of the 7 risk areas, input a risk measurement.
This involves the creation of a 3rd table to collect the user input which would contain fields:
MeasurementID
RiskMeasurement
ActivityID
RiskID
I can do a dropdown of the Activities and have a subform that links to it but the problem I'm having is trying to get that subform to list the 7 Risk Areas AND collect the RiskMeasurement information from the user. How can I have a listing of these 7 areas from one table that are tied to inputs that go into another table? This seems so basic and simple yet I have tried numerous things and all have failed.
I hope this was clear. Any help is appreciated.

I have a tabbed form that contains multiple rows of data just like the following: (it's a service checklist for a store where the user makes choices from the combo boxes: e.g. good, fair, poor, etc)
Paint (txtHrs), Action (cboPaintAction), Condition (cboPaintCondition)
Carpet (txtCarpetHrs), Action (cboCarpetAction), Condition (cboCarpetCondition)
Counter (txtCounterHrs), Action (cboCounterAction), Condition (cboCounterCondition)
etc.
Since the combo boxes describe data that relates only to that element I can't put all the data needed into a single table. There are 40 of these rows so does that mean I have to create 40 tables? If so, how do I add the data to them from the form? Any help with this problem would be greatly appreciated!

Hi all, I'm not an Access programmer by trade, but unfortunately got handed a project that nobody else wanted.
I have a small database taking shape which will track the auditing of paperwork/files. Each file has a unique ID associated with it, in this case, an account number. Audits will take place by selecting the job area (department), then the type of file (Line, Loan, Increase). This will be used to sort which type of audit questions are asked.
I have the following tables created:
tblQuestions: ID, Question, Product question applies to, Function question applies to, Comment field, and result field.
tblTeamMember: MemberID, TeamMember, Manager, PrimaryFunction
tblAuditResult: AuditID, MemberID, AccountNumber, Question, Result, Comment, Date of Audit
tblProduct: List of product types (line, loan, increase)
tblFunction: list of job functions
Currently a form is displayed so the manager can select the job function, then the file type. This will display:
frmAuditCreate - this form contains the fields: txtAccount, cmbManager, cmbTeamMember, txtAuditDate
Sub form on frmAuditCreate - frmQuestionSub - this form contains the fields: Question, Comment, Result
The frmQuestionSub is built off a query which uses the function and product values to determine which questions to filter and display.
Now, once the user is done flipping through each question in the sub form and input the data into the comment and result field associated with that question, I need that information along with the information on the frmAuditCreate to be stored in the table tblAuditResult. This is the problem I'm having difficulty with. I can't find a way to copy the question, comment, and result and insert it into the same record as the rest of the data.
Unfortunatlly I can't strip the database down enough to meet the 100k or less attachment limit.

Hi, I have a big problem. Here is the business rule, I am trying to track meeging request(MR) made. A meeting request is made by a manager,MR can include many analysts, and MR involves 1 project. I need to generate several reports from the MR information so I am trying to make sure the info is inputed correctly. I am trying to creat an input form for the MR table (tblMR) The input form is going to contain all the fields from the tblMR except the manager_ID and and the Project_ID, I am also going to have it track which analysts attended the meeting(1 or more). The problem I am having is in creating the form but having the analyst, manager, project values come from their own tables but after selecting them through combo box or list box, for values of Manager_ID and Project_ID to be entered in the tblMR. And for the analyst involved to be stored in a a composit table called tblMR-Analyst. this table will help me track how many meeting each analyst has been to. Any suggestions will help.

Hi!
I'll cut right down to it: I have an ODBC connection to a (SQL Server) test database on my development machine that is identical to the live database to which a (different) ODBC connection exists on the PC where this Access application is to be deployed. The problem is that when I deploy, there are some tables that have to be updates, because they still point to my test database. The other tables look like they use the default database for that user.
I used to be able to just copy the Access application and it would work without having to update any linked tables.
To clarify, the tables that work without a problem look like this in the Linked Table Manager:
t_mytable (DSN=odbc;)
And the problem tables have this:
t_mytable2 (DSN=odbc;DATABASE=my_test_db)
I don't seem to be able to clear that DATABASE= thing up. Can anybody tell me how this works?
If this question is overly trivial, I apologize.

Hey all, i would appreciate some help with Access here.
I am an attorney, and i am trying to set up an access database for all of my cases.
I have one table in which i keep the names, contact information, etc of all the witnesses who i have used or will be using (especially expert or law enforcement witnesses who i will be using in multiple cases).
I also have a main table in which i have a record for each case. Because I have multiple witnesses for most of my cases, I have had to create multiple relationships between my main cases table and my witnesses table.
My question is this: How do I specify when setting up a report (or a form/query/etc) that when i ask for the witness's address i am looking for the address i made with a particular witness, specify that relationship between the two tables, as opposed to the other relationships between the same two tables.
I hope that makes sense, and i would very much appreciate if someone could give me instructions.
Thank you.
