Hypothetical: Structuring A Sm/med Business' Data Infrastructure...

Hello,

I am fishing for advice on what systems people would recommend...

Currently, our system breaks down like this:


We use Peach Tree (old version - sucks) for accounting (this is where my question will kick in)
We use a rudimentary database I built for contact/prospect management (I intend for the above to become much more advanced as I learn, something more than "rudimentary as soon as possible)
We are incorporating a new phone system that will allow us to track may things and incorporate into our database (as far as area code reports, things like that as to track advertising effectiveness in specific areas


My question is this:

To eventually get to the point of having a fairly seamless infrastructure, what accounting software would you all recommend? Being able to integrate with an access interface is vital. We will likely get to the point soon where we hire someone to build a database so as my responsibilities will shift to more of a maintenance role, with support, rather than design...

This is a company that is built on paper, not a huge one yet, but decent size, and we want electronic info to increase efficiency...

I am looking into suggestions for a 20 - 40 person company. Currently, I am starting to look into MAS 90, and would love to get some insight.

Access Data Business Analysis

Is there an Add in for Microsoft access that will using a gui based method, run queries, set up automated reporting (task Scheduler) in an easy to administer method. Quest Toad has a new add in Toad for Data Analysis. I am looking for something similar for access. Right now I am doing this manually via creating macros, etc. But there really should be an easier way.

Help With Basic Structuring

I will try and be as concise as I can...

I am trying to create a database for our organization that will keep track of our "Gift Fund". I have a table with all of our personnel that includes all of their basic info with a customer ID field as the PK. I then have a table that is for all of the transactions. Deposits, withdrawls, description, date, customer ID to relate the two tables and transaction ID as the PK.

So we have a table with our personnel and a table to record transactions. Transactions occur anytime we put money in or take money out as well as when one of our personnel becomes a member of this fund by paying their "dues".

I have created a form to update our personnel table. It works fine. I also have a form to enter basic transactions. It also works fine. My problem lies where I try to make a form that will add a member to this fund (which in the personnel table is a yes/no checkbox) at the same time entering this as a transaction. Ideally the form would have the user pick personnel from a drop down list, click the yes/no checkbox making them a member and then entering their "dues" as a transaction.

Ultimately I would like to be able present this info in several dif reports showing all the silly statistics that boss' love to see.

Any help would be appreciated and if I have left out any key info, let me knw and I will be more specific.

Please Help Structuring Db For Future Expansion

first thing's first... i've never set up a Access db. I have, however, worked with php/mysql so I understand dbs and the basic principles behind them.
i was hoping you could help me set up my db to accomplish my goals now and help me in the future when i want to make this system more advanced.

the purpose of the database is to track the 'stages' of several different projects as well as keep account of which contacts are involved.

example

I have projects A, B, C
I have contacts I, II, III
the stages of the projects are 1, 2, 3

I already have these tables (projects, contaces, stages)

the first issue is, i dont know how to assign mutltiple contacts for specific projects
i.e. project A involves I, II, and III while project B only involves I and III. I would like a form to have a listbox with all the contacts in it and i could hold ctrl and select mutiple contacts for a specific project

the second issue... i would like to db to store dates of when a specific project moves from stage 1 to stage 2 for instance. i know i can set up fields in the projects table for these, but what happens when i add a new stage? will i need to go into the projects table and add a new field? can i make this dynamic?


i hope this makes sense to you. if you could give me direction, i would greatly appreciate it. before doing something that i will regret later, i hope you can give me some tips based on your experiences.

Help With Business Days

Good Afternoon All,

I am in need of you help in calculating this. Basically, I don't want the code to count zero. For example, today is 3/19/2008 - Date() should equal = 1 and not zero..

Here's some more examples:[lastfollowup] being 3/18/08
Date() - [LastFollowup] = 2

Business Database Help

I am setting up a Database for my company, we want to do it in our local branch first then hopefully we can role the idea out to the entire company. I have started the database already just setting up the tables I need, I think my Design is slightly off though. I am asking for the forums help if that is okay, okay here is the setup.

Areas Needed:
Employee
Projects
Clients

Employee Area:
Date of Hire
fname
lname
salary
title
timesheets
etc...

Project Area:
project #
project name
client
budget info
etc...

Client Area:
client name
addy
contact info
etc....

Project area is going to be the main hub for everthing else, the project number is the key to the entire database. client will be attached to a project via project number, employees timesheets tracked by project number, invoices printed by project number. timesheets will generate the invoices to the client. You guys get the idea, I hope that some of you guys can help me in the spare time you have.

Again, i am looking for Design assistance, i will post a sketch of my design in a couple.

Business Info Systm

Hi. I'm a freshmen currently in college and I'm taking business info systems right now... and well I'm just being paranoid. Anyway, i really hope this isn't at all too confusing or anything... but

For a hw assignment we where sopposed to like dl this database and just do random commands on it. Anyway, we're sopposed to save it at the end... and email the file to the professor who will grade it.

Anyway, I asked her how she would know if we actually did all the steps and shit... and how she could tell (esp if the directions where like... "1. filter this out." then "3. take out the filter."

she replied that access "saves" all the actions in a database in the document so she will be able to see all the actions that we took.

I did all the assignments, and I'm just being paranoid about my work right now... since it's the new semester and the teacher is SO NICE but very picky when it comes to grading.

My question is just to ask if anyone knows the "secret" command/function/button or whatever you do to basically do what the professor would do to grade my database / ie see that I did everything.


I just want to check to see all my work is good before I submit it to her.

Real Estate Business

I am building a database for a Real Estate business.

I have 2 tables tblPurchasers and tblVendors.

I intend to write a query that will match the requirements of the purchasers to the properties for sales (from the vendors).

My issue is this (best illustrated via an example);

I run my Query on the 1st April and four properties are produced as being suitable for purchaser 'A'.


Purchaser 'A' immediately deems properties 1 and 2 unsuitable and views property 3 on the 6th April. Property 3 is subsequently deemed unsuitable as well.


I re-run my qury on the 10th April and five properties are produced as now being suitable for purchaser 'A'.


Purchaser 'A' has already dismissed properties 1,2 and 3 so i don't want to show him these again ....... how do I just ensure that properties 4 and 5 appear ?

Something involving a yes/no box on a form would be the best method for me of implementing this (as it would fit in with the scematic of the database to date).

I imagine the properties (with a small photo) appearing and tick boxes headed 'Unsuitable', 'Viewed' etc be used to dismiss properties, which do then not re-appear.

How To Calculate Business Hours!

I need to calculate the difference between to datetime fields. However, i need to exclude weekends, holidays and non-business hours. I also need to return the result in hours, minutes, seconds.

can this be done. if so, does anyone know how to do this, or is there code that i can implement and save for future uses.

Nz Function In Business Days HELP!

I have a query that calculates business days. However if my end date is missing the query has error codes because the date its looking for is null. Can show me were to put the nz function.

I have seen a few modules that let you count how many business days between two dates. What I am looking for is how to count 10 business days from another field.

Say for example I have a txt box that auto populates =Date(). I want to have another txt box that will count 10 business days ahead and put that date in the box.

This is so I can have the db show a due date for reports sent in.

Tables :: Structuring Categories And Sub Categories

Suppose I receive boxes and store them in a room. Each box can contain items that are either shaped as cubes or spheres and I have to allow for the addition of more shapes in the future, but only one shape can be in each box. Each box contains a random number of shapes and two boxes may, or may not, contain the same number of shapes as another.Cubes can be either Red or Green, Spheres can be either Blue or Yellow.

I wish to set, and have the ability to change, how many cubes and how many spheres, on a percentage basis, I wish to have (e.g., 60% Cubes and 40% spheres).I also wish to set, and have the ability to change, what percentage of cubes I want to be Red and Green and which percentage of Spheres I wish to be Blue and Yellow (e.g., Cubes -Red 70%, Yellow 30% )

e.g. -- I have several boxes totaling:

Cubes
Red 30
Green 40

Spheres
Blue 10
Yellow 20

My goal is to produce three reports.The first report would provide the Target and Actual number of Cubes and Spheres expressed as a Value and %. The #'s would simply be calculated from my desired % . So, if I wanted to have 60% cubes and I had 100 Shapes, my target # would be 60. If I had 200 Shapes it would be 120. (i.e., The actual number of shapes I have is simply a factor of how many I receive and I have no control over this.)

The First Report would look like this

Target % - Actual % - Target # - Actual #

Cubes 60% 70% 60 70
Spheres 40% 30% 40 30

The second and third reports would be the same format but would break down cubes into red and green and spheres into blue and yellow.I can accomplish the Report that breaks down the shapes but I am running into problems with the next level as I need the total number of shapes and the the total number of only Cubes or Spheres to insert into the expressions.

Query The Number Of Business Days

I have 2 tables:
- Employee
- PackageTracker (Contains PackageNumber, date received, date sent, status)

I would like to query:
- which employee has the package
- How long have we had the package (calculate only business days)
- What is the status

I would like the things mentioned above to be ran in one query.

I am stuck with the calculations. I found a macro code to calculate the business days but I am stuck.

Please advise.

Display All Records For One Business In One Form?

Hi dont know how im gonna explain this but here goes,

I have a table of businesses and each business has vacancies and consultancy time under it through related tables, so i have

Businesses

Vacancies........Consultancy

I want to be able to display all the Vacancies for one company in a form and all the consultancy in one form, i know i could do it though querys but i have 600 companies and that would be ridiculous.

Is there any way i can do it by selecting a business and been able to see all records for that business.

DateDiff Count Only Business Days?

Hi, I'm trying to get some date tracking stats...
trying to get the average number of days between two dates using formula:
=Avg(DateDiff("d",[DateRec],[DateNumb]))
where datenumb was the first date app was entered into db and
where daterec is the date the first part of app was recorded.
this works but I'm assuming it's counting straight calendar days. I was wondering is there a way to get it to count only business days and not weekends or holidays in access???
