I'm importing data from an excel spreadsheet to an MS Access (2007) table. One of the fields in the table is a text memo field able to support more than 255 characters...
Issue:
The issue is that any cell in Excel that is greater than 255 characters is truncated when imported to MS Access even though the field is a memo field. There isn't any documentation on Microsoft's website about this and I don't see any way to work around it other than manually copying the data from excel to MS Access.
Anyone have any input on this matter?
Thanks in advance!
hi, i have struggled to import some data from an excel file into an sql database..
i have used phpmyadmin and certain code snippets but have failed miserably..
basically my excel file has lots of data, and within each cell, each bit of data is in single quotes...
eg.
'jonathan' '23' 'hardman' 'cheese'
there are no headings in the excel file (as in column or row titles) the data is just raw.
once i have made the table (with the appropriate fields and datatypes for the csv file) how can i import that data into a table using ms access???
So I have had Access for all of one day now. I am trying to import an excel file into access as a table. I successfully imported the first file but the second file gives me an error that says "An error occurred trying to import file ____. The file was not imported." What are the possible reasons this error has occurred? Both excel files I am importing are in the same format, so I am confused as to why one worked but the other did not. Thanks for any help.

My question is: how do I set up the table to minimize redundant data. I have several fields that match the column headings in Excel, so the data can be imported, but fields like user name, pick slot, batch # all get redundant every time I import. My file is getting unnecessarily large. I know splitting the one table into many is the right thing to do, but don't have a clue how to import the data than. any help
Thanks
Is the record is already existing in access, but a few fields are blank, is there any way to import an excel file that just updates those blank fields for the specific record?
For example,
I have an excel file that includes files that are ready to ship out. My access database already has those file names, but does not have the shipping box number. Is there any way to import the excel file into my database, have it find those specific file names and update the shipping box number field? The excel file won't be adding any new records, just appending existing records.
Is it posible to import only some CELLs from excel file to access. for example i wont to import only A1 , B10 , E14 , C3 etc.?

I have an excel file that I need to prepare to create a report.It would be great if I could do this with Access 2003. This would mean that I need to import the excel file and create a table to handle this.Is there by any chance that I don't need to create a table and I can process the excel file? Or maybe automate the import of the excel file into table and only use a few of the columns so later I can create the report in access.Also what I need to do is add some columns with text in it (a standard text) that needs to add a day taken form the column to the right.
I simply would like to avoid to create a table from the import as this would make me end with a lot of tables (or mabye option to delete the table after finishing producing the report.
Basically I want to import an excel file that doesn't have any column headings and the data starts on row 4. I already have a table with all of the column headings set in Access.
My research led me to create an import specification and then edit that in the 'mSysIMEXSpecs' Table to Start on Row 4 and then use that spec in VBA to transfer the file to my table. That all seems good, but it seems like an Import Spec only gets saved to the 'mSysIMEXSpecs' Table if you are importing a text file. Nothing gets saved there for Excel.
I have an access file in which have a table name dataupdated
I have an excel 2007 file(Datanew) which have a sheet name data
I want to update table dataupdated at regular period
How can I create a query to import data from excel while file path and sheet name is always same and other steps to import data is same every time...
I need to import an excel file with incorrectly formatted date field and it worked only to import them as text:
1 jan 2015
1 feb 2015
1 mar 2015
etc.
Using CVdate converts jan, feb, nov and dec to correct date, but gives an error message with mar to oct.
I have the following string: NE1220904
I need to remove the left two characters and the right four characters of a string in a query. I have found how to remove one side or the other, but not from both sides. Thanks in advance for the help!
In MySQL I can use the LEFT(3, field_name) command, but I essentially want access to pull all records from a table where the the first three digits of a number field match those pre-selected by a form drop down.
This database is in Access 97. Is there a way to compare the first x number of digits using SQL only, or do I need to run each line through code first, and then check it (I really don't want to do that)?
example numbe rin field:
123456789
SQL checks to see if 123 matches value selected on a form.
I have seen variations of this question and have tried to modify for my purpose, but have been unsuccessful. I need to extract the first four digits of the Social Security Number. We no longer view the whole number, but a variation of the first four of social and first four of first name. I have tried many variations of the Left Function to extract the data from the field:
Expr1: SSN(Left([SSN],4))
Expr1: Left([SSN],4)
Etc.
I get various errors, mostly involving the comma. I am at a loss since I usually search for the code and find that it works. In this case, it doesn't work. I am also trying to extract the first four of the first name and will later combine the two although I broke it down since I couldn't get the basic "left" function to work.
Please help if possible. :)
I have to query a record with 2 of the same static characters. "-".I can get the left function with the first " but I can't get the rest up to the second "-"
Example: B-4352B-PXP02W01-10
TagNo: Left([EventInstanceID],InStr([EventInstanceID],"-")) Brings me the first char plus "-" The next section is needed also but the remainder is not.
Needed: B-4352B
Is there a Mid Function that I could add to go to the second chaacter instead of stopping at the first one?
I need to open and process the data from a text file on the network.
The first 7 characters of the file name will be the same every day.
The rest of the file name will change from day to day.
There will only be one file in the folder that has those first 7 characters.
There are a total of about 120 text files in the folder every day - give or take - including the one I need to open and read.
I want to put a File Browser on a form so my users can browse their desktop for the correct TXT file they want to be imported into the database. At first, I did nto think this would be hard but it seems as though it is some what of a challenge.
Any help is appreciated.
Thank You,
Marc
In importing data from Excel 2002 to Access 2000, I have several columns of text data that has more than 255 characters; however, importing into Access does not give me the option to redefine those data fields from "Text" to "Memo". As a result, Access truncates the data to 255 characters.
Is there anyway to work around this issue by still using the Excel file? I have saved the Excel file as an HTML file and this seems to work, but it is an extra step that I would like to avoid.
Thanks for any help.
The excel worksheet that I am importing into my database has some formula's, for an example =2+2. I am importing this worksheets, then checking fields against the main table, then exporting back to Excel. But I want to be able to keep the "=" signs when I import to remain so that when I export back into Excel the columns with the formulas will already be there.
View 2 Replies View RelatedI use the below code as part of a database which creates documents and then saves them using data from the form fields.
Every now and again one of the form fields contains a "special" character such as /,@,& and this prevents the file from saving.
Is there a simple addition to the below code to remove special characters from the file name if there is one present?
It causes all sorts of issues as many people don't realise that there has been a problem until it is too late.

I have an Excel 2003 spreadsheet work-in-progress being used as a template (developed by others) to prepare project cost estimates in a complex regulatory environment. We are 'modelling on the fly' for a number of projects until we are comfortable with the estimate model, after which time I intend to incorporate our 'stable' estimate methodology into Access. Meanwhile, I am 'stuck' with the Excel spreadsheet.
I have a project tracking database (Access 2003), and I want to be able to track my estimates. I do NOT want to embed my spreadsheets into the db, just a filelink. There can be more than 1 estimate per project.
Ideally, the user should be able to define a project in the Access db (or select one already defined) and click a 'make estimate' button, which would generate a new Excel file in a predefined directory (based on the present version of the .xlt file), give it an appropriate filename (based on the Access ProjectID and estimate sequence number for that project if there were others already), open up that workbook in Excel, and then autopopulate some cells based on information showing on the original form in Access!
A separate button for 'Open existing estimate' will eventually be required, but I think I could do that if I can get someone to walk me through the steps required above.
I am somewhat familiar with vba in Access, but am an absolute rookie when it comes to excel.
Edit: I left out that I would also add an appropriate record to a table like tblEstimate which would contain the link(s) to the estimate(s). This table will obviously contain a FK to tblProject
I have an excel file linked to a table in Access. Several fields are date data types in excel but are showing up as text fields in Access.
My real goal is to do a comparison between two tables, but only if the date of the one piece of data is newer than the other. I had planned on comparing the two date fields but even though I have formatted the date fields in my excel file to be "Date", when I look at the design view of my table it is showing up as "Text" and therefore I am unable to do this comparison.
I'm not sure if it's just something that I'm missing but maybe someone else knows an easy fix to this. I know this is probably a simple question, but I did search the forum and didn't find a thread that specifically dealt with this issue.
Thanks in advance for your help.
Two Solutions to address moving an Access Memo field into Excel when string has > 255 characters. All my 'reports' use Excel VBA (Access Reports are not used). The Excel reports can have 40,000 records. Speed to create the report can be an issue.
Describing 2 Solutions below to address moving Access memo fields with > 255 characters into Excel.After running this code
Code:
720 ObjXL.DisplayAlerts = False
ObjXL.Columns("X:X").Select
ObjXL.Selection.NumberFormat = "@" ' set column to Text
730 ObjXL.Worksheets(intWorksheetNum).Cells(intRowPos, 1).CopyFromRecordset rsNutsAndBolts
The Comments column are limited to 255 characters. So, the CopyFromRecordset (recordsetvariable) creates the 255 character limitation.
The reason? The 255 character limit is because CopyFromRecordset sutomatically uses the Characters property of the Range object. The 255 limit would not be there if the Cell Value property is used to assign the string to that cell.
Dim sRx as String ' String Prescription
sRx = "String with > 255 characters ... you fill in the rest ...."
Cells(1, 1).Value = sRx ' Cell's Value property assignment can be very large
Solution 1:
The record set is still in memory. By using a loop, a cursor can start with record 1 (memo column) and assign that value to the Excel row / column using the .value as shown above. Basically, this moves one memo field at a time, record by record. e.g. Read First recordset in Access, copy to variable, assign value to Excel row/column Then move next on each Access and Excel.
Solution 2:
An Access Memo filed [RxNotes] can have up to 750 characters. Cut it apart into three new fields that end up out in the very right Excel columns AA, AB, AC.
Note1=Mid([RxNotes],1,250)
Note2=Mid([RxNotes],251,250)
Note3=Mid([RxNotes],501,250)
Then using Excel Object - Concat the cells back cell by cell...
X2=CONCATENATE(AA2,AB2,AC2))
Then delete the columns AA, AB, AC to hide the evidence..Neither solution is all that elequent. Read about this and by golly, it made a difference
ConcatComments = "'" & CommentString
Before using the CopyFromRecordset be sure to add a single quote in front of the large string.
Turns out the interface between Access and Excel look for this to prepare Excel immediately for the string to be a string, not something else. Some of my strings had weird print characters that kind of looked like Japenese characters. It seemed random, it always happened if the string was 255 or more characters (ramdonly, not always). The single quote doesn't show up in Excel, but got rid of all the noise.
hello,
I would like to automate something presently done on a one-by-one basis. Here: a number of text files(containing data) are to be exported into an MS Excel file, with each text file to occupy a different worksheet. Presently, the idea is to use the Data/import external data/import data feature of MS Excel for importing the text files one-by-one into newly created worksheets(within the same workbook).
I would appreciate some advice on how to go about creating a useful MS Access application to achieve the above. I have checked the available Macros in MS Access, but I could not find one to suit my purpose. can anyone pls assist, on how I can get started?
