Linking Data Between Databases

Jul 25, 2013

I have two databases that are used by different teams. There is reluctance for both teams to use the same data base because they are used for different purposes etc.

However, there is quite a bit of information that crosses over. Basically, when an order is logged it goes to Database A (DBA) then they import the customer information such as name, address etc. Then the order is passed to team B who deal with the order, who use Database B (DBB). Currently Team B have to import all of this information again into DBB.

What I want to do is link the two databases so that once something has been added to DBA it becomes available from a drop down list on DBB and team B can then import all of the other necessary information they need.

What would be the best way of linking these up? i thought about trying to create a button in DBB so that when it is selected it asks for an order number which would then search DBA for that number and provide a new record in DBB with the first few fields already completed.

Linking Databases

Jun 28, 2006

Hey all!

Okay, so here's a real puzzle, so put on yur thinking caps!

I have two large databases that are twins of eachother, with only a minor difference in a small corner of one table. Even the forms are exactly the same.

I want to split each one from thier tables, so I have databases strictly for [tables], and strictly [forms, queries and reports]...

Then I would like to get rid of one of the copy cat [forms, queries and reports] db's leaving a single [f,q and rpts] db with the ability of ANY user (not a semi-skilled db dev such as me) to have the option at opening, which db to link to for the tables (without going into the tool bar, since it is not visible to them).

Is there an EASY way for a "non-dev" user to choose which [tables db] on an opening form/switchboard?

Live long....prosper.

Linking Forms To Databases

Feb 17, 2006

Extreme novice small business trying to use Access, need some help.

I want to setup a simple payroll system in Access - we have a database of 13 employees already in Access as well as a form we created with fields to enter hours and calculate total due. This may end up being very easy or very hard, but I'd like to know how to, first, set up the form so that it performs the calculations (hourly rate x hours) and then enter this information into another database that will keep track of the weekly payroll...is this far more complicated than I think? Any help/suggestions/points in the right direction are much appreciated.

Tables :: Linking Two Databases To Same SQL Table

Oct 14, 2014

We have a case where there is an append query in one database that is is updating another database table. We have moved all the tables to MS-SQL (2008) using the SSMA tool. We were wondering if it would be possible to create a new linked table in the DB where the append query is. Of course we cannot use the SSMA tool again since the table already exists on the MS-SQL server.

Normally when I try to make linked tables from Access, it wants to create a ODBC connection which we are not using.

Linking Two Access Databases In Sharepoint

Aug 22, 2012

I currently have two Access Databases (one with the raw 'data' and the other with the queries and reports that turn it into 'information' - the data database links into the other).

For contingency purposes, I now want to move both Databases onto sharepoint in case I have a system failure on my laptop (I don't have a server I can put these on). When I upload these onto Sharepoint the second database still seems to link to the file on my computer..

Is there a way I can get a Database to link into another database that's held on sharepoint?

Tables :: Prevent Table Linking / Identify Databases Linked

Sep 26, 2014

there are many threads about Table Linking but i coud not find one that answers my specific questions.

1. Can i either prevent database from linking to my tables? (or give permissins )
2. If not, can i make the table read only when linking?
3. Is there a way to confirm what databases are linked to my tables?

Linking From Switchboard To Switchboard On Two Or More Databases

Nov 21, 2006

I am working on a database that will be an addition to an existing one on the company server. However, to make the overall layout not so complex and allow room for other additions in the future, I'd like to keep the databases separate. This will also ensure more efficiency, integrity and troubleshooting overall.

I have the original database with the name of "Cell MFG Screen" that contains a switchboard. I am now creating a db to keep track of manufacturing waste (which will also be on the same server when completed). That switchboard is called "Cell Waste Weight". Again, I want to keep these db's separated from one another as well being able to add future dbs. Now, what my plan is to make up a one db that consists of only a switchboard that will be used as the main switchboard to be able to navigate to other dbs that are located on the server.

Does anyone know how this is done?

Thank you in advance for your help,

~Kilch

Importing Data Between Databases

Aug 24, 2005

I have searched and not found exactly what I am looking for..so here is my question.

I have a large database that works fine, IF people would stop trying to play in it!! What I want to do is to restrict access to everyone except managers.

So, I copied the db for warehouse users to input their data (picker id, no. of minutes) that holds only one table and the form that opens automatically (they do not have access to anything but the form) for their input...Then, at the end of shift I want the managers to be able to click a button on Switchboard that copies all entries for day into the original db to run their reports. (These dbs are on a network)

So, how do I manage this? I want to use a macro and transfer database table, then run an append query to put the current records in original table...I can do that, but I dont know how to delete the records in users db. It needs to clear out all records in that db when it has been transferred... I want all control to be in managers hands. All the users can do is input their data.

I know you can help, so I will say thank you now.

Transfering Data Between Databases

Jun 26, 2007

i have 3 databases containing data in the same format.

basically i work in a school, and have a database for 3 different classes.

each database has a table containing the childrens details(table a), and a linked table (through primary key in table a) to targets and points scote for each week.

--table a--
child number
name
carer
address
etc

--table b--
index
child number (linked)(displayed as childs name in table, but stored as a number)
week starting
target 1
target 2
target 3
points 1
points 2
points 3
etc

now this database has been working really well. but if ever a child has to be moved class then i need to be called to transfer the records manually (because nobody else can do it) and i have to get the records manually and copy and paste them between databases. This works fine and i've had no problems. And the auto number in table a is changed from the original. but this seems to automatically corrolate to table b when i paste that over. so everything is working fine.
but....
first of all, it creates lots of work for me when kids move classes, and also if i'm not there nobody else can do it.
so....
i've tried using an append query to transfer the data. I tried using 2 append queries (1 for each table).
but....
it works fine for table a, but i'm having trouble with table b.
the append query for table b pastes all the records into the equivalent table on the other database through searching all records related to childs name on table a, therefore retuning all records in table b for that child.
the problem.......
when this data is transfered it transfers table a data fine. but table b is fine except for the fact that it doesn't transfer the childs name data (number), which i can kinda understand, but from what i can understand, my queries are doing the same thing as if i was to cut and paste manually and it works fine when i do that.

ok so its all very confusing, and i hope ive explained adequetly.
oh and btw, i can't put it all in 1 database, because each class may need to access the database at the same time.

thanks

Displaying Data From Two Databases That Have A Common Field

Mar 30, 2005

I'm a complete novice when it comes to dynamic data so forgive my ignorance.
My database contains details of projects in progress. A user can click a link in a list and
display a summary of that project (okay so far - I've done that bit) - in the database though there
are two tables the second one lists project events/comments (title, date, job number and description) - when something interesting
happens during a project we add to the 2nd database a summary of what happened (we made 2nd db because the list
of things happening could be one entry or 50 entries) - the tables are links by the job number.
On the web site I would like that when a user clicks the link to display the info about a project it all also pulls info from
the second db but for the project with the same number.

I've hard coded a similar thing before "select * from tblProducts where category like 'Off Road and Dirt Bikes'" but in
this case instead of hard typing 'Off Road and Dirt Bikes' I'd like it to automatically insert the job number of the project
being looked at from the first database.

I don't think I've explained this as well as I could've - but if anyone could help I will be really grateful.

General :: Merge Two Fields From Two Databases That Have Matching Two Data Ranges

Mar 25, 2014

I have two databases (files). Each file has a format like the one below.

File 1:
chr start end
chr1 1000 2000
chr2 3000 4000

File 2:
chr start end
chr1 1500 3000
chr2 3750 4000

I want to be able to merge the two records together if the field chr matches between the two files plus if there is an overlap between the start number and end number from each file. For instance the first record from each file would match because the range from 1000 to 2000 of file 1 has numbers consisting of 500 numbers (1500-2000) that are also present and overlap in file 2 (1500-3000). I possibly cannot use < or > since the ranges from each file will vary to different degrees. Perhaps there is a between function that might work...

Linking Forms, And Data

Hi All, I am having a problem with linking my forms, with linking data.
I have: Main, Landscape, A,B,C,D, Q,X,Y,Z (Forms). On Main there are command buttons for Landscape, Q,X,Y,Z I have linked Q,X,Y,Z by the Code field on Main and the Code field on Q,X,Y,Z. The Landscape button will open Landscape with A,B,C,D (forms) Which all need to linked by Code there Code is ID. This is what is not working, the Code and ID is not matching up to these forms. Any Idea. *NOTE each form has a button called the same as the form, that is how the form appears. I have used SQL's for the Q,X,Y,Z forms. but that is not working for the A,B,C,D, forms. Linking Data Within Tables

Jan 5, 2005

Hi everyone,

I have a quick question. And perhaps a strange setup. We have an excel spreadsheet set up with a bunch of data.

The powers that be would like me to set up a database utilizing the spreadsheet as the foundation of the database. However, they would still like to keep the spreadsheet as one of the primary ways to enter/edit data along with the database.

Therefore, I was wondering if there was anyway..that I can set up a link(?)
between the access database and the excel spreadsheet in such a way that if one is editted the other one would be editted accordingly.

I know this is a replication of data etc etc. But this is what I was asked to do. Im not sure if it can be done anyway.

I know I can link in the excel spreadsheet into the access database...but can I create a table..based on the linked information..and add more rows and column to it?

Let me know your thoughts!

Thanks I appreciate any help!

Linking Forms Together - Data Updating

Oct 13, 2005

I have a database for the clients at my work place.

The main table with PK ie FRED001 has main client details (address DOB etc) then i have numerous other tables ' relationship one to many' with their investment details (lots of investments per client), appointment details, pension details, health details etc. The data base works fine in table form all the links master to child work fine but now i need to let the rest of the office loose on the system i am trying to create more user friendly form system with command buttons etc

I have created a form for each table some of which have sub forms in etc on their own they appear to work fine you can view all the records and add a new one

I am having problems linking the numerous forms together and when they are linked together (i also need the child form to auto insert the code from the master form? since it comes out blank at the moment!). At the moment i have the main form with command buttons on it to open up the child forms. this works i can see the current investments already entered on the database but it will not let me add a new investment or a new appointment etc it says that by adding a new invesment under the client code i am breaking the code no duplication rules?? but the child tables are set up with the clientcode allowed to be duplicated ??

I need to have each child table in a new form really since there is far too much information for it to all be on sub forms within the main table.

I have tried to also put the forms on tabs but i get the same result.

basically i need to be able to open up the main form at client X then using command buttons or page tabs move to both view their existing investments and add any new investments. Im sure it is something very simple that i have done wrong but i have been trying to solve this for ages now and its getting me more and more wound up ahhhhhhhhhhhhhhhhhhh!!

I have also tried inserting under tabs a small subform list for each table/formie policy number, surname etc to fill in new policies and the name with a command button to the form ( which should then have the details in?!?!) since i figured if these details were filled in then when i went to the form they should be there but tthat doesn't work either

thanks for any help or suggestions

Data Corruption When Linking Tables

Jun 28, 2005

Right guys heres problem.

I link to an excel spreadsheet. all the data is except where Ive had to format a "column" of cells as text. This is done because in the spreadsheet the initial user enters data as text, numeric or a mixture of both (hope thats clear).

My problem is the data that was originally numeric and now formatted to text comes out at #num! ( Yes ive posted similar before) However, when ive imported the same data in to a pre-made table to try a different way of achieving the final job the numeric data (now formated to text) comes out like ---- e.g. instad of 1000344 it comes out 100034+007

And now Ive absolutly NO idea what to try next. Its one Ive never seen before. If i go in to either the linked spreadsheet or the premade table and over type the errors with the correct data - no problem!
So it seems like a conversion issue

Any ideas at all - Id be so greatful if you have1

Queries :: Linking Data On 2 Fields

Sep 5, 2014

I then have various support queries that group customers based on reason for visit, type of visit etc. I need to be able to link this to my main table so that each customer has a category against them. The issue I have is that some customers will have more than one visit ref, which can also mean they have multiple reason for visits. I need to make sure that when I link my queries back to the main table that the right category appears against the customer and their correct visit ref.

Linking Form Fields To Table Data

Jun 14, 2005

Hi Guys,
Haven't done anything with Access since I finished uni and I can't remember much. I'm trying to set up a simple database with customer recording and order taking functionality. Just in the very early stages trying to get basic things working.

I have a form where you enter customer details..at the bottom there is a command button named "Place Order", which will be clicked to go to the order form for that customer. Attachement shows very simplified version of the order form. I need to enter a Product ID, and have the Product Name automatically extracted from the Products table.

How can I do this? I would have done a search...but not even sure what this process is called in Access.
Thanks for any help.

Forms Linking, Populating Data From Search

Jan 23, 2006

Hi Experts! I'm having a problem that I hope some of the experts can help me with. I am in the process of designing a database for a health insurance company that does health fairs.

I need to have a data entry form for the nurses to enter the Health Fair results. I created a form for them to search for the Employer group. They type first few letters of the group, click "find group" button and it brings up a subform (frmGroup_sub) with the filtered group. I then have the group number (field PARGRP) hyperlinked to bring up another entry form (frmHF_entry) when clicked. I need the user to be able to find the group, click on the group number, then bring up another form which autopopulates that PARGRP from frmGroups_sub into the new form, frmHF_entry and stores that group number in the table tblHF. Further, they will need to do more than one "employee" for the pargrp. So I was going to make a subform of frmHF_entry where they could enter multiple records for that same PARGRP.

I just confused myself and probably all of you...but the problem I am having is I cannot get PARGRP from frmGroups_sub when clicked to open and auto populate the form frm_HFEntry.

Here is a screen print, maybe it will help explain what I need.

General :: Linking Tables Without Duplicating Data?

I have two tables that I'm struggling with how to relate to each other. One is tblHardware which contains all the items that we sell. There are no duplicates in this table. The only columns are a part #, description, long description, and cost.

Then I have another table with is tblPackages. These are the packages we sell which pull from tblHardware. This one just has an autonumber, description, and image (image I'll add later and not worried about now).

What I'm struggling with is how to tie these two together because one Package will contain multiple items from Hardware however there are multiple Packages that have the same Hardware items (17" monitor for example).

Tables :: Two Identical Database - Importing Tables By Linking To Data Source

Dec 3, 2012

I have 2 identical database in terms of structure but it differs in data.

Basically I would like to import data from subDatabase to mainDatabase and ensuring that there are no duplicate records.

I have used the "link to datasource method" through importing the tables to have the "updating" function.

However, this method also means that the records in mainDatabase are also imported over to subDatabase which I do not want.

Is there a method to ensure that the records are shared/update one way only? (i.e. import from subDatabase to mainDatabase and not main to sub?)

Tables :: Linking Tables With No Common Data And Different Numbers Of Observations?

Apr 15, 2014

I am doing a project where we are collecting home owner data and information on all the dogs in the household. The data for homeowner has an autonumber primary key because no field is unique or has been consistently collected. I am struggling to link the data for the dogs to the owners because an autonumber primary key will not work since not all homes have dogs. I need to have this set up so that people who are not tech savvy can look up each homeowner (or dog) and get the dog (or home owner) information. And to make things even more fun we need up to 15 potential dogs per household each of whom will have 18 different pieces of data collected.

It looks a little like this (and you can see my not matching ID issue):

Homeowner table
ID First Name Last Name...........Total Dogs
1 Max Maximus 5
2 Min Minimus 0
3 Mus Musculus 1

Dogs 1-5 table
ID Date Dog 1 Name Dog 2 Name .......Dog 5 Name
1 (Max's) 4/11/14 Bobby Billy Betty
2 (Mus's) 4/11/14 Jojo

Min will have no dog records at all, just home information.how to link the dog's to the homeowners .
