Maintaining A Field Entry Over Multiple Forms

Jul 17, 2006

I have a form with a "WorkerID" field. Once the worker enters his ID once, I want the same ID to show up for all the subsequent records so that he doesn't have to type it over and over again. Is there any way to do this? Sorry if I sound totally new to this (I am)!

Maintaining Unique CustomerID With Multiple Purchases

Mar 28, 2015

I am trying to make a basic database system to track orders and contacts and the like for my small business. I have created a series of databases that look pretty standard, something like this example:

I want to create a form that I will open and complete every time I process an order. I want to fill out both the customer info and the order details at one time.

Assuming that the "CustomerID" in the "Customers" table is set to Autonumber in order to create a unique ID, how do I keep from creating multiple new "customers" every time I enter a new order regardless of whether or not that customer already has an ID number from a prior order?

It seems that I would need to make some sort of Macro that would say something like, if the "CompanyName" entered is already listed in the 'Customer' table, use the existing CustomerID, if it is not listed in the Customer table create a new CustomerID.

Should I be looking into Macros, and if so should the macro be built into the form or the database?

Forms :: Form Entry With Multiple Tables?

Jul 19, 2013

I am currently working on a form that involves several linked tables. Since our personnel got so used to a certain form format, I have scanned the form and imported into an access form as a background and have laid corresponding fields on top.(I have attached a snapshot of the form). This works great for a view only form, but I can't seem to add/edit records using this form because of the table relationship. I have done some research, and found that one way to get around this problem is to use subforms, but that would kill the form format. Another way I have seen (which I am not sure how to do) is to have a temporary field and once you hit the submit button it will then fill out the tables.

Forms :: Copy Value From Field In Subform To Field In Main Form During Data Entry

Jul 18, 2013

How can I get the value from a field in one table (in the sub form) to copy/insert into a field in another table (in the main form) when adding a new record? The main form and sub form are linked using parent/child linking, and the sub form is in a tab.I have table A (Visit Dates) in the main form which is used to record the date of a visit to a church. Table B (Quarters and Peals) is used to record an event that took place at that church during that visit. Note that not all visits in table A require a record to be created in table B - but half or more do.

In tables A and B I have a field called "QuarterOrPealID" and these are both primary keys, though the field in table B is set to 'no duplicates' and in table A it's set to 'duplicates allowed', as table A has its own auto number/pk. They are both linked in the relationships.

So, when I add a new record to table A using the main form, I might then need to click on the tab in the sub form to create a new record in table B, which has to be linked to the same record in table A. When the "QuarterOrPealID" auto number/pk is generated in the sub form (table B), I need that value to update to the "QuarterOrPealID" field of the main form (table A), so that when I'm viewing these records the form pulls all the information nicely together.

Forms :: Can A Field Auto-fill From Previous Entry In Separate Field

Mar 21, 2013

I've just returned to work after kids and started managing a large Access database related to health, back-tracking over many years.

Currently in filling a form we physically enter:
Apples 2.2
red apple 2.4
red apple cut 2.45
Oranges 5.6
Cucumbers 8.5

Is it possible to get field 2 to automatically fill with a number code due to the text typed in field 1?

FWIW, I'm confident at more basic Access e.g making follow on default value = Dlast("field""table") type stuff but the more complex stuff I haven't touched since Uni over a decade ago and you will need to be gentle while I blow away the cobwebs

Forms :: Multiple Records - Export Specific Fields Depending On Entry

Jun 2, 2013

I am in the of designing an access 2010 database for data entry. Is it possible to create a button on a form in which a prompt asks a user for which records to export. Then depending on the entry export specific fields (First Name, Last Name, DOB) to a specific excel 2010 workbook (setup) and worksheet (template)?

For example, if the user entry is 1, only record 1: First Name, Last Name, DOB is exported to the setup.xlsx (more specifically the template worksheet of the setup.xlsx). However if 2,3,4 are entered then records,2,3,4: First Name, Last Name, DOB are exported to the setup.xlsx (more specifically the template worksheet of the setup.xlsx).

Forms :: Subform Field Entry Creates A New Record

Oct 8, 2014

I have a main form with several tabs. One of the tabs is a subform with just one number control, driven by a select query. The control shows a number, and you can type in a new number, which then updates the field in the table.

BUT, the control then shows a zero, it has moved to a blank record. If you enter a number again, it will attempt to write it to a new record.

So how do I display the number, and allow a new number to be entered that will update the SAME record, and not moved to a new record?

Forms :: Conditional Formatting Of Currency Field In Entry Form

May 26, 2015

I have some Conditional Formatting of a Currency Field in an Entry Form. The cell is conditionally formatted with a yellow background when the value is zero.

I now wish to add an additional condition to the expression such that even if the value is zero it will not be formatted if a specific check box is TRUE.

I have tried modifying the expression such that it reads;

[currency field]=0 AND [check box]<>TRUE.

It correctly turns off the conditional formatting if the check box is ticked, but does not turn it on again when the check box is unticked.

Forms :: Auto Populate Date Field During Data Entry

Aug 14, 2015

I have created a basic Volunteer Events and Hours Volunteered tracking database.

I created a form Volunteer Hours to allow an end user to use that form to record the volunteer and hours volunteered on a specific Event. There are two tables needed in the form Volunteer Hours to be used for the end users to record the Event, Volunteer, Date and Hours. The form has drill down fields from two tables:

Table A - Volunteer Events (event name, date, descr, owner, co-owner, loc, status)
Table B - Volunteers (name, co, div, emp#,title)

I want to be able to select the Volunteer Event and have the event date automatically populate in the Volunteer Hours form date field when the Event is selected to eliminate the end user from having to enter the date in.

Also; I would like to be able to add more than one volunteer at a time to an event on the form, this would also decrease the data entry time.

Are one or both of these things possible?

Forms :: Lookup Value Dependant On Previous Field Entry - Requery?

Jun 21, 2015

I'm creating a database which contains information for keeping dog grooming clients. It has 3 tables, table 1 is customer, table 2 is dog, and table 3 is booking.I want to be able to choose the customer table and within that you can see the pet linked to that customer and within the dog table you can see any bookings with that dog. What I have done is linked the pet and booking table to the customer details via mobile no. being the primary key.

I want a form called appointments which contains fields *ID, date, mobile, dog name, grooming stlye and other. What i want to happen is this, once the mobile number is entered, i then when it to lookup the mobile number in the dog table and pull the pet name from that, then in the dog name box it will then provide a drop down of dogs related to that mobile number.

I understand a query needs to be made in the dog name field, so in that field i created a query to look up the mobile no. in the appointment table, and to then lookup the pet name in the pets table. This kind of works. The two problems are this, the drop down in the dog name field shows all of the dogs in the database not just the ones assigned to the mobile no. in the field before. If i choose one of the dogs not related to that mobile it changes the mobile number in the field before to the relevant one (but i don't want to be able to see the dogs which arent related to the mobile no. in the field before. The other issue is that on one of the customers there are two dogs, now on the drop down you can see both dogs, but it will only allow you to select the dog that was entered first into the database. If i select the other dog it simply chooses the data for the one first entered.

I have read about doing Requeries on the afterupdate of the field and attempted this by choosing the dog name field and in the afterupdate telling it to requery pet name (I've also tried mobile), this hasn't worked. I have a feeling I'm getting a bit confused by which fields i'm supposed to use etc.

Maintaining And Updating A Database.

Dec 6, 2006

I've set up a database for product tracking. It is going to be used by several users at one time. I'm going to implement it in stages as inevitably there is going to be some fine tuning to be done etc. I have a few questions with regards to editing.

1, I presume that I cant alter the database while it is being accessed by others?

2, Is it better to alter another copy of the database and the import the data being generated and then copy it to back the server in one go?

3, If so how do i do this as I’ve had a trial go and failed miserably?

4, Is there another way of doing this minimising the down time of the database?

Being relatively new to access your help would be gratefully appreciated.

cheers

Maintaining History Of Orders

Dec 8, 2007

I am creating a database for a company that sells a product with a variety of options.

They have all their previous orders in a works spreadsheet file. Each customer has their own file with every order for the past 15 years. There are probably about 1.5 million records.

The company wants all those 1.5 million records accessible in their access database.

I've brought in about 20 records for the history and they can run a query to see a customer's past orders by their account number.

My question: Should I put all the history into one gigantic table or would it be best to try and create separate tables for the history? (Maybe history by state.)

The history table then will take the new orders each year and add to that table.

(Eventually, once the database gets done I'm thinking we'll have to step up to SQL but not sure.)

Thanks for any advice.

Maintaining Associated Variable When Grouping

Nov 17, 2014

I have an issue using the Simple Query Wizard in Access.

I am attempting to Group by the field 'HouseName' and to group by the Max 'Area'. However I also want to retrieve from the query the County which is associated with this.

I have included a sample table below. I wish for my output table to be as follows;

HouseName: County: Area:
Park 1 A 100
Park 2 C 78
Park 3 A 70

(Where Park 1 is HouseName attribute, A is County attribute and 100 is Area attribute)

Sample Input Table:

HouseName: County: Area:
Park 1 A 100
Park 1 B 60
Park 1 A 85
Park 2 C 78
Park 2 D 34
Park 3 A 70

In SQL View my query looks like this;

SELECT TableExample.[HouseName], Max(TableExample.Area) AS MaxOfArea
FROM TableExample
GROUP BY Table.[HouseName];

How to link the associated County to the output.

Maintaining Referential Integrity W/ Main Form

Aug 3, 2006

How do I maintain referential integrity between a main form and a subform, each based upon different (but joined with integrity enforced) table?

Here's the situation:
I have two tables: tblContracts and tblPayments. tblContracts has an autonumber field called IDKey as its primary key. tblPayments also has an IDKey field (Integer datatype). The two tables are linked in a one-to-many relationship on the field IDKey with referential integrity enforced.

I have a main form based upon tblContracts (the "one" side of the relationship) that has an embedded subform based upon tblPayments. the two forms are linked Parent/Child on the IDKey field.

Here's the problem: If a user goes to a new record in the main form, it allows them to enter information in the subform without entering information in the main form. This means that a new record (and its corresponding autonumber IDKey field value) does not get generated in tblContracts and I have an orphan record in tblPayments that is not linked to any record in tblContracts - which violates the referential integrity that is supposedly enforced between the two tables.

Any guidance on how to deal with this would be greatly appreciated.

TIA,
Carolyn

General :: Securing And Maintaining A Stand-alone Unsecured Db?

Dec 3, 2012

I have an application that is used by individual teachers to generate reports for central admin. It is not secured except I have locked out access to all objects, Navigation pane is hidden, etc to protect the integrity of the tool. I must also maintain this as changes are propagated. I am trying to find a way to upgrade forms, functions, queries, etc without manually having to unlock and relock every db for each school site when changes are required. I have tried importing and exporting from a master db, turning objects on and off by recognizing my password, splitting code and data (db's are on flash drives and path changes every time they are inserted, many teachers cannot handle refreshing table links), I have tried writing code to import the changes at next startup, etc. It is written on Access 2003.
