As my database is growing and hold more and more data i want to make a daily backup to the local hard disk (it works on a network now) automatically. The way i want it to work is as follows :
When a user quits the application i want to check if there is a copy already existing with the date of today.
If it does it skips the copy process and just quits.
If it doesn't, i want it to make a backup in a directory. if the directory doesn't exist it must be made.
The backup file name must hold the date of today off course.
I realize that i have to have a procedure to delete obsolete (outdated) backups as well, but ill worry about that later.
Off course Ive tried this a few times, otherwise i wouldnt ask it here. But i seem to fail every time..

Dear All,
Can anyone help me with a problem I have with this database.
I want to be able to assign members (Contacts) of companies (Company) to training courses.
I just do not know how to do it. Contacts will need to be able to be assigned to many courses and many different contacts can go on the same course. I think it can be treated as picking inventory items from a list to make up an order, but I cannot get my head around it.
What I want to be able to do is to go through the courses button, double click on the course ID field to get to the course information screen. (I have already set this up) I want to be able to choose a course and select a member of the company to go on the course by using a yes/no box.
I have set up a course attendance table but do I need a query or something to link contacts of the company to the courses table. Is there a problem with my relationships?
zip file attached.
As someone new to access, this is hopefully easy, I just don’t have the know how. Please any help would be excellent and id be very grateful.
Thanks. Please help.

A user reported that when exporting a list of people from a query to excel, certain people/records are not contained in the export. I took a look (old db mdb v2002-2003 access) and what I found was quite odd.
First, I opened the resultant xls and the first 25 rows or so are blank - which I thought was weird - were these the missing records?
Next I noticed that I forgot to close the xls when rerunning/testing the export using this:
Code:
DoCmd.TransferSpreadsheet acExport, acSpreadsheetTypeExcel9, "qryemailods", Me!Premiername, 0
When I was watching the open spreadsheet, I noticed that it was repopulated with records (I actually expected to get a 'file in use' error, but access carried on) replacing the data.
But lo' and behold! All the records were exported, including the 25 or so missing records at the top where the blank rows previously were located!?!?
I tried a few things... compact and repair on the front and back end of the mdb. Save at newer version of access (2007/accdb), even working locally in case there was some network lag or other issue... Same story... when running the export with the target file closed, the first ~25 records are dropped - but if the xls is already open it runs fine.
Code:
DoCmd.TransferSpreadsheet acExport, acSpreadsheetTypeExcel12, "qryemailods", Me!Premiername, 0
...and that does in fact produce the proper listing without missing records (with target file closed), but the "12" export causes the following message to pop up when opening the file:
"The file you are trying to open [filename] is in a different format than specified by the file extension. Verify that the file is not corrupted and is from a trusted source etc etc etc.. Do you want to open the file now?"
If I hit yes, the file opens and looks good - but why the error message?

How important is it to add people's names into a database using two fields ?..ie: [FirstName] and [LastName]. Would it be ok to put their full name into one field if you also had a unique Identity Number for each person in the same table ?

I need some help on this one. I have two Crystal Report generated Excel spreadsheets that are auto-updated on a daily basis. One spreadsheet contains computer assets, type, model, locations, etc. The second spreadsheet has users assigned to them, phone numbers, etc. I need to import these in to existing tables with numerous filters into my Access database weekly. They don’t change a whole lot but I need the changes to be reflected in my database.
The way I have it setup now is through a linked table, then I use a “Make table query” to filter the data.
My problem is the filtered table has relationships set up that I have to delete then recreate every time I need to run the “Make table query” because it has to delete the old table first.
Is there a better way to make this happen?

I'm in the process of constructing a student database for my school which would track (in addition to detailed student information) the daily attendance of over 270 students.
It is my understanding that there is a limit of 255 field names per table, so I can't use the student names as field names, nor can I really use dates as this would not quite cover even a year.
Student ID and AttendanceDate as field names is also not really a feasible strategy, as each week this would eat up 1300+ rows, so I would run out of space in that direction as well.
My question is ultimately am I better off building this in excel 2010, or is there a way of doing this in access that I have overlooked?

I had a bigger question earlier and it was answered but I am still having problems with a small part of it. I am trying to track the details of a meeting. who requested it, for what project, date, duration, who attended. I have everything figured out except accounting for who attended the meetings. attendees also called "analysts" have a manay to many relationship with the meetings. Because they can be a part of many meetings and a meeting can have many analysts. So I created a seperate table called MR-Analyst which was supposed to help me track which meetings each analyst attended. I don't know how the data entery form should look like, right now I have everything on it and linked correctly to track everything excep the analysts. how can I create a list box or something that I can select multiple analysts for each meeting and have that recored linked to the MR-Analyst table? Please Help!!!

We have 4 managers and 16 foreman. Each month a manager is tasked with calling 4 foreman for progress reports.
I'd like to create a simple program with Access to have the foreman assigned to the managers differently each month. It would have to remember the past 4 months so the same names aren't assigned to the same managers. It also has to randomly assign the foremen so the managers don't have the same foreman after 4 months (if that makes sense).

Hello,
I am not sure how complicated of a job this is, but we want to be able to import our daily recievals of inventory into our existing inventory database instead of entering it by hand. I try using the wizard, however when I get to "finish" it says there was an error and it was not imported.
I don't know much about access but I was hoping one of you could point me in the right direction.

Access Query. I am creating a time sheet / pay roll database and I want to be able to get a total of the daily hours in a query.
For example I have 'Mon Start' and 'Mon Finish' for Mondays in/out times and I have a 'Mon Total' which gives me the total hours worked for Monday.
The problem I have is that Mon Total only works if the hours are say between 07:00 and 17:00, anything after midnight (00:00) like 21:00 to 07:00 and 'Mon Total' goes crazy !!
At the moment 'Mon Total' is the result of CDate 'Mon Finish' - 'Mon Start' (bit rough I know).

Hello, I am new here to the forum.
I have a list box on a form that i want to display a list from a single cell or a table in my access database. The list in this cell is a list seperated by commas such as.....
Field 1 Field 2
example a, b, c, d
I want my listbox to display the list from the first cell in field 2.
Anybody have any ideas?
Thanks,
Kevin :)
PS I know something similar can be done in visual basic. For example, a simple program can be written to take a list (seperated by commas (,) ) and then display this list in a listbox on the form. Is there a way that the simple code such as that can be altered to work in access?

I currently have the following setup for my database which is working as desired when only being used by one user at a time:
Front end: Access 2010 database in Citrix
Back end: SharePoint List
The problem is that only one user can open the Access Database at a time since this action locks the database for other potential users. The locking occurs due to this link to the back end SharePoint list.
allow multiple users to update the SharePoint list through the access database at the same time?

Hi,
I have discovered a problem with my database and wonder if anyone here can point me to the best solution...
The problem is this... when I took our company database over about 3 years ago it was around 45MB... now it is almost 350MB and growing steadily.
I have today discovered the main cause of this... the audit trails on a couple of the tables. If I remove these 2 fields only from the database it cuts it down to under 100MB. The Audit trail is quite important for us and so I'd like to keep it if I can. It is stored in a memo data type (the data is well over the 255 char limit of a text box). Is there any other better way to store this data or is there anything I can do to reduce the size of the memo data type?
Any advice would be greatly appreciated!

If you make your database into a executable file to package it, does the other person you are sending it to have to have or own Access to use it. I was under the impression that I could create a database, package it as its own program and give it to someone that does not have access and it would still work? If not, how would I do such a thing.

I need to start using the database I've created (desktop database). However, I don't want my current version to be the final version.
Should I create another file to work in and use the old version for data entry? When I am ready to start using my new version, is it easy enough to transfer all the data from the old?

I've been requested to make a bird count database.
The bird count data has been recorded on monthly papers like this:
[bird name] [week 1][week 2][week 3][week4]
The number of birds sighted for a given week is written in the [week x] columns.
What I need to do is make another column that shows whichever number is highest from columns [week 1], [week 2], [week 3], [week 4].
So for example:
Blackbird: Week1: 4, Week2: 2, Week3: 6, Week4: 2
highest: =6
