Making Data Entry Easier....

Hi I have a field in a table which is set to text, diplay control=list box, row source=value list. Row source = "level1", "Level2" etc up to "level9".

Now the form for new records matches this except the values allowed are limited to the list, ie they can only enter exactly one of the list above or it throws user an error.

My question is how can I make it easier for the user to input data, ie instead of having to type all the word 'level1' can i get it to accept also the number 1 to 9 and then auto change the value to the correct field ie if user enters 1 it auto changes it to level 1. But i still want it to limit what the user can put in so to get 'level1' entered they can enter '1' or 'level1' (or select from drop down list) but not accept anything else?

I have an address field containing "City", Street Name, and street Address. How do I link these fields together on a form so that when I enter data into the "City" field the rest of the fields making up the address fills in?

Should Be Easier

i think this is prolly easier than im making it out to be.

first i will explain what im doing. this db is used to basicly have problem reports. when a person calls info is gathered and they are assigened a number by myself based on the company they are with. puts a timestamp and then the use of the db at that point is over.

but this is what i can't figure out.

I want to make a subform viewable on the same pane as the main form, that will search for the problem reports that don't have a timestamp on a completed column of the table the rest of the data is on. i can get it to pull what ones don't have a close date, but i can't get it to when i select/click/type in the number to add a timestamp, and erase it from the search. I hope this makes sence.

p.s. this is what i have so far to pull the data

SELECT history.issue_number FROM history WHERE (((resolved) is null));

Easier Way For Unbound Forms?

I have a form that's currently bound that I would love to make unbound. However, this form has about 400-500 data controls (ckboxes, cboboxes, txtboxes, etc). Is there an easier way to fill the data than

with rcd
data1 = !data1
data2 = !data2
....
data500 = !data500
end with

?????????

this seems extremely tedious, but I'll do it if there's really no other way. Too bad people are too stupid for bound forms

I am wondering if anyone can recommend shareware or free ware Utilities/code to make Form & Report Creation/Edits easier?

I'm thinking of something like Cub Editor http://www.peterssoftware.com/ce.htm or SmartForm+ http://www.aadconsulting.com/smtfrmplus.html

but alas .... I can't do anything that will edit the registry (company politics says Access and it's Wizards is plenty 'perfect' http://www.dbforums.com/images/smilies/frown.gif maybe I will convince the powers that be but not in short time)

Also the code (or forms / reports built) need to work on Access 2000, 2002 and 2003. or well-commented on how to modify as I'm only modest with writng VBA code.

Import Data And Making Updates To Them

Hi, I need some help with the following problem. Thanks in advance!

I have imported an Excel spreadsheet into Access database. I will need to constantly add new entries to the tables. I need to connect all my tables together, the main table is called "Data". From looking at Access examples, I believer there should be many other table IDs inside this table (so that they all get a relationship). I imported 5 tables, and each one is dependent of each other. I do not know how to connect the tables together because I'm importing all the data, instead of creating new tables and putting the table IDs into one main table to start off with. I know if I start off without needing to import any data, this will not be difficult to do.
The main "Data" has about 30 fields, and the user will only need to type in 15 fields and the rest of the fields can be looked up from the other four tables. So I'm not sure how I can make the connection between all the tables, plus when I need to add new entries to one of the tables, how do I connect the tables so that all of them will be connected?
I've tried using queries and having queries within queries and this takes forever to load. If there is a way that I can limit the use of queries or just use tables to do the job that would be great.

Making Data In A Field A Certain Lenght

I have a number in a column that can be up to 10 characters long. where it is not the full 10 characters i want to be able to insert zeros at the front.
IE
12345678
to
0012345678

I would like to be able to do this in an append query. Is there a function that allows me to do this?

Making Data Visible Or Invisible In A Form?

My question is how can I make data in a form visible or invisible just by a button. In other words, if I have a group of buttons, based on the button selected I would want certain data to appear.

I know that this is possible, I have seen it done but just cannot find out how to do it or what this is called to look it up in Helps.

Data Entry - Auto Fill Data For Exisitng Accounts In Records

First I would like to give thanks to all the knowledgeable folks here who have helped me with my DB to date. It is working and every one is very happy and I have learned a lot.

So now I would like to add some more functionality to this existing project.

My DB is for data input of customers for a drawing. It has the following fields: Id, account number, first name, last name, date/time, score1, score2.

I t is taking a great deal of time for the users to enter in hundreds of entries a day. Most of the entries are customers who are already in the DB. I would like to get the fields to auto fill the data for existing customers say after the account number is entered. So after you put in the account the name and any other pertinent data would shows up saving users from typing it in again.

The first problem I am having is that this is still a data entry form and I can’t figure out how to be able to see the account information and still add new data to the record? The new data is a daily score they get.

Second I haven’t figured out how to call up the customers information from just the account field.

I’ve googled this and haven’t found anything terribly helpful.

I an trying to create a data entry form (IndividualsEntryFm) to input data for fields such as (First Name),(Birthdate) etc., these to be saved to the (IndividualsTbl)

I also have another table (NamesTbl) which has family names etc. The two tables are linked by a (MainID) field. I want a combo box on the individualsEntryFm so that I can select the family name. Then I wish the empty fields for the IndividualsTbl to be available to enter data.When I press the save button I then want this data saved, together with the MainID from the combo box to the IndividualsTbl.

I have set the IndividualsTbl with a (PersonID) field as an auto number each individual therefore has a unique PersonID but may well share the MainID. I'm trying to link many people to the same address.

My aim is to have my forms open to a new record, which I have done, but if my users need to then update or edit data in previous entries, they can click a button that allows this.

My thoughts were to add a button, then put in code so that the necessary properties changed the form from displaying a new record or records entered since opening it, to showing all records in the associated table....

As an example there is a table for purchase orders. When clicking on this from the main menu form, it opens up the purchase order form to create a brand new PO. At times though, we will need to revisit an order to attach a copy of an invoice, or update the cost of whatever was purchased.

I have a query that (easily) determines how many hours an employee has worked on any given day. What I can't figure out at all, is how to write a query that can figure out how much time an employee had off in between shifts.

Thus far I'm able to run a query that separates this main table into individual workers by their id numbers, but can't figure out how to determine time off between shifts - as the last hour worked one day, and the first hour worked the next day are on two different lines (they are two different table entries).

My db has multiple linked tables. As time passes and work on a project continues data needs to be added to a separate table that is linked to the first table to be populated.

i.e., Initial design data is entered first, when drilling is complete more data is added to a linked table, when drilling is surveyed yet more data is added to the second table.

What I want to be able to do is to query for a particular set of existing design data, display this on a form and on the same line enable data entry to other fields from other tables which are linked to the existing design data.

I have imported 3 different excel worksheets into Access. I then created a query in which I made some relationships and select the fields that I need to make a new table. The problem is, when I run the table the final product is missing about 20,000 rows of data. I have used this protocol successfully for other other files, but for some reason, with this dataset Access is pasting 10,000 rows into the new table, where the original file has 39,000.

I have a shared db where there is a requirement for more than 1 user to enter data in the same form and hence the same table. Up till now there has only been 1 data entry clerk so there has not been a problem.

Would accessing the same form by different users cause a problem, assumming they are inputting different records?

This has most definitely been asked before but I really cant find anything on the forum! Ive created a data entry form which has a save button which the user must click each time to save the record. However how do I refresh the form i.e. empty all data from the previous record without exiting the form. Ive tried to combine the undo macro but that simply deletes the previous record. I have a subform with continuous records. One of the fields in the recordset of the subform is a field named "Remarks". This field does not need to be visible on the continuous subform as it is rare that this field will have any entries.

I plan to apply conditional formatting on another field (IDcardNo) in the record line of the continuous subform so that when field "Remarks" contains any data it will show as a different format on the field IDcardNo.

I would like to make a small form appear when one points to the IDcardNo field with the different format, so that the data in the field "Remarks" pops up when one points to the field IDcardNo with altered format, showing that there is data in the field "Remarks".

Forms :: Combining Split Database Or Easier Way To Update Forms?

I've split my database into a front end and back end which was relatively easy. I did this so that multiple users can have their own front end. But if I have to go in and change the back end and front end, does that mean I have to remake all the front ends? Right now I'm finding that if I delete my linked tables on the front end and then import them into the back end again and change everything on one screen and then split it again is the only option I know of.

I've been requested to make a bird count database.

The bird count data has been recorded on monthly papers like this:

[bird name] [week 1][week 2][week 3][week4]

The number of birds sighted for a given week is written in the [week x] columns.

What I need to do is make another column that shows whichever number is highest from columns [week 1], [week 2], [week 3], [week 4].

So for example:

Blackbird: Week1: 4, Week2: 2, Week3: 6, Week4: 2

highest: =6

Data Entry -- Many To Many

Hello,

I'm looking for opinions on how people like to enter information into a many to many relationship.I understand how a many to many works as well as a Main Form/Sub Form.

Subforms is what I currently use. Would you do anything different? Below is a sample of fields I currently have. Any advice? I keep wondering if there is a better way. I'm not a huge fan of sub forms. I also build lookups from the Junction. Is this correct?
